7 Introduction This release guide documents Release 8.5 of the Banner Student System. Release 8.5 includes enhancements and problem resolutions. Enhancements for 8.5 This document describes the following enhancements, which are new for Release 8.5. Study Paths in Fee Assessment Study paths can be used in fee assessment processing in Banner Student and can be associated with posted charges in Banner Accounts Receivable. Two new fee assessment rule types are provided for use with study paths. The audit history data also includes study path information. An indicator is used to determine whether study path data is stored with a charge, when the charge is generated from section fees. Miscellaneous Enhancement This section includes updates to the XML transcript. The PESC/XML Transcript Export Process (SHRPESE) has been modified to display courses and GPAs by student centric period without term details in the.xml output. Cumulative Documentation This document provides detailed information about the Banner Student 8.5 release only. Banner Student 8.5 is a cumulative release that also includes enhancements, RPEs, and problem resolutions delivered in the Student release. For complete documentation about this interim release, please refer to the interim release guide identified in the table that follows. 9 1 Study Paths Fee Assessment - Functional Overview This section discusses using study paths in Banner Student for fee assessment processing and posting charges related to study paths in Banner Accounts Receivable. Two new fee assessment rule types are provided for use with study paths. These rules can be used in addition to the existing rule types. The audit history data also includes study path information. An indicator is used to determine whether study path data is stored with a charge, when the charge is generated from section fees. Two Banner views are used with learner curriculum record sequence numbers associated with study paths. The account detail in Banner Student Self-Service displays charges by term with study paths. Study path information is also displayed in Banner Accounts Receivable for Student for account detail, billing, customer service inquiry, and payment detail query. Please see the Banner Student Self-Service 8.5 and the Banner Accounts Receivable 8.2 for more information. Study path rule types Two rule types have been added to Registration Fee Assessment Rules Form (SFARGFE) for use with study paths. The STUDYPATH (study path) and STUDYPATH_ATTR (study path with course attribute) rule types can be used to assess charges by study path. This allows course liable hours to be grouped by study path for a course and student. The study path sequence number, charge, and detail code can be posted to the student s account for billing. Fields for Residence and Session have been added to the Student Curriculum block. The following occurs in the Student Curriculum block when either the STUDYPATH or STUDYPATH_ATTR rule type is selected in the Key Block. The Residence and Session fields are displayed. The Curricula field is hidden. You cannot enter the curriculum priority. The Student Curriculum tab label changes to read Study Path. 10 When the existing rule types for STUDENT, CAMPUS, ATTR, or LEVEL are selected, the Curricula field is displayed, and the Residence and Session fields are hidden. The tab label reads Student Curriculum, and the block label reads Student Curriculum Rules. When the STUDYPATH rule type is used, you must enter at least one curriculum value in the Study Path Rules block before a rule can be saved. When the STUDYPATH_ATTR rule type is used, you must enter at least one curriculum value in the Study Path Rules block, as well as a course attribute in the Registration Charges and Fees block before a rule can be saved. Study paths in audit history The following data on the Registration Fee Assessment Audit History Form (SFAFAUD) is used with study paths: The Rule Type field displays the STUDYPATH or STUDYPATH_ATTR rule type from SFARGFE when either of those rules types is used. The study path sequence number used for the assessment is displayed in the Value field when either the STUDYPATH or STUDYPATH_ATTR rule type is used. The Value 2 field displays the course attribute code for the study path when the STUDYPATH_ATTR rule type is used. The Study Path Name field displays the study path name that was used to calculate the charge when either the STUDYPATH or STUDYPATH_ATTR rule type is used. This is populated by the sb_studypath_name API. Study path charges for section fees An indicator on the Term Control Form (SOATERM) is used to control whether study path data is stored with a charge, when the charge is generated from section fees. The Section Fees by Study Path checkbox can be found in the Registration Fee Assessment section of the Controls block in the main window. This field is associated with the SOBTERM_SECTIONFEE_IND column on the SOBTERM table. When a CRN has section fees in SSADETL, and the course in registration has an associated study path, and the Section Fees by Study Path checkbox is checked (set to Y), the following processing occurs. The fee assessment process stores the study path sequence number in the SFRFAUD table and displays it on the SFAFAUD form. The process posts the study path sequence number to the TBRACCD table with the section fee charge and displays it on the TSAAREV form with the section fee charge. When the no study path exists for the course in registration and the Section Fees by Study Path checkbox is unchecked (set to N), no study path information is populated in SFRFAUD or TBRACCD. 10 Banner Student 8.5 November 2010 Study Paths Fee Assessment - Functional

