Satisfactory Academic Progress Policy (SAP) Definition: Standards of Academic Progress (SAP) are Federal regulated requirements which specify the minimum cumulative GPA and completion rate a student must maintain to qualify for federal financial aid funds. These requirements apply to the student s entire academic history, whether financial aid was received or not, and to all types of Title IV aids: grants, loans, and work study. The Department of Federal Education considers a satisfactory academic progress policy to be reasonable if it meets both the qualitative and quantitative criteria. These policy is apply at the end of each payment period for program that is for one year or less. For student that is more than a year, apply these at the end of the year. SAP Requirement Qualitative Measure This is monitored by the cumulative grade point average (GPA). If a student is enrolled in an educational program of more than two academic years, the policy specifies that at the end of the second academic year, the student must have a GPA of at least a C or its equivalent. For more information click here to see the retention table (available in Spanish language only). Quantitative Measure The quantitative measure are the number of completed credits in each semester. The Institution uses a graduated completion percentage by academic program. The student must earn the minimum percentage of attempted credits, which range from 50% to 67%, depending on the academic program and academic year in which the student is enrolled. Maximum Time Frame Student must complete the program measured in credit hours, a period no longer than 150 percent of the published length of the program. If student exceeding this maximum not be eligible for Title IV aids. Financial Aid Warning Students enrolled in technical and postgraduate certificate programs, for which SAP is evaluated at the end of each semester, may be placed on financial aid warning status as a consequence of not making satisfactory progress. The Institution uses this status without appeal or any other action by the student. The Registrar s Office will notify the student in writing, through regular mail or e mail, of the financial aid warning status. Students who fail to make satisfactory progress after the warning period lose their aid eligibility unless they successfully appeal and are placed on financial aid probation. Financial Aid Ineligibility The student was ineligibility for financial aid programs when failed to make satisfactory academic progress. The student will be advice for these status by email. To reinstall him or her eligibility, the student must make an appeal process. Appeals process should state why the student failed to meet satisfactory academic progress and what has changed that would allow the student to re achieve the requirements at the end of the next semester. Appeals should include documentation that supports the circumstances concerning the failure to maintain the expected level of satisfactory academic progress. Appeals Process The Institution considers the following crises to accept on appeal and hold student applying standard academic progress: student illness or dependent disease householder who has created an economic crisis, natural disaster, divorce of parents or death of a parent, spouse or children, the family unit alteration, change academic objectives and problems of a judicial nature that have reasonably prevented the student's academic progress. The student make an Appeal Request with their documentation. These request is evaluated by the Appeals Committee. The Appeals Committee shall consist of a representative of the following areas: Professional Guidance, Registrar, Admissions, Financial Aid Office and Academic Division. It will be chaired by the Vice Chancellor of Student Affairs or his representative. Reinstall Financial Aid Eligibility If the student submits an appeal and it was considered favorably by the Appeals Committee. This will be eligible for financial aid programs in the term in which it is provided as there is no enrollment deadline requirements established by the Federal Government for the payment of financial Aid Program. In the letter of notification of the decision taken on the appeal request sent by the Vice Chancellor for Student Affairs, the Office of Financial Aid, restore their financial aid to the student, if appropriate.
