P&C Association Minutes of Annual General Meeting Held on Wednesday 9 th of November 2016 Attendees 11 parents, names recorded in the attendance book, and Katarina Nikoletich, the Deputy Principal The meeting commenced at 7:32 pm. It was chaired by Christine Davis the P&C President. Minutes were taken by Greg Tunnock. Apologies Apologies were received from Belinda Kelly, Simon Rushworth and Sam Hamrosi. Minutes of the 11th November 2015 Annual General Meeting The minutes of the 11th November 2015 P&C Annual General Meeting were reviewed and no corrections were noted. Motion: To accept the minutes of the 11th November 2015 P&C Annual General Meeting as published. Moved: Rachel Dunne Seconded: Paul Jones President s Annual Report Christine Davis presented the President's annual report for 2016, highlighting the many contributions the P&C has made to the Riverside Girls High School community over the past year and thanking the 2016 P&C committee and others that have contributed significantly. A copy of the President's annual report is attached to the minutes. Treasurer's Annual Report The Treasurer s annual report for the period of 1 st November 2015 to 31 st October 2016 was prepared and presented by Rachel Dunne. A copy of the Treasurer's annual report is attached to the minutes. Audit of P&C Accounts An audit for the financial year was performed by Greg Low as an independent auditor. This audit covered off the period 20 October 2015 to 30 September 2016. The P&C appreciates this contribution that Greg has made in this regard. A copy of the Auditor's annual report is attached to the minutes. Election Of Office Bearers Christine Davis vacated the chair, all positions were declared vacant and Katarina Nikoletich presided over the election of office bearers as the returning officer. Ms Katarina Nikoletich called for nominations for the each of the official P&C positions. Christine Davis was nominated for the position of President by Paul Jones and seconded by Rachel Dunne. This was voted on and was successfully Martin Brown was nominated for the position of Secretary by himself and seconded by Christine Davis. This was voted on and was successfully Rachel Dunne was nominated for the position of Treasurer by Christine Davis and seconded by Megan Hudson. This was voted on and was successfully. Belinda Brodrick was nominated for the position of Vice-President by Simon Rushworth (proxy by Greg Tunnock) and seconded by Paul Jones. This was voted on and was successfully. Paul Jones was nominated for the position of Vice-President by Megan Hudson and seconded by Mai Buchert. This was voted on and was successfully P&C Membership P&C membership fees are due for renewal at the AGM. 13 people paid their membership fees and $26 was collected to be deposited into the P&C s bank account. The names of P&C members were recorded in the attendance book. Meeting Closed The meeting was closed at 7:50 pm Action Items 1. Presidents Report It is once again time to take stock of all that has happened during the past year, regroup and begin to plan for the new year ahead. Firstly I d like to thank the Principal Belinda Kelly for her ongoing support of the P&C throughout the past year. Belinda was unable to be with us tonight but we have Katerina Nicoletich, Vice Principal in her stead. I thank Katarina for her assistance this evening as returning officer. We are fortunate at Riverside Girls High school to have such high caliber leaders guiding the decision making for the school. Their vision for the school and passion for embracing new innovative educational teaching methods, technologies and subjects ensures our girls have access to the best quality education this country has to offer. I also want to thank our guest presenters this year many of whom have been committed members of staff. These people have brought to our P&C meetings their passion for their subject and shared with us their knowledge and insights. Thankyou. I would like to thank the P&C committee members for their enthusiasm, hard work and dedication during the 2016 year. Specifically I would like to thank: - Paul Jones (Vice President) - Simon Rushworth (Vice President) - Greg Tunnock (Secretary) - Rachel Dunne (Treasurer) Tonight I will calling for the current P&C committee to stand down. And we will be electing a new committee to take us into the future. This year there are two people from the 2016 committee who will not be nominating for a role on the new committee. The first person I d like to mention is Greg Tunnock. Greg was secretary on the 2016 committee. During his time at Riverside, Greg has made a significant contribution to the P&C. Greg has been a parent at the school since his eldest daughter Caitlin started at Riverside in 2008 in year 7. His second daughter Tamsin has just completed her HSC exams. Greg became an active member of the P&C in 2011. And when Greg does things it is not by halves. Since 2011 Greg was elected: - President in 2012, 2013 and 2014 - Vice President in 2015 - Secretary in 2016 In addition to his P&C committee roles, Greg has supported Riverside by: - Organising P&C support and volunteering for Open Days, Orientation Days, School Productions and MECCA nights. - Being a member of staff and teacher selections panels

