2 COURSEWORK TIPS GCE APPLIED ICT If you are studying for the three-unit AS SINGLE AWARD then you will study the following coursework units: UNIT 1 INFORMATION AND COMMUNICATION UNIT 3 ORGANISATION AND INFORMATION SYSTEMS If you are studying for the six-unit AS DOUBLE AWARD then you will study the following coursework units: UNIT 1 INFORMATION AND COMMUNICATION UNIT 3 ORGANISATION AND INFORMATION SYSTEMS UNIT 4 WEB DESIGN UNIT 5 SPREADSHEETS FOR BUSINESS APPLICATIONS UNIT 6 INTERNET AND BUSINESS This booklet will give you advice on preparing for these AS coursework units. 3 UNIT 1 INFORMATION AND COMMUNICATION This unit is meant to demonstrate your understanding of the importance of information and communication within an organisation. It should highlight the role of ICT in supporting the information needs of an organisation, in particular from an e-commerce perspective. Your portfolio should demonstrate in the language you use, your skills in writing for different occasions and people. Your portfolio should demonstrate your research on the nature of information how information is gathered how the Internet and intranets can help data collection how information is presented and used to support organisations apply standard ways of working when producing your portfolio The documentation you present in your portfolio should have a professional feel to it and should demonstrate appropriate styles of writing for different purposes. 4 It is strongly recommended that your portfolio should be presented using the following format and headings: Candidate Record Sheet This document should be signed by both you and Teacher. Contents Page If you choose to include a contents page with accurate page numbers it will significantly enhance your work. It will demonstrate a style commonly found in reports of this nature. SECTION 1 MANAGEMENT REPORT You must produce a formal Management Report that includes a full discussion of the nature, importance and use of information in an organisation, as well as a demonstration of understanding of how information circulates within an organisation, between organisations and between organisations and clients. You should avoid such phrases as I m going to talk about, My teacher told me to.., I m going to investigate. You should concentrate on the fact that this is a report for senior management and in this report you should use a formal language and tone. Do not use jokes or slang. Examine sample management reports that have been produced professionally and note their presentation and style. At the start of your report you should provide evidence that, for a range of business documents, you have o researched them (what types do organisations use them and why) o analysed them (investigated why documents are written in such a way e.g. find out if it is house style, corporate look and feel, target audience considerations etc) o compared and contrasted business documents o evaluated business documents (express your opinion, with evidence, on whether the documents do what they are supposed to do) N.B. The report is not just about comparing and evaluation of business documents you ve gathered. You should now describe and compare the content and purpose of six documents chosen from two different organisations o Choose two standard documents plus one using electronic media from each organisation Page 4 of 28

5 o Your documents should be business documents that contain sufficient detail to allow you to discuss them in depth. o Avoid documents that contain little detail such as compliment slips or headed notepaper o Place your chosen original six documents at the back of your report in Appendix 1 Business Documents Describe and compare the contents of your documents Highlight the strengths and weaknesses of each document Comment on how suitable each is for the purpose intended Highlight the importance of the information to the organisation You should discuss confidentiality or copyright issues You should use any other relevant Appendix that is likely to enhance the portfolio (Appendix 2) SECTION 2 DOCUMENTS PRODUCTION You must demonstrate four different ways that information can be communicated for a range of different purposes. You must design, describe and evaluate: o One on-line document; This document should use appropriate controls e.g. drop down lists, radio buttons, submit and clear buttons etc. to produce a professional on-line document o One document used by the organisation to collect data; This might be usefully achieved by choosing e.g. a questionnaire, an order form etc. o A booklet (to comprise at least three A4 pages) such as an instructional guide, a training package, a handbook or user guide; o A slide presentation of the future vision of the company; Evidence of advanced ICT skills here could include Master slides Navigation buttons Do not reproduce large tracts of text from your management report. These documents must be easy to find within your portfolio. Do not mix them up with draft documents. If you want to show draft documents, then please place them in an appropriate appendix. Bibliography o If you choose to use a bibliography, then a properly annotated bibliography showing evidence of the sources (books, magazines, reports, web-sites) you have used in your research is evidence of good practice. You should examine how bibliographies are presented by researching books or reports. Page 5 of 28

