Page 2 Registrar Review Substitution/Waiver Form versus Transfer of Credit Form The Transfer of Credit form is ordinarily used to obtain permission to take a course(s) through another institution and usually for a summer term. Signatures of the advisor and the chair of the department overseeing the subject matter of the course must be obtained on the form prior to submitting it to the dean s office who oversees the subject matter of the course(s) taken. The form must be received in the Registrar s Office prior to taking the course off-campus. Drop and Withdraw Degree Audit For questions, please call the Registrar s Office at extension 6592. The Substitution/Waiver form is used when there is an intention to use a different course for a current course requirement under the student s current core/major/ minor concentration curriculum. The course has already been posted to and applied to the student record. Be aware of deadlines to add or drop a course for the Fall 2013 semester. The last day to add a course to your fall schedule is Wednesday, September 11, 2013. The last day to drop a course is Friday, September 13, 2013. With a registration drop action, no notation is made to your transcript record. However, it is also important to note that after the drop deadline, a W or withdrawal grade is assigned to the official transcript. For undergraduate students, a form is required for a course withdrawal and can be obtained from the Registrar s Office located in College Hall, room 229. (note that deadlines for graduate online programs may differ) Degree audits can be generated from student s personal ZAGWEB accounts anytime during their academic careers at Gonzaga. To initiate a degree audit session, use the following directions: Log into https://zagweb.gonzaga.edu by using the Enter Secure Area function. Once in ZAGWEB select Student & Financial Aid and then the Student Records menu. By selecting the Degree Evaluation option and submitting the most current term, you will be able to view your current student record information and choose to either: view a previous evaluation, generate a new evaluation, run an evaluation with different curriculum especially in the event there is a change to colleges/schools, degrees, majors, or the addition of majors, minors, etc., and, finally, the ability to view any holds on the student account. Holds will prevent registration and the ability to order transcripts. NOTE: If a credit has been transferred or the request for a course substitution or waiver (via a form available in the Registrar s Office) has been applied to the student record, a new evaluation will need to be generated. Apply to Graduate Attention juniors and members of the graduating Class of 2015, degree applications are due to the Degree Evaluation Office by Friday, November 1st, 2013. For those graduate level students graduating in 2014, the degree applications are also due by Friday, November 1st. Both application processes are online and the application is available through students personal ZAGWEB accounts. Applications can be found by accessing the Student & Financial Aid option, the Student Records link and then Apply to Graduate.

See the online 13/14 Undergraduate Catalogue at http://www.gonzaga.edu/catalogues/13-14-catalogue/undergraduate/default.asp. 1. Completion of a minimum of 128 semester credits. 2. Completion of the core requirements of the University and of the individual school or college. 3. Undergraduate courses or post baccalaureate course work may not be counted toward a graduate level degree. Graduate and doctoral level courses may not be counted toward an undergraduate or post baccalaureate degree. 4. A minimum cumulative grade point average of 2.00. 5. Completion of major requirements with a minimum cumulative grade point average of 2.00 in upper division major courses. The majority of the upper-division major credits must be Gonzaga credits. 6. Courses graded with a P (pass) grade mode can only be used as elective credit. Credit earned with a P may not be used to satisfy core, major, minor, or concentration requirements. 7. Senior Residency Requirement: the last thirty semester credits immediately preceding graduation must be earned in Gonzaga University course work. Students can petition for a waiver of this requirement via the Permission to Transfer Credits/Senior Residence Waiver form available in the Registrar s Office. Under a senior residence waiver, students may petition to take up to a maximum of eighteen credits off campus. Students whose cumulative or major GPA is below a 2.00 are not eligible for a waiver. 8. Formal application for graduation: Students must file an application and pay the graduation application fee according to the instructions and dates published by the University Registrar. Degrees will be awarded upon completion of all requirements as of May, June, August, or December, with one public commencement ceremony held in May. 9. Fractional credit is never rounded up on a course, the total minimum credits required for a Gonzaga degree of 128 semester credits or in calculating the cumulative GPA and major GPA. 10. Once a student had graduated from the University and a degree has been posted, no further change can be made to the academic record (i.e. grade changes). 11. Course attendance is not allowed without official registration and financial confirmation. Note: a) Payment of all indebtedness to Gonzaga University, the return of all equipment to the appropriate entity, and the return of all books to Foley Library are required prior to graduation. Holds may be placed on transcripts and diplomas for any of these deficiencies. b) Once a student has graduated from the University and a degree has been posted, no further change can be made to the record.