11 Fee assessment processing with study paths Fee assessment uses the STUDYPATH and STUDYPATH_ATTR rule types on SFARGFE for fee assessment processing. These new rule types work with the existing rule types, so a student can add and drop courses with or without study paths. When a percentage refund is in effect, a penalty is charged during assessment. The STUDYPATH and STUDYPATH_ATTR rule types can be used with all types of fee assessment including: flat fee assessment with overload flat fee assessment with no overload per credit processing refund by total processing refund by course processing The process examines the registration status and date to determine whether penalty assessments are used to calculate fee assessment based upon a changed registration record. refund by overall enrollment status processing Refund by overall enrollment status looks at the overall enrollment status, not the individual study path enrollment status. section fees processing Section fees are stored on the TBRACCD record for the student. SFKFEES processes section fees from SSADETL by study path, when a study path is associated with a course in registration, and the Section Fees by Study Path checkbox is checked (set to Y). swapping processing An even swap of dropped and added courses does not incur a penalty. When a student has more added courses than dropped courses, no penalty is applied. When a student has more dropped courses than added courses, a penalty is applied for the net difference. Using the STUDYPATH and STUDYPATH_ATTR rule types with fee assessment produces the following results: Course liable hours are grouped by study path sequence number (and course attribute) for a student s charges. Liable hours are assessed according to the curriculum/study path the courses are applied to. Liable hours are subtotalled by study path sequence number for a single study path entry into the SFRFAUD table. November 2010 Banner Student Study Paths Fee Assessment - Functional

12 The study path sequence number and the SORLCUR sequence number are stored on the SFRFAUD table. Charges and fees are stored in the TBRACCD table by detail code and study path sequence number. Refund by total and clearing accounts When refund by total is used with clearing accounts, the assessed penalty is charged to the clearing account detail code specified on SFARFND. The study path data is not posted to the clearing account that is charged for the penalty. The penalty is not pro-rated across multiple study paths when the refunded charges come from multiple study paths. When refund by total is used without clearing accounts, the assessment is pro-rated, and the penalty is applied to the refunded detail codes using the percentage calculations that are in effect. Study path learner curriculum record sequence numbers Two Banner views are used with SORLCUR sequence numbers associated with study paths: The Student Study Path Name for Fee Assessment Audit View (SOVFSPN) is used to search on and select a given SORLCUR sequence number that is attached to a study path. Columns have been added to the Registration Fee Assessment Audit History View (SFVFAUD) for the SORLCUR sequence number associated with the study path and the course attribute for the study path rule. The f_learner_study_path_name function in the sb_studypath_name API has been modified to use the SORLCUR sequence number if it exists. A new LCUR_SEQNO parameter has been added to the function. When the LCUR_SEQNO parameter is Null, existing logic (SOVSPNM) is used to retrieve the study path name from the primary curriculum. When the LCUR_SEQNO parameter is Not Null, the new SOVFSPN view is used to retrieve the study path name based on the LCUR_SEQNO value. The study path name returned from the function is displayed on the SFAFAUD form. New messages have been added for SORLCUR records. When you attempt to delete an SORLCUR record that was used for fee assessment, a warning message is displayed. Warning: This curriculum record was used for fee assessment. Do you want to continue? 13 When you attempt to inactivate the last SORLCUR record on a study path, a warning message is displayed. Warning: This may affect fee assessment. Yes, Cancel. You must select Yes to continue. The existing message used when the last SORLCUR record on a study path was deleted was displayed after the deletion occurred and the changes were saved. Now it is displayed before the record is deleted and requires a response. Warning: This will affect fee assessment. Yes, Cancel. You must select Yes to continue. Fee assessment examples Here are some examples of fee assessment rules using study paths (STUDYPATH) and study paths with course attributes (STUDYPATH_ATTR). Example for STUDYPATH rule A student is admitted with two curriculum records. Study paths 1 and 2 are created. Charges are grouped by study path under the subheading of the study path name. Charges are sorted in ascending order by study path sequence number for the term in the TBRACCD table. Charges are sorted in date order within the study path. When multiple study path sequence numbers exist, a subheading is created for each study path name, and the associated charges are listed. General charges are displayed first in ascending order by date. When no study path information exists, all charges for the term are displayed as general charges without a study path subheading. Credits and payments are then listed, and the summary totals are displayed. The naming rules created on SOACTRL determine whether the study path name is displayed. 