15 Chapter One Scheduling and Course Guide OVERVIEW OF SCHEDULING AND COURSE Synergy SIS uses two main processes to create class schedules: Master Schedule Builder and Scheduler. Master Schedule Builder allows students to be scheduled by groups, and is primarily used by large secondary schools. Scheduler is primarily used by smaller schools or elementary schools, as these school types frequently offer only one or two sections for a given course. There are several differences between the Scheduler and Master Schedule Builder processes. When using the Scheduler, Synergy SIS places students into sections after the user creates them. In Master Schedule Builder, the system builds the sections and also schedules students into them. This manual covers all aspects of the Scheduler process, including all modules involved within Scheduling and Course creation: Course, Mass Scheduling, and Schedule. This guide also covers the ClassBoard scheduling tool in Chapter Eight. Chapter Nine reviews the reports for Scheduling and Course, and Chapter Ten describes security setup for the three modules. OVERVIEW OF SCHEDULING AND COURSE MODULES The Course module contains setup for all courses in use within a district and school, and is primarily used by administrators. The Mass Scheduling module uses Option Sets to assign students to courses, and displays any schedule requests that students or parents make. The Scheduling module allows individual scheduling, as well as district course and school information. Certain screens within Synergy SIS are available in multiple areas, and administrators typically control access to Scheduling and Course locations. You may have access to either Course screens or Schedule screens depending on their roles. Chapter Two contains information about the screens within the Course module, except for the CTE Programs screen. Reference: For more information on the Course > CTE Programs screen, please see the Synergy SIS Course History Administrator Guide. IMPLEMENTATION CONSIDERATIONS All standards and rules that apply to a student s schedule should be taken in to account prior to starting the Scheduler process. Before scheduling, review the list of common considerations below. Core Courses Grade Levels Certain grades have required core courses, such as English, Math, and Social Studies. Specific Student Groups Students that take part in various activities, such as Marching Band and ROTC, must attend a group-specific class at a certain time. Course Requirements Prerequisites Students must pass certain courses before they are eligible to attend others. For example, a student must take Spanish 1 before they are able to register for Spanish 2. Corequisites Certain courses require another course to be taken consecutively. For example, Biology requires a Lab course to be taken in the same semester. 16 Copyright 2016 Edupoint Educational Systems, LLC

17 Chapter One Scheduling and Course Guide Alternate Course Requests Alternate course requests are backup course preferences that are used if the student is unable to be scheduled for their primary request. Chapter Five discusses course requests in greater detail. Request Types Administrators can enable various options to handle alternate requests. For example, a one-to-one alternate allows a student to select an alternate core course in the same department if the first is unavailable. Global alternates allow students to select multiple electives and rank them by choice. Duplicate Courses The Scheduler process allows multiple options for duplicate course requests, including scheduling/rejecting all requests or accepting only one. Term/Teacher Preference Administrators can allow students to select their course preferences when making requests. Scheduling Options Teacher Aides Administrators can create a generic teacher aide course for students that sign up to become an aide. Chapter Three illustrates this process. Maximum Seats Schools schedule students based on the maximum number of seats defined for a section or the maximum seats defined for a room. Many schools choose the section option, as this allows flexibility to adjust class sizes for teacher considerations and room constraints. Pre-scheduling Pre-scheduling students limits options when using Mass Scheduling screens, but can be appropriate for specific groups of students, such as those repeating a course for credit. Term Override Enabling Term Override for a year-long course allows a student to take only one semester of the course, which can be used in special circumstances. Term Separation Students must take certain courses to complete their grade, but they cannot be taken at the same time. For instance, State Government and Free Economics are required for 12 th grade students, but students must take these courses in separate terms. Hours or Periods Certain schools allow students to be scheduled for a separate day length than the majority of students, such as students attending for a half-day. Meeting Days Certain schools use a varied schedule that includes rotation periods or rotation days to define when courses meet. Class and Student Grouping Teams Schools create teams to keep sections assigned to the same teacher or period. Houses Schools create houses to organize students into the same sections. For more information on houses and teams, please see Chapter Four. Wheels Schools use course wheels to group sets of courses together so that all courses are scheduled during the same year. 18 Chapter One MASS SCHEDULING CHECKLIST Before beginning the Scheduler process, make sure to review the following information: 1. Gather information on the course catalog, pre/co-requisite courses, and a list of changes for the new school year. 2. Update changes to room numbers or room capacity on the System > Setup > School Room screen. 3. Update any necessary teacher information on the Staff > Staff page. 4. Complete the New Year Rollover process. Reference: For more information on the New Year Rollover process, please see the Synergy SIS New Year Rollover Guide. Once preparation has been completed, the scheduling process can begin. The checklist below identifies the suggested order of tasks to complete the Scheduler process using the Mass Scheduling module. Once the schedule has been finalized, all scheduling for new students and any schedule updates should be completed on the Mass Scheduling > Walk In Schedule screen. 19 Chapter One Scheduling and Course Guide Task Scheduling Options Setup Completed Define the terms and periods for the new school year in the Mass Scheduling > Setup > School Setup screen Update courses in the Course > District Course screen Opt-in to any new courses and opt-out of courses that will not be used though the Course > School Course screen Identify any changes to staff, classes offered, and House and Team assignments Make any necessary changes to the Mass Scheduling > Setup > School Scheduling Options screen Enter Student Course Requests Setup ParentVUE/StudentVUE if allowing students to make online course requests (optional) Mass assign Period Restrictions through Mass Scheduling >Mass Assign House and Team (optional) Mass assign course requests to students using Mass Scheduling > Mass Assign Course Requests (optional) Enter and maintain student course requests in the Mass Scheduling >Schedule Request screen Have students complete online course requests in ParentVUE and StudentVUE (optional) Review Reports Review reports to verify data and determine scheduling. Chapter Nine lists reports in further detail. Create Initial Master Schedule Copy last year s master schedule for reference Create a new Option Set, or copy an existing one, and name it (Ex: 15/16 Test ) Create sections within the created Option Set Review Reports Review reports to verify initial section offering with student course requests Modify course requests and sections as needed after analyzing reports Pre-schedule students as needed Edupoint Proprietary and Confidential 19

