Technical Requirements The minimum installation requirements are: Pentium III 500 or above; 256MB running memory; 100MB free hard disk space; Windows 2000 Professional or Windows XP Professional Operating System; Microsoft Internet Explorer 6.0 or above; Adobe Acrobat Reader 5.0 with Asian Font Pack (Chinese Traditional); Macromedia Flash Player 6.0 or above. Notes: 1. Adobe Acrobat Reader and Asian Font Pack can be downloaded from http://www.adobe.com/products/acrobat/readstep2.html 2. Macromedia Flash Player 6.0 or above can be downloaded from http://www.macromedia.com/shockwave/download/download.cgi?p1_pr od_version=shockwaveflash 3. The SpNAP is best read in resolution 1024x768 if you are using a flat LCD monitor. It is best read in resolution 800x600 if you are using a traditional CRT monitor. Installing the SpNAP CD-ROM 1. Put the SpNAP CD-ROM onto your PC s CD-ROM drive. 2. Press Install SpNAP to install the SpNAP CD-ROM Page 4 4

3. Press Next to continue the installation. 4. Press Next to confirm the installation folder for SpNAP. 5. Press Next to start the installation. 6. Press Close to finish the installation. 7. A shortcut will be generated on the Desktop and the Start Menu of your PC. Double-click either one of these to activate SpNAP. Page 5

About SpNAP Before proceeding it is essential that you take some time to understand the SpNAP programme. You can do this by either reading the SpNAP Overview and Foundation booklet or simply browsing the SpNAP CD-ROM you have installed. Becoming familiar with SpNAP by reading the Overview and Foundation booklet The SpNAP Overview and Foundation booklet serves as an introduction to SpNAP - it has two main sections. It is important to read this booklet before commencing the needs analysis process. The first section has three main parts, an introduction, an overview of the programme elements and a brief outline of the process. The process part introduces the possible pathways participants may follow. The second section explains the foundation and background of the needs analysis. Becoming familiar with SpNAP by browsing the SpNAP CD-ROM The SpNAP CD-ROM incorporates all the SpNAP booklets in an interactive format. You can click on item(s) using the Top bar, Side bar and Bottom bar to navigate and get to know SpNAP before commencing the needs analysis process. Top bar Side Bar Bottom bar Page 6 6

Before you begin the actual process, try the following functions to familiarize yourself with the programme: Click on Overview on the Top bar to read the introduction, a description of the programme elements and a brief outline of the process. Click on Process on the Top bar to explore the possible pathways you can take. Click on Foundation on the Top bar to browse the foundation and background of the needs analysis. Click on the items listed on the pull-down menu of the Top bar or the Side bar to browse different sub-section(s) of SpNAP. Click on Back or Forward on the Bottom bar to assist your navigation on SpNAP. Click on Print on the Bottom bar if you want to print the SpNAP page you are currently viewing. Click on SpNAP Web on the Bottom bar to find any updates or explore other NAFPhk programmes. Click on different blue buttons and hyperlinks to access additional information in different sections / elements / mechanisms of SpNAP. Note: If you would like to obtain an electronic copy of the Operating Instructions, please visit the SpNAP at http://www3.fed.cuhk.edu.hk/eldevnet/nafphk_sp/spnap_cdrom.asp or you can make use of your SpNAP CD-ROM as shown below. Put the SpNAP CD-ROM onto your PC s CD-ROM drive. Press Operating Instructions and SpNAP will activate your internet browser and display the Downloading SpNAP Operating Instructions page on the SpNAP web. Page 7

Starting and Closing SpNAP There are two ways to start SpNAP. 1. Press Start on the Opening page and then press Profile on the Side bar of the introductory page to login. 2. Select and press one of the SpNAP Elements, for example, Beliefs and Values Scan, on the Opening page. Then press Profile on the Side bar to logon. Press Quit or and then click on Yes in the small window if you would like to close SpNAP. Page 8 8

Managing Your SpNAP Profile Create a SpNAP Profile You need to Create a SpNAP profile the first time to use SpNAP or when you want to start the process over again. Steps for creating a Profile are shown below: 1. Press Profile on the Side bar. 2. Click on Create a New SpNAP Profile on the Login to SpNAP Profile page. 3. Type in your selected login ID, password (maximum 8 characters for each of them) and your full name. Press Submit when you have finished inputting your information. A prompt User Profile is created. will pop up to let you know the process has finished. You are now ready to start SpNAP. Page 9

