Unit Coordinator Overview Overview The flowchart below shows the steps for the processing of results from a Unit Coordinator s point of view. There are three main areas of functionality within the AMS: Management: Reports: Create unit plans, enter final grades, import grades from a file, or submit unit for approval. Generate reports for unit statistics and sign off, results entry proforma or export data. Administration: Grant unit access to another staff member, or review the status of results transfers to SAMS. 1
Create Unit Plan The unit plan is created to nominate the Unit Coordinator, and setup the assessment grading schema. 1. From the Management tab, click on Create Unit Plan. 2. Select the unit code, teaching period, and click on SUBMIT. 3. Set the desired grading schema options, your preferred number of students displayed per page, and click on SUBMIT to complete the creation of the unit plan. Enter Results and other update functions will now be available under the Management tab. Enter Results Enter the percentage or grade against each student and click SAVE. Enter a Student ID in the search field and click on FIND to go directly to a student. Alternatively, tick a filtering option and click on FILTER to only display students meeting the criteria selected. All students must have a result recorded as a percentage or a final grade. (Non-numeric schema codes such as A, SA, DA and others are also valid). When all student results are entered, a Unit Approval link becomes visible beside the SAVE button. Note that grade overrides will always take precedence as a student s final result when transferred to SAMS. Final grades can alternatively be imported from Curwen, text and Excel (csv) files see Import Final Grades for more details. 2
Unit Approval 1. Click on the Unit Approval link on the Management tab, or alternatively next to the SAVE button on the Enter Results screen. 2. Click SUBMIT and LOCK RESULTS to submit final grades for review. A new pop-up window will appear. Click OK to confirm and complete the process. Note that the details shown on the Results Entry Proforma can be seen on the Reports tab. Changing grades after Unit Approval If you need to make further changes after unit approval, please contact your administration office to request your unit to be unlocked. Once unlocked, use the update options to change the results. Any changes made after unit approval by administrators or after results publication will be highlighted as shown in the next figure. 3
Note: Some faculties allow Unit Coordinators to unlock a unit after results publication. In these cases, an Unlock Unit option will be displayed under the Management tab. Changing grades after results publication After publication a reason for change is also required. Make individual change reason selections, or select a default reason which will be applied to any highlighted rows reading Use default. Once this requirement is met, click on SAVE and resubmit the unit for approval. Student Update This option displays the results for a student in the nominated teaching period and allows update of results for the currently selected unit, provided that the status of the assessment plan for that unit offering is not In Progress (i.e. not currently locked for approval or at a later stage). 4
Note: Some faculties allow Unit Coordinators to unlock units from Student Update after results publication. In these cases, the currently selected unit can be unlocked by ticking the tick box displayed under the Unlock Unit column. Assessment or process-related comments can also be added when a link appears under the Notes column; your faculty may require this in the event of a result change. 5
