1 CONTINUING EDUCATION EVALUATION PACKET AHRA: THE ASSOCIATION FOR MEDICAL IMAGING MANAGEMENT HAS BEEN APPROVED AS A RECOGNIZED CONTINUING EDUCATION EVALUATION MECHANISM (RCEEM) BY THE AMERICAN REGISTRY OF RADIOLOGIC TECHNOLOGISTS (ARRT). CONTINUING EDUCATION APPROVED THROUGH THIS MECHANISM WILL BE AWARDED CATEGORY A RECOGNITION BY THE ARRT. AHRA: THE ASSOCIATION FOR MEDICAL IMAGING MANAGEMENT

2 SPONSOR REQUIREMENTS To have an educational event evaluated for ARRT Category A continuing education (CE) credit by AHRA, the sponsor must: 1) Design the educational event to meet the ARRT s definition of a continuing education activity. ARRT s definition of a continuing education activity is as follows: A learning activity that is planned, organized and administered to maintain and enhance the knowledge and skills underlying the professional performance that an R.T. uses to provide service to patients, the public, or the medical profession. (ARRT Continuing Education Requirements, September 2015.) The sponsor must have their program approved by a Recognized Continuing Education Evaluation Mechanism (RCEEM). AHRA reviews applications for continuing education based on the following eligibility requirements: a) The activity must relate to the radiologic sciences profession. b) The activity objectives must be attainable given the scope of the subject as described in the outline, and the time frame specified (if applicable). c) The faculty must have credentials relevant to the topic presented. 1. Apply for evaluation. a. A complete Application for Evaluation (included in the Appendix) must be submitted to AHRA at least 15 business days before the educational event. Applications submitted less than 15 days 2

3 before the event may not be reviewed. Incomplete or unreadable forms will be returned to sponsors for correction before processing. b. Attach all required documents as specified on the application and the payment form. c. Upon receipt of a complete application, AHRA will evaluate the event for CE credit, assign a reference number if approved and determine the number of credit(s) to be granted. 2. Verify attendance of participants at the educational event. a. Use a mechanism that ensures the participant attended the required contact time for the event. Acceptable forms of attendance documentation include: sign in sheets, admission tickets, bar code scanning. A description of the mechanism used must be included on your application. b. Records must document participation by the attendee for possible verification at a later date. c. The honor system is not an acceptable form of attendance verification. 3. Maintain list of attendees of the educational event on file for a minimum of 3 years following the event in order to validate participant s attendance. This includes post-tests and answer sheets. The ARRT requires documents be kept by the technologist for one full year after the end of the biennium. 4. Provide appropriate documentation (letter, certificate) to each participant of the educational event: Name of participant Pre-printed date(s) of attendance Title of the activity Pre-printed number of assigned CE credits Name of sponsor Signature of the instructor or an authorized representative of the sponsor issuing the documentation Pre-printed CE reference number as determined by RCEEM Category A or A+ designation Identification of approving RCEEM ( AHRA) Expiration date of CE activity **Certificates with hand-written date of completion, CE credit amount, or CE reference number will not be accepted by the ARRT. ** 3

4 5. Per ARRT guidelines, each sponsor must have a Letter of Attestation on file with the AHRA. A copy is acceptable as long as the original can be provided in case of an audit. These letters must be updated on an annual, or as needed, basis. A copy of the letter can be found at The following are eligible for credit: CE activities regarding ARRT requirements as presented by ARRT Board Members, staff, designees and other qualified individuals Personal development activities that apply to the workplace such as death and dying and conflict management Presentations of student RT papers if the information has been verified by Program Director The following are NOT eligible for credit: Panel discussions Courses for the general public Lab courses ***SEE ARRT CE POLICY FOR SPONSORS FOR COMPLETE LIST *** EVENT TYPES LECTURE (ONE EVENT, ONE SUBJECT) This category refers to a one-time educational event in which only one subject is discussed in a contained time frame. The approval period is for the time frame (i.e. two hours, four hours) of the lecture only. The provider will submit an Application for Evaluation with the necessary attachments and appropriate fee (see Fee Schedule in this packet). Providers must furnish each participant with documentation of participation (certificate or letter). Sample documentation is included in the Appendix. SEMINARS (ONE EVENT, MULTIPLE SUBJECTS, NON-CONCURRENT) This category refers to a one-time educational event. This educational event may contain one or several nonconcurrent presentations in a contained time frame, and may be submitted one of two ways at the sponsor s option: 4

