SCHEDULE DOES NOT END WHEN CLASSES DO. (Example FA05 Semester starts Aug 29 th, 2009 & ends Jan 17 th 2010). Make sure you show up for work ON TIME. If you cannot make your shift for any reason, you must advise your lab manager in advance by phone or . (Please see attached document Student Employment Policies.) Rules for Checking-in When you arrive for your shift check in via the check in/out URL address: Under Name, select your user name. Under Password, type in your Pratt ID number. Under In/Out, select work start, work end, break start, break end (which ever applies). Under Notes, if a monitor does not show up for their shift to relieve you, and you want to work longer you may. If you are covering a shift, type in who you are covering for, the shift and the lab. If you do not check in and check out, you will not be paid for that shift. You must also sign-in on the sign-in sheet. Time Sheets TIME SHEETS MUST BE TURNED IN ON TIME. THIS MEANS THAT THEY MUST BE IN BY 3 P.M. ON THE DAY THEY ARE DUE! IF THEY ARE TURNED IN AFTER 3 P.M. THEY WILL THEN BE HELD OVER TO THE NEXT DUE DATE. WE WILL NOT APPROVE MULTIPLE TIME SHEETS. YOU MUST INDICATE ON YOUR TIME SHEET HALF- HOUR BREAKS IF YOU WORK FIVE HOURS OR MORE. YOU WILL ACCESS YOUR TIME SHEET AT CLICK ON STUDENTS THEN MY TIMESHEETS. All Shifts Monitors must go through all the rooms, particularly those that have classes scheduled. Report any hardware problems and pick up any loose paper or garbage. Check the floors and under the computers as well. Clean all monitors and scanners. Dust off of all desktops. Sweep up the Lab including the Front Desk. Before turning on the printers, check the print queue on the computers and cancel all print jobs left over from the night before. Turn on printers and load printers with paper. 1

2 Evening Shifts Turn off all printers 15 minutes before the lab closes. Let students know 15 minutes prior to shutting off printers. Restart all Computers in the lab. Make sure all rooms are clean and all chairs are neatly arranged one chair per computer and projectors are off. Close all windows. Send an to Ossama and HHL manager to confirm performing the closing duties; follow the template closing . Call Security to close lab. Breaks Monitors are entitled a 1/2 hour unpaid break after a 5 hour or more work shift. Monitors are entitled a 1 hour unpaid break after a 7 hour or more work shift. No one is to take a break 1 hour before his or her shift ends. All breaks must be taken at least 3 hours after the start of your shifts and it must be coordinated with the Lab Managers and other co-workers. Breaks are also allowed at the discretion of the Lab Manager. Tardiness and Absenteeism Attendance is mandatory while employed at the lab. Punctuality is essential also. If you know you will be late for work, contact your lab manager as soon as possible and inform them. If you need to request time off, a minimum of 3 days prior notice is required. Failure to call or contact by when absent from a shift will be treated as a No Show. This will result in termination. Repeated tardiness will also result in termination. Projectors Projectors are to be turned off when not in class use, please turn off the projector via the Remote Control, NOT THE WALL SWITCH Network Resources Public server space for HHL will appear as a desktop icon and mapped drive for each workstation. The drives will be named "HHL Public Share", "HHL Help Files" and Maps and Data. HHL Public Share is erased every Monday at 6AM. General Lab Rules NO FOOD ALLOWED INTO THE LAB. NO DRINK ALLOWED INTO THE LAB. NO SMOKING ALLOWED IN THE LAB. Students are not allowed behind the monitor stations. Student workers are not allowed at monitor stations outside of their shift. Students are not allowed to touch the printers. Guests are no longer allowed in the labs. Students are not allowed to work on any other project but computer related ones while in this lab. That means NO cutting papers, mounting work, gluing models, working on 3-D models or jack hammering. Professionalism Student employees must maintain a professional attitude at all times. Use common sense, which to those of you who need a translation, means the following: No cell phones while working. Maintain a mannerly tone. No profanity, please! No loud music. No headphones while on shift. Both ears must be free. No physical abuse. 2

