These deadlines and milestones are set out for each class in this schedule. The policy by which these dates are established is: 1. Students may add a class if less than 10% of the instructional time has passed in the course. 2. Students may drop a class, and eliminate all notice of the class from their transcript, if less than 20% of the instructional time for the class has elapsed. 3. Students may drop a class, and receive a "W" on their transcript, if less than 60% of the instructional time has passed. 4. Students may not withdraw from a class if 60% or more of the instructional time has passed. Annual Notification of Privacy Rights: Family Educational Rights and Privacy Act (FERPA) The Family Educational Rights and Privacy Act (FERPA) afford students certain rights with respect to their education records. These rights are: 1. The right to inspect and review the student's education records within 45 days of the day the University receives a request for access. Students should submit to the registrar, dean, or head of the academic department, written requests that identify the record(s) they wish to inspect. The University official will make arrangements for access and notify the student of the time and place where the records may be inspected. If the University official to whom the request was submitted does not maintain the records, that official shall advise the student of the correct official to whom the request should be addressed. 2. The right to request amendment of education record(s) the student believes is inaccurate or misleading. Students may ask the University to amend a record that they believe is inaccurate or misleading. They should write the University official responsible for the record, clearly identify the part of the record they want changed, and specify why it is inaccurate or misleading. If the University decides not to amend the record as requested by the student, the University will notify the student of the decision and advise the student of his or her right to a hearing regarding the request for amendment. Additional information regarding the hearing procedures will be provided to the student when notified of the right to a hearing. 3. The right to consent to disclosures of personally identifiable information contained in the student's education records, except to the extent that FERPA authorizes disclosure without consent. One exception, which permits disclosure without consent, is disclosure to school officials with legitimate educational interests. A school official is defined as a person employed by the University in an administrative, supervisory, academic, or support staff position (including law enforcement unit and health staff); a person or company with whom the University has contracted (such as an attorney, auditor, or collection agent); a person serving on the Board of Regents; or assisting another school official in performing his or her tasks. A school official has a legitimate educational interest if the official needs to review an education record in order to fulfill his or her professional responsibility. 4. The right to file a complaint with the U.S. Department of Education concerning alleged failures by the University to comply with the requirements of FERPA. Washington, DC 20202-4605 In accordance with the Family Educational Rights and Privacy Act of 1974, as amended, the Registrar of Montana State University-Northern may disclose directory information from the education record of a student who is or has been in attendance at Montana State University-Northern. The following information is considered by Northern to be public in nature: (1) Name, (2) Address, (3) Telephone Number, (4) Year in School, (5) Major, (6) Scholarships awarded, (7) Degrees conferred, (8) Honors granted. However, the student has the right to refuse to permit the Registrar to disclose the above information. If the student does not want to have directory information released, he/she must notify the Registrar in writing or complete the Privacy Rights Request form. The student is herewith notified: 1. If the student requests information private, the University will not even acknowledge the student s enrollment to third parties, except in cases otherwise provided for, such as written requests for transcripts and releases to other school officials. 2. Emergency messages will not be taken for and relayed to the student (life and death situations excepted). 3. The student s name will not appear on any lists released to third parties, including honor rolls, press releases, graduation programs or any other publications. 4. This is an all or nothing policy. The student may not select certain information or certain circumstances for non-disclosure. For clarification contact the Registrar s Office, located in Cowan Hall 220.