5 1. As individual sessions. Participants are eligible to receive credit for the approved portion(s) of the seminar in which they participate. An Application for Evaluation form is submitted for each session of the seminar with appropriate fee (per day fee covers all applications of this type for a single day). 2. As a whole program. This option requires that all participants attend the entire seminar. Partial credit cannot be granted and sponsors are responsible for verifying that the participant attended the entire seminar. One Application for Evaluation form is submitted for the entire seminar. The approval period is for the time frame (i.e. four hours, one day) of the seminar only. The provider will submit one or several Application(s) for Approval with the appropriate fee (see Fee Schedule in this packet). Providers must furnish each participant with documentation of participation (certificate or letter) for each session the participant received credit for. Sample documentation is included in the Appendix. CONFERENCES (ONE EVENT, MULTIPLE CONCURRENT SESSIONS) This category refers to a one-time educational event with multiple concurrent sessions. An Application for Evaluation must be submitted for each individual session. The approval period is for the time frame (i.e. two days) of the conference only. One Application for Evaluation may be submitted for sessions that are to be repeated during the conference. The provider will submit one or several Application(s) for Approval with the appropriate fee. Providers must furnish each participant with documentation of participation (certificate or letter) for each session in which the participant earned credit. Sample documentation is included in the Appendix. RECURRING EVENTS (SAME EVENT PRESENTED MULTIPLE TIMES) This category is used in cases where the same event is presented multiple times in one year. A recurring educational event is granted approval for a period of 12-months and is renewable. The event can be repeated an unlimited number of times for the annual fee. Sponsors provide AHRA with a complete schedule for the educational event and must inform AHRA of changes or additions to this list. Multi-year pricing options are available; see Fee Schedule for details. Providers must furnish each participant with documentation of participation (certificate or letter) for each session the participant received credit for. Sample documentation is included in the Appendix. 5

6 APPLICATIONS TRAINING: CE credit is may be awarded for the formal part of training. The lecture must meet the same criteria (content outline, objectives, attendance and length) as any other lecture. The content may be company specific, but not site specific. One half hour of CE credit is permitted for each hour of formal hands on demonstration by the applications specialist. The specialist must be actively teaching or demonstrating a procedure in order for any CE credit to be awarded. No CE credit should be awarded for participant hands on portion of the activity. No credit should be awarded for training that involves the review of the equipment operations manual Reference numbers for Applications Training should be designated by a C or F- C is for corporate training provided at vendor s corporate site which is not capped. F for training at the employing facility. Facility training is capped at 8.0 Category A credits per biennium. WEBINARS AND PODCASTS May be evaluated as live events and Enduring Media If the activity is held in a monitored environment- no post-test is needed, but attendance verification is required. Activities that are available on demand to be viewed independently are considered self- learning activities and a post-test must be completed. A disclaimer must be attached to activities that are available both live and self- learning. "This activity may be available in multiple formats or from different sponsors. ARRT regulations state that an individual may not repeat an activity for credit if it was reported in the same or any subsequent biennium". ENDURING MEDIA Enduring media are directed readings, home studies, self-study programs, books, audiotapes, videotapes, CD- ROMs, computer software, and Internet-based learning experiences. Complete a separate Application for Evaluation form for each enduring medium. Media will only be considered for approval if you are the developer of the media or have permission from the developer to seek independent approval. The Application for CE Evaluation Release Form may be used to document permission from the developer. Media are approved for one to three years. Price depends on number of credits sought, multi-year pricing options are available; see Fee Schedule for details. A copy of the media, any study materials or documents, the post-test and answer sheet must accompany the Application for Evaluation. Media submitted will be maintained by AHRA for reference and evaluation 6

