1 CSN Plicy Curse Registratin & Curse Withdrawal Plicy Categry: Student Effective Date: 08/08/2017 MOST RECENT CHANGES 1. Updated curse registratin and withdrawal timelines and exceptins. I. POLICY PURPOSE The purpse f this plicy is t set deadlines fr class registratin and withdrawal. It als sets the criteria fr late-registratin, the grade f Incmplete, and fr auditing classes. II. POLICY STATEMENT A. Curse Registratin Fall and Spring Semesters 1. Full-Term (16-week curses): Registratin in a full-term class must be cmpleted by 11:59 PM within seven calendar days f the start f the instructin. a. Exceptins t registratin deadlines are limited t curses (use Permissin frm attached linked in Attachment C): i. fr which the curse catalg ntes a prerequisite AND specifies that the permissin f the instructr and/r department chair and/r prgram directr is required; ii. iii. requiring auditins r try-uts; in the Jump Start (dual enrllment with high schl) prgram r curses designated in a Memrandum f Understanding. 2. Shrt-Term (Less than 16-week curses: Registratin in a class must be cmpleted by 11:59 p.m. n the day befre the sessin (as defined in Attachment B-Glssary) begins. a. Exceptins t registratin deadline are limited t curses (use Permissin frm attached linked in Attachment C): i. fr which the curse catalg ntes a prerequisite AND specifies that the permissin f the instructr and/r department chair and/r prgram directr is required; ii. requiring auditins r try-uts; iii. in the Jump Start (dual enrllment with high schl) prgram r curses designated in a Memrandum f Understanding; iv. serving as a replacement fr a curse cancelled within six calendar days f the start f the sessin. 3. Curse registratin waitlist will be functinal during the late registratin perid withut any disruptin. Summer semester 1. Registratin in a class must be cmpleted by 11:59 p.m. n the day befre the sessin (as defined in Attachment B-Glssary) begins. There is n late registratin perid during the summer semester. 2. Exceptins t registratin deadline are limited t curses (use Permissin frm attached linked in Attachment C): a. fr which the curse catalg ntes a prerequisite AND specifies that the permissin f the instructr and/r department chair and/r prgram directr is required; b. requiring auditins r try-uts; c. in the Jump Start (dual enrllment with high schl) prgram r curses designated in a Memrandum f Understanding; r d. serving as a replacement fr a curse cancelled within 6 days f the start f the sessin.

Curse Withdrawal PLEASE NOTE: Befre withdrawing frm a curse, students are strngly encuraged t discuss their decisins with an academic cunselr, academic adviser r success cach AND Student Financial Services since these decisins may affect a student s financial aid and Satisfactry Academic Prgress. Any such students receiving financial aid may find their awards reduced. 1. Instructrs d nt have the ptin f withdrawing students. The student must receive a grade f A thrugh D-, F, Pass, I r AU if still n the rster after the 60% pint in the sessin (as defined in Attachment B-Glssary). 2. CSN administratin may withdraw a student at any time during the sessin fr just cause including, but nt limited t, failure t pay fr the curse and vilatins f the Student Cnduct Cde. 3. Students with dcumented exceptinal circumstances may fllw the grade change prcess t request a grade change t W. 4. Students may withdraw frm a curse with a grade f W during the first 60% f a sessin (as defined in Attachment B-Glssary), measured by time, nt assignments. If the withdrawal ccurs during the refund perid, the class will nt appear n the student s transcript. When withdrawing frm the class, the fficial withdrawal date is the date prcessed by the Office f the Registrar, nt the date last attended, unless the tw dates cincide. 