20 Chapter One Create Additional Test Schedules Copy the initial Option Set to a new Option Set (Ex: 15/16 Test Copy ) Check out a copy of the new Option Set Select scheduling rules and options for this Option Set Run the schedule Analyze Scheduling Results Review the results of the scheduling in the Option Set Screen any conflicts lists in the Schedule Student screen of the Option Set Review Reports Analyze reports for review of scheduling results Run Final Test Schedules Copy the tested Option Set to a new Option Set for updating and re-scheduling (Ex: 15/16 Working ) Modify Schedule Requests as necessary Finalize Schedule Copy the final option set with student results to a new option set (Ex: 15/16 Final Master Schedule Run the Update Schedule process. This will copy the Master Schedule from Mass Scheduling to Schedule Hide the Mass Scheduling module. 22 Chapter Two DISTRICT COURSE SETUP The District Course screen has several drop-down lists where you select pre-populated values. These values are stored within lookup tables, and can be modified at System > Setup > Lookup Table Definition. Certain tables are product-owned and locked by Synergy so they cannot be edited. Other tables can be modified to match the needs of a school district. Before creating courses within District Course, enter the necessary information into these areas. Modifying Lookup Tables 1. Navigate to System > Setup > Lookup Table Definition. 2. Locate the table to modify. 3. Click Add. A new row appears in the Lookup Values grid. 4. Enter the following values: Figure Academic Type Lookup Table ListOrder The order that values display in the dropdown list. If this field is blank, values will be sorted by Code and Description. Code A five-character value used to link tables in the Synergy database. This value may be the same code used by the state, or a code designed by the district. Description The name that appears in the list. Other SIS If converting data from another student records system, this field is the value from the previous system. (Optional) State Code The state required code, as used for state reporting. (Optional) Alt Code 3 An alternative code used for specific reports. Synergy SIS guides will specify if this value is required. (Optional) Alt Code SIF/Ed-Fi Code Codes used if schools participate in specific programs or use specific features. Synergy SIS guides will specify if this value is required. (Optional) Status Start and end dates used to activate or deactivate a code for a specific year. 28 Chapter Two MANAGING DISTRICT COURSES The District Course screen lists all courses taught within the district. These records are not school-year specific. The Section screen captures individual classes held each year for each course. Schools can create courses once lookup table information has been added. Adding a District Course 1. Navigate to Course > District Course or Schedule > District Course, depending on which module is active. 2. Click Add. A new District Course window opens. Mandatory fields are green. Figure District Course, Add screen 3. Enter a Course ID. This code is alphanumeric and limited to 20 characters. 4. Enter the Course Title and a Course Short Title, if necessary. 5. Check if the course is Mandatory, which will assign the course automatically to all schools in the district. If a course is not mandatory, schools must opt-in to the course. Note: The Inactive box is used to remove a course from being listed, as courses cannot be deleted after appearing in the Student Course History screen. 6. Check Always Show in Course History Add if the course should display even if marked inactive. 7. 29 Chapter Two Scheduling and Course Guide 8. Select if the course is College Prep and enter the Credit, Max Credit, Course History Type, and Quality Points if applicable. Check additional boxes in the Course Info section if they apply to the course. 9. In the Scheduling Options section, select how the course handles a Duplicate Request. Caution: The Duplicate Course Request setting in the Mass Scheduling > School Scheduling Options screen overrides this selection. 10. Enter the Schedule Priority used for mass scheduling. Core (High) courses are scheduled before Elective (Low) courses. 11. Select the School Name for the primary school that teaches the course, if needed, and enter the Optimum Size, Maximum Size, and Year Start/Year End information. 12. Enter information for the ParentVUE Options to control access to course requests. Enter the Course Subject Areas that the course fulfills for graduation requirements from the dropdown lists, including College Areas and University Areas for admissions, if applicable. 15. In the Other Information section, enter the Old SIS Course ID if converting data from a previous system. 16. Select the Category Code assigned by the state, the Instructional Level, and the NCLB Core type. 17. Check the boxes for any exclusions, such as Exclude From State Reporting. 18. Identify if the course is a Technical Course and select the Technical Provider, if applicable. 19. Check if the course is Alternate Learning, Cooperative Learning, or Special Education. 20. In the Other Provider Information section, enter information if the course is taught by a provider other than a district staff member. Figure District Course, Add screen cont. 21. Enter the Voc Ed Type, Funding Source (if Qualifies for Alternate State Funding is checked), the Apportionment Category, Course Type, and Proficiency Core. 22. Enter the Carl Perkins / CTE Programs information if the course meets the requirements of the Perkins Act federal grant program. 23. Enter Verified Credit information by choosing the Course Discipline from the dropdown list. To associate the course with a Test Group, click the grey arrow to find and select a group. 24. Enter Alternate Codes for the course by clicking Add to add a new row to the grid. Alternate Codes specify if a course should be excluded or included in graduation requirement calculations. 25. Click Save. Caution: If this filter is activated, every course included in graduation requirement calculations must be assigned an Alternate Code, including previoulsy existing courses. This tab also records the course s alignment to national and state standards. This logic type applies to all courses within the Prerequisite Course Group. 5. Click Save. The Prerequisite Course Group screen closes. 6. Choose which marks are considered passing marks. 9. Click Save once finished. The Prerequisite Group will now be available from the District Course screen. If the Mass Scheduling > School Setup > School Scheduling Options field is set to Homeroom and Associated Course Enrollments, an elementary school can associate all homeroom courses with a homeroom teacher. Schools automatically offer any course marked mandatory by the district. 1. Change the focus to the school to modify. Figure Synergy School Focus 2. Search for course information using the Subject Area, Course ID, Course Short Title, Course Title, and Short Description. 4. Check the option under Opt In to enable the course for the school. 5. Click Save. At the end of the year, you can remove courses from the list if no students have been scheduled into them. Optimum Size The optimum number of students for the course. Maximum Size The maximum number of students for the course. Current Section List All current sections of the course are listed in this grid. Clicking Show Detail displays section information. Chapter Seven describes sections in further detail. Enter the Class Size, which is the total number of students that could attend a class. 5. Enter the starting year of the school year in focus as the four-digit School Year. 6. Navigate to Mass Scheduling > Setup > School Setup. Figure School Setup, Period Definition 2. Under the Period Definition section, enter the Start Period and End Period numbers. 3. Enter the Homeroom Period if students are assigned a homeroom. 4. Select the Homeroom Meeting Day if the homeroom is only assigned once a day. 52 Chapter Three Term Definition Terms generally define when classes start and end for the school year. A single term may have multiple grade reporting periods that signify a milestone in the class, such as a midterm grade. Schools define courses by which term they are held, and each school must define terms for every school year. 1. Navigate to Mass Scheduling > Setup > School Setup. Figure School Setup, Term Definition 2. Click Add to add a new row to the Term Definition grid. 3. Enter the Term Number, Term Name, and Term End Date. Enable the setting in School Setup by following the steps below. 1. On the School Setup screen, scroll to the Other Info section. 