7 purposes only and will NOT be returned (after the approval period ends, the media may be returned to the sponsor. Please request this at the time of application). The post-test shall consist of multiple choice, true/false, and matching questions-90% multiple choice.. When submitting the post- test, the information within the content of the CE activity that answers the questions must be identified. CE credits will be awarded based on the time spent to complete the learning portion of the activity only. The primary purpose of the post-tests is verification of participation and they are NOT considered a learning activity and will not be awarded CE credit. Further, answers to the post-test should not be released until after the post-test has been passed or after 3 unsuccessful attempts. Participants must receive a passing score of 75% or better. A maximum of 3 attempts to pass the post test is allowed. The following identifies the MINIMUM number of post-test questions for media requiring various amounts of time to complete: 2 questions for a.25 credit activity 4 questions for a.50 credit activity 8 questions for a 1.0 credit activity 12 questions for a 1.5 credit activity 16 questions for a 2.0 credit activity In order to receive a 75% or better, participants must get 2 correct answers out of 2 for.25 credit 3 correct answers out of 4 for.5 credit 6 correct answers out of 8 for 1.0 credit 9 correct answers out of 12 for 1.5 credit 12 correct answers out of 16 for 2.0 credit Providers of enduring media must furnish each participant with documentation of participation (certificate or letter). Sample documentation is included in the Appendix. 7

8 PRESENTATION AND AUTHOR PARTICIPATION A SPECIAL NOTE TO SPONSORS CE CREDIT FOR SPEAKERS In planning and providing lecture, seminar and conference continuing education activities, sponsors should be aware that technologists who present an ARRT Category A approved presentation are eligible to receive credit for developing this presentation. Sponsors may find it helpful to share this information with speakers who are technologists and who require CE credit to maintain registration. According to ARRT, presentations are an educational activity in which the presenter develops and orally presents a topic. In-service presentations that are general in content and apply to a wide audience of technologists would be considered a CE activity. In-service presentations that are specific to a facility will not be awarded CE credit. (ARRT Continuing Education Requirements for Renewal of Registration, July 2003.) With proper documentation, a presenter may receive CE credits for the development of a presentation that has been evaluated and approved by a RCEEM as a Category A activity. Two CE credits are awarded for the development of each contact hour of lecture. No CE credit will be awarded for actual presentation. Each presentation can only be used once for credit. This total must not exceed 12 credits per biennium. (ARRT Continuing Education Requirements for Renewal of Registration, July 2003.) For example, a presenter would receive two credits for a one-hour presentation or six credits for a three-hour presentation. If the presentation has multiple presenters, ARRT will award credit based on the portion of the lecture each presenter prepares. Proper documentation includes, but is not limited to, a copy of the program brochure with the name of the speaker(s) and should be submitted by the technologist to ARRT when renewing registration. CE CREDIT FOR AUTHORS Authors of peer reviewed professional journals (such as those journals found in Index Medicus), home-studies and directed readings, or a textbook chapter are eligible to receive ARRT credit as follows: 24 credits for authoring an original textbook and 4 credits for authoring an original chapter, 4 credits for revision to an original textbook and 1 credit for revisions to a chapter, 4 credits for authoring a directed reading published in a peer reviewed professional journal or other self-learning activities approved for Category A credit. 8

9 A copy of the title page of the journal, home-study, or book which features the author s name and date of publication plus the first page of the actual document are considered proper documentation by ARRT and should be submitted by the technologist to ARRT when renewing registration POLICIES CREDIT Credit is granted based on a minute contact hour. Activities longer than one hour shall be assigned whole or partial credit based on the min hour. For example: <15 minutes = 0 credit minutes =.25 credit minutes = 0.5 credit minutes = 1 credit minutes = 1.25 credit 60 minutes of formal hands-on demonstration or clinical practice as part of an activity* = 0.5 credit. The specialist must be actively teaching or demonstrating a procedure in order for any CE credit to be awarded. NO CREDIT WILL BE GIVEN FOR PARTICIPANT HANDS ON PRACTICE. * Hands-on credits cannot exceed the didactic/lecture credit given the activity. For educational sessions over one hour, AHRA recommends that a 60-minute hour be used as a guideline to allow for breaks. Break times are NOT included in the awarding of CE points. Credits are awarded only for time spent in the learning event. Allocation of credits will be closely reviewed for accuracy and may be audited to ensure compliance. AHRA reserves the right to retrospectively deny or reduce credit to any individual or educational activity that had been approved for credit, but which did not meet ARRT requirements at the time the event was conducted. For example, a conference session that ends earlier than scheduled may not meet the time 9

