SAP SuccessFactors Implementation Streamlined and Automated Learning Management Process

Industry: Manufacturing Geography: US Employee Size: 6,000 Revenue Range: $1 billion - $5 billion The Client The client is the largest manufacturer of commercial truck trailers in the US. Established in 1985, the company specializes in the innovative design and production of dry freight vans, refrigerated vans, flatbed trailers, drop deck trailers, and intermodal equipment. The client maintains an extensive North American sales network, selling its products through factory-direct representatives, authorized independent dealers, and a network of factory-owned retail sales outlets. The client, the largest manufacturer of commercial truck trailers in the US, utilized multiple learning tools, LRN and DuPont, for training and Learning Management process. Multiple tools meant that each end user must maintain multiple log-in credentials, making the Learning Management process difficult to follow. Additionally, it experienced significant data inconsistencies within the Learning Management process. As a result, training programs were affected and the learning process suffered due to data inconsistency and lack of integration between multiple tools. SuccessFactors Learning Management System (LMS) would automate the learning process and turn learning activities into profitability drivers by integrating seamlessly with internal modules, such as performance management, career development, compensation planning, and succession planning initiatives wherever necessary. Success Factors LMS offers powerful reporting features and the flexibility to manage all types of third-party and custom content, as well as peer-to-peer and on-the-job training. The client selected to subscribe to SAP SuccessFactors LMS to provide one central database for all training worldwide, but required an implementation partner. During the evaluation of partners to lead the implementation of the SuccessFactors Learning Management Solution, YASH Technologies, a SuccessFactors Consulting Partner, was selected.

YASH began by gathering requirements and used this data to configure the system. For the implementation of LMS, YASH would follow the steps outlined below: 1 Design and develop a comprehensive global SuccessFactors LMS, specific for the client s organization 2 Perform functional, technical, project management, and training activities for the successful delivery of LMS 3 Create and execute an integration to the other SuccessFactors modules that were already deployed 4 Build and support integrations to icontent 5 Migrate course master data and learning history of employees 6 Deploy Project Team Orientation (PTO) and Train the Trainer to provide essential training to the project team and administration YASH followed its proprietary implementation methodology in which the solution build follows iterative developments in smaller cycles called playbacks. The playback uses the SuccessFactors best practice templates so that base solution is validated early on in the implementation phases. YASH s Playback Process approach is a method in which YASH repeatedly iterates the configured solution, specific to the client s unique requirements, which were assumed to constitute approximately 20-30% of the overall solution that was gathered from the workshops during the prepare phase. The methodology would accelerate functional solution implementations along with minimizing the implementation time. The core team can run the simulations with its sample data. YASH recommended a collaborative model involving the client s core team in design validation and solution testing during planned playback cycles. This forms a platform for knowledge transfer, which would minimize the knowledge transition time. The engagement duration was estimated at 18 weeks, which included 16 weeks for the configuration and deployment of the LMS platform and two weeks for post go-live support. With two LMS consultants and one project manager, a hybrid offsite/offshore delivery model was utilized to provide a significant cost savings for the client.

Beginning in April of 2015, YASH initiated the implementation of SuccessFactors LMS within the US. During the LMS implementation, YASH: Conducted pre-configuration and provided the project team with an orientation to give the client an understanding of all LMS functionalities and interfaces with all third party tools Executed a requirement gathering workshop and aided the client in making configuration decisions that fit its specific needs Configured the integration of BizX LMS Achieved unit, system, and integration testing Prepared and provided test scripts to the client Performed user data migration Configured and integrated external content providers, including LRN and DuPont, and reference values Uploaded the data from LRN and DuPont The implementation of LMS affected all departments throughout the organization and is utilized by more than 850 end users. Additionally, YASH provided two weeks of post-go live support to ensure completed user adoption.

With the implementation of SuccessFactors LMS, the learning management process was streamlined and automated, eliminating data inconsistencies. End users were able to access the LRN and DuPont courses directly from LMS with a single sign-on, further enhancing the Learning Management process. Specific employees can be targeted for required training that is missing with the assignment process. The organization can now track the training progress of employees at one location. Additionally, LMS provided the organization with insight through analytics to measure the effectiveness and value of training, which in turn enabled better decisions making capabilities based on those metrics.
