1. Call to order - supper head count-12 West Central District Athletic Association Fall Executive Meeting Wednesday, December 7, 2011 Rosetown Central High School 5:00 pm 2. Roll Call - Miles Bennett, Paula Berezowski, Jeff Sopczak, Kent Carlson, Lance Morrison, Darryl Elaschuk, Terry Orban, Terry Braman, Darren Gasper, Leah Anne Srigley, Becky Connor, Leia Hey and Lloyd Tulp. Business Arising from Minutes We need to remember to make a motion at the fall agenda to change the names of any personal to have signing authority at the bank. The motion should denote who is to have signing authority and who is to be removed. 6. Correspondence - coop at Jr. Boys Basketball (Biggar/Landis) 7. Reports 7.1 Financial Kent Carlson o moved the adoption of the report Leah Anne Srigley o Seconded by Lloyd Tulp / Carried 7.2 Officials Commission Lance Morrison o moved the adoption of the report by Lance Morrison o Seconded by Lloyd Tulp / Carried o Is it reasonable to ask teams to develop officials for the sports that are being played in their school? Discussion was that it is reasonable. It may be difficult sometimes but we always make sure we have a coach for our teams so now we should make sure we have officials for our sport teams as well. Schools that have officials who can be travelled come playoff time should hopefully expect to be looked after in return.

7.3 Fall Activity Reports 7.3.1 Cross Country Darryl Elaschuk motioned to change the bylaws so that the cross country district be changed to 9 days before Provincials rather than 10 so that it could be run on the a Thursday which is the same as all the season meets. Seconded by Darren Gasper / Carried Refer to Section 3 bylaws 7.3.2 Sr. Golf 7.3.3 Sand Golf No Districts Junior Golf No recommendations. There were 4 teams at Districts. 7.3.4 Jr. Girls Volleyball 7.3.5 Jr. Boys Volleyball 7.3.6 Congratulations to Provincial Medalists: BCS 2000 2A Cross Country Silver Outlook Sr. Girls Silver Medal 1A Soccer (sportsmanship banner) Loreburn Sr. Girls Gold Medal 1A Volleyball 7.4 Presidents Meeting Report Jeff Sopczak 7.4.1 Official $ from SHSAA cheques have been sent out for Football. Volleyball our being sent this week - if there are officials costs for curling, they are paid for at the Dist level and then submitted 7.4.2 MAP Grants discussion needed re: using funding for Official Development and Coaching Symposium (new business) 7.4.3 Women in Sport Conference June 8/9 - please start to identify candidates and get the date out there (be aware of conflicts) 7.4.4 Transfer Policy possible changes ineligible until process is completed - new kids coming to gr 10-12 intake procedure needs to ask why are you coming to the school? If sports is one of the reasons OR is possible not being able to play a sport may change the decision, parents/student needs to be aware

7.4.5 Remembrance Day no competitions on Nov 11 th unless on Sat (see guidelines) 7.4.6 Bid Process changes There now will be a set form that needs to completed. 7.4.7 Possible School Year Change affects on sports and seasons 7.4.8 Prov. Wrestling possible change re: officials 7.4.9 Possible Prov. Track Rotation 7.4.10 School Sport Canada (and Nike event) They want 26 athletes that will be outfitted with Nike gear and will participate in a track meet. This is for grade 10 through 12 students. Each student would be charged $650.00. The applications would need to be in by early January. 7.4.11 SVA/SHSAA discussions 7.4.12 Guidelines for sporting seasons As coaches we need to continue to make other coaches, parents, and students understand these guidelines and why they are in place. 7.4.13 Bids to Host 2012 (Due March 26, selected Apr 12) o vball (1A boys, 2A girls, 2A boys, 4A boys) o soccer (2A boys) 7.4.14 Prov. Hosting contact office if you want evaluation form summary 8. New Business 8.1 Junior Sports 8.1.1 Eligibility Forms Basketball and Curling are now due. Coaches please send in player list (birthdates are not required). The purpose of form is to help confirm that a team exists and this in turn helps create playoff draws as compared to when many schools indicate they have a team but then do not end up having one This is in the constitution under Article 8 of the financial and Section 4B of the Eligibility. 8.1.2 Hosting Duties section host? district host? section rep? clear process for what is expected of Section rep, Section host, District host, and is the Section rep the District Event Commissioner until the