10 requirements for the number of CE credits for which it was approved. Please be sure that faculty understands the importance of maintaining the time planned for the session to ensure that participants and the educational activity receive full credit. EDUCATIONAL ACTIVITIES NOT REQUIRING AHRA APPROVAL The following activities do NOT require approval by AHRA because activities already eligible for ARRT recognition do not require additional approval. This includes: Activities approved by a state regulatory agency if it is mandated by law to evaluate continuing education activities for licensing purposes. States with licensing agencies that at present meet ARRT criteria are Florida, Illinois, Iowa, Kentucky, Massachusetts, New Mexico, Oregon, and Texas. Personnel participating in continuing education which is only approved by a state licensing agency who are not licensed by that state are ineligible for ARRT Category A credit. For example, a technologist from Missouri who takes a course approved by the Illinois Department of Nuclear Safety is not eligible for ARRT Category A credit unless the course is also approved by an ARRT RCEEM, such as AHRA. Activities that meet ARRT s definition of an Approved Academic Course ( A formal course of study that is relevant to the radiologic sciences and/or patient care and is offered by a post secondary educational institution accredited by a mechanism recognized by the ARRT. Relevant courses in the biological sciences, physical sciences, radiologic sciences, health and medical sciences, social sciences, communication (verbal and written), mathematics, computers, management, or education methodology will be accepted. STATE-SPECIFIC REQUIREMENTS States with licensure/certification regulations may have specific requirements concerning credit approval. Sponsors are responsible for applying to the appropriate states for credit approval and for determining what each state requires for documentation. These states include, but may not be limited to: Florida, Illinois, Iowa, Kentucky, Massachusetts, New Mexico, Oregon, and Texas. Sign-in sheets for these states may need to be submitted to each state in ADDITION to the attendance verification used by the sponsor. The sponsor is responsible for submitting required documentation to the state and administrating the complete sign-in process at the meeting. The sponsor may be able to secure a state s agreement to allow reciprocity for ARRT Category A continuing education credit approved by AHRA. In this case, it would not be necessary to administer a separate sign-in 10

11 process. To facilitate tracking of credit for these states, be sure to include on the attendance verification form adequate space for the following information: Social Security number and/or license number A question asking the participant if they maintain a license in any of these states. 11

12 FEE SCHEDULE The following fee schedule should be followed when applying to AHRA for ARRT Category A CE credits. Fees must be pre-paid (for options, please see the payment form in the Appendix). If an application has been submitted and is awaiting approval from AHRA, the following phrase may be used, ARRT Category A CE credit is pending approval by the AHRA. Once AHRA has approved a sponsor s application and assigned a reference number, the sponsor may use the phrase, Approved for (insert number) of ARRT Category A CE credit(s) by AHRA. 12

13 CREDIT AUDIT, DENIAL, REVOCATION The AHRA may at its discretion: 1. Monitor approved educational events to ensure compliance with the submitted application and with the Sponsor Requirements. 2. Deny or withdraw approval of educational events that: a) Falsely represent the material submitted or advertised. b) Do not meet the criteria described in this document. APPEAL PROCESS If a sponsor feels the credit level of its educational event was under-valued, or if the activity was not approved for credit, an appeal can be requested. AHRA must receive a written request to appeal the decision within three (3) business days of the CE credit assignment or denial. The written request should be faxed, mailed or ed to AHRA at: 490-B Boston Post Road, Suite 200, Sudbury, MA Attn: Executive Director Fax: ecronin@ahraonline.org A volunteer appeals board consisting of three persons with experience in the appropriate radiologic sciences discipline will evaluate the appeal request. Each of these volunteers will independently evaluate the educational event and assign or deny CE credit. An average of the three new scores plus the original score will be the final outcome. The CE credit may be denied, credit hours increased or decreased based on the appeal board assessment. The decision of the appeals board is final. 13

