New Caney ISD 2018-2019 Teacher Gradebook Manual 5 Navigating to the Skyward Login Page Open the New Caney ISD home page using your internet browser. http://www.newcaneyisd.org Click on the Staff banner User Name: Enter your district user name. Password: Enter password associated with your district user name. Click Sign In.

New Caney ISD 2018-2019 Teacher Gradebook Manual 6 You will be taken to the Welcome screen of the Staff Only Section. Click on the Skyward link. You will be taken to the Login screen of Skyward. User Name: Enter your district user name. Password: Enter password associated with your district user name. Click Sign In.

New Caney ISD 2018-2019 Teacher Gradebook Manual 7 Gradebook Home Page Once you have logged in, you will be taken to the Skyward homepage. When you are finished using Skyward, please log out by clicking the Exit button. Taking Attendance Menu Path: Teacher Access > Teacher Access > Post Daily Attendance Taking Attendance by Name Click the By Name link next to the course where you want to take attendance. *Note: The sections that do not meet today are grayed out.

New Caney ISD 2018-2019 Teacher Gradebook Manual 8 Designate if the student is absent or tardy and click the Save button. If all students are present, click Save. If the absent or tardy indicators display in Red, the values have not been saved. If the absence or tardy indicators display in Green, the values have been saved. If no students have been marked absent, a window will appear for you to confirm the attendance. Verify that no students are absent. Click the Yes button.

New Caney ISD 2018-2019 Teacher Gradebook Manual 9 Taking Attendance by Seating Chart Click the By Seating Chart link next to the course where you want to take attendance. Click the dropdown box to select Absent or Tardy and click the Save button. If all students are present, click Save. Click the Show Pictures link to see the students pictures. Click the Printer Friendly Listing link to print the seating chart. This could be useful for substitutes.

New Caney ISD 2018-2019 Teacher Gradebook Manual 10 Creating a Seating Chart Menu Path: Teacher Access > Teacher Access > Post Daily Attendance Click the Assign Seats link next to the course where you want to create a seating chart. Enter the number of rows and seats per row you want in your seating chart and click the Refresh button. If you want to move a student to an unfilled seat, click the Select button in the student s cell and then click the Fill Seat button of the cell in which you want the student to move.

New Caney ISD 2018-2019 Teacher Gradebook Manual 11 If you want two students to swap seats, click the Select button in one student s cell and then click the Swap Seats button in the other student s cell. Click the Clear Seating Chart link to remove all students from the seating chart. Click OK on the warning message to clear the seating chart.

New Caney ISD 2018-2019 Teacher Gradebook Manual 12 Click the Select button in the student s cell and the Fill Seat button of the cell in which you want the student to move. Or, once you have cleared the entire seating chart, there is an auto assign feature. You can select by First Name, Last Name or Random and then click the Process button. When finished with the seating chart, click Save.

New Caney ISD 2018-2019 Teacher Gradebook Manual 13 Accessing Student Information Menu Path: Teacher Access > Teacher Access > My Students Double click the student whose information you want to view. From this screen, you can view information about the student such as class summary, attendance, schedule, discipline, student portfolio and family access history. This screen also allows you to view information as displayed in Family Access. In addition, it allows you to generate several different reports on the student.

New Caney ISD 2018-2019 Teacher Gradebook Manual 14 Discipline Referrals Menu Path: Teacher Access > Teacher Access > My Students Double click the student whose discipline information you want to access. Click the Discipline link. If the student has any previous discipline referrals*, they will appear on this screen. To add a discipline referral, click the Add button. *Note: You will only be able to see the discipline referrals that you have entered.

New Caney ISD 2018-2019 Teacher Gradebook Manual 15 A. School: This field will default to your campus. B. Offense: This field will default to Teacher Referral. C. Location: Choose the location where the offense occurred. D. Date of Offense: Enter the date the offense occurred. E. Time of Offense: Enter the time the offense occurred. F. Comment: Type a description of the offense. If you notified the student s parent about the offense, place a check in the Parent Notified box. Click the Save button.

New Caney ISD 2018-2019 Teacher Gradebook Manual 16 You can edit the offense until the record has been changed by the Discipline Officer. *Note: Discipline information will not show up in Family Access. Subject Gradebooks Menu Path: Teacher Access > Teacher Access > My Gradebook Click the Gradebook link next to the class in which you want to access. Adding Assignments to the Gradebook Hover your mouse over the Assignments link and click Add Assignment. Click the Category drop down menu, and select the appropriate category from the list.