Log-on to / Select SpNAP Profile Whenever you want to start or resume your needs analysis, you need to log on to your SpNAP Profile (except when you have just created your Profile). Steps for logging-on to your SpNAP Profile are shown below: 1. Press Profile on the Side bar. 2. Select your login ID, type in your password and press Submit. When you do this, you will return to the last page you accessed. Page 10 10

Edit SpNAP Profile Whenever you want to edit your SpNAP Profile, such as your password or login ID, you must: 1. Logon to SpNAP using your old login ID and password after pressing Profile. 2. Press Edit Profile. 3. Alter necessary information and press Submit to complete the alteration. Page 11

Remove SpNAP Profile If you would like to remove your SpNAP Profile, you must: 1. Logon to SpNAP using your old login ID and password after pressing Profile. 2. Press Delete Profile. (The second option on the page). 3. Press Yes to confirm your action. Page 12 12

Logout from SpNAP To protect your personal data, you are advised to log out before you close the programme. Steps for logging out from the SpNAP are shown below: 1. Press Profile on the Side bar. 2. Press Logout. (The third option on the page). Page 13

Operating Instructions for Beliefs and Values Scan Quick Start Beliefs and Values Scan SpNAP provides a shortcut to mechanism(s) included in the Beliefs and Values Scan. You can press the Beliefs and Values Scan button in the upper right corner of the page. Using this button allows you to skip the introduction and explanation and move directly to the mechanism. Navigating the Beliefs and Values Scan Click on Top bar, Side bar or Bottom bar items as well as the Next, Top and Previous icons to navigate / select what to read or which mechanism to access. Save Beliefs and Values Scan Data All Beliefs and Values Scan data will be saved automatically whenever you input data. Transfer Beliefs and Values Scan data What you write in the following sections will be automatically transferred to the Pulling It All Together table of the Beliefs and Values Scan. 1. All selected answers in Mechanism 1 2. All selected answers in Mechanism 2 3. All listed outcomes in Mechanism 3 4. All Ratings in Mechanism 4A 5. What you write under Which roles do I need to develop? And why? in Activity 1 of Mechanism 4B 6. What you write under What can I do to balance my life? in Activity 2 of Mechanism 4B What you record in the following parts of Pulling It All Together will also be automatically transferred to the Ideas and insights section of the Initial Learning Goals table. 1. Set Initial Learning Goals in Beliefs and Values Scan Use the text boxes in the Ideas and Insights Identified column to modify the ideas and insights that transferred from Pulling It All Together. Use the text boxes in the Learning Goals column to write your initial learning goals. Click on Transfer to transfer your most important learning goals to the Leader s Learning Journal in the e-workbook. Press Back on the Bottom bar to resume your Beliefs and Values Scan or use the Side bar to navigate other mechanisms. Press View to view the learning goals you have transferred so far to the Leader s Learning Journal in your SpNAP e-workbook. Page 15

Operating Instructions for 360 o Feedback Quick Start 360 o Feedback SpNAP provides a shortcut to the 360 o Feedback Mechanisms. You can press the 360 o Feedback button on the upper right corner of the page. Using this button allows you to skip the introduction and explanation and move directly to the mechanism. Navigating the 360 o Feedback Click on Top bar, Side bar or Bottom bar items as well as the Next, Top and Previous icons to navigate / select what to read or which mechanism to access. Execute 360 o Survey & Process Feedback Data Press The Mechanisms on the Side bar and select a 360 o Questionnaire from the index page. Use the blank text boxes to add any additional questions. You can also alter existing questions if you wish. When you are happy with the Questionnaire, Press Print Questionnaire at the bottom of the page to print your Feedback Questionnaire. Distribute and collect 360 o questionnaires Page 16 Press View Findings to generate a summary of survey findings. Conduct more 360 o Survey(s), if necessary. Press 360 o Report on the Side bar when you have a complete summary. (i.e. all data has entered) Press Confirm when you have entered data for each Questionnaire. Press View / Edit Data to edit the inputted data, if necessary. 1. Open the Questionnaire from the The Mechanisms index page. 2. Scroll down and press Insert Data. 3. Remember to input the Role and Questionnaire number on top of answers for each of the completed questionnaire. 16

Write 360 o Report Click on 360 o Report on the Side bar when you have finished processing your questionnaire data. You are able to read the questionnaire you have just processed by pressing View Findings. Press Back on the Bottom bar to resume 360 o Report. Save and Transfer 360 o Feedback data What you write in the 360 o Report table will be automatically saved and transferred to the Initial Learning Goals table. For example, the ideas and insights you wrote in the text box for Strategic Direction and Policy Environment will be transferred automatically to the Ideas and Insights section of the table under Strategic Direction and Policy Environment. Set Initial Learning Goals in 360 o Feedback Use the text boxes in the Ideas and insights identified from feedback column to modify the ideas and insights transferred from the 360 o Report. Use the text boxes in the Learning Goal column to write your initial learning goals. Press The Mechanisms on the Side bar to select another questionnaire. Click on Transfer to transfer your most important learning goals to the Leader s Learning Journal in the e-workbook. Press View to view the learning goals you have transferred so far to the Leader s Learning Journal in your SpNAP e-workbook. Page 17