14 VERIFYING ATTENDANCE AND EVALUATION OPTIONS VERIFICATION OF ATTENDANCE AND EVALUATION: THE AHRA WAY Assuring that technologists receive the full 24 hours of continuing education each biennium required to maintain registration is serious business to ARRT. Based on its many years of experience in addressing the same issues CE program sponsors face with lectures, seminars and conferences, AHRA developed a simple process that has been recognized by ARRT as meeting its attendance verification and evaluation requirements. AHRA is pleased to share this process with program sponsors as a means to assist them in complying with ARRT requirements. AHRA recommends publishing the process in the program brochure or other program materials so participants know what to expect. Please feel free to use the following process: LECTURES: 1. Identify a unique course number for the educational event. The number may be two or three digits. 2. Pass out attendance and speaker evaluation cards or sheets to participants. Those entering more than ten minutes late may not receive a card or sheet and are not eligible for credit. 3. At the conclusion of the session, announce the course number. 4. Collect cards or sheets from participants. Those turned in more than five minutes after the conclusion of the educational event are not valid and the participant is not eligible for credit. SEMINARS OR CONFERENCES WITH MULTIPLE SESSIONS OR MULTIPLE CONCURRENT SESSIONS: 1. Identify a unique course number for each session. 2. Program sponsors are responsible for verifying attendance by participants and assuring that a speaker or educational event lasts the full time for which it received Category A credit. ARRT holds its RCEEMs responsible for assuring that sponsors have a mechanism to verify attendance, are holding events that meet the time guidelines set out by ARRT for credit, and have a mechanism to evaluate educational activities. AHRA may audit educational activities and retrospectively deny or reduce credit for any individual or educational event that does not meet ARRT s requirements. 15

22 CE EVALUATION RELEASE FORM This CE Evaluation Release Form is used to certify that the sponsor presenting the enduring media has produced and created the enduring media. It must accompany all enduring media learning activities (as described in this document) submitted to the AHRA for CE evaluation. This form must contain an ORIGINAL signature and be submitted to AHRA. AHRA cannot accept a photocopy or fax of this signature form. CE EVALUATION RELEASE The undersigned has produced and created a learning activity titled which is submitted to the American Healthcare Radiology Administrators (AHRA) for evaluation for ARRT Category A continuing education credit. The learning activity includes certain printed, audio-visual and/or electronic media material, hereafter collectively referred to as Work. 23 DOCUMENTATION As a sponsor of an approved CE educational event, you must provide participants documentation (certificate, letter, etc.) that includes the items specified below. For ease of recordkeeping, AHRA suggests using the same names and titles as listed on the Application for Evaluation. CE Sponsors CE sponsors are the owners or authorized representatives of the owners of a CE activity and are responsible for the accuracy and relevance of content, quality, and integrity of delivery and timely process of the educational activity. CE sponsors plan, organize, support, endorse, subsidize, and/or administer educational activities. CE sponsors are also responsible for documenting attendee participation for possible verification at a later date. CE sponsors may be, but are not limited to national, regional, state, and district professional societies; academic institutions; healthcare agencies; healthcare facilities; federal, state, and local government agencies; or individuals. CE sponsors shall apply for and receive approval from a RCEEM or RCEEM+ in order to award Category A or A+ credit for activities. In addition to providing the learning objectives and course outlines, CE sponsors shall also provide the RCEEM or RCEEM+ documentation that identifies the CE owner and/or authorized representative of the CE owner Definitions CE Owner: The person or legal entity (e.g., corporation, nonprofit organization, limited liability company, partnership, or doing business as) recognized as having the ultimate control over and the right to develop, plan, organize, support, endorse, subsidize, and/or administer a continuing education activity. CE Sponsor: The CE owner or the individual/entity authorized by the CE owner as their representative. CE Presenter: A qualified individual designated by a CE sponsor to develop and/or deliver a continuing education activity. The CE presenter may be the CE sponsor (i.e., CE owner, authorized representative of the CE owner) or other individual CE Sponsor Eligibility Anyone can be a CE sponsor provided that they are qualified and willing to carry out the responsibilities of a CE sponsor and are not otherwise prohibited (see 16.6) CE Sponsor Qualifications Evaluation of the educational qualifications of CE sponsors will not be required. (e.g., No requirement to have teaching credentials.)

