2 VISA Who needs to apply for a Visa? Depending on your nationality, it is likely that you will need to apply for an entry visa to study in Switzerland (students who are from the European Union do not need to apply for a visa). If you are unsure whether or not you need to apply for a visa to enter Switzerland, please check with your Educational Counselor or check the website (by visiting the website below, or scanning the QR code with your smartphone/tablet): When should I apply? You should apply for your student visa as soon as you receive this acceptance package. It can take 2 to 3 months to obtain your visa, so please make an appointment with the Swiss Embassy / Consulate in your country of residence as soon as you receive this acceptance package. How to apply If you require a visa, please follow these steps: 1. Contact the Swiss Embassy or Consulate in your country of residence and make an appointment to see them. 2. Tell them you need to apply for a STUDENT VISA for Les Roches Global Hospitality Education and tell them that you have been accepted to the school. Please, DO NOT request or attempt to enter Switzerland with a tourist visa or a Schengen visa delivered by another Schengen country. 3. Please ensure you write the correct school address on the visa application form that the Embassy will give you to fill out: Les Roches Global Hospitality Education, 3975 Bluche (VS), Switzerland 4. Please consult the website of Swiss Embassy / Consulate in your country of residence regarding the list of documents that you have to prepare beforehand. Make necessary copies and preparation before visiting their office. Please never give original documents to the Embassy/Consulate, especially diploma, transcript, language certificate etc. because you will not get them back. Keep the originals for yourself and only give good /readable photocopies. 5. Once you have presented all of these documents, you will have to wait for notification before returning to the Embassy / Consulate to have the original entry visa (sticker) stamped in your passport and to ensure that all formalities have been completed. 6. The final issuance of the visa remains at the discretion of the Swiss authorities regardless of an acceptance decision by the school. 7. You should receive the original entry visa at the Embassy / Consulate where you applied. However, if you need to pick it up in a different place, you must inform the Embassy / Consulate (as well as your Educational Counselor) when you apply. Please note: The visa process occurs at a much faster rate when there is evidence of payment made. Some Embassies even require proof of payment from both the student and the school. Any student requiring a visa and who enters Switzerland without the entry visa is subject to a financial penalty or may be refused to study at Les Roches Global Hospitality Education. Should you have to defer your studies to the following semester, and have started the visa formalities at the Embassy/Consulate but your passport has not yet been stamped, the visa can easily be deferred to the next intake. Once the passport has been stamped, a deferral is no longer possible and you will have to start the visa formalities again from the beginning. If you require an entry visa for Switzerland, DO NOT make any travel plans to other countries for the first 10 to 12 weeks after your arrival in Switzerland and until you receive your residency permit (biometrical), which you will need to re-enter Switzerland. Please DO NOT make any plans to travel to Switzerland before you receive the permitted entry date as per the visa.. LRBENCL0496V1
3 FLIGHT RESERVATION Your official arrival date is as follows: Official Check-in Date: Official Check-in Time (on campus): Please arrange your flight to Switzerland so that you arrive on the date(s) specified. Arriving at Geneva Airport on your official check-in date If you arrive at Geneva airport on your official check-in date, we will assist with your transfer from the airport by train or bus. Flight arrival time at Geneva Airport must be between 07:30 17:00. Arriving before / after your official check-in date or via another mode of transport If you arrive before or after your official check-in date, or via another form of transport, please refer to the Pre-Arrival Guide to Les Roches for more information about hotels and getting to the campus. Confirm your arrival online Once you book your flight or arrange your transport to Switzerland, you must confirm your arrival details on our web form (using the link below) so that we know when you will arrive and if we need to meet you at the airport: If you have a QR code reader installed on your smartphone/tablet, you can scan the QR code to visit the page and confirm your arrival details. You must indicate if anyone is accompanying you. It is important that you send confirmation of your flight details to us before 15 July (for September intake) / 15 December (for February intake). 