final location is solved. There will be a list going out to Section Reps to do prior to Districts. 8.1.3 Jr Vball 8.1.3.1 date change Terry Orban Terry Braman makes a motion to change the volleyball date to the Saturday before Districts Seconded by Darren Gasper Motion Carried. 8.1.3.2 draw change adjusting draw so that the home section plays first vs closest section. 8.2 Winter Activities 8.2.1 Jr. District Basketball Boys West Girls - East 8.2.2 Sr. District Basketball Website SHSAA 8.2.3 Curling Junior Districts North? Biggar Leith Larson/Jessica Sunderland update rotation Terry Orban made a motion to change the junior district curling host site from Eston to Biggar this year, 2012, Biggar had been planning to host before we designed the new section format. Lloyd Tulp seconded. Motion carried. Junior Sectionals: email and discussion Senior Districts North Rosetown (Paula Berezowksi) -Regional hosting (Rosetown and Beechy implications) we can advance two teams to Regionals. We are also a regional host this year. In years that we host regionals should we allow the host to have bye into the regional and the district winner advances. If the host is the district champion then second place would also go. This would be the first time for this scenario in our district. My suggestion would be that it be the District Champion plus the host to ensure that the host is represented otherwise there is not much incentive to host. Leia Hey made a motion that if the host has a curling team their team and the District winner should advance to the Regional tournament. Note: if the host is the winner, the 2 nd place team shall also advance. Seconded by Miles Bennett

Motion carried. 8.2 Awards committee need to strike a committee Jeff Sopczak Miles Bennett, Lance Morrison, Lloyd Tulp, and Darryl Elaschuk Available Awards: o SHSAA Merit o SHSAA Service o West Central Service o Outstanding Coach o Outstanding Official Jeff will send a reminder to schools for them to inform their communities about these awards. Merit and Service award will be teachers but West Central Service, Outstanding Coach and Outstanding Official can be from the community. 8.3 Officials Pay Scale Resolution was considered that West Central officials rates should coincide with SHSAA. need for revamping of pay scale discussion today proposal for next meeting Note: Bylaws Article 7, officials mileage, needs to be corrected. 8.5 MAP Grants 8.5.1 Officials Development 8.6.2 Coaching Symposium Jeff suggests to shoulder tap some people either on staff or in the community to attend this either for coaching information, official clinics, or athletic training information. 8.6 Track and Field 8.7.1 May 25/26 North Miles Bennett 8.7 Other Football there is a concern that in a 1A league, when there was a tie the tie-breaking system, it did not seem fair. Rep was directed to clarify at next league meeting. Volleyball should towns be allowed to have a league team but also another tournament team that competes in playoffs? - Can sections combine to participate in a league? Badminton Section 11 Bylaws states that two teams from a four team section will advance to district playoff. A provincial format was suggested but it could not be hosted in a three court gym due to time constraints.

Terry Orban made the motion that we move the junior badminton District be moved to the west to help facilitate that the competition can be held on a four court gym this year. Districts will now be in Kindersley. Lloyd Tulp seconded. Motion carried. NOTE to all exec please look at possible playoff models for Badminton that could work in 3 court facilities. 9. If it was nine days, we could run the district meet on the same day as all of our prep meets, which is Thursday. It always causes a bit of confusion, as coaches sometimes assume it is on Thursday. Thanks very much for considering our request. Activity Name: Jr. Golf Districts Commissioner: Trevor Edgar Contest Place: Outlook Riverview Golf Club Contest Dates: September 20/11 No. of Teams: 34 players 40 School/Div: 35 boys/5 girls Schools- Davidson, Loreburn, Outlook, Dinsmore, Beechy, Elrose, Plenty, Kindersley, Rosetown Only schools to have teams- Loreburn, Dinsmore, Outlook, Eston Teams in playoff: District Champions- Individual Female- Taylor Stevenson (Loreburn) Individual Male- Keegan McBride (Kindersley) Team Champions- Loreburn Finacial Statement: Each student paid $17.00 for green fees to the golf course Recommendations: The day went really well. We had a facilitator with each group to help with the scoring and the correct rules of the game.

Total official cost = $439.50 Recommendations: It was a great day of volleyball. It is tough to make money at this event when the host is not playing in it, but overall it was a good experience. Our schedule ran a bit early only because the round robin games were determined in two sets. Leaving an hour for each game is perfect timing otherwise. Loreburn and Rosetown played 3 games in the final. Rosetown won. Scores were 25-8 Loreburn; 25-18 Rosetown; and 25-17 for Rosetown. Finacial Statement: Gate took in $161.00 Officials were Brent Larwood and Bob Akre. They both were paid 16.50/match totaling $ 132.00 each. Brent was also paid $55.80 for mileage 124km @.45. Total officials cost was $319.80 Recommendations: This is the first time I have been a Commissioner for Volleyball. I found the Officials pay form somewhat difficult to complete. I am waiting to hear from Lance Morrison on how to complete it. Hopefully I have completed this page correctly... please let me know if you need more information. It was a great day.