2. Select Enable College Credit. 3. Click Save. 55 Chapter Three Scheduling and Course Guide Bell Schedule Definition After the number of periods has been defined in the School Setup screen, schools must configure a start and stop time for each period in the Bell Schedule Definition screen. Schools can configure multiple bell schedules, but schools can assign only one default schedule. Once a school defines the bell schedule, you must assign each date in the school calendar with a schedule. Only one bell schedule can be assigned to a calendar date. 1. You can enter times for each period manually, or fill times automatically using the Bell Creation Assistant. a. Click the Arrow in the Bell Creation Assistant section to open the section. You can edit fields after schedule creation. 6. Set the following options, if needed: a. Minute Override Overrides the bell period amount from the Total column. b. Override Reason Memo field to notate the reason for a Minute Override. c. Non-Instructional Removes the bell period amount from minute calculations on reports and state extracts that use the Bell Schedule. 7. Click Save. Tip: To delete a period, click the X option next to the row, and click Save. 57 Chapter Three Scheduling and Course Guide SCHOOL SCHEDULING OPTIONS Mass Scheduling > Setup > School Scheduling Options The School Scheduling Options screen defines options for class sections, student course requests, and the Walk-In Schedule process. This screen also contains scheduling options for houses and teams. Section Options Figure School Scheduling Options, Section Options tab The Section Options tab contains options for Class Size Limits and the character limit for a Section ID, displayed as the Section ID Width field. Note: For more information on modifying class size limit, please see Class Size Limit. The Auto Sequence field handles section ID creation during the Mass Scheduling process, and offers the following options: Manual You must add section IDs manually after the Mass Scheduling process runs. Period and Counter Section IDs begin with the period number, followed by a sequential number based on section creation order. Edupoint Proprietary and Confidential 57

58 Chapter Three Course and Period Section IDs start with the Course ID, followed by the section period number. You should choose this option only if the school never offers two sections of a course in the same period. Counter The system creates section IDs with a sequential number based on creation order. Course and Period and Counter Section IDs contain the Course ID, period number, and sequential creation number. Course and Counter Section IDs match the same number as the one generated by Master Schedule Builder. Course and Manual The system generates a Course ID, the user manually creates a section ID, and the system attaches the two. The Options tab also contains checkboxes that handle other scheduling information. Track Class Deletions for Add/Drop Report When you delete sections from a student s schedule, they remain in the Student Classes Deleted screen and any applicable reports. Enable Section ID Validation Warnings Creates a warning message when a manually entered Section ID does not meet character width requirements. Do Not Fill Section ID Gaps This option prevents the system from creating IDs for any sections missing them. Only Create Grade Records For Homeroom Section Elementary schools use this option to have all grades issued by the homeroom teacher, while still tracking participation in other courses. The Include In Grading Options section determines when a class will be available for marks to be entered. 59 Chapter Three Scheduling and Course Guide Course Request and Walk-In Options The Course Request and Walk-In Options tab applies to student requests entered within the Mass Scheduling > Schedule Request and the Course Request page in ParentVUE and StudentVUE. These options apply to the Walk-In Schedule screen only, and do not change options during the Mass Scheduling process. You must enable both the option and the corresponding rule on this screen. Show Teacher Preference Allows students to select a preferred teacher for the course. If enabled, the Use Teacher Preferences dropdown (under Enforce the following rules) should also have Try or Must Have selected. Show Alternate Course Allows students to select alternate courses if the primary request cannot be scheduled. If enabled, the Allow Alternate Course option (under Enforce the following rules) should be checked. Show House Allows students to be assigned to sections of one House. If enabled, the House Option dropdown (under Enforce the following rules) should be set to one of the following: Edupoint Proprietary and Confidential 59

60 Chapter Three o o o Automatic House Enforcement Does not require House assignment in the Schedule Request screen. If you manually assign a student to a House, the scheduler processes the student in sections with that House. If you do not manually assign a student to a House, the scheduler attempts different House assignments until a positive 100% schedule exists. If a section does not have a House assignment, the scheduler may place students in that section. Match Sections with Houses Requires manual House assignment in the Schedule Request screen. Strict enforcement only schedules students in sections with the matching house assignment. If unassigned students exist after matching all students with House assignments, then the scheduler automatically assigns these students to Houses. No House Enforcement Ignores house assignment for students and sections during the walk-in scheduling process. Show Team Allows students to be assigned to a team. You can schedule students into more than one Team, called Cross Teaming. If enabled, the Team Option dropdown (under Enforce the following rules) should be set to one of the following: o o o Automatic Team Enforcement Does not require manual Team assignment in the Schedule Request screen. If you manually assign a student to a Team, the scheduler attempts different assignments until a positive 100% schedule exists for a section defined Team. If you do not manually assign a student to a Team, the scheduler assigns students into the first Team available for their schedule. If a section does not have a Team assignment, the scheduler may place students in that section. Match Sections with Teams Requires manual Team assignment in the Schedule Request screen. The scheduler processes students based on Team assignment. If a section does not have a Team assignment, the scheduler may place students in that section. No Team Enforcement Ignores team assignment for students and sections during the walk-in process. Show Term Preference Allows students to select their preferred term for a course. If enabled, the Check Term Preference dropdown (under Enforce the following rules) should also have Try or Must Have selected. Using Wheels Check this option if using course wheels during the scheduling process. Show Qualified Alternate Funding Allows schools to specify which students in a section qualify for alternate funding. This adds an additional participation column to the Student > Classes tab, the Section screen, and the Student Classes screen. Walk-In Cut Off The last date on which walk-in schedules may be created. This is for information purposes only, and will not disable the screen. Show Term Override/Override Term Codes Allows student course requests to override the default term. You must add term codes used during the override process into the Override Term Codes grid. o o Enter the View Order as a number to indicate which order the codes display in, and select the term code from the Override Term column. You must also enable the Check Term Override box (under Enforce the following rules). 