6 You should use any other relevant Appendix that is likely to enhance the portfolio. HOW YOUR PORTFOLIO IS MARKED Your portfolio can score a maximum of 50 marks. There are four sections that are assessed these are called assessment objectives. Each of these four objectives is divided into mark bands, each of which scores different marks. Mark band 1 scores least marks while mark band 4 scores most marks in each assessment objective area. 1. AO1 Use if ICT (Maximum 17 marks) If you wish to receive high marks in AO1 Use of ICT your portfolio should demonstrate a high standard of presentation in the following skills: o Pagination; o Paragraphing; o Headers and Footers; o Page Numbering; o Integrated Graphics; o Use of fonts and textual styles; o Formats and layouts; o Templates; o Presentation styles; o Special features; You should be mindful of the audience receiving the information and the language you use in each context. A Management Report must use a professional structure, formal language, appropriate fonts, styles and graphics. Researching reports is recommended. Although all of the above identified features need not be present to place your work into Mark band 4, if your portfolio shows mis-spelling, poor paragraphing and pagination, weak page numbering, poor use of headers and footers or other such errors it is unlikely to gain high marks in this section. 2. AO2 Knowledge and understanding (Maximum 15 marks) If you wish to receive high marks in AO2 Knowledge and understanding your portfolio should demonstrate a high standard of presentation in the following skills: o Detailed evidence of research, analysis, comparison and evaluation; o A thorough understanding presented in the report and in the design of the documents; Page 6 of 28

7 o A well written portfolio that thoroughly conveys the required information. The presentation should use relevant styles, features and effects; o The report and documents should be highly suited to requirements and fit for purpose. Candidates who mention legislation briefly in a sentence are unlikely to be placed in mark band 4. Thorough understanding of legislation and its application to the situation under consideration is necessary to achieve marks at this level. Direct reproduction of any handout material on legislation is to be discouraged as is cut and paste from websites. 3. AO3 Problem solving (Maximum 12 marks) If you wish to receive high marks in AO3 Problem solving, your portfolio should demonstrate a high standard of presentation in the following skills: o The management report and the documents you have produced are of a consistently high quality; o They are highly relevant to the intended purpose; o They show thorough understanding of the problem and your chosen solution; o They demonstrate the effective use and application of a wide range of features. Candidates who produce solutions with obvious missing information (for example in a questionnaire), or ask for information from a customer that is impossible to acquire (for example, sign an on-line form), would be unlikely to be placed in mark band AO4 Evaluation (Maximum 6 marks) If you wish to receive high marks in this Evaluation section, your portfolio should demonstrate a high standard of presentation in the following skills: o You should use examples defined in a comparative context with regard to content and purpose; o You should use detailed relevant technical language in your explanations; o You should e valuate the documents you have produced by demonstrating a thorough understanding of their intended purpose. 8 If you simply state that the examples you provided are good with no supporting analysis and evaluation as noted above, you are unlikely to gain high marks in this section. Page 8 of 28

9 UNIT 3 ORGANISATIONS AND INFORMATION SYSTEMS This unit focuses on the nature of organisations and how they are structured and managed. Your portfolio should demonstrate your understanding of organisations and the information systems necessary for their support. The unit considers how information is gathered, managed, communicated and exchanged effectively to support an organisation. The unit also considers how information and the surrounding ethical, legal and health and safety issues impact on an organisation. The documentation you present in your portfolio should have a professional feel to it and should demonstrate appropriate styles of writing for different purposes. YOUR COURSEWORK PORTFOLIO SHOULD BE BOUND APPROPRIATELY. Page 9 of 28

Management Report You are required to produce a portfolio of work that includes: A comprehensive Management Report fully explaining a range of issues detailed below relating to a specific case study which changes every two years. A copy of the current case study can be found elsewhere on this micro-site. Your management report must fully explain issues relating to the case study using the following headings: o The current status of the company; o How information is communicated in the company; o Four examples of the type of information in circulation content and format needs to be explained; o Problem areas within the organisation; o How ICT resources could assist information circulation in the company; o How an MIS system could help the company at present and in the future; o You must design and explain TWO MIS reports that could be generated by a new MIS system; The MIS reports should be realistic. The use of a spreadsheet to produce two similar graphs of the same unrealistic information is NOT acceptable. The reports should be typical of the types of information that management might seek e.g. Debtors who haven t paid for s a while, a Balance Sheet showing credits and debits, a Payroll document showing hours worked and wages issued or a sickness report showing attendances or absences. o How the company could exploit e-commerce opportunities; o You must design and explain TWO on-line documents likely to be used if an e-commerce solution was proceeded with. Your report should reflect your understanding of each section. Specific information regarding ICT systems, MIS, e-commerce and legal issues should Page 10 of 28

