John McEachern High School Regina Montgomery, Principal Class of 2013 Commencement Information and Schedule of Activities Commencement: Friday, May 24, 2013, 9:00 A.M. Cantrell Stadium McEachern High School Seniors and their parents should read all information in this packet carefully. Seniors are responsible for knowing and following all directions and schedules in this packet. Enclosed is a senior contract on a blue paper that must be signed by both you and your parents and turned into Mr. Lockhart s office in Sr. Building by April 26, 2013 in order to participate in the Commencement ceremony. PARTICIPATION IN THE COMMENCEMENT CEREMONY IS A PRIVILEGE, NOT A RIGHT. STUDENTS MUST MEET ALL EXPECTATIONS AND REQUIREMENTS IN ORDER TO PARTICIPATE. Graduates will report to Trinity Chapel on Macland Road for student parking and drop off. You will not be able to park on campus for this event. Shuttle buses will run from the church to school beginning at 6:45 A.M. Every senior must be in the Lovinggood Gym and in their seats by 7:30 A.M. on the day of graduation. As guests at Trinity Chapel, we ask that you keep the parking lot clean! Gates at Cantrell Stadium will open for family and friends at 8:15 A.M. We ask the cooperation of all who attend the commencement ceremony to help make it the dignified ceremony it is meant to be. Commencement is dignified solemn ceremony for graduating seniors and their families and guests. Possession of any disruptive objects or disruptive behavior may lead to immediate removal from the ceremony. Please refrain from any inappropriate noises that will detract from the dignity of the ceremony. Since this ceremony is an official function of McEachern High School, all Cobb County School District and McEachern High School policies, rules, and regulations are in effect. General Information Seniors must meet all requirements for graduation before the diploma will be granted. All required courses must be successfully completed by Tuesday, May 21, at 4 P.M. or the student will not graduate with this class. All financial obligations, including payment for lost textbooks, parking fines, etc. must be cleared before final grades can be given and before the senior will be allowed to participate in Commencement practice on Wednesday, May 22. Letters will be given to students during their advisement on April 17, 2013 and mailed home to their parents on May 10, 2013 to those students who may have outstanding debts.

Tickets Allocation for Graduation Students will receive 15 tickets per graduate to be used for the Stadium ceremony ONLY. Students will receive 4 tickets per graduate to use for the Lovinggood Gym ceremony ONLY in the event of inclement weather. Tickets will be distributed at the Thursday May 23 commencement practice. There are NO extra tickets available. A reminder that everyone entering the stadium must have a ticket. This includes small children and babies. Special Needs Seating There will be limited space available for ticketed guests that require special seating. There will be space available for one special needs guest and one additional guest to sit in this area. Special needs seating tickets must be accompanied by a regular ticket to enter the stadium. Tickets will be collected at the North Gate, the South Gate, and the gate to the stadium behind the gym. The stadium tickets will be a different color from the gate tickets. In the event we have to move to the gym because of weather, only the Lovinggood Gym tickets will be accepted. Please contact Mr. Lockhart in advance of the graduation ceremony if Special Needs seating is required. Please be mindful that this section is limited therefore on the day of the ceremony please arrive early in order to be seated in this section. Honor Graduates Minimum of 3.500 cumulative GPA (not rounded off) will receive their honor cords at the May 23 commencement practice. Please do not go by the Counselors Office to check on your grades. You will be contacted by your counselors if there are any problems with your grades. Final report cards will be delivered with the diploma after Commencement. You will need to request a final transcript for your college. Final transcripts are NOT mailed automatically; you must request that one be sent. This may be done any time beginning May 1. If attending a Georgia College/ University, you may request a transcript via www.gacollege 411.org. Attached are the directions on how to send your transcript to a Georgia College/University. Transcripts cost $2.00 each. A transcript request form is included in this packet. Extra transcript forms may be located either in BT Office or in Sr. Office. REHEARSAL AND CEREMONY BEHAVIOR All policies, rules and regulations of the school will be enforced especially dress code. Students must remain properly dressed throughout the ceremony and are expected to follow directions explained during rehearsal or they will be excluded from the ceremony. Possession of any disruptive objects may lead to immediate removal from the ceremony. Students must arrive on time; follow directions and cooperate fully during the rehearsal and the ceremony. Disruptive students will remove and not allowed to participate in the ceremony. COMMENCEMNET PRACTICES ATTENDANCE AT THE COMMENCEMENT PRACTICES IS A MANDORY PREREQUISTE FOR PARTICIPATION IN THE COMMENCEMENT CEREMONY. Students must be on time for practices and will not be admitted late. Cobb County School System policies and McEachern High School policies, rules and regulations (including the dress code are in effect at all commencement