IF MY APPLICATION IS SUCCESSFUL 1. For current residents only: There is no guarantee that applicants who have selected yes can stay in their current rooms. When Jockey Club Postgraduate Halls 2 & 3 (JCPGH 2/3) in Area 39 are in operation, Chiang s Building (CHI) and Inter-University Hall (IUH) will be returned to the University and Jockey Club Postgraduate Hall (JCPGH 1) will start the renovation process. Affected residents in JCPGH 1 will be relocated to the new hostels. Their hostel fees will be charged according to the new room type or current room type whichever is lower in the month of relocation. They should pay the new room type hostel fee the next month afterwards. The affected residents of JCPGH 1 can choose to stay in the new hostels or move back to their original rooms after the renovation. All current residents who are successful in switching rooms/halls and not affected by the return of CHI and IUH or the renovation of JCPGH 1 should pay the hostel fees of the current room type until 31 July 2018. (The possibility for switching rooms/halls will be very low in the year 2018. All current residents who fail in the applications of switching rooms/halls will have to stay in their current rooms. Those who are living in CHI, IUH or rooms for renovation in JCPGH 1 have to comply to the relocation schedule set by PGH Office.) *Yes, I wish to stay in the current room without having to go through the allotment process My current room number is at PGH. They have to immediately move to the new room when they receive the notice from the General Office. If they need to leave Hong Kong in that period, they must clear all their belongings and return the hostel keys to the PGH office before leaving and continue to pay the rent. All the things left in the room will be cleared without compensation. The new hostel keys must be obtained in person when they return to Hong Kong. Please note that the hostel fee of the new room type will be effective from 1 st August 2018. There is no daily charge of hostel fee and the difference of room charge between the old room and the new room will not be surcharged or compensated). *When the new hostels in Area 39 are in operation, residents in CHI and IUH shall move there. Those affected by the renovation in JCPGH 1 will be relocated to the new hostels. The room types and room numbers are allotted by lot drawing. Most of the rooms in the new hostels are shared rooms. If the residents do not accept the allotted room or room type in the new hostels, they can choose to withdraw from the hostel. The affected residents have to move to the new hostels once being notified. If they are going to leave Hong Kong, they should return the hostel keys to the PGH Office before leaving and authorize a person to move their belongings to the new hostels. The new hostel keys must be obtained in person when they return to Hong Kong. The PGH Office reserves the right to move their belongings to the new hostels if they fail to move out on time. For allotment process (for new applicants and current residents who wish to relocate to other rooms/halls): Please indicate your preference by marking 1, 2, 3, 4 with 1 being the top priority. The result depends on the number of applicants and the actual number and type of rooms available. Please note that if the demand of a particular room type is greater than the supply, all the applicants who choose this particular room type will be put in a lot-drawing exercise. If an applicant does not fill in other priorities and fails in the lot drawing, the application will be put on the waiting list automatically even though there are vacancies in other room types or halls. Therefore, an applicant will have a greater chance to be admitted to PGH if he/she indicates more preferences. Please note that for shared rooms in PGH 4-6, applicants will be allotted to 2 or 3 persons shared rooms randomly. Please note that if applicants want to change their preferences, they should notify the PGH Office before 23 April 2018, which is the deadline for the first round application. Notes to Applicants 1. The 2018/19 Postgraduate Halls (PGH) hostel year commences on 1 August 2018 (Wednesday) and ends on 18 July 2019 (Thursday). Accommodation is considered on a yearly basis and there is no guarantee of accommodation or staying in the same room for the whole normative period of study. Even within an academic year, residents may have to move to another room for repair and maintenance or other reasons as requested by the PGH. 2. All residents have to commit to hostel accommodation by academic terms with an allowance to pay the hostel fee by monthly installment. A resident has to pay the hostel fee until the end of the term even though he/she leaves the hostel in the middle of the term. The academic year is divided into three terms: 1 August to 21 December 2018, 1 January to 31 May 2019, and 1 June to 18 July 2019. Only