61 Chapter Three Scheduling and Course Guide Check Corequisites Enforces corequisite requirements defined in the District Course screen. Prerequisite Option Defines prerequisites listed in the District Course screen. o No Enforcement Disregards all prerequisites during scheduling. o Full Enforcement (Checks CHS) The system uses student course history to o verify that students complete prerequisites. Schedule Requests in Prereq Order The system schedules any prerequisite courses required for the student in the first term of the schedule. Schools use this option when creating schedules for a year, or if student grades have not yet been posted. Use Room Seat Limit Limits the number of students assigned to a section based on room capacity instead of the seat limit assigned to the section itself. Schools rarely use this option as section class size allows more flexibility in scheduling. Check Student Restrictions/Check Teacher Restrictions Verifies if scheduling conflicts with any restrictions in place for a student, as used with the Student Schedule & Request Analysis screen. Note: For more information on this screen, please see Student Schedule and Request Analysis. Duplicate Course Request Allows instruction on handling duplicate requests. The options are Reject all duplicates, Schedule all of the duplicates, or Schedule one of the duplicates. Caution: The Duplicate Course Request setting will override any duplicate course setting on the individual District Course screens. Max time to spend per student The maximum amount of time the scheduling process attempts different options per student. Caution: Schools should only change this setting if a schedule conflict indicates that a student wasn t scheduled due to a timeout, and should only be increased in.025 increments. The Balance Options section contains two dropdown menus, Course Request Sequence and Balance Option. Course Request Sequence Sets the order that requests are processed. o By Course Request Priority and By Difficulty Schedules courses first by Schedule Priority (Core or Elective) defined in the District Course screen, and then difficulty in scheduling the section. 62 Chapter Three o By Difficulty Schedules courses in the order of difficulty. This is determined by the number of available course sections and the number of available periods. Balance Option Attempts to schedule students while keeping a demographic balance. Available options are Balance Property, Ethnicity, Gender, Gender and Balance Property, Gender and Ethnicity, and Total Students. o Balance Property is a district-defined set of values, such as ELL or SPED. Students are assigned a corresponding Balance Code in the Mass Scheduling > Schedule Request screen. o The lookup table K12.MassScheduleInfo.UserBalance contains the options used for this property. The Mass Scheduling Options section controls how pre-schedules should be handled when course requests have already been scheduled. When a student is added to a Section and a Course Request exists but is already being used, perform the following action allows for three options; Prompt with error (default), Use existing Course Request, or Create New Course Request. 62 Copyright 2016 Edupoint Educational Systems, LLC

63 Chapter Three Scheduling and Course Guide House/Team/Exclusion The House/Team/Exclusion tab is where schools create houses and teams. House Codes and Team Codes grids contain the code and description for each value. Chapter Four contains more information on creating houses and teams. Team Exclusion Codes allow for only one course within a group of courses to be taken in a term. For example, a school may allow students to take only one Art course per term, so schools assign the same Term Exclusion Code to all Art classes. 65 Chapter Three Scheduling and Course Guide PERIOD ROTATION SETUP Adding Meeting Days Some schools offer classes on different days or different periods, and Synergy SIS offers a way to rotate periods to fit scheduling needs. Navigate to Schedule > Setup > Period Rotation Definition. Figure Period Rotation Definition 2. Enter the Number of Days in Cycle. For example, if school periods change every other day, there are two days in the cycle. If periods change every day except for the fifth day, there are four days in the cycle. 3. Click Save. The Rotation Definition fills in with a Day Code automatically. 4. Assign Meeting Days to each day by choosing them from the Schedule Code dropdown list. 5. Click Save. 6. Click on the Rotation Periods tab. 7. Click Set Rotating Default to set up a random rotating schedule, or Set Non-Rotating Default to set each day as the same. 72 Chapter Three OTHER SCHEDULING OPTIONS Restricting Section Modifications You can restrict a user s ability to delete student section enrollments beyond a specific number of days after the start of the current school term. By default, You can also customize the message that displays when users attempt to delete a section enrollment after the deadline. 1. Navigate to System > Setup > District Setup. 2. Select the System tab. 3. In the Disable Add, Drop, and Transfer section, complete the following: Figure District Setup screen, System tab Disable ability to add, drop, and transfer students Prohibits any modification to student schedules for the current term and overrides other settings. Disable Add, Drop and Transfer grid Enter the Begin and End time period for each Day of the Week to lock modification. Disable the ability to delete student section enrollment on or after day _ of the current term Allows up to three digits. If left blank or contains 0, the option remains disabled. Consider Holidays in the days of enrollment count Includes school holidays in the day count. Message shown when the ability to delete student section enrollment is disabled Enter the message that appears when users attempt to delete a section. Before assigning staff to sections, schools must add all staff members to their respective schools. It is also recommended to assign departments to staff for ease of grouping and reporting in ClassBoard, and for use with the Master Schedule Builder process. Schools can enable historical tracking of staff assignment to a course by following the steps below. 1. Navigate to System > Setup > District Setup. 2. Click on the System tab. 3. 74 Chapter Three Assigning Tracks Multi-track schools are schools that allow different school calendars for specific students. Each track represents a separate school calendar. Schools commonly use this reconcile limited space within school facilities. Once tracks have been set up, each class section must be assigned to a specific track. This is done through the Section screen or assigned automatically during the Mass Scheduling module. Chapter Six contains more information on this process. Administrators enter student enrollments through the Student > Student screen. Schools can also mass assign students through the Mass Assign Track screen, which is described in Chapter Six. Schedule Overlap Schools can enable the option to have sections overlap the same period for students that require this setup. To set up schedule overlap validation at the district level: 1. School staff enrolls students in sections manually or through mass scheduling. Homeroom and Associated Course Enrollments Schools associate courses that a homeroom teacher instructs together. Schools create sections for the homeroom and any classes not assigned to a homeroom teacher. Staff members enroll students in schedules manually or through mass scheduling. Generated extracts show enrollment records for both sections and homeroom courses. Linked Sections Schools associate one section for each course/period that a teacher instructs, and the Linked Teacher field is populated with the homeroom teacher name. Staff members enroll students in homeroom sections, and automatically enrolled into all linked sections. Note: When using Linked Sections, the Exclude From Link Section Process option appears on the Schedule > Section screen. 78 Chapter Three ELEMENTARY SCHEDULING Elementary scheduling requires additional setup based on the option selected within the School Setup screen for assigning and tracking homerooms and linked courses. Configuring Homerooms and Associated Courses 1. Navigate to Course > District Course. 2. Find the homeroom course and click the Associated Courses tab. 80 Chapter Three COURSE WHEELS Course Wheels define sets of courses that are scheduled during the same year. For example, if Algebra II is a required course for sophomores, the wheel includes both the first and second semester courses. Schools also configure wheels to schedule multiple electives for all students of a certain grade. Schools use wheel definitions for both the Mass Scheduling and Scheduler processes. Creating Wheel Definitions 1. Navigate to Scheduling > Setup > Wheel Definition or Mass Scheduling > Setup > Wheel Definition. 