Guidelines for applying to UCAS online After registering * with Apply 2015 you are now able to login with your password and username as shown below. Please bear in mind that you do not have to complete your application form in one sitting. You can save each section as you fill it out at any stage. Every time you log out, your application will be stored on the UCAS website ready for you to log into the next time you are ready. Reading this guide carefully however, and preparing all the required information beforehand will allow you to complete your application and send it to UCAS in no time at all. Click on log in. * In order to gain assistance on how to register download our PDF file from The Grammar School website. Please note that many of the pages show here may refer to other years. Please ignore this, the procedure is the same. 1 P a g e

Using the school s Buzzword This takes you to the following screen where you will be able to register with the school s buzzword and complete your application. Click the circle through my school/college. You are then asked to type in your Buzzword. The school s buzzword word for Apply 2015 is grammarschool2015 (lower case) as shown on the next page. PLEASE NOTE: All Grammar School students MUST register with the school s buzzword. Applications registered through UCAS by another means WILL NOT BE ACCEPTABLE 2 P a g e

Confirmation that you are registering with The Grammar School Notice that through the buzzword that you typed in, UCAS automatically recognises your school and asks you to confirm this**. Click on yes. Click next You are now ready to begin your application. ** The format of some webpages may be slightly different and may have been taken from previous years. 4 P a g e

Verifying Email - After entering the buzzword you should verify your email with the code that was sent to your email address when you registered. Click verify email 5 P a g e

The Welcome Screen As you progress UCAS will tick each section finished. On the welcome screen you should see the application form and the various sections. You will notice that this year, UCAS has inset a number of instructive videos in each section in order to help you with your application. 6 P a g e

Personal details By clicking on personal details you will see a screen similar to the one below. - You will notice that some of the information will be present from when you registered. 7 P a g e

Personal details continued By clicking on see list a window will pop-up with an appropriate list to choose from. That is, for Country of birth a list of all countries will be seen, as will be the case for Nationality and Area of permanent residence. Click on the appropriate country and it will be automatically placed in the box. 8 P a g e

Personal details continued Be sure to place the correct codes for Residential category, Fee code and Student support arrangements. For Student support arrangements use the see list and simply select EU Team, this code allows you to apply for a student loan from the United Kingdom. Please note that passport details categories are not applicable to European candidates and will not usually be active if you have answered no for the permanent home category. The correct codes for European Union students can be seen in the examples below: If you have TOEFL and/or IELTS examinations passed, place the reference number here. Otherwise leave blank. Leave these two boxes blank You should put in any of the reference codes above only if they apply to you. 9 P a g e

Personal details continued The last part of the personal details section involves whether you want mailings from UCAS, whether you have criminal convictions, or a disability. Mrs Stylianou may need to contact some universities on your behalf, especially during clearing. By placing Mrs Stylianou s details in the Nominated access section you are allowing universities to discuss your application with the school so that we can help you. Once you have completed the section tick on section completed and click on save. Now this section is complete. You can still return to it if you need to change it at a later stage. 10 P a g e

Help with student finances On the page above you are given details of financial help. You need to look at the sections that apply to you and at the bottom of the page check the I have read these details box and save. 11 P a g e

Choices Click on choices in the left hand margin. You should see the following screen: Click on add a choice and the screen on the following page will appear. 12 P a g e

Choose up to five courses Again by clicking on see list for Institution code, Course code and Campus code you will get a list of institutions, courses in the institution you have chosen, and campus codes. Since you have already researched your choices beforehand simply click on the option that applies to you. 13 P a g e

Choices continued Don t get confused if you can t see any choice of campus, usually you will just find a hyphen (-) such as in the example below: In the example on the next page however The University of Cambridge has been chosen which has a collegiate system, which is a system of colleges. Many codes are offered in this case. The campus code A was chosen for one of the colleges. 14 P a g e

Choices continued By clicking on see list for Start date you will see the following pop-up screen: All students applying for 2015 entry should choose the first option. Young people who will finish their National Service and others wanting to apply now for 2 years in advance should choose deferred entry (2016). Remember this option can be chosen by Grammar School graduates who will have entered the army in 2015. 15 P a g e