residents with special reasons, such as graduation, internship, exchange and medical condition, can apply for exemption from paying for the whole term. 3. Personal Data (a) The personal data provided by means of this form will only be used by the Management Committee of the Postgraduate Halls or its sub-committees for considering the application for residence at the Postgraduate Halls. (b) The provision of personal data by means of this form is voluntary. If you do not provide sufficient information, we may not be able to process your application for residence at the Postgraduate Halls. (c) The application forms of successful applicants will be kept till residence terminates. The application forms of unsuccessful applicants will be kept till the end of the academic year and then they will be destroyed. (d) You have the right to update your personal data provided in this form on or before the application deadline, 23 April, 2018. 4. The Selection Board appointed by the Management Committee of the Postgraduate Halls includes the Master, Wardens, and resident tutors. The decision of the Selection Board is final. 5. The Selection Board shall evaluate the accuracy of the information given in the application form. Any false statement found therein will result in disqualification of the application. 6. The applicant s study programme and study year, residence location and living condition, past performance in PGH residence, and special reasons such as health condition, etc. constitute the criteria of selection. Applicants should list all special reasons for accommodation in Part C of the application form and submit supporting documents such as medical certificate. 7. Since couple rooms are very limited, couple rooms will be given only to couples who are both eligible applicants (i.e. according to the Criteria for Selection). Students who request such special arrangements please attach a copy of Marriage Certificate. 8. All Application for Residence at the Postgraduate Halls 2018/19 forms must reach the PGH Office on or before 23 April 2018 (Monday). Applications with the postmark on or before the deadline will be regarded as on-time application. All rooms are allotted by lot drawing. It is not on First-Come-First-Served basis. The application will only be processed when the applicant has submitted all the required documents, cheque and fill out all the information in the application form. Applications submitted after 23 April 2018 will be processed subject to the availability of vacancies. The list of successful applicants with hall number and room type will be posted on the PGH webpage and notice boards of PGH Offices on 24 May 2018 (Thursday). The waiting list will also be posted. No individual notification of the result will be given. Applicants have the responsibility to check the PGH webpage of their application results and the concerned instructions. 9. All applicants who wish to withdraw from the Application for Residence at Postgraduate Halls 2018/19 should apply to take back their application fees on or before 23 April 2018. 10. Current residents who apply for withdrawal on or before 18 July 2018 will be regarded as withdrawal from 2018/19 hostel application at the same time. They should apply to get their application fees back before 23 April 2018. After the successful list has been announced on 24 May 2018, if the current resident who is successful in the allotment for Residence at Postgraduate Halls 2018/19 withdraws from the hostel before 18 July 2018, his/her allotted place cannot be kept, and the application fee will be forfeited. Current residents who are successful in their application for switching rooms should not leave Hong Kong in the switching room period between 22 June and 20 July 2018 as they have to move immediately to the new room when they receive the notice from the General Office. If they have to leave Hong Kong in that period, they must clear all their belongings and return the hostel keys to the PGH office before leaving and continue to pay the rent until 31 July 2018. All the things left in the room will be cleared without compensation. The new hostel keys must be obtained in person when they return to Hong Kong. Please note that the hostel fee of the new room type will be effective from 1 st August 2018. There is no daily charge of hostel fee and the difference of room charge between the old room and the new room will not be surcharged or compensated. 11. The affected residents of JCPGH 1 can choose to stay in the new hostels or move back to their original rooms after the renovation. All current residents who are not affected by the return of CHI and IUH or the renovation of JCPGH 1, choosing to switch rooms, should pay the hostel fees of the current room type until 31 July 2018. (Due to the low possibility for switching rooms/halls in 2018, all current residents who fail in the applications of switching rooms/halls have to stay in their current rooms. Those who are living in CHI, IUH or rooms for renovation in JCPGH 1 are required to cooperate with PGH according to the relocation schedule.) 