4 RESIDENCE PERMIT With the exception of Swiss citizens or students holding a Swiss B or C permanent residency permit, all students have a legal obligation to apply for a residence permit within 48 hours of arriving in Switzerland. This process is handled on behalf of the student by Les Roches Global Hospitality Education. The permit is linked to the mandatory health insurance, and to your studies at Les Roches. Upon arrival at Les Roches Global Hospitality Education, the Student Affairs team will initiate your residence permit with the Swiss authorities. The following documents are required from all students upon arrival, at the check-in: European Students must bring: A copy of the letter of commitment from your financial sponsor (recently dated and signed) 2 passport-quality photographs (passport-size: 3.5 x 4.5 cm). Please bring additional passport-size photos to use for your CV (resume), internship placements, season passes, etc. A valid passport or national ID card Non-European students must bring: A valid passport with a valid Swiss visa Special agreement non-european students (Malaysia, Singapore, Japan, New Zealand, Brunei Darussalam) must bring: A valid passport A copy of the letter of commitment from your financial sponsor (recently dated and signed) A copy of your CV A Study and Post-Study Plan (a letter explaining why you want to study at Les Roches and what you plan to do after leaving. You can find a template on our website A copy of your Diploma or latest transcripts from your high school A document proving your level of English Students transfering from another Swiss school must bring: The valid residence permit issued by another Swiss school needs to be handed to the Student Affairs team upon arrival at Les Roches. (The validity of the old residence permit expires on the day the student checks in at Les Roches) A valid passport A copy of the letter of commitment from your financial sponsor (recently dated and signed) A copy of your transcripts from your previous school in Switzerland A Study and Post-Study Plan (a letter explaining why you want to study at Les Roches and what you will do after you leave. You can find a template on our website Students holding a Swiss B or C permanent residency permit must bring: A valid passport A valid Swiss B or C permanent residency permit A certificate of residence (attestation de domicile / Wohnsitzbestätigungen), which can be obtained from the local authorities where you reside Swiss nationals must bring: A certificate of residence (attestation de domicile) which can be obtained from the local authorities where you reside. Essential for all students who are residents of another Swiss Commune, or of another country A valid passport or National ID card A copy of your health insurance card or contract PLEASE NOTE: Although you have sent the same documents with your completed application, please ensure you bring an additional set of copies with you to initiate this important process upon arrival. The residence permit process may take more than 2 months. Therefore, you should not make any travel plans abroad before receiving your resident permit. LRBENCL0494V1
5 HEALTH & ACCIDENT INSURANCE Who needs health and accident insurance? Health/accident insurance is mandatory in Switzerland, thus applicants are required to take the health/accident insurance provided by the school which covers them when on campus and on internship. The resident permit is linked to this insurance coverage. However, if applicants have a private valid insurance cover equivalent to the Swiss health insurance cover scheme, they have to follow the procedure outlined below to be exempted by the Swiss authorities (information about exemption and validation of foreign insurance plans are available from Admissions). If applicants fail to complete this procedure, no later than upon their registration on campus, they will automatically be registered with the insurance provided by the school at the most competitive rate which may vary from one semester to another. Applicants who are granted exemption by the Swiss authorities are responsible for verifying the validity of their private health/accident insurance cover in Switzerland and on internship abroad; the school will not cover any health/accident related expenses. Exemption request for applicants from the European Union or EFTA member states Applicants from the European Union or EFTA member states, who have a private health and accident insurance coverage for Switzerland in accordance with the recent bilateral treaty agreements, need to send, prior to arrival, a copy of the blue health insurance card with the EU logo (front and back side) to: info@lesroches.edu European Union/EFTA member states include: Austria, Belgium, Bulgaria, Croatia, Cyprus, Czech Republic, Denmark, Estonia, Finland, France, Germany, Greece, Hungary, Ireland, Iceland, Italy, Latvia, Liechtenstein, Lithuania, Luxembourg, Malta, Netherlands, Norway, Poland, Portugal, Romania, Slovakia, Slovenia, Spain, Sweden and the United Kingdom. If the applicant fails to complete this procedure, no later than upon his/her registration on campus, he/she will automatically be registered with the insurance provided by the school. Exemption request for applicants from