How to Assign Textbook Information for Scheduled Classes Application: Campus Solutions Audience: Student Records Objective: In this job aid, you will learn how to Assign textbook(s) to class sections. Note: Course materials entered on this page appear on the Class Detail page and on the Faculty and Student Textbook Summary pages. When the Textbook Assignment Status is Pending, the data is available only on administrative, Instructor and Advisor pages. Students and visitors receive a message: Textbooks to be determined. Before you Begin: To sign in to Campus Solutions, go to sis.illinoisstate.edu. Once there, click the Please click here to PeopleSoft logon page link. Then, you will be prompted to log in with your ULID and password. Once you log in, the options on your screen will depend on your security access. 1. To access the Assign Textbook page, click Main Menu. Then, click ISU CS Main Menu. Next, click Interfaces. Then, click Textbook Interfaces. Finally, click Assign Textbook. 2
2. Enter any search criteria you have available, or click on the appropriate Look Up button to select from a list. Click the Search button. Your search results will display at the bottom. Select the appropriate course from the search results. 3
3. Click the link for the desired class from the Search Results. 4
4. The Assign Textbook tab displays the Course ID, Class Sections, and Instructors details. If multiple Class Sections were assigned to the Course ID, the First/Last will display the total number of sections. 5
5. Textbook Assignment Status: Pending is selected by default. Select Pending to indicate that the textbook data that you are entering for the class is not final. The system displays pending textbook information to administrators, instructors, and advisors only. Students and visitors cannot view pending textbook information. They receive the message, "Textbooks to be determined." Select Textbook entry complete after you complete entering textbook assignments. This option indicates that the textbook data is final. When you select this option, the textbook data is available to all users, including students and visitors. 6
6. Select the check box next to No textbooks assigned to class if no textbooks are assigned to the class section. For example, no textbooks are required for MUSIC 398 - Individual Instruction. Note: The Textbook Assignment Status must be set to Textbook entry complete in order for students to view the message, "No textbooks required for this class." Use the Estimated Enrollment field to indicate how many students will be taking the class. 7
7. The Course Materials tab in the Textbook Assignment section displays any course materials assigned to the current Class Section view and the posting status. Textbook Assignment may be different for each class section. 8
8. The Details tab in the Textbook Assignment section displays additional textbook information such as author, publisher, and price. 9
9. The Notes tab in the Textbook Assignment section is where notes can be added to individual textbook rows. They will be displayed on the Notes tab. Special Instructions applies to all textbooks. An example of a Note would be, "Must buy a new book." An example of a Special Instruction would be, "Only one of the three books is required. The instructor will assign the required book on the first day of class." 10
10. Use the Audit tab in the Textbook Assignment section to review Last Update Date/Time. The User ID/ULID of the person that last updated the Textbook Assignment will be displayed. 11
11. To assign a textbook to all class sections, enter the ISBN number in the ISBN field or click the Look Up button to select a textbook from a list. 12
12. In the Search Results window, click the link for the desired textbook. 13
13. The details of the selected book will be displayed in the Course Materials tab in the Textbook Assignment section. Click the Assign Book to All Sections Below button. A new line will be populated with a Posted status of Not Posted. Click the Notes tab to add notes for this new line. 14
14. To post the textbook, click the radio button next to Textbook entry complete and select the Post to Schedule of Classes button. 15
15. The following message will display: Transaction successful. Posted to Maintain Schedule of Classes The Posted status will change to Complete. 16
16. If you wish to add a textbook to just one section: Click the + button to add a new row. Select the Course Material Type and Course Material Status from the dropdown menu. Click the Look Up button to select an ISBN. 17
17. To post the textbook, click the radio button next to Textbook entry complete, then click the Post to Schedule of Classes button. 18
18. The following message will display: Transaction successful. Posted to Maintain Schedule of Classes The Posted status will change to Complete. 19
