Audience Engagement Technology Whether you want to use audience engagement technology to facilitate Q&A sessions, host live voting sessions or simply break up event content, our solutions have been proven time and time again to keep audiences invigorated, whilst simultaneously providing event organisers with invaluable insights into their target demographic. Simple to use, our audience engagement technology is designed to focus and guide debates, track changing opinions throughout the duration of an event, and measure the impact of individual speakers and presentations. The entire process is controlled by an onsite technician who will send out questions, moderate answers and display results in real-time on your event s projector screen. Delegates simply need to input their answers when prompted by the speaker. Measuring ROI Post-event, we will send you a comprehensive report compiling data on audience engagement usage in order for you to calculate ROI. This will compile all responses submitted through the audience engagement technology - including poll results, free-text responses and event evaluation results. We will also try to hold a post-event wash-up meeting with you to talk through these findings with you. Audience Engagement Solutions Page 3

Our Event Services Over the following pages, we ve outlined 2 ways to use our audience engagement technology - by using ipads (either as part of our Event App or on their own), or by using voting handsets. It s worth noting that these solutions form part of a much larger in-house event management service - specifically crafted over 40 years to ensure our clients can produce sleek, effective and beautiful events, time and time again. Input Methods Tablets/Phones When used on tablets/phones, our audience engagement technology will enable you to capture large amounts of varied data from your audience, including free-text comments. If you choose to use our technology in this way, we will provide ipads for your delegates to use at your event. We can either provide an ipad for each delegate, or we can provide an ipad per table to stimulate discussion between delegates. We will use your event branding to personalise the interactive screen and answers on the projector screen to ensure your delegates have a cohesive event experience from start to finish. If you re using our Event App at your event, we will integrate your audience engagement solutions straight into the app s user interface. This means delegates will be able to take part in audience engagement sessions using their own devices - a key cost-saving feature. Voting Handsets When using voting handsets, there is no need for delegates to spend time familiarising themselves with the technology in front of them - they simply attend the session and press a button to vote on-demand. Voting handsets are perfect for short breakout sessions, for delegates who may have limited knowledge of smart technology, or when you want to capture very precise polling data from your delegates. Using the Technology Our audience engagement solutions can be built into your Event App and accessed through the home screen. Alternatively, they can be used in their own entity and accessed by visiting a website url such as i.livegroup.co.uk on any computer or device. To begin the session during an event, speakers will ask delegates to first log in. When accessed through the Event App, delegates will simply need to touch the Interact button on their app s home screen. When accessed through a url, our onsite technicians will configure all ipads pre-event so delegates will be presented with the login screen as soon as they unlock their device (see image). They will then just need to enter the event code given to them by their host, and input their name/email address. Once delegates are logged in, your onsite technician will automatically send the relevant questions out to each ipad when prompted by either the speaker, or the presentation slides. We will take care of all onsite audience engagement solutions for you, leaving you to focus on the most important part - the content. Audience Engagement Solutions Page 6

Options Available When Using ipads ipads are becoming a common feature of conferences and events, and with the right understanding they can play an important part in ensuring your delegates are fully involved in the content of the day, that feedback is properly recorded and that you gain useful insights into how different sections of your audience think and feel. The following pages outline the options available to you when you choose to use our audience engagement solutions on ipads supplied by us at your next event. Audience Engagement Solutions Page 7

Using ipads Input Options Multiple Choice and Live Polling Voting with multiple choice questions allows you to quickly and easily measure levels of understanding, confidence, preference and satisfaction of your audience. Delegates simply choose their preferred answer and click Next or Submit on their tablets or mobile devices. Audience Engagement Solutions Page 8

Using ipads Input Options Free Text Response Free text responses provide delegates with the ideal means to submit comments or questions to speakers, or share their reflections and insights from group discussions. Delegates simply write their response in the designated box on their tablet or mobile device, and then click to Next or Submit to log their answer. Responses will appear in presentation view as a waterfall of submissions (see page 3), which can be slowed down, sped up or stopped completely to aid discussion. All entries can be moderated for content before being shown on the projector screen. Audience Engagement Solutions Page 9

Using ipads Input Options Word Clouds Word Clouds give you a clear visual representation of the most important and relevant thoughts and opinions from your audience (see page 2). Delegates use the free text response screen on their tablets and mobile devices to submit comments and answers. The Word Cloud on the projector screen then evolves in real-time, representing the most commonly used words as the largest. Audience Engagement Solutions Page 10

Using ipads Input Options Multi-Select Our multi-select screen asks your delegates to select which options apply to them from a list of pre-set answers. This input option enables an even more precise level of understanding from your audience than just multiple choice polling. You can offer up to 10 different options, and can even set caps on the number of options delegates can select. Audience Engagement Solutions Page 11

Using ipads Input Options Rank By Our ranking screen enables your delegates to rank a number of pre-set options in order or priority, once again giving you a more precise level of understanding from your audience than simple multiple choice answers. As with multiple choice and multi-select, our system will showcase live poll results on the projector screen. Audience Engagement Solutions Page 12

Using ipads Input Options Drag and Drop An excellent way to stimulate discussion is to leverage the creative capacities of your audience. Our unique drag-and-drop feature allows you to present your audience with a list of selected words for them to use to construct their answers. Answers can be presented on a projector screen as a waterfall of submissions, similar to free-text responses. Audience Engagement Solutions Page 13

Using ipads Input Options Rate Because of its interactive element, the rating screen works well to stimulate event feedback from your delegates to provide you with the vital post-event data you need to improve on your future events. Audience Engagement Solutions Page 14

Options Available When Using Voting Handsets As an alternative to ipads, voting handsets allow you to quickly and easily measure levels of understanding, confidence, preference and satisfaction of your audience. Handsets can be used as soon as delegates enter the room, with very little introduction. To vote, delegates simply click the the letter or number correlating to their chosen answer. Handsets are more suitable for audiences who may not be familiar with more advanced technology, or for breakout sessions limited by time constraints. Audience Engagement Solutions Page 15

Using Voting Handsets Input Options Multiple Choice and Live Polling Voting using handsets couldn t be easier - speakers introduce the question and possible answers, and then delegates press the button correlating to their answer. To aid selection, a green light will show on the handset once an answer has been submitted. To give an added depth to your audience insights, our voting handset technology stores answers, so you can quickly and easily compare results from various questions to reveal how different demographics vote on different topics. As with ipad answers, the responses to all polls will be shown live on the projector screen (as per the image shown). Audience Engagement Solutions Page 16

Integrating Audience Engagement Solutions Into Your Agenda We will always offer support and guidance before your event to ensure our audience engagement solutions are used to best effect. As a start, our basic guidance is as follows: Start with some fun ice-breakers - get delegates used to the technology right from the start. Keep questions purposeul, meaningful and interesting. Make full use of audience demographics - showing poll results separately for different demographic groups can prove extremely insightful. Acknowledge audience polling results; follow-on questions are essential tools for delving deeper into an audience s knowledge and perceptions. Think carefully about which question type is appropriate to your purposes. Open-ended questions tend to support better recall than multiple-choice questions, whilst multiple choice questions can be more leading than open-ended questions.
