1 OLIVE Open Learning Institute of Virtual Education Teacher s Manual for LMS Dear Teachers, Welcome to teacher s manual for Learning Management System (LMS). This manual will help you to use LMS in an efficient manner. If you have participated in any of our orientation sessions this manual will prove handy to make your way around our system. We will start with brief introduction to LMS followed by step by step process to use various features of this system. What is a LMS? LMS stands for Learning Management System and is a web-based system to manage various learning oriented activities. The LMS contain course management, student management, teacher management, activity management and resource management modules. The basic theme of a LMS is to facilitate learning by streamlining collaboration between teachers and students. Our LMS is based on Open source MOODLE ( The red bordered rectangle prompts user to fill in the required data or emphasis items. Some conventions used in this manual The red round edge rectangle with green text specifies the action the user have to perform.

4 Section 1 Introduction and Login process The LMS of AIOU which is named OLIVE (Open Learning Institute of Virtual Education) and can be accessed via a website address ( The website requires you to provide login credential i.e. username and password. Please note that if you don t know your log-in credentials please contact us on support.elearning@aiou.edu.pk. The following sub-sections explain how to access OLIVE and log-in process. 4
5 1.1 Website address for OLIVE Type address in your web browser. Figure 1 shows the website screenshot. Figure 1 5
6 Click on Learning Management System (LMS) link to go to log-in page of LMS as shown in Figure 2. Figure 2 6
7 1.2 Log-in into LMS The log-in process requires username and password. Type your username and password and click Log in button to enter into the LMS as shown in Figure 3. Figure 3 7
8 1.3 List of your enrolled courses In OLIVE you are enrolled in courses and may have different privileges depending upon your roles. The manager, course creator and teacher are some of the common roles. After successful log-in you will be able to see My courses home page which will Figure 4 8
9 provide a listing of all of your courses. For example, the course Orientation sandbox- has teacher one enrolled as teacher as highlighted in Figure 4. 9
10 Section 2 Updating account preferences and profile Account preference option provides a centralized page to update different settings of your LMS account. The most important options are Change password and Edit profile. 10
11 2.1 Change your account preferences In order to change your account preferences, click on your name at top right corner of your page and select Preferences option as shown in the Figure 5. Figure 5 11
12 Figure 6 shows different settings that you can change on this Preferences page. The most important options are Edit profile and Change password. Figure 6 12
13 2.2 How Change your password To change your password, you will be prompted for your current password and new password as shown in Figure 7. Please note that the password must be at least 4 characters long. Figure 7 13
14 2.3 Edit your LMS profile Edit profile page lets you update information about your address, city/town, country and profile picture as shown in Figure 8. Figure 8 14
15 2.4 Upload your picture You can upload your recent picture by drag & drop method in Edit profile page as shown in Figure 9. Figure 9 15
16 Section 3 Log-out and password recovery process After completing your work on LMS, it is recommended that you should log-out from your current session. If you have forgotten your password, LMS provide a mechanism to rest password using your address. This section describes the process to log-out and password recovery using . 16
17 3.1 How to log-out from LMS After finishing your work on LMS it is a good idea to log-out from your current session. Click on your name at top right corner and select Log out as shown in Figure 10. Figure 10 17
18 3.2 Forgot your password! During the usage of LMS account, it might happen that you forgot your password, then there is a mechanism to reset the password via address. Therefore, it is very important that during your registration process you should provide a valid address. On the log-in page click on Forgotten your username or password? link (Shown in Figure 11) and under Search by address as shown in Figure 12, provide the same address which is in your profile and click Search button. If validated, an containing reset link will be forwarded to you as shown in Figure 13. Figure 11 18

21 Section 4 LMS blocks, Home page and course structure When you log-in to LMS, the first page contains different items grouped in form of blocks. These blocks contain links depending upon the location/context of user. In simple terms these blocks provide suitable links to different options in LMS. The blocks provide you with different items for updating the home page or course settings. 21
22 4.1 Home page Home page is the first page displayed when you log-in. The Figure 14 contains description of different blocks which are contained on Home page. The My courses section contains a list of courses you are enrolled in. Figure 14 22
23 Figure 15 depicts the way to enter into a course. Figure 15 23
24 4.2 Course structure Once you log-in into a course, you will see different blocks as shown in the Figure 16. Figure 16 24
25 Section 5 Adding resources to your course A teacher can add different items to a course. These items are divided into two categories, resources and activities. In this section we will learn how to add the following resources to a course. File resource URL resource Video resource 25
26 5.1 Adding recourses to your course To add resources and activities to your course, click turn editing on button on top right corner. Turn editing on is privileged action that can be performed by teachers only as shown in Figure 17. Figure 17 26