12. Applicants are required to submit their completed application forms together with (a) an application fee of HK$2,000 paid by personal cheque, cashier order or bank cheque (cashable in Hong Kong). CASH, ELECTRONIC CHEQUE OR TELEGRAPH TRANSFER will NOT be accepted. Application form without the application fee or the enclosed cheque is not cashable will be classified as incomplete application and will not be processed without further notice. Please make the personal cheques, cashier orders or bank cheques payable to The Chinese University of Hong Kong. Post-dated cheques will not be accepted. Please write your name and CUHK student I.D. number on the back of the personal cheque, cashier order or bank cheque. (b) a copy of Admission Notification (for new students) or a copy of student identity card (for new applicants who are current CUHK students). (c) a letter of special reasons for consideration with supporting documents (if any). 13. Please submit the completed application form with cheque/cashier order and supporting documents via registered post / speed post to General Office, Jockey Club Postgraduate Hall (JCPGH 1), The Chinese University of Hong Kong, Shatin, New Territories, Hong Kong or to the JCPGH 1/CHI/PGH 4 Office by hand. PGH Office will not take any responsibility for any loss of application form and cheque due to postage or courier problems. 14. For successful applicants, once your application has been confirmed and announced by the Selection Board on 24 May 2018 (Thursday), the HK$2,000 application fee will NOT be refunded in any circumstances. There is NO REFUND for not accepting the offer after the application is successful. The application fee will ONLY be used to settle part of the first two months hostel fee. If the cheque/cashier order is rejected by the bank for whatever reason, PGH will inform the concerned applicant to make cash payment in the bank within a certain period of time. Failing to do so will be regarded as withdrawal. 15. For applicants who are on the waiting list, their applications will be handled from the end of May depending on hostel place availability and according to the Selection Criteria. If applicants on the waiting list wish to terminate their applications, they should send email to the PGH Office from 25 May 2018 (Friday) onwards to be eligible for application fee refund and they should take back the cheque in person at the JCPGH 1 Office. Please note that when the cheques for application expire and the applicants on the waiting list have not replaced it with a new cheque, the applicants will be regarded as withdrawing from application automatically. The applicants should take the responsibility to check the expiry dates of their cheques. On the other hand, when an applicant has been assigned a hostel place by the Selection Board on 24 May 2018 (Thursday), no refund will be made. For applicants who are not eligible for hostel application, they should take back the cheque in person at the JCPGH 1 Office. All the cheques will be kept by the PGH Office till the end of the academic year and then they will be destroyed. 16. Successful applicants are required to report to the Hall in person or by an authorised delegate for check-in. The successful applicant should follow the registration procedures on the specified dates, bringing along the applicant s student I.D. card and a recent photograph. An authorised delegate should bring along with him/her an authorisation letter, a copy of applicant s student I.D. card and his/her recent photograph. But the hostel keys will be kept by the PGH Office until the successful applicant s check-in. In case of compelling reasons necessitating late registration, application should be made in writing to the PGH Office. No hostel place will be reserved for latecomers without prior written approval given by the PGH Office and the application fees will not be refunded. 17. All successful applicants have to pay $20 Residents Association Fee for each of the first and second term and pay $3,500 deposit for a year in the first month of stay. 18. Allotted hostel places are not transferable. Once registered and obtained the hostel keys, the resident will be abided by the terms of the PGH declarations and the hall regulations. He/she will be billed for residence at once. 19. The room rate of 2017/18 can be found in the PGH webpage http://www.pgh.cuhk.edu.hk and it is subject to change in 2018/19 according to annual revision and the approval of the University. The hostel fees of the new Jockey Club Postgraduate Hall 2/3 will be announced later. 