5 Union SE Total Testing 5638 tests were administered July 1, 2007 April 30, 2008 which was a 4% increase over the previous timeframe. Tested over 621 graduates for spring commencement Administered the Residual ACT to 387 high school graduates the center responds to requests from other institutions to administer distance learning exams exams were administered which is a +6% increase over last year Upward Bound 62 students served in the AY % (10) of the graduating seniors will enroll in college with 3 enrolling at Southwest. 60% of remaining students intend to return to the program in fall08. Veterans Yearly average served Fall 2007 Spring 2008 Macon Union Macon Union Chapter 30 (GI Bill) Chapter 31 (VET Voc Rehab) Chapter 35 (VA Dependents) Chapter 1606/07 (Reserves) Totals Youth Services Of the 50 out of- school participants, 10 attained their GED. Of which 9 will be enrolling in Southwest. Of the 50 in-school, 12 are committed to attend Southwest in the fall. Activities for to enhance visibility, service, climate and collaboration Visibility stimulate an interest in Southwest Applying Enrolling Participating in activities and services Hosted the College Goal Sunday for financial aid for the third year. Hosted High School Guidance Counselor Luncheon Joi Ragland, a student, received the Love Community Award which included $1000 September 08 5

6 SDS attended the 2 nd Annual Transition Youth Conference in West Memphis, AR Hosted Community Expo in April with over 1200 participants Initiated a recruitment effort by creating a letter to attract GED recipients to the College Held Parent Night, a recruitment activity designed to promote starting at Southwest and the ease of transfer presentations by local colleges and universities. Hosted fall 2007 and spring career fairs on the Macon and Union Campuses. Service enhance student care Anticipate students needs Intrusive approach Hired 7 graduate students from local colleges to assist prospective students through the entire enrollment process while providing an opportunity for students in local graduate programs to learn all aspects of enrollment services at a community college Conducted surveys using Tele-Counseling Center. Called students who applied but did not enroll to assist Enrollment Services with gathering information for retention purposes Conducted on-going Student Satisfaction Surveys which are distributed, gathered and analyzed to assist Enrollment Services with improving the quality of services Sent targeted s to students informing them of important dates, deadlines, processes and procedures regarding registration, fee payment, and graduation Expanded Orientations and Welcome sessions for new students on both main campuses Expanded number and quality of calls to students who had registered but not paid by involving more employees during peak times Revised graduation fair to include transfer colleges i.e. U of M, Christian Brothers Provided free regalia to both full and adjunct faculty Established computer mini lab in Crossroads office area Established Crossroads Exam Week Free scantrons & coffee Student Activities provided intramural basketball tournaments for 3 days at the Sails Gym with 39 (14 Union and 25 Macon) students who signed up. There were 6 teams. Medallions were awarded to 1 st, 2 nd, and 3 rd place winners College Activity Board (CAB) has been placed in the club/organization section of the website and has provided a list of proposed activities for the fall 08 and spring 09 Student Newspaper 2 editions in the fall and 1 edition in the spring were circulated throughout the different campuses SDS provided the Southwest Police Department with a listing of all students who would need assistance evacuating a building in case of emergency Established an official GED Testing Center at the Union campus to serve the urban community Developed appointment cards to remind students of their scheduled test dates Initiated a follow-up call system for Residual ACT, Compass, and GED examinees that missed scheduled exams Revised graduation application procedure and website. Began Document Imaging Assessment Training Held customer training sessions with Disney representatives Initiated postage paid return envelopes for financial aid applicants to encourage document return Created informational flash drives for new students Purchased Advisor Track to enhance advisement. Participated in the FCI Memphis Mock Job Fair to help soon-to-be released inmates improve communication and job search skills Climate further Southwest s image as having a student-centered environment September 08 6

7 Examine our processes/activities from a student s perspective Time frame Facilities Improved facilities at Student Activities Office on Macon; office constructed, walls painted, electric outlet added, de-cluttered, added student pictures to main reception area Evaluated processes, policies and procedures for enrollment to graduation to simplify the process for students (ongoing) Evaluated and revised the process for assigning Advisors rotating to the centers Revised job descriptions to include accountability for service to students (ongoing) Expanded the in-house training for all areas of enrollment services so that accurate information is provided to students Increased internal notices to students regarding all services through better signs, s, etc. Worked on revising college website( in progress) Added Crossroads as a service for non Traditional Students and moved to Union-B118 Upward Bound recently received the award letter for the grant period Purchased newspaper stands for the student newspaper to enhance the image around the campus Purchased SGA suggestions boxes for each campus Hosted the Disability Support Group meeting for the fall 2007 and spring 2008 semester SDS mailed letters reminding students about early registration and to come early for their accommodation letters for spring 2008 Instituted procedural change to protect student identity and test information. Career Services began to send departmental updates to improve staff communications. Collaboration partner with other areas to maximize resources Internal offices departments, divisions External agencies and community groups Provided cross training for all Enrollment Services staff. Trained more employees regarding Advising best practices and how to for new students. Worked with State of Tennessee Auditors Balanced all Title IV programs with federal department of Education Balanced all Tennessee (TSAC) state grant and lottery scholarship programs. Worked with IT staff to provide data reporting for all programs. Worked with IT and Sungard SCT for Banner system conversion (ongoing) Maintained a viable relationship with community agencies such as Vocational Rehabilitation, Deaf Connect, Veteran Affairs and other agencies. Eliminated duplicate efforts by collecting graduate employment data at both graduation fairs Collaborated with Liberal Studies to coordinate the Student Honors and Awards Convocation Upward Bound collaborated with STCC Dr. Melinda Wade and the Diversity Committee to present a seven panel discussion informing the community about the challenges teenagers must deal with while in school Student Activities assisted the girl s basketball team who gave 100 shirts with the Think Pink slogan requesting people to wear the shirts to the basketball game (breast cancer awareness) EOC Director appointed to Memphis Reads Program Development Advisory Committee and the Even Start Program Advisory Board SDS Director served as on-site supervisor for Practicum/Internship Student(s). The University of Memphis, Rehabilitation Counseling, fall and spring semesters SDS collaborated with the Academic Support Center in upgrading assistive technology equipment September 08 7

8 Maintained a viable relationship with community agencies such as Vocational Rehabilitation, Deaf Connect, Veteran Affairs, and other agencies Strengthened partnerships with Messick Adult Center by sending advance dates of the GED exams Designated and administered Residual ACT on Saturdays for Bio-Science students to increase dual enrollment. Collaborated with the Citadel Memphis Radio Group Job Fair to present job-readiness workshops. Provided graduate employment data to departments in support of various initiatives. i.e.. planning, grants, accreditations. September 08 8