2. Click Add. A new window opens. 87 Chapter Three Scheduling and Course Guide Audit Classes Schools can allow students to take a class without receiving course credit or having a grade count towards their GPA. When enabled, a checkbox indicates if a student is auditing a class appears on the Student Classes, Student, Student Course History, and Section screens. The class displays as audited in all reports and transcripts. 1. Navigate to System > Setup > District Setup. 2. Click on the System tab. 3. Scroll down to the Audit Class Options section. Figure District Setup, System tab 4. Check the Allow student classes to be flagged as audited option. 5. Enter the Audit Symbol used on reports to distinguish audited classes. Symbols are up to four characters long. 6. Select the Show Audit Symbol After location to determine where the code displays; after the Course ID or Course Title. 7. Click Save. Class Size Limit Schools configure the maximum number of seats in a class through the Mass Scheduling module or the Schedule > Section screen. Schools can extend these limits when necessary, such as when a counselor adds a student to a class before withdrawing other students that will be dropping the class. 96 Chapter Four HOUSES AND TEAMS OVERVIEW Schools use Houses and Teams to assign groups of students to the same sections or to keep sections assigned to the same teacher or period. Houses group students together so that they can be scheduled into the same sections. Common groups for students include ROTC members, sports team members, and students with AP academic schedules. Teams assign sections to the same teacher, room, or period throughout the academic year. Schools assign both students and sections to houses and teams, but can only assign one section and one student to one house or one team. Houses and teams remain consistent through the school year and must retain the same number of sections and seats assigned. You mass assign students through the Mass Scheduling > Mass Assign House and Team screen. The Schedule Request and Walk In Schedule screens within the same module also assign individual students to houses or teams. After assigning a student, staff may assign course requests to students in bulk using these groups. All sections assigned to a house must be assigned to members of the same house. The School Scheduling Option screen and individual option sets contain rules for processing house and team assignments. Note: For more information on rules for houses and teams, please see School Scheduling Options. The system assigns students to a team based on availability, and will schedule any unassigned students into the first team available for their schedule. If an assignment is rejected, one of the following has occurred: 1. Full The seat count max total is not even for all sections within a team, or you have scheduled all available spaces within a section. 2. Team Sections are not evenly distributed, you have not defined teams correctly, or you have not defined teams evenly by teacher, room, or period. 106 Chapter Four DEFINING PERIOD RESTRICTIONS Schools can restrict scheduling for certain students during certain periods. For example, students participating in a work-study program require a free afternoon schedule. Schools apply period restrictions to groups or individual students. Setting Group Restrictions 1. Navigate to Mass Scheduling > Mass Assign House And Team or Schedule > Mass Assign House and Team. 2. Select the House or Team from the dropdown list. Schools must process each House and Team separately. 3. Select the Low Period, which is the earliest period students can attend. 4. 110 Chapter Five COURSE REQUESTS OVERVIEW You add course requests into Synergy SIS in one of three ways. The Mass Assign Course Requests screen assigns requests in bulk based on student demographic data. The Schedule Request screen allows you to assign individual requests to students. Students and Parents also make course requests through ParentVUE and StudentVUE. Schools use mass assignment when they require a majority of students to take a set of core courses. It also assigns a set of courses to a group of students based on grade, gender, house or team. The mass assignment process removes any discontinued or changed course offerings as well. Individual course requests allow students to choose between required or elective courses, and editing course changes is easier on an individual student basis. If schools use the ParentVUE and StudentVUE software, students and parents can enter elective choices themselves, which increases data accuracy and reduces staff workload. 110 Copyright 2016 Edupoint Educational Systems, LLC

Check the option Include in Quick Assign Groups to allow the course request group to also appear on the Schedule Request, Schedule Student, and Walk In Schedule screens. 5. You can still assign duplicate requests to students if the course in question is not an existing request. 6. Click Save. The window closes. 7. To add courses, click Chooser. All selected filters are cumulative, so assigned students must match all criteria entered. Criteria that include Exclude or Include must have one of the options selected, or Not Used to avoid using the filter. Aside from Gender, the following variables are available: Grade, House, Team, ELL Status, Gate Status, Student Group, and Special Ed Student Services. Note: Other screens that use the Quick Assign Groups function do not use these filters. 1. To assign specific students to the group, click the Selected Students tab. Double-click a student, or hold the Shift key to select multiple students, and click Add Selected Rows. 4. Perform any additional searches and add all students. Click Select. 5. Click Add in the Student Condition Filter grid to add a new row. 6. Select a Property Name, Operator, and Value. 7. Click Save. Replacing Existing Course Requests The Mass Assign Course Requests screen also replaces assigned courses for others, in the event that the school ceases to offer a certain course. 1. Options available for course assignment depend on configuration settings inside the School Scheduling Options screen. Note: For more information on configuration settings, please see School Scheduling Options. You cannot pre-schedule students using the Schedule Request screen. Pre-scheduled students have sections manually assigned to a course request, which is exempt from the Mass Scheduling process. Schedule Request 1. Navigate to Mass Scheduling > Schedule Request. Search for courses by Course ID and Course Title. b. Double-click a course, or hold the Shift key to select multiple courses, and click Add Selected Rows. c. Select the Term Override to allow a student to attend a class in a different term than the one indicated in the master schedule. 6. Select Corequisite Not Required to disable corequisite enforcement. 11. Select Lock to prevent removal within ParentVUE or StudentVUE. 12. The Locked in StudentVUE column displays a checkmark when locked course requests are mass assigned to students using Mass Assign Course Requests. If an administrator locks the request, they also use the Locked checkbox. 13. Use Chooser in the Alternates for Electives section to add Alternate courses. 129 Chapter Six Scheduling and Course Guide ANALYZING COURSE REQUESTS After entering all student course requests, schools test various schedules in Schedule Control to see which options accommodate the majority of students. Before testing schedules, schools review course request totals to see if they should modify any course offerings. For example, schools can cancel classes with low enrollment or add additional classes to accommodate courses with high interest. 1. Navigate to Mass Scheduling > Course Request Analysis. Figure Course Request Analysis 2. You view courses by Department, Course ID, Course Title, or by the PXP Locked and PXP Verified fields. To view courses with a low request total, enter a number in the Less Than Requests field. 3. After entering criteria, click Filter. The list of courses displays. 130 Chapter Six 4. Each course lists the number of request by grade level and gender, and the number of times students request the class as an alternate. 