Meeting called to order at 6:34 PM. Zoomer s Southwest Florida Running & Triathlon Club Minutes from the Meeting August 3, 2016 Present: Ed Gillen, Don Fialka, Dave Pierce, Stephanie Jimenez, Sherry LaBree, Pat Vasquez, Dug Stetter, Marti Stetter, and Tina Elkin. Guests: None Quorum was present. President s Report - Ed Gillen: - Thanks to the volunteers of the Firecracker 5K and the Wheels and Rings event Secretary s Report - Stephanie Powers: - June Minutes have been emailed. - No revisions. (Dug asked what race Sherry won it was the Veterans Race.) - June minutes approved by unanimous consent. Treasurer s Report - Sherry LaBree: - June Opening balance $23,513.66. Receipts $2,243.96. Expenses $2,464.91. Closing Balance $23,292.71. - July Opening balance $23,292.71. Receipts $1,591.94. Expenses $481.00. Closing Balance $24,403.65. - Treasury report will be filed. - Software for the treasurer Sherry will look into what programs are out there and report back. Membership & Marketing Director s Report - Marti Stetter: - Total w/families: 270 - New members: 28 - Renewals: 17 - Total Single: 71 - Total Family: 55, with family members 153 - Total Businesses: 14, with families 39 - Total Students: 7 - July Totals: 270, down 50 members

- Membership Report will be placed in the minutes. Vice President s Report - Pat Vasquez: - Early Elections Discussion Nominations are October, voting in November, person takes over the 1 st of the year. Ed encouraged the group to consider current members who might be good future leaders for our club. Might be good to reach out to them personally. Race Coordinator s Report - Ed Gillen: - Trick or Trot update Approximately 100 registrants. Jessica Oldfather is working with Ed, will be taking over next year. She is picking out the finisher medals. Sponsors are still coming in. Some sponsors from the past haven t come back but that isn t based on anything the club has done. If you need a sponsorship form let Ed know. Only negative thing so far is Ed is finding it difficult to get prizes but thinks he will work it out. Pat suggested contacting Allegiance and Frontier since they fly out of Punta Gorda. Sherry also said might have a contact at Jet Blue. Timing chips have been purchased and Ed already has the bibs. - Habitat for Humanity Turkey Trot We are timing that race. We have purchased 750 timing chips for those bibs and the contract has been signed for $3 per registered runner. So we make $2 per runner. - No Moe s Terrier Trot run this year. Ed was trying to get a replacement race but that hasn t worked out so far. Dug mentioned that Imagine School might be interested. Ed is going to take a look at the school and will continue the discussion. - Turkey Raffle Run Sunday before Thanksgiving. We have not reserved a spot yet. Ed will pay the $40 to reserve it and insure it. Webpage Director s Report - Vacant: - We have a new website! Thanks to Dug and Tina for loading the meat to the skeleton. Ed asked how we want to recognize Florida Compassion Foundation for all the work they did. Pat suggested a Facebook message. Dug pointed out that we gave them a full page

in the newsletter. Administrators for publishing to the website are Pat, Dug, and Tina. Ed has access to the events page only as a writer. - Discussion of calendar postings what do we as a group want on our calendar? Do we want only our events? Or events that are giving Zoomers discounts? Or do we want to put everything on there that is happening in our area. Dug stated that we want to give a benefit to the group that is giving us a discount. Group agreed with Dug. Dave asked if we are including the race series race on the calendar. Group agreed that we should. Long term goal is that race series races should give a Zoomers discount. COMMITTEE REPORTS Race Series Adult Committee Report - Tina Elkins: - Update on Race Series through July any issues? Tina reported there are only 6 races left. Race Committee will look at the awards. - Update on Tri Series Pat reported there are no issues. Not much participation but it is the first year. Race Series Kids Committee Report - Dug/Marti: - Bowling/awards event Dug reported that bowling event was awesome. Bowling Budget Report - Expenses $531.85 (Engraved plates $71.59, Suncoast donated the medals, Gift cards $165, Bowling party $295.26). The budget was $380.00. Income was $81.85. - New Kids Series for the upcoming year 19 kids signed up so far. Dug reported might be taken Remember the Fallen off. There are 14 races, has been given to Tina for the newsletter. Special Event Committee Report - Tina Elkins: - Stone Crabs game August 20 (Ed for Roxanne) 20 people are signed up. Last year we had 34. Roxanne sent out a reminder today and Ed might send out another email reminder to all Zoomers.

Unfinished Business: - Youth Fun Run Series Report Dug reported it was a good series. Kids Race Series Budget Report - Total Expenses $797.74, Total Income $769.26, Total Cost $28.48. There were 211 kids total, an increase from last year. Active Suncoast paid for 74 members. Thanks to Marti for her work with the kids. Good team effort from everyone who helped. - Zoomers tent We have it and it looks great! Pat said the next tri is Venice and Pat will not be here so if someone is going to go they could take the tent. - USATF Membership (Pat)- Pat reported that Ed got him a few numbers and he has tried them but has not been able to get through to anyone. Sarasota Storm is thinking of doing a southern division. Do we want to consider joining up with them? Pat stated that might detract from Zoomers too much. Karen Haynes had mentioned it since they are already a USAT Insured. Don pointed out the benefit is the insurance. Ed reminded the group that the idea is to be more inclusive to tri members and to be able to do insured Zoomers bike rides and swims. Don stated that he thinks it is at least worth talking with Storm about it. Group discussed the possibility of increasing the cost of membership to offset the cost of USATF. Tina and Sherry suggested that there be an option to opt into Tri activities and those people interested in multi sport events will pay more. Sherry asked if Pat could call and get a quote for a smaller amount. - Tarpon Masters Swim Update (Pat) not continuing with this discussion. - Spin class on hold until fall. - Zoomers Pub Runs Dug reported they are happening although last Monday was rained out. July 25 th was the first one 7-8 people. Seemed like more interest in last Monday but it poured. This Monday they are closed for remodeling. Considering Beef O Brady s in North Port or keeping it in Punta Gorda and ending at Scotty s Brew House in Fisherman s Village. Group consensus was Scotty s. - Zoomers Visors (Tina) - $20 for a visor adjustable and non adjustable are available. Tina suggested whoever has the tent can let her know and they can sell visors under the tent. Ed stated that on Run Sign up you can place merchandise for sale and we should consider doing that.

- Zoomers Boat Race This was included in the newsletter. Deadline for money is August 15 th. Ed will follow up with Martha. Zoomers is paying for half of the entry fee. - Shoe Collection for Alternative Academy process for shoe drop off. Ed reported he has not followed up. Tina reported she has done things here and there with her but there might be a collection bin at Trick or Trot. New Business: - Tina announced that she is moving to Palm Coast on December 2nd. So she is looking for someone to take over the newsletters, events and Kids Series. Roxanne is going to take over events. - Packet Pick up for Trick or Trot will be on October 18 th at 6PM at Tina s house. - Dug and Marti gave up their key to the Murdock PO Box. Returned it to Ed. Meeting Adjourned at 8:03 PM. Next Meeting September 7, 2016 @ 6:30 PM, dinner at TBD.