REGISTRATION INFORMATION IMMUNIZATION ADMISSIONS REQUIREMENTS In order to be in compliance with Montana state law, amended in 1993, students born on or after January 1, 1957, taking seven or more credits OR enrolled in a degree-seeking program must either: A. Show proof of two vaccinations against measles and one against rubella. Immunizations must have been given after 1967 and after the student's first birthday and must have been administered at least thirty days apart. Current immunizations must have been administered in the form of the MMR vaccine. A physician, registered nurse or school official must document immunizations. "OR" B. Show documentation of having contracted measles and rubella. Documentation by a physician is required including dates of illness. "OR" C. File a medical or religious exemption. Students will NOT be allowed to enroll in classes until this requirement is satisfied. ADVANCE REGISTRATION Students attending Spring Semester 2018 may begin advance registration for Fall Semester 2018 on March 26 th. Instructions are available from the Registrar s Office. New and re-admitted students may register beginning Monday, April 9th. Call 1-800-662-6132 if you have questions about advance registration. ADDING AND DROPPING CLASSES Students who wish to add or drop classes may use the WEB or complete forms and procedures available in the Registrar s Office. Failure to complete specified forms and procedures will result in the failure of the action sought. Grades for all dropped classes will be determined by the Add/Drop policy published in the University catalog. Financial obligations for added or dropped classes will be determined by policies determined and published by the Office of Fiscal Affairs. PAYMENT OF FEES FINAL FEE ARRANGEMENTS MUST BE MADE BY 4:00 P.M. ON FRIDAY, AUGUST 24 th, 2018 for Fall Semester in order to keep the classes for which you enrolled. If fees are not paid or fee arrangements made by these dates you will be dropped from all classes and have to RE-REGISTER. Students who are receiving Financial Aid need to contact the Business Office even if their Financial Aid covers their tuition. A late registration fee of $40.00 will be assessed to all students who register and pay fees after registration day. Registration is NOT complete until payment of fees has been arranged or completed. FEE REFUNDS 1. Refunds are made only after verification of enrollment status as of the fifteenth day of classes by the Office of Fiscal Affairs. 2. The registration fee is non-refundable. The Health Insurance Fee will be refunded until the end of the tenth classroom day following the close of regular registration. 3. Ninety percent of all remaining fees (Incidental, Computer, Building, Student Activity, Non-Resident Tuition, Non-Resident Building) will be refunded to the end of the fifth classroom day following the close of regular registration. 4. Seventy-five percent of all remaining fees will be refunded to the end of the tenth classroom day following the close of regular registration. 5. Fifty percent of all remaining fees will be refunded to the end of the fifteenth classroom day following the close of regular registration. 6. No refunds are made after the fifteenth day of classes. 7. Drop-adds will be computed in accordance with regular institutional fee schedules. There will be no refund for drops after the fifteenth day following the close of regular registration. BOARD AND ROOM REFUNDS All single freshman men and women students under the age of 21 who do not live at home with their parents are required to live in the Residence Halls and take their meals in the University dining hall. Refunds are NOT made for meals not eaten, but refunds are made to students who withdraw from school for their unused meal ticket balances, except for the week of withdrawal. No refunds
are made on room rents to students who withdraw from school or move out of the residence hall after 5:00 p.m. of the fifth day of class. Students who are removed from the residence halls for disciplinary reasons will not receive a room and board refund. GENERAL INFORMATION ADVISOR INFORMATION Students who have selected a major will be assigned a faculty advisor by the major department and are advised by a faculty member in their selected field of study. Students who are undecided as to a major are assigned a faculty advisor by the Registrar. The advisor explains University academic requirements and assists individuals in selecting courses and fulfilling steps that satisfy these requirements. Any student who wishes to change his/her advisor should obtain a form for this purpose from the Registrar s Office or the office of the major department. CLASS ATTENDANCE Each student is responsible for attending all classes regularly. Individual professors may establish attendance policies. A professor may give the student a grade of "F" for an excessive number of unexcused absences, but a professor may not withdraw a student from a class. CREDIT LOAD The normal undergraduate credit load may not exceed 18 credits per semester. Students whose cumulative GPA falls within the limits listed below must obtain permission from the Admissions and Standards Committee to carry extra credits as indicated. Students whose grade point average is below 2.00 may not exceed 12 credits per semester. CUMULATIVE GPA MAXIMUM CREDITS 3.00 or above 22 2.50-2.99 20 2.00-2.49 18 Below 2.00 12 Students on Scholastic Probation may not exceed 12 credits Students must petition to exceed these limitations. Final decision will be made by the Admissions and Standards Committee. INCOMPLETES "I" indicates an incomplete which is given only to a student who has an approved reason for not having completed all the requirements of a course; arrangements must have been made between the faculty and student to complete the work. Such arrangements must be made prior to the end of the current semester. These arrangements must be completed in the next resident semester or the incomplete becomes an "F". PASS/FAIL GRADING Students may choose to take courses on a pass-fail basis by completing forms available from the Registrar s Office within the add period for any class. Only elective courses may be taken on a pass-fail basis. This choice may not be changed. Faculty will not be notified of the choice. The Registrar will translate letter grades into pass-fail grades. The pass grade is not computed in the GPA; however, failures are computed in the GPA like any other F. No required class in a major, minor, area of concentration, general education or prerequisite course may be taken on a pass-fail basis. SUBSTITUTIONS AND WAIVERS Course substitutions and waivers are exceptions and deviations from normal academic policy and may be requested on forms available from the Registrar s Office. WITHDRAWALS FROM UNIVERSITY Students may withdraw from the University by completing the procedures and forms available in the Registrar s Office. Course grades will be determined as set out in the Drop and Add Policy. PREREQUISITES Some courses have prerequisites, as set out in the University Catalog. Faculty may require students to drop courses for which they do not meet the prerequisites.
GRADUATE STUDIES 500 level courses may also be taken for undergraduate credit. In order to take 500 level courses, a student must be admitted to graduate studies. Students should contact the Graduate Studies Office, CH105, for information on Admission to Graduate Studies.
