3 1 About This Guide The, Master Code Holder s Edition, provides step-by-step instructions to help you learn and use ConnectED efficiently. 1.1 Terms See the Glossary for a list of key terms and definitions. 1.2 Conventions This Guide uses certain conventions uniformly to provide clarity and ease of use Typography Keywords and names of buttons, links, icons, pages and windows are capitalized and appear in boldface type, for example: 1. the Schedule icon Keywords appear in the Index and Glossary Actions Most actions you take are as simple as: 1. Click 2. Enter 3. Select Use your computer s mouse to hover, point, and click on ConnectED screens as you would any Web page Icons Icons (simple images) provide easy navigation and appear on ConnectED screens and throughout this text Screen Location When appropriate, instructions indicate where to look on the screen, for example: 1. Click the Create a New Account button at the lower left. 3

4 1.2.5 Pages, Windows, and Tabs ConnectED displays information in Web pages, browser windows, and browser tabs. In each instance, ConnectED and this Guide name each ConnectED page so that you will always know where you are in the system. Page names are capitalized and appear in boldface type, for example: ConnectED displays the Login page. At times, settings in your local browser may determine whether certain information displays in a new browser window or tab. Digital versions of your Licensed ConnectED Content always display in a separate window Steps Working in ConnectED may require taking a series of steps. Follow all steps in order to complete a process. Sequential steps are numbered, for example: 1. Click the Calendar icon. 2. Single steps are unnumbered and indicated by a square bullet, for example: Click on the Title or Cover Image of the desired item Sometimes you can choose what you want to do. Alternative steps are separated by OR, for example: OR Click the Left Arrow or Right Arrow buttons to go back or forward one week, respectively (one week per click). 1. Click the Calendar icon Best Practices Best practices highlight suggested workflows or other actions intended to optimize your use of ConnectED, for example: Best Practice! 6 2 Overview As a Master Code Holder, you have a key role enabling and managing Teacher and Student access to McGraw-Hill Resources through your ConnectED Account. 2.1 Key Concepts ConnectED is a comprehensive, Web-hosted teaching and learning management system for Master Code Holders, Teachers, and Students. Using ConnectED, Teachers and Students access and use ConnectED Content, which includes your Licensed Materials, typically textbooks, and thousands of Additional Materials that supplement teaching and learning. As Master Code Holder, you help enable and manage Teacher and Student access to your ConnectED Content (see workflow overview in Figure 2.1). Figure 2.1 Typical Workflow 6

7 Each item purchased from McGraw-Hill is identified by a unique ISBN (International Standard Book Number) and a Master Code created specifically for your Account. Your Master Codes have related License Terms that include, for each title, (1) the total number of users and (2) the period of use, such as one to five years. When you receive your Master Codes from McGraw-Hill, you must activate them by setting the License Start Date. You then distribute the Master Code(s) to each Teacher who will be using the related title(s). Teachers then redeem their Master Code(s), which provides access to the item(s), and reserve a number of Redemption Codes, one for each Student who will use a particular title. Teachers distribute Redemption Code(s) to Students. Students use a Redemption Code to add an item to their online ConnectED mybookbag. 3 Getting Started Make sure you have the following before you get started: Your Master Code Holder Username and Password provided to you by McGraw-Hill Internet access 3.1 Logging In Use your Master Code Holder Username and Password to Log In to ConnectED. 1. In your Web browser, enter ConnectED displays the Login page. 2. Enter your Username and Password and click the Login button. ConnectED displays the Set Password form (first login only) (Figure 3.1). 3. Complete the Set Password form and click the Set Password button at the lower right. a. Confirm your User Information (masked in this example). Correct if necessary. b. Change your Password. Enter a new Password; re-enter to confirm. c. Select a Challenge Question from the drop-down list and provide your Personal Answer. You will use these in case you forget your Password. NOTE: Be sure to write down your Challenge Question and Personal Answer and keep them in a safe place in case you forget your Password. ConnectED displays the Password Change Successful message (Figure 3.2). 7

9 Figure 3.3 My Home Page Highlighting Master Code Holder Access 4 Accessing Master Code Holder Functions From the ConnectED Dashboard: Click the Manage New Licenses and Teachers link at the upper right (see Figure 3.3, above). ConnectED displays the Master Code Holder myhome page (Figure 4.1). Figure 4.1 Master Code Holder myhome Page NOTE: Unless otherwise specified, all instructions in the following sections of this Guide begin from the Master Code Holder myhome page. 9