11 be explained in terms of the case study. Examples relating to the case study should be used to explain issues. Do not include any handout material that doesn t apply to the case study directly. Presentation You are also required to produce a A presentation of no more than 10 slides outlining the future vision of the company. The presentation has to display one of the on-line documents you have designed. Appendix 1 Appendix 2 This is optional - It may be appropriate for you to place documents or reference material in this appendix providing it is suitably referenced within the text. This is optional you should place draft documents here. You should use any other relevant Appendices that are likely to enhance your portfolio Bibliography This is optional A properly annotated bibliography can show evidence of sources used in your research. 12 HOW YOUR PORTFOLIO IS MARKED Your portfolio can score a maximum of 50 marks. There are four sections that are assessed these are called assessment objectives. Each of these four objectives is divided into mark bands, each of which scores different marks. Mark band 1 scores least marks while mark band 4 scores most marks in each assessment objective area. 1. AO1 Use if ICT (Maximum 17 marks) If you wish to receive high marks in AO1 Use of ICT your portfolio should demonstrate a high standard of presentation in the following skills: o Pagination; o Paragraphing; o Headers and Footers; o Page Numbering; o Integrated Graphics; o Use of fonts and textual styles; o Formats and layouts; o Templates; o Presentation styles; o Special features; Management report Your Management report must use a professional structure, formal language, appropriate fonts, styles and graphics. You should be aware of the audience (the Board of Directors) receiving your information. It is recommended that you research suitable reports and show evidence of this research in an appendix where appropriate in your portfolio. Slide presentation In terms of the slide presentation demonstrating the future vision of the company, if you wish to achieve high marks, you should be able to use advanced features of presentation software e.g. Master Slides, animation and action buttons. The presentation should be structured and designed for the intended audience. Although all of the above identified features need not be present to place your work into Mark band 4, if your portfolio shows mis-spelling, poor paragraphing and pagination, weak page numbering, poor use of headers and footers or other such errors it is unlikely to gain high marks in this section Page 12 of 28

AO2 Knowledge and understanding (Maximum 15 marks) In order to score high marks in this section you should demonstrate the following: o A thorough understanding of how organisations are structured, managed and supported. This understanding should be evidenced in the discussion presented in the report and in the design of the online documents and MIS reports; o An in-depth knowledge of MIS systems and their application to the current case study; o A thorough understanding of Internet, Intranet and e-commerce and their possible application in the case study; o A detailed understanding of legal issues; o A well written presentation that thoroughly conveys the required information on the case study. The presentation should use advanced relevant styles, features and effects; o The report and documents should be highly suited to the requirements of the case study and be fit for this purpose. If you only mention a topic e.g. Internet, intranet, e-commerce or legal issues briefly in a sentence you are unlikely to score high marks in this section. 3. Problem Solving (Maximum 12 marks) In order to score high marks in this section you should: o Fully document and address the problem areas; o The solutions you choose should be highly relevant to the case study; o Show a thorough understanding of the problems in the case study; o Demonstrate a thorough knowledge, understanding and justification of appropriate solutions; o Describe, using relevant language, a wide range of features in the application of the solution. Your report should also demonstrate suitable detailed evidence in the following areas; o Possible future developments in the company; o The company s future vision; o Available technologies in future developments; o Explicit evidence of realistic Internet, Intranet and e-commerce solutions; o An understanding of legal issues related specifically to the case study. AO4 Evaluation (Maximum 6 marks) To score high marks here you should: o Demonstrate an excellent understanding of the content and purpose of your solutions and evaluate these solutions ; o Show how your solutions relate to the needs of the company; o Provide a critical reflection of your performance. Note that simple statements indicating that the examples and solutions you provided are good with no supporting analysis and evaluation are unlikely to score high marks in this section. 15 UNIT 4 WEB DESIGN This unit enables you to study the Internet, its supporting technology and the surrounding systems and services. You will have to create and develop web pages using appropriate software. You will learn about Internet and intranet environments and security issues. You will also learn about the importance of an e-presence for a business organisation. The documentation you present in your portfolio should have a professional feel to it and should demonstrate appropriate styles of writing for different purposes. 16 It is strongly recommended that your portfolio should be presented using the following format and headings. The website will be produced using the current case study for this unit. Candidate Record Sheet This document should be signed by both you and Teacher. Contents Page If you choose to include a contents page with accurate page numbers it will significantly enhance your work. It will demonstrate a style commonly found in reports of this nature. Planning You must produce a professional functional website that fully meets the requirements of the current case study in terms of marketing and ordering. This site should be hosted and able to be used by the selected audience. This task will give you experience of planning a website implementation, as well as looking at marketing, website accessibility and financial issues. In carrying out this task, you must produce a plan for the User before the development takes place. This plan will outline aspects of the website for example page layout ideas site structure and content guidelines technical information including o a financial overview of the likely costs in both the creation and the long term management of the site (hosting etc). o This plan should be developed into an overall development journal spanning the life cycle of the project. Feasibility of Project It is important to note that all Users will have particular requirements for their websites. It is important also to research a range of business requirements thoroughly and present these in your written outline. This outline should include a portfolio of ideas and an outline of site structure, making reference to timescale and financial costs. You must provide technical information such as domain and hosting issues in an easy to understand format (as an expert would). Page 16 of 28