5. In rder t adhere t financial aid guidelines, at the end f the secnd week f the semester r summer sessin, the instructr submits t the Registrar s Office the names f students wh have nt participated at all in the curse. Participatin is defined in Attachment B. C. Grading Plicy (as it pertains t Audit, Incmplete and Withdrawal) 1. A student enrlled in the curse thrugh the withdrawal date but unable t cntinue fr legitimate reasns can apply t the instructr and prvide supprting dcumentatin fr an Incmplete ( I ) grade. The instructr will determine if the student qualifies fr the incmplete prcess, and if s, the instructr will determine and dcument the utstanding requirements fr the student t finish the curse and cnvert the I grade as well as the time frame t cmplete thse requirements, nt t exceed ne year. If the wrk is nt cmpleted during that time frame, the I cnverts t an F unless a different grade is indicated by a grade change frm. If the instructr is n lnger available t submit a grade change frm, it is the respnsibility f the department chair t d s, if applicable. The I grade is nt included in the student s grade pint average and therefre is wrth 0 pints. If a student wishes t retake the entire curse, he r she must re-register and pay fr the class. Unless apprved by the dean in the student s majr r the VPAA r VPAA s designee, a student with 3 current I grades may nt register fr additinal cursewrk. If the student is nt enrlled at CSN at the time he r she needs t cmplete the cursewrk and he r she needs t use CSN facilities nt pen t the public (such as labs), the student must receive permissin frm the department chair r prgram directr t use thse facilities, sign a waiver f liability t CSN, and, if applicable, receive permissin frm the clinic site. 2. If the withdrawal happens after the refund perid, the student will receive a grade f W fr the class as lng as withdrawal ccurs befre the curse is 60% cmplete as defined in Attachment B. Lack f attendance des nt cnstitute withdrawal; failure t prperly withdraw will result in the assignment f an F grade n the student s transcript in accrdance with NSHE Grading Plicy. 3. A grade f AU is psted n the student s transcript fr audited curses. D. Auditing Classes PLEASE NOTE: Befre taking steps t audit (as defined in Attachment B-GLOSSARY) a curse, students shuld be AWARE that Federal financial aid will nt pay fr audited curses, and students shuld nt include aid fr audited curses in their financial planning. ii. Satisfactry Academic Prgress related t federal financial aid takes attempted credits int cnsideratin when assessing a student s nging eligibility fr federal financial aid. Credit-t Audit cnversins are cunted amng Attempted credits but nt as Cmpleted credits fr financial aid purpses. Page 2
3 Students are strngly advised t cnsult with an Academic Cunselr r Advisr and Student Financial Services, if the student receives financial aid, prir t making any curse registratin changes. 1. Except fr prgrams with applicable limitatins (such as limited entry r specialized accreditatin), a student may elect t audit a curse. 2. A student must pay the nrmal registratin fees fr audited curses. 3. Audited curses will NOT be cunted as part f the academic lad when full-time r part-time status is reprted, fr any reasn, t any internal r external ffice r agency; this includes, by way f example nly, the financial aid ffice, Scial Security Administratin, an emplyer, and thers. III. PROCEDURE A. Curse Registratin Prcedures 1. Late registratin is nly allwed in the Fall and Spring Semesters. 2. Exceptins require permissin f apprpriate instructr(s) and the department chair. The cmmunicatins can be dne via r fficial frm. Fr Fall & Spring semesters, the student must be enrlled in the substituted class by the end f the 7th calendar day f the sessin. 3. Permissin frm the substituted curse instructr, if given, must be given via r fficial frm. Students are encuraged t find a substitute sectin in the same curse r equivalent curse in the same department, when pssible. a. The department chair verifies that the student meets ne f the exceptins listed abve and attaches the dcumentatin t the r frm. b. If the student is adding late because the prir curse was cancelled within 6 days f the start f the sessin: the department chair (f the department with the cancelled curse) signs the frm r s cnfirmatin t the instructr that it was s cancelled. B. Curse Auditing Prcedures 1. T audit a curse, a student must register fr the curse and pay the regular fees (and tuitin, if applicable). 2. Credit t audit: T change the status f a curse frm credit t audit, a student must cmplete the change n r befre the last day t withdraw. Students must sign a statement acknwledging the cnsequences f their decisin. 3. Students cannt change their status frm audit t credit. 4. Audit means the student will enrll in the curse but receive n credit r grade % f a sessin refers t the length f the sessin in days, nt t the number f assignments r percentage f pints earned. Refer t the academic calendar fr the apprpriate date. 3. Sessin refers t semester r a perid less than 16 weeks.