Choices continued For more information on how to do a course search you can click here. Also, remember you can download our PDF file from The Grammar School website as well. In the example above three sections remain. To make sure that you don t have to put anything in the Further details section you should first check on the UCAS website. To do this, first do a course search for the particular course, when you select the course UCAS will supply this information in a special box under further details. It is also strongly advisable to read all the information pertaining to the course on the university website. In the Live at home? section most Grammar School students put No. Point of entry is left blank since you will more than likely be entering the first year of study. However, 0 is usually required if you are taking a foundation course. Once you have chosen your courses (maximum five) click on save and this section will be marked as complete. 16 P a g e

Education Click on Education in the left hand column. Choose this option here Now click on add new school/college/centre. Search for your school by typing in Nicosia Grammar. Select NICOSIA GRAMMAR SCHOOL, CYPRUS 17 P a g e

Education continued Now click on add qualifications. Students that have graduated and may be retaking some units at the school will have difficultly placing their grades on their application since grades will only be allowed up to the date of graduation. So for these graduates, please see the double entry below. Here you will observe that The Grammar School was added twice with two separate date ranges making it possible for graduates to enter their retaken grades after graduation. Retaken A Levels will need to be placed in the year range entry that the exam was taken in. 19 P a g e

Education continued As you can see from the example below a list of qualifications appears. This list has been preset by the school to include most qualifications that Grammar School students take. If you don t see a qualification click on Other qualification type not in this list 20 P a g e

Education continued Clicking on International IGCSE will bring up a screen similar to the one below: The example on the next page shows you how to fill in the information. 21 P a g e

Education continued Note that the Date is August. This is because UCAS wants the date you received the grade and not when you sat the examination. Awarding Body is usually Edexcel. After you click on save, you again add a qualification and once finished you save again one by one qualification until you have placed in all your subjects. 22 P a g e

For your AS examinations do exactly the same. Education continued You will notice that you are asked for modules. You are not obliged to put your modules in if you do not want to, unless the university asks for unit grades. However, if you have high grades all-round then you are advised to do so. If you are retaking your AS examinations you have to place your first AS grade, and then add the same AS with the date you are retaking with the grade section pending. You should however place in the modules that you are retaking. 23 P a g e

Education continued The only difference from the example above with A levels is that the Grade section is usually left Pending because you won t have taken most of the examinations yet. See the example on the next page: Leave the Module/unit section blank. In the examples above, universities can see that AS- Examinations have been taken, that certain AS Examinations and modules are going to be retaken and that you will be receiving the whole A Level certificate in August. 24 P a g e

Education continued If you need to edit or remove a subject, click on edit or remove. After you have placed all your qualifications in the Education section tick section completed and save. This section is now complete. Again, you can come back to it if you wish. 25 P a g e

Employment If you have been employed (e.g., part-time during summer) then complete the next screen. Click add an employer. Once completed tick section completed and click on save. This section is now finished. 26 P a g e

Personal Statement Click on the Personal Statement section on the left hand column. You should see the following page: Lines and characters remaining Probably one of the most important parts of the application form is the personal statement where you get a chance to explain why you have chosen to study what you want to study and why a university should choose you over someone else. Thus, it is important to write it well (see the PDF file on Writing a Personal Statement). The personal statement is written as a word document and then is copied and pasted in the personal statement section on the UCAS application. Also, as shown above you can easily access the UCAS guide to writing your personal statement together with the online video. Click on statement. Notice that UCAS tells you how many lines and characters you are allowed. 27 P a g e

Click on preview to see what your statement will look like on the UCAS form Once you have previewed your work and are certain that it is correct tick section completed and click save. 28 P a g e

Payment and delivery Click on Pay/Send on the left hand column. UCAS will first show you some important reminders. Once you have read them click next. In the following page UCAS requires you to agree to some legal statements, you should read this and if you agree tick the four boxes shown above and click I agree. The last box should be ticked as well in order to allow you to follow your application. 30 P a g e

Payment and delivery Please note that you should have a credit card available (preferably with a limited account). Once you have paid View all details and Send to referee Remember no references are written until the application has been paid for and sent to the referee. Once the application has been sent to the school the reference will be attached and sent to UCAS. You should have your application in, three weeks before you want the reference to be written. Universities like early applications and tend to remember them better. Remember look at the timeline that was given to you. The school will not be able to give priority to students who are delayed in their applications or who give in their application just before Christmas. 31 P a g e