5. To modify requests, click the Course Name to screen the students that requested the course. The School Course Detail screen appears. Figure School Course Detail 6. Students are highlighted by clicking the Line number for their row. 7. To remove a student, click the X option, then click Save. 8. To transfer a student s request to another course: a. Click the grey arrow next to Destination Course. b. Select a substitute course with the Find Course screen. c. Click Transfer to switch the student. 9. To view overlap between course requests, click the grey arrows next to each Course under Additional Course Request Filter Options, then click Filter. 10. 132 Chapter Six OVERVIEW OF OPTION SETS Option sets are test schedules used to determine schedule balance between student requests and courses offered. You can create a blank option set or create a copy of a previous year s schedule. Each option set displays in the Schedule Control screen alphabetically by Option Set Name, along with testing results for each option set. This manual only discusses Scheduler type option sets. Reference: For more information about the Master Schedule Builder schedule type, please see the Synergy SIS Master Schedule Builder Guide. Figure Schedule Control Checked Out To The user currently editing the option set. Current Stats Lists the latest statistics of Percentage scheduled, Total Students, and Scheduled students. These statistics update after making changes to individual schedule information, such as confirming prescheduled students. Latest Run Lists the results from the latest test run of the option set. Copy last year s schedule Copies a previous year s master schedule. Enter the Year from the list and select whether to Include Sections without Teachers and/or Rooms. b. Copy existing Option Set Copies any option set in Schedule Control. Select the Year and Scheduling Option Set, whether to Include Sections without Teachers and/or Rooms, and whether to Copy Student Results. c. Blank Used primarily by schools new to Synergy SIS or schools that make drastic changes to scheduling options. d. Copy current master schedule Used primarily to readjust schedules midyear. Choose the Select Term to Schedule and Preschedule Current Student Classes options from the list. Caution: Using the Copy current master schedule option will affect existing course requests. 136 Chapter Six ANALYZING AND MODIFYING OPTION SETS The Schedule Option Set screen contains variables and rules to apply to the option set data, which you review by running test schedules with student request and course data. The Last Schedule Run and Current Stats fields display schedule results, and are read-only. You can modify the Run Name and Run Description of the option set. If using a copy of the current master schedule, choose the option for the Term to Reschedule field from the list. Click Schedule Now to run the option set with the selected variables and data. Check Corequisites Applies the corequisite requirements from the District Course screen. Prerequisite Option Defines how prerequisite requirements from the District Course screen apply. o Full Enforcement (Checks CHS) Student course history is checked to verify prerequisite course completion. o o No Enforcement Ignores requirements. Schedule Requests in Prereq Order Schedules prerequisite courses into the first term of the schedule, and the requested course into the second term. Allow Alternate Course Allows scheduling of the student s chosen alternates. Allow Global Alternate Courses Allows scheduling of alternate courses for electives. 138 Chapter Six Check Term Override Allows course requests to override the default term scheduled for the section. Check Term Preference Uses the student s selected term preference. Values are Must Have and Try. Check Student Restrictions Applies student restrictions listed on the Schedule Request > Restrictions tab. Check Teacher Restrictions Applies teacher restrictions listed on the Schedule Request > Restrictions tab. House Option Defines the house scheduling option for students. You can schedule students into sections of only one House. o Automatic House Enforcement Does not require House assignment in the Schedule Request screen. Does not require House assignment in the Schedule Request screen. If you manually assign a student to a House, the scheduler processes the student in sections with that House. If you do not manually assign a student to a House, the scheduler attempts different House assignments until a positive 100% schedule exists. If a section does not have a house assignment, the scheduler may place students in that section. o Match Sections with Houses Requires manual House assignment in the Schedule Request screen. Strict enforcement only schedules students in sections with the matching house assignment. If unassigned students exist after matching all students with House assignments, then the scheduler automatically assigns these students to Houses. o No House Enforcement Ignores house assignment for students and sections during the scheduler process. Team Option Defines the team scheduling option for courses. You can schedule students into more than one Team, called Cross Teaming. o Automatic Team Enforcement Does not require manual Team assignment in the Schedule Request screen. If you manually assign a student to a Team, the scheduler attempts different assignments until a positive 100% schedule exists for a section defined Team. If you do not manually assign a student to a Team, the scheduler assigns students into the first Team available for their schedule. If a section does not have a Team assignment, the scheduler may place students in that section. o Match Sections with Teams Requires manual Team assignment in the Schedule Request screen. The scheduler processes students based on Team assignment. If a section does not have a Team assignment, the scheduler may o place students in that section. No Team Enforcement Ignores team assignment for students and sections during the scheduler process. Duplicate Course Request Defines the handling of duplicate requests. The options are Reject all duplicates, Schedule all of the duplicates, or Schedule one of the duplicates. Exceed max class size Schools can enable Core, Elective, and Other class types to exceeded sizes by a percentage amount. Special Run Option When running test schedules, schools can perform two additional options: o Ignore max class size Used to determine if there are any unrelated or more serious scheduling conflicts present. 139 Chapter Six Scheduling and Course Guide o Perform schedule optimization Used to remove previously scheduled students from a section so that a seat opens for a student with a scheduling conflict. While this option can fix many scheduling issues, the process is time consuming. Note: This process will not attempt to resolve an incompatible schedule issue. Max time to spend per student The maximum amount of time the system will attempt to process a student s schedule options. You should only adjust this value if the reason for a failure in scheduling is due to Max Time Exceeded, and should only be adjusted in.025 increments, to a max of.5. Balance and Sequence Options The Balance and Sequence Options section controls student diversity and processing priority for students and grades. Figure Schedule Option Set, Balance and Sequence Options Grade Order Allows student priority by grade: High Grade to Low Grade, Low Grade to High Grade, or Not Used. Sequence By Variables which assign scheduling order: Alpha A to Z, Alpha Z to A, Difficulty and Random. Difficulty is assessed by the number of available sections to the number of periods offered for the course. Course Request Sequence Sets the order that schedules are processed. o By Course Request Priority and By Difficulty Schedules courses first by Schedule Priority (Core or Elective) defined in the District Course screen, and o then difficulty in scheduling the section. By Difficulty Schedules courses in the order of difficulty. This is determined by the number of available course sections and the number of available periods. Balance Option Attempts to schedule students while keeping a demographic balance. Available options are Balance Property, Ethnicity, Gender, Gender and Balance Property, Gender and Ethnicity, and Total Students. o o Balance Property is a district-defined set of values, such as ELL or SPED. Students are assigned a corresponding Balance Code in the Mass Scheduling > Schedule Request screen. The lookup table K12.MassScheduleInfo.UserBalance contains the options used for this property. 