10 5 Managing Master Codes You must set the License Start Date for each new Master Code. You can view your Master Codes and related information at any time. 5.1 To Set License Start Dates Each of your new ConnectED Content Licenses has an automatically assigned Start Date and a contractual License Term (for example, 365 days). You must first confirm or set the actual License Start Date. The License Start Date is date when Master Codes become active (date of first access). On or after the License Start Date, Teachers can Redeem Master Codes, create Redemption Coupons, and view their ConnectED Content. NOTE: After you set the License Start Date, ConnectED automatically adjusts the License End Date based on the contractual License Term. This preserves the entire length of the License Term regardless of the selected License Start Date. From the ConnectED Master Card Holder myhome page: 1. Look for Purchases Requiring Licenses Start Date Confirmation (Figure 5.1). 2. Click the Confirm Start Date(s) link in the Action column to the right. 11 Figure 5.2 Set Start Dates Dialogue Box 4. In the License Start Date column, enter the desired License Start Date for each item. NOTE: You must set the License Start Date for all line items (titles) included in a Purchase Order before you can distribute and redeem Master Codes. Individual line items may have different License Start Dates. For example, a Teacher Edition and a Student Edition of the same title may have different License Start Dates. CAUTION! You cannot change the License Start Date after you save your changes. Double-check your work before saving. 5. Click the Save button at the lower right. ConnectED sets the new License Start Dates. You are now ready to view and distribute Master Codes to Teachers for Redemption. 5.2 To View Master Codes From the Master Code Holder myhome page: 1. Click the Manage Master Code tab on the Navigation bar. ConnectED displays the Manage Master Codes page (Figure 5.3 and Table 5.1). 11

13 Master Codes for distribution to, and Redemption by, Teachers appear in the Master Access Code column (masked in this example). Teachers can redeem Master Code(s) on or after the License Start Date. NOTE: The sum of all Licenses Reserved by Teachers cannot exceed the total number of Licenses Ordered. Best Practice! To each Teacher, distribute (1) the Master Code(s) for all items to be redeemed, and, for each item, indicate (2) the total number to be reserved by that Teacher for all classes, and (3) related License Start Date(s). Caution! Teachers should take care not to Reserve more Licenses than needed to avoid exhausting the total pool of available Licenses. Teachers can add or subtract items if Class size changes over time, subject to the number of available Licenses Viewing Active Redemption Codes From the Manage Master Codes page (Figure 5.3, above): Click the View List link in the Active Redemption Codes Count column on the right. ConnectED displays the Redemption Code List (Figure 5.4). Figure 5.4 Redemption Code List The sample Redemption Code List (Figure 5.4, above) shows three common scenarios: Line 1 Line 2 Line 3 One Redemption Code has been Reserved but not yet Redeemed and remains Available. One Redemption Code has been Reserved and Redeemed and is no longer Available. No Redemption Code has yet been Reserved and is not yet Available. 13

14 6 Managing Teachers and Students You can perform the following administrative functions to manage your ConnectED Account. Confirm a Teacher Address (section 6.1) View and edit a Teacher Profile (section 6.3) View Teacher Status History (section 6.4) Take Back Materials (section 6.5) View a List of Students (section 6.6) o Edit a Student Profile (section 6.6.2) o View a Student s Redeemed Codes (section 6.6.3) o Take Back Materials from a Student (section 6.6.4) o Remove Student from Account (section 6.6.5) Transfer Redemption Code to another Teacher (section 6.7.1) Cancel Redemption Codes and Take Back All Materials (section 6.7.2) Remove Teacher from Account (section 6.7.3) 6.1 Confirming a Teacher Address To complete the ConnectED Registration process, Teachers must Confirm their addresses. If, for any reason, a Teacher cannot or does not Confirm an address, you can Confirm the address and complete the Teacher Registration To Confirm a Teacher Address On the Master Code Holder myhome page, ConnectED displays the notice: There are [n] teachers with unconfirmed addresses. (Figure 6.1) 1. Click where indicated to view a list of Teachers with unconfirmed addresses. ConnectED displays the Confirm Teacher Addresses dialogue box (Figure 6.2). 15 Figure 6.2 Confirm Teacher Address 2. Click the Confirm link in the Action column at the right. ConnectED displays the Confirm dialogue box (Figure 6.3). CAUTION! Rejecting the address will prevent the user from Registering with ConnectED in the future. Only reject an address after you are sure that the Confirmation Request is invalid. 3. Figure 6.5 Status Approved 6.2 Accessing the Teacher Management Center Use the Teacher Management Center to access the following Teacher Management functions: Manage Teacher Profile (section 6.3) View Teacher Status (section 6.4) Take Back Teacher Materials (section 6.5) View Teacher s Student List (section 6.6) Revoke Teacher and Student Access (section 6.7) Remove a Teacher from your Account (section 6.7) 16