26 American Registry of Radiologic Technologists CE Policy Statements 2015 CE Sponsors Identification of CE Owner and/or Authorized Representative of the CE Owner A Letter of Attestation (ARRT form) shall be completed, signed, dated, notarized and submitted to the RCEEM, RCEEM+ or state licensing agency by the CE owner and/or authorized representative of the CE owner. This information needs to be updated on an annual or as needed basis CE Sponsor Responsibilities CE sponsors are responsible for the accuracy and relevance of content, quality, and integrity of delivery and timely process of the educational activity. The CE sponsors plan, organize, support, endorse, subsidize, and/or administer educational activities ARRT Requirements for Approval of CE Activities CE sponsors shall apply for and receive approval from a RCEEM or RCEEM+ for each individual CE activity for which Category A or A+ credit is to be awarded. The evaluation of the CE activity by the RCEEM or RCEEM+ shall include the following: The CE activity title shall match the title under which it was submitted on the CE credit application form. For CE renewal applications, the title shall match the title approved by the RCEEM or RCEEM The CE activity content shall: Support the stated objectives; and Be current and accurate; and Provide sufficient depth and scope of the subject matter; and Be appropriately identified and referenced if taken from copyrighted materials Documentation of appropriate permission for use of reprinted materials shall be clearly referenced All supporting materials (e.g., images, photos, diagrams, charts, tables and text) shall be legible (capable of being read) and labeled correctly Acronyms shall be spelled out with the first use or a glossary of terms provided Credit awarded for the CE activity shall be determined by the length of time it takes to complete the activity. Time utilized to complete the post-test shall not be considered part of the learning activity The CE application materials shall include a description of the grading (for selflearning CE activities) and verification of participation process. A copy of the certificate of participation to be awarded shall be included The RCEEM or RCEEM+ shall review their database to determine if the CE sponsor has offered the same program under different formats. Efforts shall be made to maintain the same reference number and same number of CE credits for all similar course content from the same CE sponsor. The assigned credit is based upon the format requiring the least amount of time to complete.

27 American Registry of Radiologic Technologists CE Policy Statements 2015 CE Sponsors CE activities that were not developed by the CE sponsor applying for credit shall indicate the following information on the application: The name of the individual or organization that developed the CE activity or materials (e.g., textbook) used in CE activity. Affirmation statement that the developer of the CE activity has granted the CE sponsor permission to use and distribute the CE activity For all formats of any CE activity and at all sites, the RCEEM or RCEEM+ shall be provided with access (i.e., user ID and password) in order to evaluate the CE activity in the manner in which it is being presented prior to the CE activity being made available for use by customers Attendance Documentation CE sponsors are responsible for documenting attendee participation for verification at a later date Attendance Verification Mechanisms A CE sponsor shall not use an honor system for recording participation in activities by attendees. Attendance verification shall be maintained by the CE sponsor for a minimum of three years. Examples of live lecture acceptable attendance verification mechanisms include, but are not limited to, sign-in sheets, stamps, stickers, tickets, RFIDs (Radio Frequency Indentifying Devices), or other electronic means. Post-tests are used to verify participation in self-learning CE activities Negative Speaker Evaluations It is the CE sponsor s responsibility to notify the RCEEM or RCEEM+ if the speaker evaluation is poor or if the lecture does not meet the CE requirements. The RCEEM or RCEEM+ should notify the speaker and take action as appropriate for the situation. Future activities presented by this speaker may be denied by the RCEEM or RCEEM+ if the deficiencies are not corrected Post-Test Retention Post-test and answer sheets for self-learning CE activities, whether paper or electronic, shall be stored by the CE sponsor for a minimum of three years to facilitate verification of participation. Paper documents may be electronically scanned and stored. The scanned information must be able to be retrieved and printed. Paper documents, once scanned, can be discarded.

