All Venue Principals must ensure hygienic food & the safety and security of the students. 2. Escort teachers and contingent leaders also must ensure the safety of the students in all aspects during their transit. 3. As soon as the Regional meet is over, the Venue Principals must send the details (Name, age, sex & name of KV) of selected students and escorts teachers for booking ticket to the Principal incharges of ticket reservation. 4. Principal/Incharges will arrange Railway Tickets (To and Fro) after procuring the details of students and escort teachers from the Regional Venue Principals. 5. Team from Rourkela and Sundargarh are permitted to board the train from their respective stations as decided during the Principals conference. 6. Principals of Regional Venues will arrange qualified officials as refree. 7. Principals of Regional Venues will obtain all relevant documents of selected students in four sets. All students from their respective KVs will bring eligibility certificates in quadruplicate with them and submit to the regional venue Principal. Without the eligibility certificate, no student will be allowed to participate. 8. Details of expenditure a. Expenditure by KV :- The Vidyalayas will meet the following expenditure on their teams out of the Vidyalaya Vikas Nidhi/School Fund:- i) Expenditure on playing kit and playing equipment for participating students will be met out of the VVN of concerned KV for participating in Regional Level Meet. ii) Expenditure on TA/DA for participating students during the journey period from their respective KV to the Venue of the Regional Level Meet and back will be met out of the VVN of concerned KV. iii) Expenditure on TA/DA of Escorting teacher will be met out of the School Fund of the concerned KV at all level. b. Expenditure by the Region : The expenditure on (i) Conduct of the regional level tournaments in all games (ii) Playing equipment (iii) Playing kit for participating students and PET deputed as Coach (iv) Preparing play-fields (v) Honorarium to officials for the matches (vi) Boarding and lodging arrangements of every team in the regional meet (vii) Journey expenditure on TA/DA of participating students/players from their respective KV/region to the Venue of the KVS National Sports Meet (viii) Expenditure on First-aid/medical facilities etc. will be incurred by the Regional Office out of the funds of the Regional Sports Control 4

Board. c. Expenditure by KVS (HQ) : Expenditure on conducting the KVS National Sports Meet will be incurred by the KVS (HQ). An amount of Rs.300/- is fixed as boarding and lodging arrangement including contingent charges for participating students. For journey period more than 08 hours, the rate will be Rs.300/-. If journey period is less than 08 hours, the rate will Rs.175/-. For those students who are not staying overnight and not availing lodging facilities will be paid Rs.175/- per head per day. Expenditure on playing equipment, playing kit(for SGFI players & PET deputed as coach), medical-aid, transportation, honorarium to officials for conduct of matches, purchase of medals, trophies, shields, printing of certificates and all arrangements regarding organizing of KVS National Sports Meet in each game will also be met by the KVS(HQ). 9. Purchase Committee The following members of Purchase committee will coordinate and see that the sports kit is supplied to the students in time for the National Sports Meet. The committee may ensure the certificates and medals for the Regional Meet should be given in time, so that, the same may be distributed to the participants at the venue itself S. Jamtara a) The Purchase Committee must follow the purchase procedure of KVS. b) The purchase Committee may need to get approval from the competent authority regarding the design of Regional Sports Meet certificate and medals. c) The purchase committee must ensure to supply to required number of medals and certificates to the venue of Regional Sports meet at least three days before the meet starts. d) The Sports Kit given to the student for National meet at the coaching venues may be referred from the enclosure attached (43 rd KVS National Sports Meet- vide letter No. 110355/01/2011/KVSHQ/Sports/NSM dated: 24.07.). e) The purchase committee incharge may reimburse expenditure incurred as specified in vide letter No. 110355/01/2011/KVSHQ/Sports/NSM dated: 24.07. by submitting original bills to RO Ranchi within 30 days from the date of completion of Regional Sports Meet.
