Conference Services Summer Staff Position Description & Application General Description Residential Life at Indiana University promotes each summer resident and guest s learning experience by creating safe, supportive environments for academic and personal success. The Departments of Conference Services and Residential Life are committed to the total experience of the guest and resident within an inclusive community through student government, programming, residence hall standards, and supportive learning environments in the residence halls. The Summer Staff, works with the Residential Life Professional Staff to assist in achieving our mission and goals. Additionally, the Summer Staff will assist in various areas of residence life which may include assisting with guests needs and concerns, collaborating with campus partners, or providing feedback to improve our processes. Positions Available Summer Resident Assistant (Summer School) Build Community through personal connections and collaboration with residents and staff while supporting the academic pursuits of individual residents. The Summer Resident Assistant will serve as a resource to residents, enforce University policy and plan and facilitate educational and social events. Please see the additional position eligibility requirements below: Must be a current RPS (RA/CUE) staff member. Minimum 2.5 cumulative GPA. Summer Resident Assistant (GROUPS Scholars Program) Build Community through personal connections and collaboration with residents and staff while supporting the academic pursuits of individual residents. The Summer Resident Assistant will serve as a resource to residents, enforce University policy and plan and facilitate educational and social events. Housing Assistant for Conferences A great attitude and excellent customer service are essential parts of making a great impression of IU. Student staff are an important part of the summer operation of camps, conferences and summer school where student staff represent the university and are the ideal representative for the IU campus. In many cases, camp is a conference attendee s first experience with IU, and possible initial exposure to life on a college campus. Camps are an excellent way to engage future students, and we have an opportunity to recruit a Hoosier for Life.
Housing Assistant for Orientation Ambassadors for Residential Life create a welcoming environment and positive impression for incoming students and parents on campus for Orientation programs. This position assistants with the quick turnover for the two day Orientation program. Hourly Desk Staff Offer excellent customer service to students, guests and conference participants through services at the center desk, including, but not limited to stuffing conference packets, answering questions (telephone and in person), giving directions, issuing lock out keys/cards, and other duties as assigned. Areas of Responsibility Customer Service: Travel between assigned areas and other departmental facilities to perform job-related responsibilities Ensure smooth check-ins and check-outs for Conference Guests/Summer school residents Assist with room assignments Offer Customers Service by working the Center Desk Facilitate room/building tours Positively represent University and Department to University Guests, Students and Parents Safety & Security: Manage the physical conditions of the residence hall facilities Ascend and descend multiple flights of stairs, especially in cases of emergencies Operate a hand held radio Responding to conferee/resident needs after hours (on duty) Facility walkthroughs daily Assist with access when Guest/Resident is locked out Custodial duties, when needed Emergency Procedures: Direct and respond to fire alarms and other emergencies Assist Conference Guests/Residents when accident or personal injury occurs Update and Post emergency procedures throughout facility Report facility safety concerns to maintenance and building staff immediately Administration: Communicate effectively, both orally and in written manner, with residents, parents, visitors, faculty, and staff Attend staff meetings and conference meetings Operate a computer system using various types of software applications Read reports, gather and analyze information for written reports Prepare written memorandums and documents and compile the numerous forms needed in the daily operation of managing the residence halls Operate the various types of office equipment including phone, printer, and computer Stuff Conference Packets (keys, lanyards, building/campus information) Coordinate final details for camps and conference with clients Create signage Academic year prep tasks
Marketable Skills Emergency Response Facility Management Customer Service Problem Solving Creative Space Utilization Communication Skills Database Management Time Management Training Requirements The Summer Staff must be available on the following dates for departmental training: Sunday, April 12, 2015 Monday, May 11, 2015 1 pm 5 pm 9 am 5 pm Remuneration The Summer Staff must be available for work beginning May 11 and remain through August 5, 2015. These dates are necessary for the success of our conference program. The Summer Staff position is considered a security sensitive position. Applicants must pass a criminal background check before being allowed employment. Indiana University is committed to the principle of temporary appointment with a stipend of $550 (Housing Assistant) or $650 (Resident Assistant) for the summer. The Summer Staff position should equate to 20 hours worked each week from May 11 through August 5, 2015.. Summer Staffs will be assigned a room within the assigned residence complex at no expense. A meal plan is provided while the dining halls are in service. Parking is available upon the individual purchase of a campus parking permit. For Summer Staff, hourly rates are applied at a rate of $8.50/hour, AFTER 20 hours have been worked. Staff that are not taking classes can work up to 40 hours per week. Hourly Staff are paid at a rate of $8.50/hour. Staff can hold additional employment outside the center. If hired, the staff member s first job priority is their RPS summer job and they need to keep their evenings/weekends free for duty and other RPS summer job responsibilities. Staff members can take classes but are not required to do so to be employed by RPS during the summer.