17 6.2.1 To Access the Teacher Management Center On the Master Code Holder myhome page: 1. Click the Manage Teachers tab on the Navigation bar. ConnectED displays the Teacher Management Center (Figure 6.6). Figure 6.6 Teacher Management Center OR 2. Identify the Teacher Account to manage and click the Radio button to the left. Enter a name in the Search fields and click the Find button to the right, and then identify the Teacher Account to manage and click the Radio button to the left. ConnectED activates the following Teacher Management functions on the Action bar: Teacher Profile (section 6.3) Teacher Status (section 6.4) Take Back Materials (section 6.5) Student List (section 6.6) Revoke Access (section 6.7) 17

18 6.3 Managing Teacher Profiles You can manage a Teacher Profile to view or edit the following: Name address Password Security Question and Personal Answer To View and Edit a Teacher Profile From the Teacher Management Center: 1. Select a Teacher Account and then click the Teacher Profile button on the Action bar. ConnectED displays the Modify Teacher Information dialogue box (Figure 6.7). Figure 6.7 Modify Teacher Information 2. Edit desired information. OR Check Change Password or Change Security Question. ConnectED expands the Modify Teacher Information dialogue box (Figure 6.8). 3. Click the Change button at the lower right to save changes. 18

19 Figure 6.8 Modify Teacher Information, Expanded 6.4 Viewing Teacher Status History You can view a history of a Teacher s Account Status at any time To View Teacher Status History From the Teacher Management Center: Select a Teacher Account and then click the Teacher Status button on the Action bar. ConnectED displays the Status History report for the selected Teacher (Figure 6.9). Figure 6.9 Status History Report 19

20 6.5 Taking Back Teacher Materials You can remove Teacher Licensed Materials from a Teacher at any time. NOTE: This action removes the Teacher s Edition only. To remove access from a single Student, see section 6.6.4; to remove access from all Students and the Teacher, see section To Take Back Teacher Materials From the Teacher Management Center: 1. Select a Teacher Account and then click the Take Back Materials button on the Action bar. ConnectED displays the Remove Teacher Licensed Materials dialogue box (Figure 6.10). 2. Select the Material(s) (book titles) to Remove. 3. Click the Take Back Materials button at the lower left. ConnectED removes the selected Materials from the Teacher s Account. 21 6.6 Viewing a List of Students For a selected Teacher, you can view a list of Students and then perform the following administrative functions: View and edit a Student Profile (section 6.6.2) View Redemption Code Detail (section 6.6.3) Take Back Student Materials (section 6.6.4) Remove a Student from Account (section 6.6.5) To View List of Students From the Teacher Management Center: 1. Select a Teacher Account and then click the Student List button on the Action bar. ConnectED displays the Student Management Center (Figure 6.11). Best Practice! Review the Teacher and Account information to ensure that you are managing the correct Account. Figure 6.11 Student Management Center OR 2. Identify the Student Account to manage and click the Radio button to the left. Enter a name in the Search fields and click the Find button to the right, and then identify the Student Account to manage and click the Radio button to the left. 21

22 ConnectED activates the following Student Management functions on the Action bar: Student Profile Redeem Code Detail Remove from Account To Edit a Student Profile From the Student Management Center: OR 1. Identify the Student Account to manage and click the Radio button to the left. Enter a name in the Search fields and click the Find button to the right, and then identify the Student Account to manage and click the Radio button to the left. 2. Click the Student Profile button on the Action bar. ConnectED displays the Manage Student Profile dialogue box (Figure 6.12). Figure 6.12 Manage Student Profile OR 3. Edit the Profile as needed and click the Save button at the lower right. ConnectED displays the Student Profile Update notice (Figure 6.13). Click the View Password History (Figure 6.14) or View Student Status (Figure 6.15) link. 22

24 Best Practice! If you change a Student s Password, click the Print icon to print this report. It will not display again To View a Student s Redeemed Codes From the Student Management Center: OR 1. Identify the Student Account to manage and click the Radio button to the left. Enter a name in the Search fields and click the Find button to the right, and then identify the Student Account to manage and click the Radio button to the left. 2. Click the Redeem Code Detail button on the Action bar. ConnectED displays the Student View: Active Redemption Codes list (Figure 6.16). Identify the Student Account to manage and click the Radio button to the left. Enter a name in the Search fields and click the Find button to the right, and then identify the Student Account to manage and click the Radio button to the left. 2. Click the Redeem Code Detail button on the Action bar. ConnectED displays the Student View: Active Redemption Codes list (Figure 6.16, above). 3. Click the Take Back Materials link on the right. ConnectED displays the Confirm dialogue box (Figure 6.17). 24