17 Site specification The Site specification should include: - Aims of the website; - Who is the site for (Target Audience); - Domain Name and Hosting Issues; - Site Management Issues; - Basic page layout ideas; - Site Structure Ideas; - Content Requirements from your client; - Marketing Requirements; - Accessibility Issues; - Legal Issues (Data Protection Act if applicable); - Financial Issues; - Timescales. You may need to review the specification several times before it is fully finalised. Once complete this specification documentation will be assessed as part of your portfolio. (Each page should be documented and include: - Webpage screen shot; - Fonts / styles and colours used; - Meta tags used and why they were employed; - Navigation Issues; - Use of text layout tools such as layers, tables or frames; - Use of images and if applicable how they were created; - Downloadable content; - Accessibility issues should be considered.) Your site should be well documented and make use of advanced ICT layout and drawing tools. 2. AO2 Knowledge and understanding (Maximum 15 marks) In this section you should demonstrate a detailed understanding of the importance of information and communication to the User. You can do this by clearly relating to the user requirements and taking account of budgetary and time constraints. You need to produce a well organised website which is easily navigable and presents the correct information in a format appropriate for the audience. You should demonstrate a detailed understanding of confidentiality/data protection and copyright issues with regards to website content. Your website and documentation should be well written and presented in a manner demonstrating an extensive knowledge of ICT systems. Evidence of accuracy in meeting User needs should be evident throughout your portfolio. 3. AO3 Problem solving (Maximum 13 marks) To score high marks here you must use advanced features such as rollovers, scrolling marquees, hit counters, guest books, hover features, evidence of document downloads and meta tags. 4. Evaluation (Maximum 9 marks) You should evaluate your website/performance in a clear and logical manner and should show an understanding of good practice. You should clearly describe your website using technical and descriptive language throughout. You should mention its limitations and makes a number of informed relevant suggestions for further development/improvement. You should explain and evaluate how your solution fulfils the requirements of the User. You should critically evaluate your own performance in terms of identifying a solution. Page 18 of 28

19 UNIT 5 SPREADSHEETS FOR BUSINESS APPLICATIONS This unit will allow you to learn how organisations make use of spreadsheet applications. You will use spreadsheet tools and functions to manipulate data to produce meaningful information for an organisation. You will enter data in different formats and performed calculations and produced graphs and charts. The documentation you present in your portfolio should have a professional feel to it and should demonstrate appropriate styles of writing for different purposes. Contents of portfolio Needs of the user You will need to produce a detailed document which lists the needs of the user who wants you to design a spreadsheet application to suit a particular purpose. It should be expressed in terms of output, input and processes. The document should contain 3 distinct areas: Suitability of spreadsheets - the output required from the system - the input required to produce the output - the processes required to manipulate or process the data so that the required output can be produced. You need to produce a one page document which explains why a spreadsheet is suitable to solve the problem specified by the user. There is no need to use this explanation page to describe features of a spreadsheet but rather use it to describe how features of a spreadsheet can be used to solve the problem for the user. Working menu You need to produce a working menu driven spreadsheet application which makes use of simple and complex spreadsheet features appropriately. Annotated screenshots You need to annotate screenshots of your application which show that your application fulfils the user s requirements Page 20 of 28

21 Test plan A test plan which contains a list of all test data to be used (application testing) Annotated screenshots evidencing that the application testing has been carried out User Guide You must produce a user guide which should be directed to a novice user who would require very detailed guidance on your system. Technical guide You must produce technical guide which will allow a user to install and use your application. The technical guide should use appropriate language for a technician or similar person. Evaluation A two page evaluation of how your system meets the user requirements Page 21 of 28