28 5.2 Adding file resource to your course To add file resource (which may be a tutorial in word, PDf or PowerPoint format) in your course, click on +Add an activity or resource as shown in Figure 19. Figure 19 28

30 Provide a suitable name for your file resource and then drag & drop the file into Selected files area and click Save changes and return to course button as shown Figure 21. Figure 21 30

32 5.3 Adding URL resource to your course To add an URL (Uniform Resource Locator) which is an address of a website, to a course, click on +Add an activity or resource link as shown in Figure 23. Figure 23 32

34 Provide a suitable name, URL and click Save changes and return to course button as shown in Figure 25. Figure 25 34
35 After performing the above-mentioned steps URL resource will be visible in your course as shown in Figure 26. Figure 26 35
36 5.4 Embedding video in your course Video files consumes more space and therefore difficult to upload. We recommend to embed a video instead of uploading video files. To embed video, click on +Add an activity or resource link as shown in Figure 27. Figure 27 36

38 Provide suitable name, URL and embed code from video sharing website (like YouTube) in HTML box under Show fewer buttons toggle button and click Save and return to course button as shown in Figure 29. Figure 29 38
39 After completing the above steps, the embedded video will be visible in your course as shown in Figure 30. Figure 30 39
40 Section 6 Adding activities to your course Activities in OLIVE are a way to provide interaction between teacher and students. Activities are performed by students for communication, assessment purpose. In this section we will learn how to add the following activities to a course. Announcement activity Assignment activity Forum activity 40
41 6.1 Making Announcements in your course In your course, you can use Announcements activity to convey important information to your students. Click on the Announcements activity as shown in Figure 31. Figure 31 41

44 6.2 Adding assignment activity to your course To add assignment activity to your course, click on +Add an activity or resource as shown in Figure 34. Figure 34 44

49 6.3 Editing assignment settings To edit an assignment setting click on Edit link in front of assignment activity. Figure 39 shows various options when you click on Edit link. Select Edit settings. Figure 39 49
50 6.4 Viewing assignment and grading assignments submitted by students To view assignment submitted by students click on assignment activity, a summary of participants along with number of submission would appear as shown in Figure 40. Click View all submission to view details of submissions. Figure 40 50
51 Figure 41 shows list of all participants with assignment submissions. On the same page double click on file under File submissions column to download the submitted file to your PC. Click on Grade button to individually grade assignments for a particular student. Figure 41 51
52 Figure 42 shows the screenshot for grading assignments of students one at a time. After grading click Save changes button and user arrows to move forward to next student s assignment. Figure 42 52
53 6.5 Adding forum activity to your course Forum activity is a good way to discuss topics related to learning process. To add forum activity, click on +Add an activity or resource link and select Forum finally click Add button as shown in Figure 43. Figure 43 53
54 Provide a name and description for forum activity. Select Forum type as Standard forum for general use and click Save and return to course button as shown in Figure 44. Figure 44 54
55 After performing above steps the forum activity will appear in your course as shown in Figure 45. Figure 45 55
56 To add a topic for discussion, click Add a new discussion topic as shown in Figure 46. Figure 46 56
57 Provide Subject for topic and a Message and click Post to forum as depicted in Figure 47. Figure 47 57
58 The forum will now have a topic for discussion. Your students can reply and add their views about this topic as shown in Figure 48. Figure 48 58
59 Section 7 Changing course format Course format allows you to segregate course into smaller sections. In OLIVE there are two main course formats, Weekly format and units format. In this section we will learn how to change format of the course. 59
60 7.1 Changing weekly format to unit format By default, a course is in weekly format. However, you can switch to unit format by clicking Edit settings as shown in Figure 49. Figure 49 60

62 Section 8 How to message participants of your course In your course you as a teacher can send messages to one or more students. Messages are a good way to communicate during course study period. Please note that students as well as teachers can send messages to each other. The following sub-section will show you how to send messages to participants of your course. 62
63 8.1 Messaging participants of your course To send a message to participants of your course, click on Participants link under course name as shown in Figure 51. Figure 51 63