20. Applicants should read the Hall Regulations and make sure they can comply with the regulations before applying for the hostel. Every successful applicant has to sign on the Hall Regulations meaning that he/she will comply with them. Any violation will result in penalties and may subject to further disciplinary action. Procedures for Postgraduate Halls Allotment 2018/19 All applicants should read the following allotment procedures carefully and proceed step by step. December 2017 Application for PGH Residence 2018/19 Application for academic year 2018/19 commences in December 2017. All Application for Residence at the Postgraduate Halls 2018/19 forms with application fee and supporting documents must be reached via registered post / speed post to General Office, Jockey Club Postgraduate Hall (JCPGH1), The Chinese University of Hong Kong or to the JCPGH 1/CHI/PGH 4 Office by hand. Applications with the postmark later than the deadline, 23 April 2018, will be regarded as late. Only application with all the required documents and the application form fully filled up will be processed. PGH Office will not take any responsibility for any loss of application form and cheque due to postage or courier problems. All details, including the CUHK student I.D. number, must be provided when submitting applications. Applications without the CUHK student I.D. number will not be accepted. All applicants should visit the PGH webpage http://www.pgh.cuhk.edu.hk to confirm receipt of application by the PGH Office. Applicant s CUHK student I.D. will be posted on the PGH webpage 3 working days after receipt of application. Please note that the student ID. shown on the List of Applications Received means the PGH has received the application only. It does not mean the application is successful. Late applications will be processed subject to availability of vacancies. 24 May 2018 Successful list with hall and room type is posted; waiting list is posted The list of successful applicants with hall number and room type but without room number will be posted on the PGH webpage and notice boards of the PGH Offices on 24 May 2018 (Thursday). Applicants will not receive individual notification of the results and they have the responsibility to check the result and the concerned instructions on the PGH webpage. The waiting list will also be posted. 25 May 2018 Application fee refund for applicants on the waiting list For applicants who are on the waiting list, their applications will be handled from the end of May onwards depending on hostel place availability and according to the Selection Criteria. If applicants on the waiting list wish to terminate their applications, they should send email to the PGH Office from 25 May 2018 (Friday) onwards to be eligible for application fee refund and they should take back the cheque in person at the JCPGH 1 Office. When an applicant has been assigned a hostel place by the Selection Board on 24 May 2018 (Thursday), no refund will be made. 30 May 2018 Applications to form roommateship and flatmateship (optional) Both current and new residents, allotted single or shared rooms, can apply for flatmateship if they want to live in the same flat in PGH4-6. Successful shared room applicants in all PGHs can apply for partnership. Please pick up the application form for roommateship and flatmateship in the PGH Offices or download the form from the PGH webpage. However, the success of flatmateship and roommateship depends on the availability of vacant flats/ rooms and the number of applicants. Application may fail if there are not enough vacant flats or shared rooms. 31 May 2018 12 noon Last day to hand in applications for forming flatmateship and roommateship All application forms for roommateship and flatmateship must reach the PGH Office on or before 31 May 2018 (Thursday) 12:00 noon. 5 June 2018 Drawing lots for flatmateship and roommateship Applicants who have applied to form flatmateship (PGH 4-6) or rommateship (shared room applicants) will draw flat and room numbers in the JCPGH 1 Office from 10:00 am to 11:00 am. (first-come-first-served). Applicants who have applied to share the same flat/room as flatmates/roommates can all be present in the lot drawing or send a representative to draw the flat/room number. If the applicants or representatives do not show up, our staff will draw lots for them. Please note that forming roommateship or flatmateship may fail if there are not sufficient vacant rooms. The failed applicants will be placed in the big pool for drawing room number afterwards and they will not be able to form flatmateship/roommateship as they applied. 12 June 2018 9:30 am Drawing Lots in JCPGH 1 Office All current residents and new applicants will draw their own room number in the big pool on 12 June 2018 (Tuesday) starting at 9:30 am in the JCPGH 1 Office. Sequence for drawing lots is on a first-come-first-served basis. If residents/applicants do not show up by 10:30 a.m., room numbers will be randomly allocated by PGH Office. 