3 If the problem is out of your hands, don t be a hero call a Lab Manager or Security. Help Students with any problems they may have. Do not just say that you don t know. Go to their computer and try to help. (Exceptions: if there are no other monitors to watch the print station.) Keep in mind you are not here to show them how to use programs. If they need intense help regarding how to use programs they must go to their Instructor. Monitors who consistently do not follow these instructions will be removed from the schedule. Monitor duties Monitors are expected to keep the HHL in a clean and functional state. Each monitor will have both individual and daily tasks that they will be responsible for. Daily tasks are duties that must be done by all the monitors that are working for the day. An individual task is a duty that is assigned to a monitor for them to complete in the week. Daily tasks All monitors have the following duties to be done every day: Cleaning & Organization If you are opening in the morning at 8:30am, you will have a half hour to clean and organize the lab before the HHL opens. With the supplies provided, sweep the floors, dust off all the printers and desks, and make sure the print bins are in order. Turn on the lights. Organize and straighten all the desks and the chairs in the lab. Turn on the Color Laser-Printers and make sure all the release stations are up and running. Make sure there are enough forms and documents for students to take away. Reprint the forms and documents from the monitor workstation if you need to. Student Education You must explain to students how the HHL functions. Answer any questions they have about printing and make sure they read the Student Guide To Successful Printing. A student s understanding of how to prepare files for printing is very important. We require that all students who wish to print must read the Student Guide. Instruct students in how to put money in their Pratt Card and make sure they know what their login and password is after they open an account. Always reinforce that the HHL has a print-job turnaround of 24 to 48 hours. Students cannot rely on the HHL to output jobs any faster. Do not let students expect prints right away. Focus on telling students that they should submit jobs well ahead of when they are due for their classes. Make sure students know that we do not give refunds. Reprints are handled at the discretion of the manager. The manager will only reprint files if the student prepared them according to the Student Guide. If a student experiences difficulty printing a file and desires a reprint they must submit a Student Problem Log for the manager s review. Checking & Replacing Media Every day, check media levels on all the HHL equipment and verbally inform the manager of anything that might need replacing in the near future. This includes all ink, print-heads, paper, toner, laser-jet components, tape, office supplies, and utility knives. All the printers in the HHL have display panels that indicate if any media is running low. The manager will usually set out new media for replacement if an item is about to run out. When replacing media, all printed instructions must be followed and care must be taken not to damage the equipment. Always read the instructions and follow the pictograms on the equipment. Never force anything on the hardware, no strength is required to change any of the items. Once you have replaced the media, record the item replaced in the Media Replacement Log. In the log entry, write in clear print the item description, item number, date, time, and your name. Basic Duties Do Not Leave the Computer Lab Unattended 3

4 (Call security to shut down the Lab if no one shows up for their scheduled shifts and post a sign on the Lab entrance, Student failed to show up for Shift. the Lab Manager before leaving. Be sure to provide date, shift and Student name.) There must always be at least one Monitor at the Front Desk at all times. If you are the only monitor up front you must not leave unless there is someone else there to cover you. Communicate with your co-workers if you must leave for a moment. Let them know so the print station can be monitored at all times. Make sure they hear you. Learn each other s names. Monitors can cover the stations in other labs (all stations are to be covered at all times). Monitors should not close the Labs early. During your shift: Periodically walk through the lab and check for cleanliness and the Lab rules are being abided by. (IE: NO food OR drinks) Go through all the rooms and make sure they are clean, pick up loose papers, garbage or whatever is around and underneath the computers. Straighten the chairs. Take a thorough approach in maintaining the appearance and function of the lab. DO NOT come in at the beginning of you shift and mindlessly work on one aspect of a single room. Go around to each room and make an assessment of what needs attention. Clean computer monitors that need cleaning. Remove trash from the desks and floors. Dump out overflowing garbage cans into the large garbage can outside the Lab door. Do as much as you can before you open the Lab or replace someone at the Front Desk. If there are two Monitors at the Front Desk, one should finish any maintenance needed in the Lab without interrupting classes. The other should remain stationed. Go through all print-out boxes and place blank sheets of paper back into the printers. Make sure the print-out boxes are neat and the Monitor stations are clean at all times. Report all inoperable computers or equipment to the Lab Management using the Lab Maps. If you find a problem that impedes a classes normal functioning, contact a Lab Manager immediately. Make sure all IDs have the correct semester sticker. If student does not have a Pratt ID send them to security. No one is allowed in the lab with out proper I.D. including staff and faculty. I.D. s must have current semester stickers. Direct all students to the Security Office on the first floor of the Engineering Buiding Room 111 to obtain current semester stickers. If there is a problem, direct all students who do not have an I.D. or have reasons not to obtain the current semester stickers to the lab manager. Pratt does not allow Guests or Visitors in the Labs. You must be a Pratt Student. Closing the HHL A half hour before the lab closes, log out the release stations to prevent any more jobs from being released. Make sure all completed print jobs are either rolled up or ready for pickup in the morning. No paper or print jobs should be left in the plotter baskets or laying out anywhere. Switch off the Color Laser-printers, put the monitor workstation to sleep, and turn out the lights. Close the windows and shut the door. Call Security to lock the door and arm the alarm. 4

5 Individual Tasks One or two monitors have the following duties to complete during the work week. Clean the Workstations Clean and dust each of the stations with the provided supplies in the EDS lab. This includes the release stations and the monitor s workstation. Use glass cleaner on the CRT screens and water only on the LCD screens. Glass cleaner will damage LCD Screens. Dust and wipe down the keyboards and the mice. Make sure the mice are clean and roll smoothly. Dust and wipe down all the desks. Dust and Inspect printers The printers are very expensive, please dust and handle them gently. Dust all the external casing on the printers and carefully inspect them by either opening the cabinet doors on the laser printers or by lifting the window on the plotters. Do not touch anything that is not colored blue or green. Look for dirt or obvious signs of wear. Check the media levels on all the machines. Inspect cabling Check to make sure all the cabling in the room is carefully organized and out of the way, make sure all power cords and Ethernet cables are plugged in. Calibration of HHL Color Laser Printers This is a task that will be assigned only to monitors working between 9am and 5pm and is a task partially supervised by the DOC Manager. Mandatory Monitor Meeting Student workers must attend one of the two mandatory monitor meetings. These meetings are very important and cover everything a monitor needs to know while working in the lab. If monitors fail to make one of the two meetings this will result in a removal from the schedule permanently. Paperwork For The Student Employment Office Students will complete all paperwork before the start of employment, W4 form must be signed at the Student Employment Office (see Gloria Harrell) in order to be able to submit the timesheet and get paid. 5