140 Chapter Six Tip: For the best scheduling results, Edupoint recommends that schools select By Difficulty for the Course Request Sequence option. Excluding Students You can exclude groups of students from the scheduling process through the Exclude the following students section. This allows schools to save processing time by only running schedules for students that require them. To retain schedules for skipped students, check Lock Schedule for Skipped Students. If left unchecked, the system will remove schedules from excluded students. To save processing time, check Do Not Process Fully Scheduled Students. Clear All Results and Debug The Clear All Results section contains the option to Clear all schedule results from previous runs. Open Schedule Section This screen provides the same functionality as the Section screen. Open School Options This link opens the School Scheduling Options screen. Open Option Set Wheel This screen offers the same course wheels created in the Wheel Definition screen, but allows You to assign specific sections to courses in a wheel. Open ClassBoard This link opens ClassBoard. Chapter Eight describes ClassBoard in further detail. 142 Chapter Six Fill Open Periods The Fill Open Periods tab allows the system to schedule the same course for all students during a selected period. 143 Chapter Six Scheduling and Course Guide SCHEDULING TOOLS Schedule Student You can modify student course requests from within the option set through the Student Schedule screen. The Pre-schedule process, described later in this chapter, also uses this screen. Note: For more information on the student course requests, please see Individually Assigning Course Requests. The system processes the schedule according to the options saved for the open Option Set. To identify schedules with issues, click the Conflicts buttons to scroll between student schedules that have conflicts. The Analysis tab lists schedule results and shows information on why a course was not scheduled. Each course displays the period the section is scheduled for, along with a code: A indicates an available section, F indicates a full section, and a Number indicates the period scheduled for the student. 145 Chapter Six Scheduling and Course Guide Schedule Section Prior to running the Option Set, schools must add sections for each course through the Schedule Section screen. Each Option Set uses a different list of sections. Tip: Edupoint recommends for schools to add sections to only the first Option Set created each year, and to copy this set for any additional schedules to reduce data entry. 1. The Scheduler process does not use the MSB Section ID. 4. Select the Course ID by clicking the grey arrow and selecting the course with the Find Course screen. The Course Title populates automatically. 5. Select the Staff Name by clicking the grey arrow and selecting the staff member with the Find Staff screen. 6. Select the Room Name by clicking the grey arrow and selecting the room with the Find School Room screen. 7. Select the Track, if applicable. 8. In the Section Info area, select the Period Begin/Period End from the dropdown lists. 9. Select the Term Code from the dropdown list. 10. Check Modified Curriculum, if applicable. 11. Select the Attendance Option: Include in Attendance, Include in Attendance No Scan Sheet, or Exclude from Attendance. 12. Select the Grading Option: Include in Grading, Include in Grading No Scan Sheet, or Exclude from Grading. 13. Enter the Instructional Minutes Override to override the value entered in the Bell Schedule screen for this period. Schools may use this for a period that splits time with Lunch. 14. Select the Instructional Method. 15. Check the box for Using Elementary Minutes, if applicable. Schools can enter the number of minutes submitted to the state for the section for each day of the week. 148 Chapter Six Option Set Wheels The Option Set Wheel screen defines sections assigned to courses in each wheel definition. 150 Chapter Six Pre-Scheduling Students Pre-scheduling reserves seats for students in specific sections. The Scheduler process will not reassign students which are pre-scheduled, and you must update pre-scheduled students manually. You pre-schedule students with the Schedule Student or Sched Section screens inside an Option Set, or in the Walk In Schedule screen. Option Set > Open Student Schedule 1. FINALIZING SCHEDULES Once schools have determined the best schedule through the Schedule Control screens, the school must run the chosen Option Set for the final time to copy sections and student schedules to the Schedule module. This is the final step in master schedule creation for the new school year. Once the Scheduler process runs, all other changes to a student s schedule should use the Schedule module, detailed in Chapter Seven. Creating the Final Option Set 1. Navigate to Mass Scheduling > Schedule Control. 2. Click Create/Copy Option Set. The Add New Option Set screen opens. Figure Add New Option Set, final schedule 3. Enter the Name and Description to indicate that it is the master schedule. 4. Select Copy existing Option Set from the Copy Option list, and select the Year and Scheduling Option Set. 5. Check the options to Copy Student Results and Add all missing Staff, Course, and Rooms. 6. Click Add. The screen closes. Tip: To prevent unauthorized changes to the master schedule, Edupoint recommends that administrators modify Synergy SIS security to remove the Mass Scheduling module from appearing in the Navigation (PAD Tree) for most users. Navigate to Mass Scheduling > Update Schedule. Figure Update Schedule 2. Select the Option Set to use for the master schedule from the list. 3. Click Initiate Update Schedule Process. Caution: The Update Schedule process deletes all existing sections and student schedules prior to creating the master schedule, and then assigns students to new sections. 155 Chapter Six Scheduling and Course Guide MASS ASSIGNING SECTIONS The Mass Assigning Sections screen allows schools to make global changes to schedules within an Option Set, to replace sections, and to pre-schedule multiple students at once. This process does not change the section assignments in the final student schedule. Creating Mass Assignments 1. Navigate to Mass Scheduling > Mass Assign Sections. 2. Click Add. A new window opens. Figure New Mass Assign Section 3. Enter a Name. 4. Choose the Option Set to apply changes to from the list. 5. Click Save. Each definition processes sections in one of three ways: Add The process adds sections to all students that match the Option Set, grades, or other criteria specified. Replace The process removes the specific section listed under Find and Replace, and replaces it with the section listed under Sections to Add for students that match assignment criteria. Keep The process keeps the specified section listed under Find and Replace assigned to students, and also assigns the section listed under Sections to Add. Edupoint Proprietary and Confidential 155

