Educator Access Plus Discipline Referrals Overview Referrals through Teacher Access My Gradebook My Students My Classes Referrals through Advisor Access Referrals through Administrative Access Student Search by Entity Student Search by District

Overview You have the ability to enter Discipline Referrals through Educator Access Plus. Referrals are entered and come through to the Discipline module as Referrals. At that point, you would update the Referral to an Offense and add an Action and Action Detail record as necessary. Once the Referrals have been updated to an Offense the Referrals can no longer be updated within Educator Access Plus, they can only be viewed. You can access the Discipline Referrals screen from multiple areas in Educator Access Plus. Navigate to Educator Access Plus, Teacher Access and My Gradebook/My Students/My Classes.

Referrals through Teacher Access My Gradebook My Students My Classes My Gradebook To enter Discipline Referrals through the Gradebook, navigate to Educator Access Plus, Teacher Access and My Gradebook. Once you are within the My Gradebook screen, you will see a list of the classes you teach. Select the Gradebook link next to the class. Note: If you are using Standards Gradebooks, the link may read Standards Gradebook.

Once you are within the Gradebook, hover the mouse over the Other Access tab and select Discipline. Within the Discipline screen, you will see a list of students who are enrolled in the class. Lookup by Last Name: Enter in the Student s last name and select Search to locate the student. Highlight the student s name for whom you need to enter the Discipline Referral and choose the Select button.

The student s name will appear in the drop down menu at the top of the screen. You do have the ability to switch to different students in the class by selecting the drop down menu. View Notes: Selecting this button will bring up a screen that allows you to view any Discipline Notes that have been added in the Discipline Module. Only Show Current Year Offenses: Choosing this option will only show Offenses that have been created in the current school year. When you press the link, the link will change to Show All Offenses so you can switch back and forth. Select the Details button to view additional information. When you view the Details, you can see any Actions that were added to these Offenses and any comments that were added. We know these have been changed from a Referral to an Offense because you do not have the ability to add an Action onto a Referral. Also, when Referrals have been updated to an Offense, you will not have the ability to Edit or Delete the record from Educator Access Plus.

Select the Add button to create a new Discipline Referral. School: Select from the drop down menu in which school the incident occurred. Officer: Select the Discipline Officer whom you wish to attach to this Discipline Referral. Only the staff members who are flagged as Discipline Officers will appear in the list. This is not a required field. Note: This drop down may not appear when adding a referral depending on the configuration settings in your district. Offense: From the drop down menu, you can select the Offense code that will be assigned to the student. This is a required field.

Location: The available Location codes will appear in this drop down to keep record of where the incident took place. This is not a required field. Bus: You can select the student s bus if you are using the Busing module. This is not a required field. Date of Offense: This will default with the current date but you can change the date if needed. Time of Offense: Enter the time of the offense. This will default with the current time. Parent Notified: If you contacted the parent, you can check this box. This is used as a range on Discipline reports. Note: Checking this box does not directly contact the parents, it is simply a reporting field. Comment: Enter any additional information that will aid the Discipline Officer in assigning an Action to the record. Attach: Opens the Attachment Maintenance screen, where you can upload attachments to the discipline referral. After saving the Referral record, notice that you still have the ability to Edit the record by selecting the button with a pencil icon. You can also Delete the Referral record by selecting the button with the X icon. Until the Referral has been changed to an Offense, you can Edit and/or Delete the record.

My Students You can also enter Discipline Referrals from My Students. Navigate to Educator Access Plus, Teacher Access and My Students. Highlight the Student you wish to view from the My Students screen and press the Select button.

The student s profile will display and you can select the Discipline link on the left to View and/or Add new Referrals.

This screen will be the same as the Discipline screen accessed from My Gradebook. You can add new Referrals from this screen, view existing Referrals/Offenses and/or edit existing Referral records. My Classes To access the Discipline Referrals screen, navigate to Educator Access Plus, Teacher Access and My Classes. On the My Classes screen, you will see a list of the classes you teach. Select the Class Options link for one of the classes.

Once you are in the Class Options screen, you can click directly on a student s name to bring you to the Student Profile screen like accessing the My Students screen. You can also click on the Discipline tab on the left side of the screen to enter in the Referral records for the students. Referrals through Advisor Access You also have the ability to enter Discipline Referrals through Advisor Access. If you are an Advisor and are added on the student s Entity Info tab into the Advisor field, your students of whom you are the Advisor, will appear in the My Students area under Advisor Access. Navigate to Educator Access Plus, Advisor Access and My Students.

At the top of the screen, select the Entity in which you wish to view. Then, highlight the student to whom you will be adding a Discipline Referral and press the Select button.

From this screen, you can select the Discipline link and continue adding in the Discipline Referral. The process from the next screen is the same as from My Students. Referrals through Administrator Access Student Search by Entity Student Search by District Student Search by Entity Student Search by Entity allows you to view the students who are enrolled within the specific entity that you are in. Navigate to Educator Access Plus, Administrator Access, and Student Search by Entity.

This screen will display all students by entity. If you teach classes in multiple entities you can select the Filter Options button to select a different entity to view on the screen. Select the View Student Information button to view the Student Profile.

From this screen, you can select the Discipline tab and enter in the student s Discipline Referral.

Student Search by District Student Search by District is similar to Student Search by Entity but every student in the district will display on the screen. Navigate to Educator Access Plus, Administrator Access and Student Search by District.

Within this screen, you will see all students within the District. You can select to view Only Active or Inactive students by selecting the Filter Options button. Select the View Student Information button to enter in the student Discipline Referral. From this screen, select the Discipline tab on the left of the screen to enter in the Discipline Referrals. After selecting the Discipline tab, it will be the same process to enter the Referral as previously mentioned.