Take Back Student Materials before removing Student from Account (see section 6.6.4). From the Student Management Center: OR 1. Identify the Student Account to manage and click the Radio button to the left. Enter a name in the Search fields and click the Find button to the right, and then identify the Student Account to manage and click the Radio button to the left. 2. Click the Yes button to remove selected Student from your Account. 25

26 6.7 Revoke Teacher and Student Access You can mange Teacher and Student access to Materials by Transferring Redemption Code(s) to another Teacher in your School or District Revoking Redemption Code(s) Removing a Teacher from your Account Caution! Before removing a Teacher from your Account, first Cancel Code(s) and Take Back Materials OR Transfer Redemption Code(s) to another Teacher To Transfer Redemption Code(s) to another Teacher From the Teacher Management Center: 1. Select a Teacher Account and then click the Revoke Access button on the Action bar. ConnectED displays the Remove Teacher/Reassign Redemption Code page (Figure 6.19). 27 Best Practice! Carefully review the Teacher Detail to ensure that you have selected the correct Teacher. 2. Select the item(s) to transfer (toggle check-mark on or off). To find the Teacher to whom you are transferring the materials. 3. Enter the Teacher s name in the Teacher Search fields and click the Search button at the lower right. ConnectED displays search results in the drop-down list (the Down arrow activates when search results appear). 4. From the search results drop-down list, select the Teacher to whom you are transferring the materials. ConnectED activates the Transfer to Selected Teacher button. 5. Click the Transfer to Selected Teacher button on the right. ConnectED transfers the Redemption Code(s) for the selected Material(s) to the selected Teacher. NOTE: (1) Student access to the selected Material is unaffected. (2) The item(s) now appear(s) in the selected Teacher s mybookbag To Cancel Code(s) and Take Back All Materials You can cancel Redemption Code(s) and Take Back Material(s) at any time. This action removes Student and Teacher access to the material(s) and returns the Redemption Code(s) to the School s or District s pool of Unreserved Codes. From the Teacher Management Center: 1. Select a Teacher Account and then click the Revoke Access button on the Action bar. ConnectED displays the Remove Teacher/Reassign Redemption Code dialogue box (Figure 6.19, above). Best Practice! Carefully review the Teacher Detail to ensure that you have selected the correct Teacher. 2. Select the item(s) to Take Back (toggle check-mark on or off). 3. Click the Cancel Codes and Take Back Materials button at the lower right. ConnectED removes Student and Teacher access to the selected Material(s) and returns the Redemption Code(s) to the School s or District s pool of Unreserved Codes. NOTE: Teachers may now Reserve these codes and distribute them to Students for Redemption. 27

28 6.7.3 To Remove a Teacher from Your Account Best Practice! Carefully review the Teacher Detail to ensure that you have selected the correct Teacher. First Revoke Redemption Codes (section 6.7.2) or Reassign Redemption Codes to another Teacher (section 6.7.1) before attempting to Remove Teacher (Figure 20). ConnectED displays the Remove Teacher/Reassign Redemption Code dialogue box (Figure 6.20, above). 2. Click the Remove Teacher button at the lower left. ConnectED displays a Confirm dialogue box. 3. Click the Yes button. ConnectED removes the selected Teacher. 28

31 Lesson Materials Taken as a whole, all Resources associated with a Teaching Day, including Suggested Lesson Materials and Additional Materials License Agreement Login (v) Master Code A statement of terms and conditions governing the access and used of your ConnectED Content; presented when you Redeem a Master Code To sign on to ConnectED by entering your Username and Password A string of 16-alphanumeric characters formatted as follows: [4 characters]-[4 characters]-[4 characters]-[4 characters] Each Master Code is associated with one item such as a textbook identified by a unique ISBN (International Standard Book Number). Obtain your Master Code(s) from you School s or District s Master Code Holder. Master Code Holder Designated contact person for your School or District; distributes Master Codes for your ConnectED Content Milestone(s) Calendar indicator for key events; Milestones apply to all Schedule Blocks on the designated Teaching Day Move To move selected Lesson Materials from one date (Source Date) to another (Target Date) Multiple Lessons Any Teaching Day may contain one or more Lessons. When adding Suggested Lesson Materials, if the number of Teaching Days is less than the number of Lessons (duration), one Lesson is placed on each Teaching Day and all remaining Lessons are placed on the last Teaching Day. A sequence of characters used to confirm someone's identity and prevent unauthorized access to a computer system. A ConnectED Passwords must be between 6-16 characters, and must contain at least one letter and one number. Examples: a12345, ABCDE6. Passwords are case-sensitive. Personal Answer Preview Profile Your answer to the Challenge Question; used in case you forget your Password.