Operating Instructions for Issues ID Quick Start Issues ID SpNAP provides a shortcut to mechanism(s) included in Issues ID. You can press the Issues ID button on the upper right corner of the page. Using this button allows you to skip the introduction and explanation and move directly to the mechanism. Navigating Issues ID Click on Top bar, Side bar or Bottom bar items as well as the Next, Top and Previous icons to navigate / select what to read or which mechanism to access. Save Issues ID Data All of your Issues ID data will be saved automatically whenever you input data. Transfer Issues ID data Click on Issues Priority to transfer the issues that challenge to the issues priority boxes for both Mechanism 1: Needs, Fears & Concerns and Mechanism 2: Leadership in Context. What you have prioritized in the two Mechanisms will be transferred to the Issue Identification and Learning Goals table after you have selected the Core Area(s) (see illustration below). Set Initial Learning Goals in Issues ID Use the text boxes in the Issue column to modify the ideas and insights transferred from Mechanism 1 or 2 of Issues ID. Use the text boxes in the Learning Goal column to write your initial learning goals. Press Back on the Bottom bar to resume Issues ID or use the Side bar to navigate other mechanisms. Click on Transfer to transfer your most important learning goals to the Leader s Learning Journal in the e-workbook. Press View to view the learning goals you have transferred so far to the Leader s Learning Journal in your SpNAP e-workbook. Page 19

Operating Instructions for Conversations Quick Start Conversations Select a Conversations booklet either by clicking on the Conversations button(s) on the Side bar or icon(s) on the front page. For example, you will move to the front page of Conversation 1 if you click on either Conversations 1 on the side bar or the Conversations button next to Conversations 1: Accountability on the main page. Navigating the Conversations Click on Top bar, Side bar or Bottom bar items and Previous and Next buttons to navigate / select what to read or which Conversations to select or read. All conversations need to be viewed with the Acrobat Reader. If you do not have Acrobat Reader, please click on the Get Adobe Reader on the introductory page. Set Leaning Goals in Conversations Press Index at the bottom of main page of a Conversations booklet and select a Conversation that you want to read. Press Learning Journal Chart at the bottom of the Index page when you have finished reading the conversation. Press Insert Data on the Learning Journal Chart page to record your ideas, insights and learning goals from the conversation. Scroll down and press Index to select the next Conversation that you want to read. Press Remove if you want to delete a Conversation Learning Journal record(s). Click on Transfer to transfer your most important learning goals to the Leader's Learning Journal in the SpNAP Workbook. Press View to view the learning goals you have transferred so far. Press Confirm when you have finished. You can either proceed to record another set of ideas, insights and learning goals on the refreshed Learning Journal Chart or press View / Edit Data to read / edit the ideas, insights and learning goals you have entered so far. Page 20 20

Conduct Skills Audit in Conversations A tailor-made skills audit has been included in each of the Conversations booklets. You can click on Skills Audit to try it. You might want to use it after you have read some of the conversations. Your score on the Skills Audit will be automatically summed and displayed. The Skills Audit Instruments for the Six Conversations are listed below: Conversations Skills Audit Instrument 1 Am I an Accountable Leader? 2 Am I an Innovative Leader? 3 Am I an Effective Leader? 4 How Efficient I am with Information Technology? 5 Am I a Connective Leader? 6 How am I doing in helping student learn? All Skills Audits except in Conversations 5 are recommended as part of a general 360 o survey that can be used to gather information from school staff, parents or others about your learning needs. Download New Conversations The six Conversations booklets are provided as introductory stimulus materials only. Depending on demand, new conversations will be developed and provided via the SpNAP web at regular intervals. You can visit the SpNAP web by clicking on the Download New Conversations on the Side bar of the SpNAP CD-ROM. New topics will cut across the 6 core areas and continue to expose a wealth of perspectives. Page 21

