Introduction What is it? The STARS Instructor s Desktop, provides a functional view for instructors at Pickens Technical College to Maintain Gradebook Templates, update Student or Course Gradebook and maintain attendance by Student or Course. Who uses it? Instructors at Pickens Technical College, with: Intranet access. An active SDMS logon and password. Responsibilities for specific Term / Course / Student roster combinations. How to get to it? The Gradebook & Attendance process is part of the STARS module within the Student Data Management System (SDMS). The process is accessible by the Instructor option from the STARS menu as shown below in Figure A. Figure A Page 4 of 36

Instructor s Desktop 1.0 Overview This screen provides a view of an Instructor s Gradebook & Attendance information by term. The data displayed on the screen is attached to the login-id of the instructor logged in only. The instructor can also add new templates and edit existing templates from the desktop. A sample of the three sections (Courses, Attendance & Course Gradebook Template) is shown below in Figure 1. The terms, courses, and students registered to courses are pre-loaded by Pickens Staff responsible for admin duties. Figure 1 Page 5 of 36

2.0 Courses To work within courses, a valid term must first be chosen from the drop-down list of valid values (see Figure 1a). As shown in Figure 1b, the courses for a term are then displayed. Once the courses are displayed, select the icon to navigate to display Course Groupings. Note: it is a standard throughout SDMS that underlined column headings can be selected to sort as desired. Course Grades The Groupings for the selected term and course are displayed. Only the sessions valid for the instructor & grouping combination(s) are displayed. Select the icon to view/edit the associated course grades (shown in Figure 1c). Figure 1c Course Gradebook As shown in Figure 2, the Course Gradebook displays information based on the Term, Course and Grouping selected. Once the Gradebook is displayed additional information for the [term-coursegrouping selected] is available: the student roster is displayed and/or each student can be viewed and edited individually (as opposed by course grouping). The menu tab items for Formative & Summative enables all students to be viewed/edited on one screen. The icon on each student line enables the Formative & Summative for one student to be viewed or edited on one screen. Page 7 of 36

Student Gradebook (Grading by Student) Selecting the icon for a student listed on the Course Gradebook (Figure 2a) navigates to the Student Gradebook screen as shown in Figure 2b. Figure 2a Figure 2b Page 9 of 36

Formative Information (Grading by Assignment) Using the Formative tab functionality (as shown in Figure 2c) all students (as opposed to one-selected student) for a selected Assignment can be graded on one screen. Figure 2c Page 10 of 36

Editing Assignment Grades Select the icon from the Course Gradebook (Figure 2c) to edit Assignment Grades for all students on the roster, as shown in Figure 2c(1). Figure 2c (1) Page 11 of 36

Deleting an Assignment Selecting the icon on the Formative menu tab will delete an assignment from the Course Gradebook (see Figure 2c). A verification prompt is displayed for confirmation on a delete as shown in Figure 2c(3). Figure 2c (3) Page 13 of 36

Adding Assignments As shown if Figure 2c, selecting the button on the Formative menu tab displays the common Assignment screen used when creating the Course Gradebook template (shown in Figure 2d below). Figure 2d Page 14 of 36

Editing an Assessment As shown if Figure 2e (duplicated below for easy reference), selecting the icon on the Summative menu tab displays the common Assessment screen used when creating the Course Gradebook template (shown in Figure 2g). Deleting an Assessment As shown if Figure 2e (duplicated below for easy reference), selecting the icon on the Summative menu tab will delete an assignment from the Course Gradebook. Creating a new Assessment As shown if Figure 2e (duplicated below for easy reference), selecting the button on the Summative menu tab displays the common Assessment screen used when creating the Course Gradebook template (shown in Figure 2i). Details The details tab shown in Figure 2j enables notes to be added for the Term/Course/Session chosen. Figure 2j Page 20 of 36

Course Competencies The course competencies for the term-course-session(s) selected are available for reference as shown in figure 2k. The course competencies are pre-loaded by the administrative support staff. Figure 2k Page 21 of 36

Eligibility The roster list displayed on the Eligibility menu tab (Figure 2l) is a subset of the student roster, containing only secondary students. It is a business rule that each secondary student needs to be evaluated & updated weekly, if they are ineligible for the week. A simple checkbox is used to indicate ineligibility. Progress Grade The progress grades tab (Figure 2m) is provided to enter progress grades as they are due (typically the end of the quarter). Figure 2m Page 23 of 36

3.0 Attendance The attendance function is the second part of the Instructor s Desktop. Like the previous section, the term must be selected; the columns can be sorted by the headings and the view/edit further information. icon is provided to Instructor s can update attendance for the current day only. Administrative support staff can make corrections to attendance from previous days if necessary. 4.0 Gradebook Templates The bottom portion of the Instructor s Desktop screen displays the Course Gradebook Templates the instructor has already added. The instructor is also able add a new template from the Desktop. Figure 4 Page 26 of 36

Adding New Templates Viewing Available Templates As shown previously in Figure 4, an Instructor can select the Add New Template button from the Instructor s Desktop screen. A list of the valid templates will then be displayed to choose from as shown in Figure 4a. Figure 4a Page 27 of 36

Filtering by Course Number To assist in finding the desired template quicker, the Instructor can filter the list of valid templates available by course number. As shown in Figure 4b 1. Enter the full/partial number. 2. Click the search button. Figure 4b Page 28 of 36

Reviewing the template information Once a course template is selected, the instructor can add new assignments and update information on existing assignments. As highlighted in Figure 4d below, Tabs are provided to navigate to different types of information. Existing assignments can be edited or deleted by clicking the or respectively. A button is provided to add a new assignment if the Formative tab is current. A button is provided to add a new assessment if the Summative tab is current. Figure 4d Page 30 of 36

Adding Assessments As shown below in Figure 4g, new Assessments can be added to the Instructor s Course Gradebook Template. Adding Details The details can be maintained from the corresponding tab on the Course Gradebook Template screen. After data is entered, click the save button to save the updated information. Figure 4i Page 33 of 36

Viewing Course Competencies The course competencies can be maintained from the corresponding tab on the Course Gradebook Template screen. After data is entered, click the save button to save the updated information. Note: as shown in Figure 4j below, the column headings on this screen are underlined. This is a standard in the SDMS application. If column headings are underlined in a grid such as this, the user can click on them to sort the grid in the order of the heading. Figure 4j Page 34 of 36
