3 Preparing your CPD portfolio Copyright BBTS The HPC requires healthcare scientists to maintain a continuous, up-to-date and accurate record of their CPD activities. The BBTS has prepared this guide to help its members to assemble and continuously update a record or portfolio that will support the Health Professions Council (HPC) mandatory requirements. Full details of the registration requirements are found on the HPC website and it is strongly recommended that members take time to regularly familiarise themselves with the advice and documents located on this site. However, the guide below and attached documents provide a simple introduction to how a portfolio should be set up and maintained. If a registrant is called for a HPC audit, then they will have to submit to the HPC a profile that sets out: 1. A summary description of their role and the type of work they do; 2. A personal statement setting out how the first four HPC CPD standards are met, with particular emphasis on the third and fourth standards; 3. A summary of all the supporting documents that have been sent with the profile. The HPC requires all of these three elements in the profile to have been satisfactorily completed. If not, the HPC will require a revised submission, and ultimately could remove the registrant from the register. Example profiles will be found on

4 The HPC standards The five standards are listed below, and against each one we have attached a number of actions recommended by the BBTS that will both support the portfolio and will make the submission process more straightforward if the registrant is called for audit. It is important to note the difference between activities, and types of activities (called activity types below for brevity). Refer to the Portfolio Section 1 - Checklist for examples. Standard 1 Standard A registrant must maintain a continuous, up-to-date and accurate record of their CPD activities BBTS recommendations 1. Complete Section 1 of the BBTS Portfolio on an annual basis, or whenever you change your job. Attach a copy of your Knowledge and Skills Framework (KSF) personal development plan if you think that this would be helpful. 2. Make additions to the BBTS Portfolio Section 2 on an ongoing regular basis. Refer to Portfolio Section 1 Checklist of this document for an aide-memoire of the kinds of activities that could be included (the list is not exhaustive). Add documentation evidence to support the entry, e.g. abstract, minutes of meeting, conference attendance certificate, reflective notes as it may be difficult to locate these at a later date. 3. Wherever possible, make additions to your portfolio during or immediately following the activity recorded. We recommend that at least one substantial entry should be made each month in your portfolio. 4. Unless your request otherwise, the BBTS will send you prompt s on a regular basis to remind you about completing your portfolio. Don t ignore them! 5. Send a copy of your Contents Sheet (Form 02) to the BBTS office when requested. This will encourage you to maintain a balanced portfolio annually.

5 Standard 2 Standard A registrant must demonstrate that their CPD activities are a mixture of learning activities relevant to current or future practice BBTS recommendations 1. Look at the five types of activity listed in Portfolio Section 1 - Checklist. Aim to record activities of each type in your portfolio. The minimum number of activity types that you must normally submit if requested is three, although two may be acceptable if you explain why and you can show that all activities are relevant to your current practice. Note that, for example, attending a conference and undertaking an accredited course do not count as two different activity types. 2. Update the Contents Sheet provided in your portfolio for every activity added to Section 2 of your portfolio. This will make compiling a profile much easier. 3. Record a tick in the checklist (also in your portfolio) whenever you complete a different activity in your portfolio, this will provide you with a visual guide to whether you are undertaking a mixture of learning activities as required by the standards. Start a new checklist every year. Standards 3 and 4 Standard A registrant must seek to ensure that their CPD has contributed to the quality of their practice and service delivery. A registrant must seek to ensure that their CPD benefits the service user. BBTS recommendations 1. Read the examples of the profiles on the HPC website to get a feel for the way in which the personal statement should be set out, and the evidence required, should the HPC request that you submit your profile. 2. It is insufficient to just list activities (e.g. conference attendances, or aspects of your job) in your profile if requested, so ensure that your entries include a description of how benefits to practice, service delivery and service user have been achieved. 3. Remember that reflective writing is a powerful tool in providing evidence to the HPC about these benefits. Again looking at the checklist in Portfolio Section 1, ensure that you include in your portfolio at least three pieces of reflective writing each year. This is important evidence in profiles submitted to the HPC, and it is essential that you undertake reflective work while an activity is fresh in your mind. Aim for at least one piece of reflective writing each year for each activity type that you are recording. If you are recently registered and/or newly employed, reflective writing is likely to contribute to a greater proportion of your portfolio. 4. Look at Appendix 1 and see whether any of these phrases are relevant to your activities. Use them as prompts to describe, in your own words, benefits to practice, service delivery and service user.

6 Standard 5 Standard A registrant must present a written profile containing evidence of their CPD upon request. BBTS recommendations 1. Check out the HPC website at and 2. Unlike standard scientific practice, always write your profile in the first person, e.g. I participate in a wide range of activities, attending this course gave me an understanding, and so on. 3. If a profile is requested by the HPC, use your checklist and contents page to pick out about 6 12 activities in your portfolio, with examples from each activity type that you have listed. Ensure that you have some documented evidence that you can copy and send to the HPC to show them that you have undertaken this activity. Include suitable comments in your statement, against standards 3 and 4, to indicate how these activities have contributed to practice, service delivery and service user benefits. 4. Look at Appendix 1 and see whether any of these phrases are relevant to your activities. Use them as prompts to describe in your portfolio, in your own words, benefits to practice, service delivery and service user. The BBTS also recommends: You discuss with your manager, preferably on a regular basis, how you are meeting your CPD, and whether you feel that your personal development plan needs to be expanded. Remember that CPD is your responsibility, not your manager s. Most activities that will qualify for HPC CPD will normally feature in your everyday job.