Operating Instructions for SpNAP e-workbook About SpNAP e-workbook This e-workbook is where you collect, on a continuing basis, the learning goals that you have developed throughout the needs analysis process. The ultimate purpose of SpNAP is to help you enhance your school leadership capabilities and make your day-to-day practice more effective. This e-workbook is therefore central to your needs analysis in that it provides a structure that enables you to pull together the thoughts and reflections that you have developed while working through the four programme elements. You do this through recording the learning goals you identified while going through the process. As stressed throughout, the Learning Goals are an essential part of the Goal-Based Learning process and lead to the writing of an Action Plan (the Continuing Professional Development Plan). This e-workbook has two major sections, The Leader's Learning Journal and The Tripod Journal When used in conjunction with the other element sections of SpNAP, this e-workbook provides a simple process designed to help you analyse your developmental needs. View and Modify Learning Goals in Leader s Learning Journal As you complete each element booklet (or different mechanisms included in them), with the assistance of the Transfer function, your most important initial learning goals should have been transferred to the appropriate place in this e-workbook. For example, when you have completed the Beliefs and Values Scan (or one of its mechanisms), the learning goals you identified should have been transferred to the Leader's Learning Journal in this e-workbook, if you have clicked on Transfer in the Initial Learning Goals table in Beliefs and Values Scan section. You can view your transferred learning goals for each Element by pressing Open on the front page of Leader s Learning Journal. You can use the appropriate white text box to modify or add to your learning goals. Page 22 22

Transfer your Learning Goals to the Tripod Journal and Transfer your Targets to e-cpd Plan Assuming that you have opened the appropriate page in the Leader s Learning Journal and have modified your learning goals, you can transfer your most important learning goals to the Tripod Journal by clicking Transfer in the Learning Goals table in this e-workbook. When you meet with your Tripod group, you can click on the Tripod Journal Record Form to print off sufficient copies of the form to use during the Tripod discussion. You can use the text box in the Learning Goal and Discussion column of your Tripod Journal to modify the ideas and insights you collect from your Tripod discussion. You can set your CPD targets in the text box in Target column of your Tripod Journal. You can transfer the most important Targets to your e-cpd Plan by clicking on Transfer under each target box. You can also view your transferred targets in e-cpd Plan by pressing View. You should press Back on the Bottom bar to get back to the Tripod Journal section or use the Side bar to navigate other pages. Page 23

Operating Instructions for SpNAP e-cpd Plan & e-portfolio Guide About SpNAP e-cpd Plan and e-portfolio Guide The e-cpd plan provides a structure for you to plan your leadership learning through a Continuing Professional Development Plan (CPDP). This plan begins with the most important targets identified during the Tripod Process, or those you determined at other stages of the analysis. These targets are then operationalised. Targets may be transferred and operationalised at any stage of the needs analysis process, you do not need to wait until you have completed a specific element. The SpNAP e-portfolio Guide provides some guidelines for building a principal s portfolio. As with all of SpNAP, a portfolio is optional but highly recommended. A portfolio allows you to record evidence of your learning. This learning should relate to your learning targets, but can also include learning and development which happens outside of the needs analysis. Individual worksheets or record forms for use in Elements have been placed in the Materials section. All SpNAP Booklets, materials and additional references need to be viewed with the Acrobat Reader. If you do not have Acrobat Reader, please click on the Get Adobe Reader on the Side bar of the SpNAP. If you click on Useful Links on the Top bar, the SpNAP CD-ROM will activate the Internet Brower and display the Useful Links page on the SpNAP web. Depending on demand, new links will be added on the SpNAP web at regular intervals. The Sources and References section shows the references which were consulted during the development of SpNAP. Back Up Your SpNAP Data The Back Up function allows you to back up your SpNAP data. Steps for backing up your SpNAP data are shown below: 1. Put the SpNAP CD-ROM onto your PC s CD-ROM drive. 2. Press Backup SpNAP to start the back up process. 3. Click on the drop box to select the folder where you would like to save your SpNAP data and then press Backup data to complete the process. 4. Press Run SpNAP to activate the SpNAP or press Exit to close the SpNAP menu. Page 26 26

Restore Your SpNAP Data You can restore the data you have backed up by the following steps. 1. Put the SpNAP CD-ROM onto your PC s CD-ROM drive. 2. Press Restore SpNAP to start the restoring process. You can only do this after SpNAP has been installed or reinstalled. 3. Click on the drop box to select which SpNAP database that you have backed up. Press Restore data to complete the process. 4. Press Run SpNAP to activate the SpNAP and check whether your SpNAP Profile has been restored. Page 27

Repair or Remove SpNAP 1. Put the SpNAP CD-ROM onto your PC s CD-ROM drive. 2. Press Repair / Remove SpNAP to start the repairing or removing process. (Assuming that you have installed the SpNAP in your PC. If not, please install the SpNAP CD-ROM first) 3. Click on Repair / Remove and then press Finish to repair or to remove the SpNAP. Page 28 28
