Requirements Apple iphone, Apple ipad, or Android Smartphone Wireless Internet Connection LMS Administrator access Application Use Take attendance in Instructor-Led Courses Complete task lessons in Online Courses Approve course enrollments Steps *Note that although this job aid only illustrates the iphone and ipad app, the design and functionality is virtually identical for the Android app. Downloading the App 1. Open the App Store on your Apple device or the Google Play Store on your Android device. App Store icon Google Play icon 2. In the search bar, type Absorb LMS Instructor Toolbox, and then tap the Install button. When installation is complete, tap the Open button. Click learningexchange@vanderbilt.edu to email for additional support. Page 1

3. You will then see the welcome screen. You can tap Skip to log in, or swipe left for a quick tutorial on the app s features. Click learningexchange@vanderbilt.edu to email for additional support. Page 2

Login Screen & Main Menu 1. Login using these credentials: Portal # 201-0002 Username [[Your VUNet ID]] Password SSO Click Sign In. Please note: You will need to type in SSO as your password. The mobile app is not connected to the Vanderbilt Single Sign-on and has no knowledge of your e-password. You may check the Keep me logged in box on your personal mobile device. Click learningexchange@vanderbilt.edu to email for additional support. Page 3

2. If you have successfully logged in, you will see the Main Menu screen. Click learningexchange@vanderbilt.edu to email for additional support. Page 4

Classes 1. Tap a class title to see the Class screen. 2. Tap Registrations to see the course registration screen, which lists currently enrolled learners. This screen is explained further in the Registrations section below. 3. Tap Sessions to see the list of all sessions within the ILT that the instructor is teaching. 4. This greyed out area displays additional information about the course. Please note that this area is not editable from within the app; updates from the administrative interface will be reflected here. Click learningexchange@vanderbilt.edu to email for additional support. Page 5

Registrations 1. All learners who are currently enrolled in the course are listed on the Registrations screen. Note that some of these learners may not be enrolled in a session yet. 2. Selecting a learner will allow you to set all checked learners to unenrolled. This unenrolls them from the course, which will unenroll them from the session as well. 3. Add Learners will allow you to register an existing learner into this course. Please note that you cannot actually create learners via the app. 4. To find a learner to be added you can use as many of the search fields as you like. The search fields are non-case-sensitive but they do require an exact match, i.e. searching for "learn" in the username field will not find the username learner. 5. Once a learner has been found you can select them to register them for the course. Click learningexchange@vanderbilt.edu to email for additional support. Page 6

Sessions 1. The Calendar shortcut will take you to the Schedule view for the day of this session. 2. Tap this shortcut to see the Venue list. 3. Seats Remaining is a view-only area that displays some of the enrollments settings and information for the session. 4. Tap Enrollments to access the enrollments for this session. This page offers the same functionality as the course Registrations page, but at the session level. Please note that enrolling a new learner at the session level will register them for the course as well. 5. Tap Attendance to mark attendance for this session. This functionality is exactly the same as the Attendances option available from the main menu except that the session is already selected. 6. If an enrollment start or end time has been set, that information will appear in the Enrollment Period section. Click learningexchange@vanderbilt.edu to email for additional support. Page 7

Attendances 1. The Attendances screen shows all sessions that are currently waiting for attendance to be marked. Please note that a session only becomes available once it has started. 2. After selecting a session you will see both learners who have been marked and those who are waiting to be marked for attendance. 3. Marked Learners cannot be modified from within the app. However, their attendance can still be changed from the admin interface. 4. Once an unmarked learner has been selected you can then mark them as attended or absent. As noted above, the app will not allow you to change this once the learner has been marked. If you do make a mistake, you will need to use the admin interface to correct it. Click learningexchange@vanderbilt.edu to email for additional support. Page 8

Approvals 1. The Approvals screen shows any ILT sessions that you are teaching in which a learner is pending approval. 2. Any pending learners are listed here. After checking off the appropriate learners you can either accept or decline their request for approval. Click learningexchange@vanderbilt.edu to email for additional support. Page 9

Schedule 1. Any dates on which you are teaching a session will be highlighted with a small black dot. The current date is also colored in blue. 2. After selecting a date on which you are teaching at least one session, you will see a list of the sessions. Selecting one of the sessions will take you to the Session information page. Click learningexchange@vanderbilt.edu to email for additional support. Page 10

Task Completion 1. This screen shows all online Courses with Tasks. Please note that there is currently no way to narrow this list by course creator. 2. Once a course has been selected all Tasks contained within that course are listed. Please note that you will only be able to view the task name, not any documents that were uploaded to that task. 3. Clicking a task will pull up the list of currently enrolled learners who have not yet completed that task. 4. After selecting one or more learners you can mark them as complete for that task Click learningexchange@vanderbilt.edu to email for additional support. Page 11