New Caney ISD 2018-2019 Teacher Gradebook Manual 17 *Note: For secondary campuses Daily grades will be weighted as 40%. Major grades will be weighted as 60%. *Note: For elementary campuses There will be no weighted categories. Enter the assignment title in the Description. Detailed Description and Assignment Group are optional. Set the Assign Date to the date you are giving the assignment to the students. Set the Proposed Due Date to the date the assignment is due. This date must be in the current nine-week grading period, and this will show as the due date in Family Access. Actual Due Date: Use only if you need to give an extension on the due date of an assignment (school closure, hurricane, etc ) You may change the Weight Multiplier if you want the assignment to count more than once.

New Caney ISD 2018-2019 Teacher Gradebook Manual 18 You may change Show Assignment Score As if you want to change how the assignment score displays in the gradebook. Add this same assignment to other grade books by checking those classes in the bottom portion of the screen. Click Save and Back to return to the main gradebook screen. Click Save and Add Another to add another assignment. Click Save and Score to enter grades for this assignment.

New Caney ISD 2018-2019 Teacher Gradebook Manual 19 Editing an Assignment To make changes to an assignment after it has been entered: Click the link for the assignment you wish to edit. Click the Edit button. Make all desired changes. Remove the check for any classes that you do not want to receive these changes. Click the Save button.

New Caney ISD 2018-2019 Teacher Gradebook Manual 20 Deleting an Assignment To remove an assignment from your gradebook: Click the link for the assignment you wish to delete. Click the Delete button. Click OK on this message: If the assignment has been added to multiple classes, you will see this screen:

New Caney ISD 2018-2019 Teacher Gradebook Manual 21 If you would like to remove the assignment from all classes, click Delete from all Classes. If you would like to remove the assignment from some classes, place a check next to those classes. Click Delete from Selected Classes. Restoring a Deleted Assignment To restore a deleted assignment: Hover your mouse over Display Options and choose Restore Deleted Assignments. Click on the assignment you would like to restore. Click View Details. You will be directed to the next page. Click Restore Assignment. *Note: If you deleted an assignment from multiple classes and you wish to restore the assignment to multiple classes, you will have to go into each of those classes individually and restore the assignment.

New Caney ISD 2018-2019 Teacher Gradebook Manual 22 Cloning Cloning Assignments from Your Current Gradebook Hover your mouse over Assignments, and choose List Assignments. Select the assignment you would like to clone. Click the Clone button. Make all desired changes and click Save.

New Caney ISD 2018-2019 Teacher Gradebook Manual 23 Cloning Assignments from Your Other Gradebooks In addition to cloning a single assignment from the gradebook you currently have open you can also clone assignments from your other gradebooks. Hover your mouse over Assignments and choose List Assignments. Click Clone from Existing Gradebook. Place a check next to the gradebook from which you would like to clone, and click Next. Check the assignments you wish to clone, and click Next.

New Caney ISD 2018-2019 Teacher Gradebook Manual 24 Check the classes where the cloned assignments should go, and click Next. Change the Assignment Due Dates, if necessary, and click Finish.

New Caney ISD 2018-2019 Teacher Gradebook Manual 25 Cloning Assignments from Another Teacher s Gradebook Hover your mouse over Assignments and choose List Assignments. Click Clone from Existing Gradebook. Click Select Different Teacher. Choose a teacher. Click Select.

New Caney ISD 2018-2019 Teacher Gradebook Manual 26 Place a check next to the gradebook from which you would like to clone, and click Next. Check the assignments you wish to clone, and click Next. Check the classes where the cloned assignments should go, and click Next.

New Caney ISD 2018-2019 Teacher Gradebook Manual 27 Change the Assignment Due Dates, if necessary, and click Finish. Adding Grades to an Assignment There are several ways to enter grades. Score Entry Method Click the link in the column for the assignment you wish to enter the grade. Click the Score Entry button. This will take you to a page that will allow you to enter grades for each student individually.

New Caney ISD 2018-2019 Teacher Gradebook Manual 28 Click your mouse in a student s box under the Score column and enter the grade for that student. You may enter a special code for a student in the Special Code column. *Note: A list of available special codes is located in the top right corner of the Score Entry screen. Place a check in the No Count box for any student you do not want this assignment affecting his/her average. Place a check in the Missing box for any student you would like to identify as missing this assignment. If you wish, you may enter a comment for any student pertaining to this assignment.