practices and at the ceremony itself. Students must have met all financial obligations prior to practice. Practice dates and times are listed below. Wednesday, May 22, 2013, 8:30 A.M. 11:00 A.M. in the Lovinggood Gym at McEachern High School Thursday, May 23, 2013, 8:30 A.M. 11:00 A.M. in the Lovinggood Gym at McEachern High School Seniors should park in regular assigned spaces. Seniors with no assigned space should park in the N Lot. Seniors must be inside the gym and seated by 8:30 A.M. We will not admit or wait for students who are late. The dress code will be in effect for practice. BOTH PRACTICE ARE MANDATORY. Tickets to the Commencement Ceremony will be distributed at the conclusion of practice on Thursday, May 23, 2013. COMMENCEMENT CAPS, GOWNS, and ANNOUNCEMENTS Re-delivery of graduation products is scheduled for May 2 in the Lovinggood Gym during all lunches. If you are absent on the delivery day, go by the Sr. Office to collect your products. If you have questions concerning these items, call Herff-Jones office at (770) 795-1626 or email them at info@herffatlanta.com. Each student should have a gown and a matching mortarboard and tassel if they chose to participate in the ceremony. SENIOR DRESS Every graduate must wear the correct McEachern robe and may only adorn the robe with the cords or stoles that have been officially bestowed on them from the school. Caps and gowns must be worn be graduating seniors. Before Commencement, please iron your gown using a low setting. Please do not hem the Commencement gowns.

Ladies should wear light colored dresses and either white or cream comfortable dress shoes. You will climb stairs and walk across the stage in front of your families and classmates. No tumbling!!! The dress may not hang below the gown. Guys should wear dark pants, dress shoes and dark socks, and a white collared shirt with a tie. Mortarboards are to be placed on the top of the head so that the mortarboard is flat on top. Bobby pins are suggested to hold the hat in place. Tassels are to be placed on the LEFT side of the mortarboard during the ceremony. Only those in proper attire will be allowed in the processional. Flowers and large pieces of jewelry are SLIPPERS, DECORATIONS OR ADORNMENTS ON CAPS OR GOWNS. You will not participate in the ceremony if you are not dressed appropriately! COMMENCEMENT PHOTOS AND DVD We have arranged for LifeTouch Studios to take an individual photograph of each graduate as they receive their diploma. LifeTouch will mail each graduate a proof of this diploma photo and ordering information. You can also log in at mygradphotos.com to preview the photographs and make selections. Video from your Graduation Ceremony, Senior Assembly and Senior Supper will be available for purchase. You may order by going to memorymakervideo@gmail.com or call 770) 654-2219. McEachern High School has made these opportunities available to you so you may have a picture and video, but parents and seniors must deal directly with LifeTouch and/or MemoryMakerVideo. To our guests, only hand-held cameras that do not block the view of other guests may be used. No one will be allowed to set up cameras with tripods to video the ceremony. McEachern High School Cobb County School District Regina Montgomery, Principal Class of 2013 Graduation Contract The Graduation Ceremony is a dignified ceremony to honor the Senior Class. Participation in the graduation ceremony is optional, and in order to participate, students must follow guidelines. Please read the following information, and if the student wishes to participate in the graduation ceremony, please print both the student and parent name and sign at the bottom of this page, and return it to Mr. Lockhart in the Sr. Office by April 26, 2013. In order to participate in the graduation ceremony at McEachern High School the following requirements must be met: 1. The student will adhere to all attendance requirements for practices and the ceremony. This includes arriving promptly and remaining throughout the entirety of the activities. 2. All financial obligations must be cleared prior to graduation practices and the graduation ceremony. This includes, but is not limited to, payment for lost textbooks, Media Center fines, parking fines and uniform or equipment from an extra-curricular activity. 3. Any disruptive behavior will result in the immediate removal of that person from the ceremony. This would include anything distracting from the dignity of the ceremony (See Rehearsal and Ceremony Behavior Section). 4. Students will follow the dress guidelines for all practices and the ceremony, or they will not be allowed to participate in the graduation ceremony. Students must remain properly dressed throughout the ceremony. 5. Students serving or having any outstanding detention, Out of School Suspension, In-School Suspension or Saturday School will not be allowed to participate in the graduation ceremony. 6. Any student exhibiting inappropriate behavior during the ceremony will not receive a diploma at the time but will instead be required to report to the principal s office on May 28, 2013. 7. Each student and parent has read and understands the information provided in the Graduation Information and Scheduled Activities Handout. TRANSCRIPT REQUEST Transcript(s) will be ready in 48 hours with a $2.00 charge required for each transcript. If someone else is picking up the transcript for you, they must have a notarized letter from you with their name on it that states that you are giving them permission to pick up your transcript(s) for you.