28 American Registry of Radiologic Technologists CE Policy Statements 2015 CE Sponsors 16.4 Certificate of Participation Certificate of Participation Purpose The CE sponsor or CE presenter is required to issue a certificate of participation to document the R.T. s successful completion of the CE activity Certificate of Participation Required Sections A certificate of participation must include: Name of the participant Pre-printed date(s) of attendance Title and content of the CE activity Number of contact hours Name of the CE sponsor Signature of the CE sponsor, authorized representative of the CE owner, or CE presenter CE reference number assigned by a RCEEM or RCEEM+ Identification of the approving RCEEM or RCEEM+ Category A or A+ designation Expiration date of CE activity Certificate of Participation Distribution Certificates of participation shall be awarded only after successful completion of the CE activity. The participant shall not be able to alter the information for the certificate of participation (i.e., hard copy, online) in any way before printing. Duplicate online certificates may be made available by the CE sponsor for re-printing Hand Written Certificates of Participation Certificates with a hand written date of completion, CE credit amount, or CE reference number will not be accepted by ARRT. If an unacceptable certificate is identified in a CE audit the registrant will be informed that a replacement certificate is required. If another certificate is not provided and 24 Category A or A+ CE credits are not reported the registrant will be assigned CE probation. The pre-printed date on the certificate is the date of completion of the CE activity and must be applied by the CE sponsor. R.T. s may not alter this date and doing so is prohibited by the ARRT Rules of Ethics Awarding Certificate of Participation to Self A CE sponsor shall not issue a certificate of participation, with his/her signature, for him/herself. The certificate of participation for the CE sponsor shall have the signature of the CE presenter or CE owner. If the CE sponsor is also the presenter, credit shall not be given for attendance. CE presenters receive a onetime preparation credit. For selflearning activities a CE sponsor shall not issue him/herself a certificate of participation due to the accessibility to the answers to the post-test.

29 American Registry of Radiologic Technologists CE Policy Statements 2015 CE Sponsors CE sponsors shall not issue a certificate of participation to themselves for self-learning activities. Credit shall only be awarded for authoring/creating the CE activity. As the post-test for self-learning CE activities is no longer granted credit upon completion, creating the post-test does not earn author credit Date of Completion Directed readings, home study courses, and Internet activities, all of which require submission of a post-test to the CE sponsor, are considered complete when the R.T. submits the post-test (assuming it is subsequently scored as passing). Submission is defined according to the postmark date for USPS or private delivery services (e.g., Fed Ex) or when received by the CE sponsor if submitted electronically (see time zone dependency information below for electronically submitted post-test). The date on the certificate of participation is the date of completion as defined here. As noted above, the date of completion for electronically submitted post-tests, is the date the CE sponsor received the completed post-test. The time zone is dependent upon where the CE sponsor is located. It is the responsibility of the technologist to know the time zone of the CE sponsor they are using. Due to time zone differences the R.T. shall be aware that the time zone may adversely impact the date of completion for CE activities resulting in a completion date different from that in which the R.T. is located. This may affect whether the activity was completed in the CE biennium on the last day of the month or on the first day of the month as a new CE biennium begins. When a CE activity spans the end of one month and the beginning of the next month (i.e., 30 th, 31 st, 1 st and 2 nd ), the CE sponsor should award certificates of participation on a daily basis to avoid reporting problems for the participant whose biennium ends at the close of the month. RCEEMs and RCEEMs+ should encourage CE sponsors to seek single day approvals rather than one reference number for a multi-day seminar. If a multi-day seminar is approved under one reference number, the last day is the date of completion Incomplete Certificates of Participation It is the responsibility of CE sponsors and/or CE presenters to assure that incomplete certificates of participation are not left with the facility. The facility is not authorized to distribute any certificates of participation to technologists who have been trained by coworkers who completed the formal training program since the co-worker s qualifications to present the training was not part of the RCEEMs or RCEEMs+ evaluation process when the activity was approved Uncooperative CE Sponsors CE sponsors who do not cooperate with ARRT when requested to verify the participation of an R.T. in one of their CE activities will be referred to the RCEEM, RCEEM+ or State Licensing Agency (SLA) to resolve the issue. ARRT shall recommend