To pre-schedule the section, select Preschedule students into the section(s) under Prescheduled. 7. Select a Gender to filter requests to this type. 8. Select a Grade to filter request to this type. 9. To assign the section to specific students, click the Student Selection tab. Select students using the Add button or Chooser button. 158 Chapter Six HANDLING WALK-IN REQUESTS After finalizing the master schedule and creating sections, staff create additional student schedules through the Walk In Schedule screen. New students which enroll after the start of the year require these scheduling procedures. You can add classes to a student s schedule through the Quick Placement and Request tabs. The Quick Add field also allows you assign class groups to students. Note: For more information on the Quick Add option, please see Individually Assigning Course Requests. The Quick Placement tab is discussed in the next section. 1. Navigate to Mass Scheduling > Walk In Schedule or Schedule > Walk In Schedule. 2. Click the Request tab. To lock or unlock courses from being modified through ParentVUE and StudentVUE, click Lock all courses or Un-Lock all courses. Check the Locked column option to lock courses individually. 7. Click Chooser to open the search window and add a new course to the Course Request grid. 8. Select the Preferred Term which the student chose, or select the Term Override to allow them to take the course in a non-standard term. 9. Click the grey arrow inside the Preferred Staff column to select a specific teacher. 10. Click the grey arrow inside the Alternate Course columns to select a course to be used for an alternate. 11. Once all requests and options are identified, click Schedule. Aside from the Print Schedule and Schedule options that appear on all Walk In Schedule tabs, this tab also offers a visual representation of a student s schedule. Note: For more information on the Quick Add option, please see Individually Assigning Course Requests. Clicking on the grey arrow next to Display Preferences allows you to customize the information displayed in the graph. You can change the Show Info option to display information directly on the graph or on mouse over. The None option overrides any additional viewing options selected. 162 Chapter Six When Show Schedule Summary by Term is selected, you can search available sections for the period and term by using the grey area of the grid. Search options display by Meeting Day and Period. 1. Navigate to Mass Scheduling > Walk In Schedule or Schedule > Walk In Schedule. 2. Click the magnifying glass in the Meeting Day and Period row. You can narrow results by choosing Show only classes with open seats or Show only classes for requested courses. After creating sections, the Section screen lists currently enrolled students in the Students section at the bottom of the page. You can also add students to a section by clicking Chooser and selecting students. The remaining two options are Term Override and Qualifies for Alt Funding. To withdraw a student, enter a Leave Date and click Save. The Student Enrollment tab displays a list of students withdrawn from the section, with students withdrawn from the school showing in parentheses. You can remove students by checking the X option in the student s row and clicking Save. To re-enroll a student, update the Leave Date and click save. 168 Chapter Seven If the school uses a rotation schedule, you can set the meeting days for the class on the Meeting Days tab. The Teaching Options section provides language and Team Teaching options, and the TeacherVUE Security section contains grading security information. The Edit Section Data option allows staff to edit the Section ID inside the top row of information, but you cannot modify additional data in the row. After updating data in the Student Seat Totals or Teacher Aide Seats, you must synchronize these new values. Synchronize Section Totals updates the seat totals for the focus section, and Synchronize All Section Totals updates all sections for the school in focus. 171 Chapter Seven Scheduling and Course Guide After updating information on the Meeting Days tab, you must run the Synchronize Section Meeting Day Periods function from the Menu. This opens a new window and allows the user to select Update all sections or Update sections without meeting days. Click Synchronize to update system information. After updating staff information, you must run the Synchronize Staff History option from the menu. A new window opens, where staff can also select the option Synchronize all sections across the entire district. Click Synchronize to update system information. The View Audit Detail for Section option displays all changes made to the section, including the date changed, the New/Old Values, and the User Name of the individual which made the audit. 172 Chapter Seven ASSIGNING MULTIPLE STUDENTS TO SECTIONS The Schedule module contains two screens that assign sections to multiple students at a time: Assign Students to Sections and Class Assignment. Assign Students to Sections 1. Navigate to Schedule > Assign Students to Sections. Figure Assign Students to Sections 2. Click the grey arrow next to the Section ID field. The Find: Section screen displays. Figure Find: Section 3. Search for the appropriate section using the search criteria available. 4. Select the section and click Select. The window closes. 5. Replacing Section Assignments You can replace section assignments with new options, or add new sections to a schedule through the By Section tab. You can also assign students to sections with matching IDs or assign students to specific sections. 1. From the Assign Students to Sections screen, click on the By Section tab. 174 Chapter Seven 2. Select the Student Action: Copy, Move Student With Class Enrollment, or Move Student Without Class Enrollment. 3. Enter the Date to withdraw students and the Date to enroll students. 4. Select the Use Section Pattern Match option to move or copy student class enrollment from one section pattern to another. a. Enter the From Section Pattern and To Section Pattern values. Use? to use a random character in an ID. b. For example, entering 1???? in the From field and 2???? in the To field moves all students in sections starting with 1 to sections starting with 2. Check the box Unassigned Only to keep assigned students in their existing sections. 4. Select Filter Students. 5. Check the box next to the specific students to assign. 6. Click Add to add a single class, or Chooser to add multiple classes. 4. Once a class has been added, the following options are available: a. Select a Repeat Tag if repeating a course. b. Select Teacher Aide if this is the student s role. c. Select Audit Class, if required. d. Select the Term Override, if required. e. Select Qualifies For Alt Funding and Modified Curriculum, if required. 5. Click Save. 186 Chapter Eight CLASSBOARD OVERVIEW ClassBoard graphically displays schedule information, and allows you to easily modify class information as part of the Scheduler process. Once created, you can run Option Sets from within ClassBoard to simulate schedule updates. However, you are not able to individually modify student schedules from this application. To install Silverlight, please visit the Microsoft website: Additionally, administrators must define the SSL setting for each site using ClassBoard with the DBTools utility. 196 Chapter Eight The Section preferences change various display options for the sections in the grid. The Docking Panes preferences allow you to enable or disable different windows. The Functionality preferences allow the following: Disable drag n drop Prevents you from dragging sections to new locations on the display grid. Jump to When enabled, clicking the scroll bar will jump the view to that location, instead of scrolling in that direction. Confirm Changes Asks you to confirm all changes made to sections. Real time scroll Dragging the scrollbars also moves the grid itself, rather than only the visual preview. The Maximum/Minimum visible classes can also be set. 0 indicates no maximum or minimum. The Section Rules and Colors allow you to modify how sections are color coded: by Enrollment, House, or Team. View details by double-clicking on a section, or enabling the Section Details window and clicking on the section. Rightclicking on an existing section allows you to Add Class, Delete Class, View Section Details, or Open Class Builder. The Edit option on the top menu also allows you to Add or Delete classes. 205 Chapter Nine Scheduling and Course Guide REPORTS OVERVIEW Four types of reports are available for the Courses, Mass Scheduling, and Schedule modules. Individual 200-level reports print information for a single student per page and can be printed for multiple students at once. List 400-level reports show details for multiple students on one page. Summary 600-level reports provide numerical totals for each category specified. Extracts 800-level reports export information from Synergy SIS into a text file, to then import data into another program. While a report is running, the Job Status page shows the Job ID, Description, and Status during processing. Any processing errors will show in the Status field. When the report completes, the Job Status window closes and a PDF file of the report opens. The report also shows any schedule conflicts and any alternate periods available for classes.