AO1 Use if ICT (Maximum 13 marks) To score high marks in this section you need to show evidence of a working, high quality interfaced, menu driven spreadsheet system. The system will make use of an extensive range of mathematical functions such as VB code and date manipulation, linking of worksheets, manipulation, grouping and sorting of different data types graphical output. Your system should include well designed data capture screens validation for data entry (limiting the data values which can be entered into cells) Your system meets with the users requirements and is easily navigable. You will need to include annotated screenshots of your application to show clearly how the user s requirements have been met. 2. AO2 Knowledge and understanding (Maximum 15 marks) You must demonstrate a very high level of understanding of the role of an ICT system in an organisation by producing the design of accurately, well designed and concise user and technical documentation. (You should examine current user manuals as well as technical manuals). Each document uses language appropriate for the target audience and includes relevant annotated graphics which are positioned appropriately to aid in presentation. The documents are of a high quality characterised by good use of language, appropriately sectioned areas, correct amount of information in a given space, uncluttered and clear instructions which can be easily executed. Your design document is of high quality and contains all of the relevant sections. It is used to develop the system and referred to or updated when appropriate Page 22 of 28

23 You must produce a robust and dependable system by developing a comprehensive test plan which tests the application using a set of test data which tests extreme, valid and invalid data and also checks the navigation pathways of the system. 3. AO3 Problem solving (Maximum 13 marks) You must solve your problem by meeting with the user s requirements. You ll need to produce screenshots of the implementation of the test plan. Your completed system meets all of the users requirements in terms of the data capture facilities provided calculations undertaken the graphical output produced and information produced by the manipulation of data. You must show evidence that the system has been fully tested. The navigation of the system has been and is shown to be operational and correct. Your portfolio is presented accurately in a logical sequence using screenshots and justification for tests where appropriate. You should produce a document justifying the selection of a spreadsheet to solve your problem. The document should contain reference to relevant features and facilities provided by the spreadsheet and how they relate to your user s requirements 4. Evaluation (Maximum 9 marks) You need to describe your solution and place a well structured and thorough evaluation of the solution into your final report. You have to reflect on your solution and makes recommendations for improvement. You must evaluate your own performance in terms of meeting the user s requirements and time management. Page 23 of 28

24 UNIT 6 INTERNET AND BUSINESS This unit will allow you to develop a detailed understanding of the Internet in a business environment. It will require you to understand the vast potential of e-commerce and the effect on the economy. It will require you to consider service providers, connections, hardware and software requirements, security issues, cyber crime, social issues and the impact of the Internet in the commercial world. The documentation you present in your portfolio should have a professional feel to it and should demonstrate appropriate styles of writing for different purposes. Contents of your portfolio Introduction You must produce a professional portfolio detailing the requirements of a selected client. The portfolio should advise the client on how best to exploit the internet to benefit the business and staff. This task will give you an understanding of consulting and advising on technical and business solutions for a small business on a tight budget. In carrying out this task, you will produce a plan for your chosen client who should be from a business or official organisation (not personal) before the development takes place. It should be noted that although it may be advantageous to have a real client it is not necessary and you may make recommendations for a local business without contacting the client directly. The completed portfolio should include recommendations on the best type of internet connectivity to suit the business. The content should include recommendations of the types of internet services, service providers and ecommerce solutions for the client. The portfolio should advise on suggested solutions for problems the client might face and give recommendations on any policy requirements that may be necessary. Feasibility of Project It is important to remember that your client will have particular requirements for internet use. It is important to be thoroughly aware of these requirements and to prepare a well presented written outline for your client. You must remember that your client will consider you to be the expert, so it is essential you provide technical information with costs both in the short and long term timescales. Page 25 of 28

26 Internet connectivity You need to provide a discussion of the best type of connectivity suited to your client. It must include subheadings as follows: Evidence of research of various ISP/internet services and the documentation of these for the client; Advice on the hardware requirements to provide suitable connectivity Advice on any additional software required and why; An outline of the security risks associated with internet access and how these could be avoided. Advice on multi-user internet connectivity; Advice on how to make the most of the internet for research etc; An outline of the advantages of a simple web presence ; Advice on Cyber Crime and Legal Issues of internet connectivity and presence (Data Protection Act if applicable); Advice on communication methods via the internet; An introduction of the concept of e-commerce to the client; Advice on issues linked to global markets (legal and social); Financial Issues; Timescales. Your work on these tasks should demonstrate the following: Types of Internet Connectivity; Internet Service Providers; Hardware and Software Requirements; Security Issues; Cyber Crime; Social Issues; E-commerce; Evaluation You ll need to fully explain your portfolio solutions and include an appropriate critical evaluation of your solutions. You should evaluate your own performance in terms of meeting the requirements of the chosen business within the given parameters.