30 American Registry of Radiologic Technologists CE Policy Statements 2015 CE Sponsors possible actions to the RCEEM, RCEEM+, or State Licensing Agency. ARRT will refuse to accept CE activities from uncooperative CE sponsors unless and until resolution is to ARRT s satisfaction. Each RCEEM, RCEEM+, or SLA should handle reprimands of CE sponsors in their own manner. ARRT will not post the names of reprimanded CE sponsors on the RCEEM, RCEEM+, SLA SharePoint Site Revoked CE Owner and/or CE Sponsor An individual who has had their certification and registration revoked by ARRT, or is no longer licensed by the state to practice, or is not currently in good standing with their professional organization may not award CE credit or sponsor CE activities. ARRT will not accept CE credits awarded by an individual who has had their certification and registration revoked. The individual so revoked may present CE activities, however, CE sponsor responsibilities (see 16.3) must be assigned to someone else. RCEEMs, RCEEMs+, and State Licensing Agencies shall be notified of the restriction after a revocation becomes final. Whenever ARRT restricts sponsorship of CE activities through this policy, staff will make accommodations for R.T.s who have already taken or are scheduled to take a CE activity from the revoked CE sponsor. If a revocation has been removed and certification and registration reinstated for a previously revoked CE sponsor, ARRT will notify the RCEEM, RCEEM+, and State Licensing Agency and then resume accepting CE credits they offer. These CE activities must be approved by a RCEEM, RCEEM+, or State Licensing Agency prior to acceptance for CE compliance Job Duties CE sponsors/ce presenters may not receive credit for courses that they teach as part of their job responsibilities Dual Ownership of an Activity The ultimate responsibility lies with the R.T. considering participation in a CE activity to determine if a CE activity provided by different CE sponsors are the same or different. All CE sponsors shall use a disclaimer indicating the CE activity may be available from different CE sponsors as well as in different formats ARRT Requirements for CE Activities (Live Lecture and Self-Learning) The following requirements have been compiled to assist CE sponsors in obtaining RCEEM or RCEEM+ approval for submitted CE activities. These requirements are the minimum criteria for approval of the CE activity General Format for CE Activities *Indicates requirements for only self-learning CE activities

31 American Registry of Radiologic Technologists CE Policy Statements 2015 CE Sponsors Opening page(s)/introduction of the CE activity must include the following: Name of the activity CE sponsor Documentation identifying the CE owner and/or authorized representative of the CE owner Name of the CE presenter, if different than the CE activity sponsor Name/title of the CE activity. The title when presented and/or advertised must be the same as approved by the RCEEM or RCEEM CE activity/course description CE activity learning objectives and course outline Other references or source materials required for the activity. (e.g., textbook) CE activity instructions: In order to receive CE credit, you must first complete the CE activity content. When completed, go to the last page of the activity to access the post- test Post-test instructions: Submit the completed answers to determine if you have passed the post-test. You must obtain a score of 75% to receive the CE credit. You will have no more than 3 attempts to successfully complete the post-test Number of CE credits awarded for successful completion of the CE activity RCEEM or RCEEM+: Approved by (RCEEM or RCEEM+ name) for ARRT Category A (or A+) credit The approval reference number shall not be printed anywhere other than on the certificate of participation. * Statement about repeating a CE activity: ARRT will accept CE credits for CE activities that have similar content. However, the credits cannot be for the same CE activity completed from different formats. For example, two different courses on Radiation Protection would be acceptable. Two courses with the same content would not be acceptable. The following statement shall be included on the certificate: This CE activity may be available in multiple formats or from different CE sponsors. ARRT does not allow self-learning CE activities (e.g., Internet courses, home study programs, directed readings) to be repeated for CE credit in the same CE biennium Statement about multiple CE reference numbers: Depending on the situation, a CE activity may be awarded credit through multiple evaluation programs for use by different credentialing organizations. Different reference numbers are then awarded to the same activity. In such a situation, the following statement shall