18 Account details The Study Path field on the Account Detail Review Form - Student (TSAAREV) and the Student Account Detail Form (TSADETL) displays the study path sequence number from the TBRACCD table for the study path used to create the charge from the fee assessment rule. The sequence number is for the current and active study path for the term, using the rules from SOACTRL. The Study Path field is displayed when the Display Study Paths checkbox is checked on the Student Billing Control Form (TSACTRL). You can query on the study path sequence number to view the query balance by study path for the student. You can enter a study path when a new charge is entered. You cannot enter a study path for a payment transaction. You cannot change a study path on an existing transaction. Use List to see valid study path values for the student for the term when data is entered or queried. The Student Study Paths (SGVSTSP) pop-up window is displayed. It contains information on the term, the study path sequence number, the study path name, and the study path status. When no study paths are available for the term, the message Term Code required for Study Path values is displayed. Use Duplicate Item to view the study path name for the current and active curriculum record for the student for the term. It is displayed in the Study Path Name (TSAAREV) pop-up window. The study path name is determined using the field name components on SOACTRL. If no current and active curriculum record exists for the study path and term, the message No Current and Active Curriculum exist for this Study Path and term is displayed. Study path sequence number The Display Study Paths checkbox on the Student Billing Control Form (TSACTRL) is used to control the display of the study path sequence number in Banner Student Accounts Receivable and Banner Student Self-Service. When the indicator is checked, the Study Path field is displayed on the TSAAREV, TSADETL, and TSIQACT forms. It is also displayed on the Account Detail for Term page (bwskoacc.p_viewacctterm). When this indicator is unchecked, the Study Path field is hidden. Customer service inquiry The Study Path field on the Customer Service Inquiry Form (TSICSRV) displays the study path sequence number from the TBRACCD table for the study path used to create the charge from the fee assessment rule. The sequence number is for the current and active study path for the term, using the rules from SOACTRL. The Study Path field is displayed when the Display Study Paths checkbox is checked on the Student Billing Control Form (TSACTRL). You can query on the study path sequence number to view the query balance by study path for the student. 19 Charges grouped by detail code must also have the same study path sequence number. If you are using the summarize by effective date option (the Sum by Effective Date checkbox in the Key Block is checked), the charges must also have the same effective date. Payment detail query The Study Path field on the Student Payment Detail Query Form (TSIQACT) displays the study path sequence number from the TBRACCD table for the study path used to create the charge from the fee assessment rule. The sequence number is for the current and active study path for the term, using the rules from SOACTRL. It is displayed for current term charges and future current term detail. The Study Path field is displayed when the Display Study Paths checkbox is checked on the Student Billing Control Form (TSACTRL). You cannot change the study path sequence number. Set up study paths with fee assessment Use the following steps to set up study path processing with fee assessment and Banner Accounts Receivable. 1. Set up study paths in Banner Student baseline and Banner Student Self-Service. Refer to the Appendix E, Study Path Processing, in the Banner Student User Guide. 2. Create fee assessment rules on SFARGFE by STUDYPATH or STUDYPATH_ATTR rule type. 3. Use the Student Curriculum Rules block on SFARGFE to set up curriculum rules for registration. 4. Check the Section Fees by Study Path checkbox on SOATERM to control whether study path data is stored with a charge, when the charge is generated from section fees. 5. 20 Changed forms The following forms have been modified for this enhancement. Registration Fee Assessment Audit History Form (SFAFAUD) The Detail Audit Information window has been modified for use with study paths and study paths with attributes. The Rule Type field has been expanded. It will display the new rule types from SFARGFE for STUDYPATH or STUDYPATH_ATTR when either of those rules types is used. The study path sequence number used for the assessment is displayed in the Value field for the either of the new rule types. Two new fields have been added to the Detail Audit Information window. These fields are displayed when either of the new rule types is used on SFARGFE. The Value 2 field displays the course attribute code for the study path when the STUDYPATH_ATTR rule type is used. The Study Path Name field displays the study path name that was used to calculate the charge when either the STUDYPATH or STUDYPATH_ATTR rule type is used. Fee Assessment Audit Table (SFRFAUD) Two new columns have been added to hold the course attribute for the study path rule and the SORLCUR sequence number for the study path. SFRFAUD_RGFE_RULE_VALUE_2 SFRFAUD_LCUR_SEQNO VARCHAR2(15) NUMBER(4) The comments on column are: RULE VALUE 2: This is the second course value for the RGFE rule. LCUR SEQUENCE NUMBER: The curriculum sequence number that was associated with the Study Path used to assess the fee. These new rule types work with the existing rule types, so a student can add and drop courses with or without study paths. 