3 On this Diploma programme you will be allocated your own personal Coach-Mentor Supervisor (CMS) and your own Tutor Assessor (TA). Together these roles will support and challenge you through your qualification. You will receive 6 hours of coaching, mentoring and supervision from your CMS, including your 2 hour initial briefing. You will receive 4 hours of feedback from your TA. We suggest that coaching sessions take place on a regular basis but this is a selfmanaged programme and it is your responsibility to discuss with your CMS how and when you wish to use the allocated time. In parallel, you will meet regularly with 3 volunteer clients (coachees), who have agreed to receive coach-mentoring from you for the duration of the programme. To demonstrate you have met the Learning Outcomes for the programme you will need to write 17 Reflection Notes (of which you will submit 15), 2 Reports, 3 Personal Learning Plans and have completed your log showing all your practice, CPD and supervision activity. Your TA will be reviewing your written work on a quarterly basis, with sessions booked in at the start of the programme. It is up to you to ensure you have uploaded your Reflection Notes, PLPs and reports each quarter for review and feedback as these sessions cannot be carried forward. 17 4.0 Submission file requirements 4.1 Submission file process You will need to present your online submission file in accordance with all the submission file requirements provided by The OCM and submit by the end of month 11, in order to be assessed by the end of month 12. When you have completed your submission file and submitted it online via The OCM, you should notify your Tutor Assessor so they can review your completed portfolio before your final assessment interview. Please note your file must be submitted one month prior to this interview. Factors that are important for your submission:- the submission file is your own work and is appropriately uploaded and titled all your coach-mentoring sessions have taken place and you have discussed your client feedback (180 report) with your CMS the file contains all the necessary evidence and so you are ready for the final assessment interview Your CMS will also complete a short confirmation that they have completed their sessions with you, supervised your practice and reviewed your 180 feedback with you. This will be attached to your online submission file and be made available online to Tutor Assessor before your final interview. In the event that your Tutor Assessor deems that further development is needed (Refer) before you can be awarded your qualification, they will agree a further tutoring discussion. This will review and highlight the additional evidence the candidate is required to produce to satisfy the standards. A charge of VAT will be required and be payable before the second assessment interview takes place. You will be notified of your result within 3 weeks of when your Assessment Interview takes place. At that time, The OCM will provide successful candidates with formal notification and an award certificate. 4.2 Submission file date and late submission of files Each candidate is registered with The OCM for 12 months from the initial briefing session date and this is the final date for completion of the programme. However, the final date to receive your submission file is one month before the end of this registration period. The rationale for this deadline is to allow time for any final amendments or additions following feedback from your CMS and for the file to be of a satisfactory standard to pass on to The OCM Assessor before registration expires. The final date to submit your file for assessment is the end of month 11, before registration expires at the end of month 12. The OCM, 2017 Page 17 admin@theocm.co.uk

18 You may of course present your submission file at any time before the end of the registration period you do not need to wait until the deadline date. If your file is not going to be submitted by the due date then you must discuss re-registration with Cathy White at Programme Support before your expiry date. 4.3 Re-registration If you do not submit your file for assessment before the end of your registration period, you must re-register with The OCM to continue on your programme. Generally every candidate is entitled to re-register as long as they have engaged in some of their blended learning activities and their existing registration has not already expired. Re-registration runs on concurrently, and starts the day after initial registration ends, so that registration and our contract is continuous. There are two reregistration options: Re-registration for 6 months for a fee of VAT Re-registration for 12 months for a fee of VAT An indicator of which option might be best is whether you have reached the 180 stage of your programme and/or if there have been time lapses in progress through the programme. Both registration options include extending access to The OCM online learning materials, copyrighted tools and licensed products, and a small charge for ongoing admin support during re-registration. The 12-month option additionally includes one extra coachmentoring support session and one additional Tutor Assessor session with your CMS. Fees will be invoiced at the start of re-registration. You may carry over any unused CMS hours to your re-registration period, but you may be required to purchase additional sessions if your CMS feels that the coach-mentoring support you have remaining is insufficient to meet your needs during the new registration period. The cost for each additional one-hour telephone coach-mentoring session is at the current rate of VAT. You may re-register on one occasion only. If you have not submitted by the end of your re-registration period, you will be deemed to have failed to satisfy the conditions for the award. For further information and pointers about reregistration, please visit our Re-registration policy on the (Knowledge section). To re-register, contact Cathy.White@theocm.co.uk. Please supply an invoicing address. Payment can be made by credit card or online banking (details will be included in an invoice), but payment must be received before your registration ends, otherwise there may be a break in your access to our products and services. On re-registration, your access to the online materials and licenses will then be extended and your CMS and TA will be notified that you will get in touch when you are ready to re-connect. 4.4 Archiving of online submission files It is your responsibility to copy any of the submission file documents you would like to retain before your registration expires. Evidence can be made available online for up to 6 months after your registration period, but this cannot be guaranteed, and after this period, submission files will be archived for 5 years. If candidates require copies of any of their evidence or their certificate more than 6 months after completion, a small charge of 100 plus VAT will apply. The OCM, 2017 Page 18 admin@theocm.co.uk