21 June 2018 Final list of successful applications with hall and room number is posted The final list of successful applicants with hall and room numbers will be posted on the PGH webpage and notice boards of the PGH Offices on 21 June 2018 (Thursday). 22 June-6 July 2018 22 June-20 July 2018 Registration for current residents who continue to stay in their current rooms Current residents should download the registration documents from the PGH webpage. Completed documents shall be returned to PGH Office on or before 6 July 2018 (Friday) 5:30 pm. Registration for current residents who move to newly allotted rooms For current residents who are successful in applying 2018/19 residence, but have to switch rooms or halls, they will have to start moving once the new hostel keys are available. The new room rate will be effective from 1 August 2018 no matter when the current residents move to the new rooms. Please check with the corresponding PGH service counter for room availability. As the PGH Office has to allot the rooms to the successful applicants on time, no delay is allowed. There will be a penalty charge of HK$400 per day for moving to the new room late. The former hostel keys must be returned to the PGH Office within 24 hours when the new hostel keys are issued; and residents who have to move to a different hall location (e.g. from JCPGH 1 to PGH 2-6) will have 48 hours to do so. Late submission of former hostel keys will have a penalty charge of $400 per day. For current residents who fail in applying 2018/19 residence, they have to move out before 18 July 2018 12:00noon. Late moving out will have a penalty charge of $600 per day. To ensure the successful applicants can get their allotted hostel places on time, the PGH Office reserves the right to move away the belongings of the former/current residents and contact their departments for help if they fail to move out on time. 1 August 2018 Registration for new residents JCPGH 2/3 To be announced. PGH 4, 5 & 6 1 August 2018 (Wednesday), morning session ONLY, from 9:30 am to 12:30 pm, in PGH 4 1/F Common Room For successful applicants who are non-local students and have admission date on 1 August 2018, and would like to check in to the allotted room from 30 to 31 July, they MUST send e-mail to the PGH General Office at least 7 working days in advance prior to arrival. Please note that early check in may not be approved. Early check in without written approval from PGH will NOT be entertained. For those approved to check in earlier, they will be charged at $150/night per head for single room and $120/ night per head for shared room. They will be charged at residents rate according to hall and room type from 1 August 2018 onwards. Residents who check in earlier in July are not required to attend the hall registration on 1 August 2018. Please bring along one recent photograph and your student I.D. card/admission Notification, and copy of letter of award (if choose to pay the hostel fee by deducting from stipend) to the respective hall for registration. The registration documents will be ready for download from the PGH webpage at least two weeks before registration. Residents are advised to fill out the necessary documents before starting the registration process and ad hoc request for the Registration Documents during registration will carry a $5 charge. If a successful applicant fails to complete hostel registration, the room will be allotted to another applicant on the waiting list. Successful applicants should send email to PGH in advance for approval of deferred registration. Most residents will get the hostel keys on the day of registration. Residents are liable to pay for the whole term on a monthly basis once they have completed the registration process and get the hostel keys. Residents should check their payment numbers from mid-august at http://www.cuhk.edu.hk/cusis and proceed to settle hostel fees, deposit and residents association fees. Criteria for Selecting Residents at the Postgraduate Halls (Revised: December 2017) Postgraduate students taking full-time Research programmes or full-time UGC-funded Taught programmes are eligible to apply for residence at the Postgraduate Halls (PGH). Eligibility of residency is to be decided by student categories and their travelling distance. Students who apply for residence at PGH must provide sufficient relevant information. The application will only be processed when the applicant has submitted all the required documents, cheque and fill up all the information in the application form. The PGH Office will make random checks to verify the information provided in the applications. Any missing or false information may result in disqualification of application. Accommodation is considered on a yearly basis and there is no guarantee of accommodation or staying in the same room for the whole year or for the whole normative period of study. All applications received will be sorted according to student categories.