25 The STUDYPATH and STUDYPATH_ATTR rule types can be used with all types of fee assessment including: flat fee assessment with overload flat fee assessment with no overload per credit processing refund by total processing refund by course processing The process examines the registration status and date to determine whether penalty assessments are used to calculate fee assessment based upon a changed registration record. refund by overall enrollment status processing Refund by overall enrollment status looks at the overall enrollment status, not the individual study path enrollment status. section fees processing Section fees are stored on the TBRACCD record for the student. SFKFEES processes section fees from SSADETL by study path, when a study path is associated with a course in registration, and the SOBTERM_SECTIONFEE_IND is set to Y. swapping processing An even swap of dropped and added courses does not incur a penalty. When a student has more added courses than dropped courses, no penalty is applied. When a student has more dropped courses than added courses, a penalty is applied for the net difference. Using the STUDYPATH and STUDYPATH_ATTR rule types with fee assessment produces the following results: Course liable hours are grouped by study path sequence number (and course attribute) for a student s charges. Liable hours are assessed according to the curriculum/study path the courses are applied to. Liable hours are subtotalled by study path sequence number for a single study path entry into the SFRFAUD table. The study path sequence number and the SORLCUR sequence number are stored on the SFRFAUD table. Charges and fees are stored in the TBRACCD table by detail code and study path sequence number. 29 3 Miscellaneous Enhancement XML transcript updates The PESC/XML Transcript Export Process (SHRPESE) has been modified to display courses and GPAs by student centric period without term details in the.xml output. Note For more information on setting up and using student centric period processing, please see the Student Centric Period Processing procedure topic in Chapter 12, Registration, in the Banner Student User Guide. For more information on using XML transcripts, please see the XML Transcript Processing procedure topic in Chapter 13, Academic History, in the Banner Student User Guide. The student centric period is displayed as one continuous enrollment period that is not broken up by term. The term header is not displayed on the XML transcript for student centric periods. Terms are grouped within the student centric period for the student. After the last term with a student centric period has been printed, intervening terms without student centric periods are printed. A term that is not associated with a student centric period is displayed chronologically in the.xml file after the end of the student centric period which starts before that term begins and the beginning of the next student centric period. For example, an intersession which is not part of a student centric period, which falls between the two terms that make up the student centric period, will be printed after that student centric period. The student centric period data is substituted for the term data when the Student Centric Period Statistics checkbox is checked (set to Y) on SHATPRT. The XML transcript reports data in three scenarios when the Student Centric Period Statistics checkbox is checked. When all of a student's coursework belongs to a student centric period, data is reported by student centric period for all of the student s enrollment and/or academic history records. When none of a student's coursework belongs to a student centric period, data is reported by standard terms for all the student s enrollment and/or academic history records when no student centric period exists. When the Student Centric Period Statistics checkbox is unchecked (set to N) on SHATPRT, data is processed using standard term functionality. The process checks the term header record (SHRTTRM) for each term in the student s academic history. When the SHRTTRM_SCPS_CODE is Null for a term, the student does not have a student centric period associated with that term. In this case, the standard term information is displayed on the transcript for the academic history information. When a student has a registration record for a term but no term header record exists, the student centric period to which that term is associated is determined by: finding the general student record (SGBSTDN) that is active for the registration term using the student centric period cycle code (SGBSTDN_SCPC_CODE) from that record finding the record for that registration term in the SORSCPT table where: that term matches the SORSCPT_TERM_CODE the cycle code (SGBSTDN_SCPC_CODE) from the SGBSTDN table matches the cycle code (SOBSCPS_SCPC_CODE) in the SOBSCPS table the student centric period code from the SOBSCPS table matches the student centric period code from the SORSCPS table When the SHRTTRM_SCPS_CODE has a student centric period value for the term, that code is used to group the terms that belong to each student centric period. It also populates the Academic Session data on the transcript. The GPA totals and GPA information for the student centric period are used to populate the Academic Summary data on the transcript. Data for standard term information for the Academic Session and Academic Summary comes from SHRTGPA. When the student centric period is in effect for the term and student: Term comments for all terms are grouped together. The major that is effective for the first term of the student centric period is used. Term statistics data comes from SHRSGPA. Academic standing by term data comes from the highest term header record in the student centric period. In-progress courses are listed with the associated student centric period. The documentation refers to SSASYLB as populating the long section description. SSASYLB does not contain this field. Also, the 8.4 Student Self-Service User Guide, page 1-12 says: On SOATERM: To display long section descriptions, select the Display Long Section Description checkbox. The only reference is to an incorrect flow chart on page It says that if the Long Class Description (assumed to be the Long Section Description) is not selected, the system refers to SSASYLB for the long class description. It should refer to SSATEXT. If a third party product such as InfoSilem was used for scheduling, a rerun of SSPSCHD may be needed to continue scheduling. The SSPSCHD process does not purge data if it has already been run once. The first run of SSPSCHD populates the table SCRSECT with the data for the records that were purged.