all other countries with private health insurance cover Applicants from any other country who may already have a personal health and accident insurance scheme covering them in Switzerland should send a copy of their insurance card (front and back side) and instruct their insurance company to fill out, sign and stamp a form called Check form for the equivalent of Swiss Health Insurance (OCC form). Please note that the insurance company needs to fill out the form and not the applicant or parent. Please see following pages for the OCC form. The OCC form is used for official validation and should be duly filled in and stamped by the applicant s insurance company and sent prior to arrival to: info@lesroches.edu If the applicant fails to complete this procedure before his/her registration on campus, he/she will automatically be registered with the insurance provided by the school. 6 INVOICE & PAYMENTS Please find enclosed the invoice for your first semester of studies at Les Roches. Carefully follow the invoice payment schedule and keep receipts of all transactions made. Pre-payment The pre-payment fee of CHF 3,000 is due within 15 days of receiving this acceptance package The deadline will be clearly outlined on your invoice. For all students, if the pre-payment fee is not settled within 2 weeks after the pre-payment deadline your place at the school may not be guaranteed. Remaining fees The full payment of the remaining fees as outlined on your invoice is due by 15 June (for September intake) / 15 November (for February intake). For late application after the above mentioned deadlines In the case that you have applied after the above mentioned deadlines, your payments will be due immediately for the full amount. Please refer to your invoice. Standard accommodation - double room (2 beds) After the pre-payment is made, all students choosing school accommodation will be secured, by default, a standard double room. You will receive separate instructions by from the School Accommodation Officer in order to log on to our online room reservation system and make your choice. Special accommodation - single room requests Single room accommodation at Les Roches is limited. If available, it will be subject to a supplementary fee. Once the pre-payment of CHF 3,000 is received by the school, the School Accommodation Officer will send separate instructions by in order to log on to our online room reservation system and make your choice among the available single rooms. Once your booking is complete, an updated pro forma invoice showing the single room supplementary fee will be ed to you. The outstanding amount must be paid as per the deadline indicated on the invoice. If the payment is not received on time, your single room may be forfeited, and you will be secured a standard double room at the discretion of the School Accommodation Department. Late applications and late payments may result in students having a limited choice of their accommodation. 7 ENGLISH LANGUAGE ASSESSMENT - valid as of With regard to the level of your English language skills, we would like to inform you that an official document stating your level is a necessary requirement for you to begin your program at Les Roches. This document is not required if you are a native English speaker or have studied in an English-speaking school full-time for the past three years. In order for us to ascertain your level of English as stated on the application information under English Language Requirements, please send us proof by ing one of the following documents to admissions@lesroches.edu. The original needs to be presented upon arrival on campus. Intensive Hospitality English Language Program 20 Weeks (IHELP 20) TOEFL: minimum score of 460 points for the paper-based test or 45 points for the Internet-based test. Cambridge Preliminary English Test (PET): pass, please also send the Statement of Results (with your detailed profile). IELTS: students must apply to take the Academic Module examination and obtain a minimum overall band of 4.5 and score at least 4.5 in each discipline (listening, reading, writing, speaking). Undergraduate (New Semester 1 Students and BBA S2 Direct Entry Students) TOEFL: minimum score of 525 points for the paper-based test or 70 points for the Internet-based test. All candidates who cannot provide an officially recognized English Language Certificate must sit the Les Roches English Entrance Exam on arrival at Les Roches to determine their approximate level of English. This graded exam will enable us to have an official record of your English ability noted in your file. This is a compulsory enrollment requirement. If you do not pass the English Entrance exam, you will not be admitted onto your chosen hospitality management program. You will be advised to follow our Intensive Hospitality English Language Program 20 Weeks (IHELP 20) for a duration of one semester before being able to join any of the hospitality management programs. You will be allowed to join your chosen program on the condition that you obtain the minimum required passing score at the end of the semester.