New Caney ISD 2018-2019 Teacher Gradebook Manual 29 Click Mark un-scored as 0 and Missing to give a grade of 0 to all student without scores on this assignment and to mark them as Missing. When you are finished entering grades for this assignment, click Save. Mass Assign Scores To give all students the same grade on an assignment, click the link in the column for the grade you wish to enter. Click the Score Entry button. Click the Assign All Scores button. Enter the score you would like to give all students, and click Apply.

New Caney ISD 2018-2019 Teacher Gradebook Manual 30 If you need to change a student s grade on the assignment, click your mouse in a student s box under the Score column, remove the grade currently in the box, and type in the new grade for that student. When finished, click Save. Quick Scoring Method Click the Quick Scoring tab. You can enter a grade for any student and any assignment. When finished, click Save to save changes and remain on this screen, or click Save and Back to save changes and return to the main gradebook screen. *Tip: The tab key will move you across the page. The enter key will move you down the page.

New Caney ISD 2018-2019 Teacher Gradebook Manual 31 Drop Lowest Score From inside the gradebook, hover your mouse over Display Options and choose Drop Lowest Score. Click Drop Lowest Score for the appropriate grading period. Uncheck any students you do not want included in the drop. Click Next.

New Caney ISD 2018-2019 Teacher Gradebook Manual 32 Uncheck any categories or assignments you do not want included in the drop. Click Next. If any Special Codes were added to this assignment, you will have the option to exclude them from being dropped. Click Process Drops.

New Caney ISD 2018-2019 Teacher Gradebook Manual 33 Undo Drop Lowest Score From inside the gradebook, hover your mouse over Display Options and choose Drop Lowest Score. Click Undo Drop Lowest Score for the appropriate grading period. Uncheck any students whose lowest score should remain dropped. Click Process Undrops.

New Caney ISD 2018-2019 Teacher Gradebook Manual 34 Entering Comments Hover your mouse over the Posting tab, and choose Post Comments. Click the Post Comments link. Entering Comments for Each Student Individually Click your mouse in a student s comments box, and type in a comment code for that student. Tip: To see a list of comment codes and their meanings, click the View Comment Codes link.

New Caney ISD 2018-2019 Teacher Gradebook Manual 35 Giving All Students the Same Comment Click the Default blank comments to dropdown menu and select the comment code that you want all students to receive. Click OK on this message. Click the Save button. *Note: Codes will be highlighted in Red until the Save button is clicked. Once the codes have been saved, the codes will be highlighted in Green.

New Caney ISD 2018-2019 Teacher Gradebook Manual 36 Display Options Student Display Options Hover your mouse over Display Options and choose Student Display. Make your selections for Name Display, Display Options and Sorting Options. Click Save.

New Caney ISD 2018-2019 Teacher Gradebook Manual 37 Assignment Display Options Hover your mouse over Display Options, and choose Assignment Display. Change the options on this page to select how you want your assignments to display in your grade book. Click Save.

New Caney ISD 2018-2019 Teacher Gradebook Manual 38 Grade Period Display Hover your mouse over Display Options, and choose Grade Period Display. Uncheck any assignment grades or term grades that you do not want to display. Click Save. *Note: You cannot display Assignment Grades for a term without displaying the corresponding Term Grade. *Note: The current term Assignment Grades and Term Grade will always display.

New Caney ISD 2018-2019 Teacher Gradebook Manual 39 Creating Online Assignments You can create online assignments that students can access in a computer lab setting or at home through Student Access. From the main gradebook screen, go to Assignments > Add Assignment. Please refer to Page 16 for directions on how to create an assignment. Hover your mouse over the Options menu, and choose Create Online Assignment. Select the date and time the assignment will be available to students, as well as the date and time the assignment will no longer be accessible to students. You also have the following options: A. Description: Type a description of the assignment. B. Default Points per Question: Set the default amount of points for questions. C. Randomize Questions: Puts the questions in random order for each student. D. Questions per Page: Specify how many questions you would like to display on each page. E. Do not Show Results Until: Keeps the students from seeing the answers to the assignment until a date/time that you specify.