- Being a member of the Riverside Finance Committee - Attending Grounds working bees We would like to thank Greg for his leadership, energy and dedication to the Riverside Girls High School P&C especially over the last 6 years. Greg, please take this gift as a symbol of our appreciation for all you have done. We thank you. We will miss you. Please know our best wishes go with you and your family as you seek interests beyond the Riverside school gates. Also Simon Rushworth who was Vice President on the 2016 Committee will not be nominating for a role on the 2017 committee. Unlike Greg we will still see Simon from time to time at P&C meetings time permitting. It is work commitments that keep him from being active in the P&C at this time. I would also like to acknowledge Sally Morgan. Sally was active in the P&C until quite recently. Her daughter also graduates Year 12 this year. Sally has worked hard to support P&C events throughout her time at the school. She will be missed. In addition there are many other parents/carers of year 12 students that have contributed over the years as volunteers to P&C events, people whose names I do not know. To all of you we thank you for your support and wish you and your families a wonderful future. We trust you will look back on your days at Riverside with fondness and pride. I would like to thank the many parents and carers who have devoted many hours of their own personal time to organising and/or working at many of the P&C supported events during the past year. Our achievements this year include: - sausage sizzle at Open Day in February - Working Bee. Parents, members of the community, teachers and students worked to improve the look of the grounds before the year 12 graduation - 10 year master plan. The P&C has short-listed a number of landscape architectural firms and selected one capable of producing a wonderful new vision for the school grounds - creation of the new Fundraising Sub-committee - creation of the new Uniform Sub-committee In addition parents from the P&C have supported the school by being members of: - staff and teacher selections panels - the Riverside Finance Committee - year 12 graduation - presentation days A special thank you also needs to be conveyed to Sam Hamrosi who conceived the concept for and helped the school establish the inaugural Future You event. During the past year the P&C have provided funds for the support of many

educational activities and initiatives. These range from online and computer resources to sporting uniforms and lighting for the school hall. Rachel Dunne will detail these and other items in the treasurer s report. As president I have been fortunate to attend: - Innovation in Education Conference at UTS in October - Northern Sydney District P&C Association meetings The Innovation in Education Conference was a wonderful opportunity to see first hand how well regarded our school is within the education sector. Two of our students were invited to sit on a panel and discuss the topic How do students conceptualise creativity. While Belinda Kelly our principal was invited to be part of a panel discussing what best practice looks like in Entrepreneurial Education. This was a double honour for the school and clearly demonstrates the esteem our school is held in. It has also been an interesting experience to attend the Northern District P&C Association meetings. P&C committee members from primary and secondary schools attend these meetings as well as members from the Department of Education and politicians. The people I have spoken to at these forums have heard of the good work being done by Riverside and I have been heartened by the high regard in which our school is held. In closing I would like to say, I am indeed proud to have served during this past year as President of the P&C. I feel honoured to have contributed in some small way to our vibrant Riverside Girls High School communty. Yours Sincerely Christine Davis P&C President

Riverside Girls High School 2016 Annual General Meeting Treasurer s Report At the start of the financial year on 1 st November 2015, the P&C held $61,922.35 in the P&C s Westpac banking account. The year closed with $76,687.21 in this account with approved but unpaid expenditure of $38,341.20. Financial Year Income $48,347.80 was received and banked by the P&C. The majority of these funds were by way of the parents making voluntary contributions and these voluntary contributions amounted to a total of $45,736,25. The balance of income was derived from P&C fundraising, P&C membership fees and interest on the bank account. Financial Year Expenditure $33,643.62 in expenditure was carried out by the P&C during the Financial year. Of this authorized amount, $31,538.65 was transferred to the school to support a range of programs. Contributions of $1000 or more made by the P&C towards School expenditure 07/12/15 Volleyball Cup $1,000.00 16/02/16 New Piccolo $1,088.00 08/03/16 Language Perfect Licenses $4,000.00 09/03/16 Robotics Kits $11,561.00 09/03/16 Ottoman Furniture $5,858.00 11/3/16 Social Change Program $3,000.00 06/04/16 Band Instruments $1,000.00 24/6/16 World of Maths $1,075.80 Audit of P&C Accounts An audit for the financial year was performed by Greg Low in his role as independent auditor. This audit covered the period 19 th October 2015 to 30 th September 2016. The P&C appreciates the contribution that Greg has made in this regard. Oval Landscaping An amount of $20,000, which was approved on 1/10/15 as a contribution to the landscaping of the oval remains as an outstanding item in the P&C accounts. Riverside Girls High School P & C Association Audit Report for the period 20 October 2015 through 30 September 2016 Scope I have audited the accounts of Riverside Girls High School P&C for the period 20 October 2015 through 30 September 2016 including financial statements and supporting documentation. Details The audit conducted consisted of cross checking approved funding from the monthly meeting minutes with income and expenditure statements, bank statements and invoices. I had several queries which were all promptly explained by the Treasurer Rachel Dunne. The financial records were found to be well documented and in good order and the bank and Treasurer s statements accurately reflected the transactions for the period stated above. There was one funding anomaly detected where P&C reimbursed the school for the approved amount of $11561 for 2 robot kits but actually the invoices show it was purchased for $11271. From discussions with the Treasurer it seems this anomaly was because there were multiple funding requests and a time lag between the quotes and the order where the price had changed. There was also a summation error in one of the quotes from the supplier. There were a couple of minor typographical errors which were confirmed by the Treasurer but these did not impact the financial position. Financial statement attached to February 2016 minutes had $3,300 income listed as P&C Membership Fees but they were actually P&C Contributions. Financial statement attached to May 2016 minutes had one entry with a date of 2015 instead of 2016. I noticed that there were several items which had been approved but not yet paid e.g. digital keyboard, Sustainable House Kits, State Gymnastics student assistance. As discussed with the Treasurer the addition of an updated status list of approved items to the financial statement presented at monthly P&C meetings would assist in following up these items by bringing unclaimed items to the attention of the school. Such a list would also make it easier to audit the accounts. I understand this will be added to the monthly financial statements in 2017. Conclusion I have examined the accounts and records of Riverside Girls High School P&C for the period 20 October 2015 through 30 September 2016 and have found them to be a true and accurate account of the financial standing of that organisation.