New Caney ISD 2018-2019 Teacher Gradebook Manual 40 F. Show Correct Answers: Allows the students to see the correct answers after they have completed the assignment. G. Auto Score and Post to Gradebook: Allows the assignment to be automatically scored and the grades posted to the gradebook. *Note: If you check this option, you will only be able to use Multiple Choice and True/False questions. Once you have set your preferences, click Save and Add Questions. Click the Question Type drop down menu to select the type of question you want to use. In the Question box, type the question. Complete the Answer section at the bottom of the screen. *Note: This section will vary depending on the type of question you choose.

New Caney ISD 2018-2019 Teacher Gradebook Manual 41 Click Save and Add Another to keep entering questions OR Save and Back when you are finished entering questions. You will be directed to the previous screen where you will see another Save and Back option to complete the online assignment. From there you can see the assignment is available online. Save and Back will direct you to your gradebook where you can monitor incoming grades. Save and Add Another will allow you to continue creating other Online Assignment. Grade Adjustments You may find it necessary to adjust a student s term grade at the end of the term. Click the Options button in the column heading of the reporting period, and choose Enter Term Grade Adjustments. In the Adjustment column, click your mouse in the Grade box for a student, and enter the grade you would like to give that student. Or, In the Adjustment column, click your mouse in the Amount box for a student, and enter the number of points by which you would like to increase that student s grade.

New Caney ISD 2018-2019 Teacher Gradebook Manual 42 If you wish to overwrite a student s numeric term grade with a grade of Incomplete, click the Override dropdown menu for that student, and choose Incomplete. When finished, click Save. Grade Change Request Once a grading period has closed, you cannot change an assignment grade without asking for approval. Once you ask for approval, your gradebook, for that period, will be opened for two hours in order for you to change the student s grade. Click the Options button in the column heading of the reporting period, and choose Grade Posting Status for Term. Click Request Grade Changes.

New Caney ISD 2018-2019 Teacher Gradebook Manual 43 In the Reason for Requesting Grade Changes box, type the reason you are requesting a grade change. You must include the student s name or ID number in the request for your administrator s approval. Click Yes. The reporting period is now open for grade changes. When finished, click the Options button in the column heading of the reporting period, and choose Grade Posting Status for Term. Click Complete Grade Changes. Click Yes.

New Caney ISD 2018-2019 Teacher Gradebook Manual 44 Displaying Student Grades Individually Click on a student s name. Individual grades for the student will be displayed. New Students and Transferring Grades When a student has been scheduled into your class after school has started, a NEW indicator will appear next to the student s name. Click the NEW button to see your available options for transitioning the students grades into your gradebook. Once the grade transition or grade entry is completed, uncheck Do not display NEW by this student s name.

New Caney ISD 2018-2019 Teacher Gradebook Manual 45 Option #1 Auto-Transfer Scores from Dropped Section of this Course This option is ideal if a student transfers from one section of a class to another section of the same class with the same teacher. Click Transfer Matching Scores for Option #1. Click Save. Option #2 - Transfer Term Scores from a Dropped Class This option works with students who are an In District Transfer. Click the dropdown menu to choose transfer term grades only. Select the dropped course from which you would like to transfer grades. Please note the Drop Date to select the appropriate course.

New Caney ISD 2018-2019 Teacher Gradebook Manual 46 Click Manually Transfer Scores. Fill in the Percent to the exact decimal from the dropped course into the New Percent box to accurately calculate the students transfer grade. You may also be asked to enter an exam score. Click Save Term/Exam Grades and Enter Semester Grades. You may also be asked to enter a semester grade. Click Save Semester Grade and Finish.

New Caney ISD 2018-2019 Teacher Gradebook Manual 47 Option #3 - Manually Enter Term Scores This is the best option for students transferring from another district. *These grades will be provided to you by your registrar. Click Manually Enter Scores. In the New Percent column, type in the grade provided to the exact decimal. Click Save Term Grades and Enter Semester Grades. Enter the semester grade and click Save Semester Grades and Finish. Option #4 - One-Click Transfer Term Percents from Dropped Section of this Course. This option will allow you to enter a term average for the current term. It is best to do this before entering any assignment grades for the current term for the new student. If you chose to send to multiple classes, place a check in the box next to the classes who you want to receive the message. If you chose to send to the current class, place a check in the box next to the students whose parents you want to receive the message. Click Save.

Printing a Blank Class Roster with Gridlines To print a blank class roster with gridlines, choose the Grade Sheet Report. Select one of the blank grade sheet report templates. Click Print.

Click Export to Excel. Click Display Report when this message box appears. Click Open.
