Students and staff alike can access Faculty Self Service through the University Portal, or directly using the Banner Self Service webpage. 1 Accessing Banner Faculty Self Service 1.1 Accessing Banner Self Service through the Portal URL: http://portal.ulster.ac.uk/ Staff can log on to the Portal with the following logon details: Username: ecode Password: This is your AD password (i.e. the password you use to log on to your computer) There are two links to Faculty Self Service within the Portal: Click the Banner button beneath the Portal tabs Banner Self Service My Teaching Alternatively, click on the My Teaching tab, and then click on the Banner Student and Faculty Self Service Link in the Admissions, Registrations and Enrolment Channel. Please Note: When accessing Faculty Self Service through the Portal, you may be asked to verify a single sign on, however this will only happen on your first log in. If you are required to provide Log in details, please see the following Log In section under Accessing Banner Self Service Directly. 1.2 Accessing Banner Self Service Directly URL: http://ssb.ulster.ac.uk All users are prompted for their Banner ID and password in order to gain access. Staff must log on with their E code. Please note - If an e code is less than 9 characters in length, the numeric portion of the code should be padded out with leading zeros. For example, e code E12345 should be entered as E00012345 A staff member s initial password is their date of birth in the format DDMMYY i.e 251270, but you may change this after login if you wish. If you do change your password, please keep a note of it and also set the password reminder question which will help you to recall the password if you forget it Should a member of staff have locked themselves out of Self Service by entering incorrect logon details a number of times, then they will need to contact their campus Registry Office to have their account unlocked. 3
Faculty Services Faculty Information and Services Click on Faculty Information and Services, or alternatively click on the Faculty Services tab. 2 Accessing Student Information 2.1 Faculty Information and Services Click on Student Information Menu. This allows you to access data from 2008/09 onwards. The Student Records Enquiry option (Pre 2008 Records Only) will re-direct the user to the old style web pages for pre-2008 student records. Banner Faculty Self Service requires users to select the academic year and the student whose information they wish to access before viewing any of the 4
student record. As this is the first year of the system, the academic year values will begin from 200809. Specify the academic year by selecting the top option (this only needs to be selected once to look at records for any one year). You will be taken to the screen below Click Submit. You will be returned to the previous menu. 5
2.2 Selecting an Individual Student Record Click Select Student by ID or Name, to choose your student Either enter the student Banner ID if known OR enter the student name details as shown above. If you are searching by name, please ensure the ALL radio button is selected. Click Submit If you entered part or all of a student name you will be presented with a further screen to select from. Click on the dropdown arrow to reveal the list to select from. NOTE : Due to the fact that students who have left the university ( i:e withdrawals, successful or unsuccessful leavers ) no longer have active learner records in Banner, the search by name facility will not find their records nor include them in any list of possible options. If you wish to view the record of such a student, you will have to search using the Banner ID number. 6
Once you have selected the required student, click Submit to confirm your selection. You are then brought back to the main menu in order to select the criteria you would like to view. If you did not use the search facility and entered a Banner ID directly, you will be prompted to confirm that the selected student is correct. 7
Click Submit to confirm that it is the correct student. You will then be returned to the menu and be able to select any of the menu options to display student related information. 2.3 Viewing Student Details This provides various options for viewing information on an individual student as follows. To access the information, just click on the related link. 2.3.1 Student Addresses This shows the current address information held for the student. 8
2.3.2 Student Email Addresses This shows the current email addresses held for the student. 2.3.3 Student Programme Information This shows details of the student s current programme of study, including the name of their Studies Adviser. However this is only displayed if a Studies Adviser has been recorded against the student in the main Banner system. This information is maintained by Faculty staff. 9
2.3.4 Current Module Enrolments This shows details of the modules that the student is currently enrolled on. Please note that once a module has been graded and rolled to Academic History it will no longer show on this screen, even though the module may still require re-assessment. 2.3.5 Module Enrolment History This shows a history of all modules that the student has been enrolled on since the beginning of their studies. Only information for the 2008/9 academic year is currently displayed but it is planned to display all modules relating to past years once the migration of academic history data from the previous system is complete. 10
2.3.6 Holds This shows any holds which have been placed on a student s record. These may relate to unpaid fees, disciplinary issues or the suspension of their award and will prevent re-enrolment or graduation. 2.3.7 Phone Numbers This shows current telephone numbers held for a student. 11
2.3.8 Additional Student Information This displays other useful items of student data such as a. the current enrolment status b. Leave of Absence information c. Withdrawal Information d. Date of Birth e. Board of Examiner s Progress Decision (Academic Standing Code) f. Award Information 3 Electronic Gradebook In addition to allowing Faculty/School support staff to enter marks, this link also provides staff with a facility to view a student s marks and academic progress decision. 12
Click on Electronic Gradebook to display the page below. Select the View Student Marks link, enter the student ID and click Submit. 13
Select the academic year for which results are to be viewed and click Submit. A summary page is then displayed showing all the modules/crn s for which marks have been rolled to Academic History and the student s latest academic progress decision (Academic Standing). Student ID will display here 14
Click on the CRN for which coursework and/or examination marks and the overall mark are to be viewed. (Note, that although the total mark is displayed to two decimal points, the mark is always rounded to the nearest whole number when presented on reports.) Student ID will display here Click on the Back to the Student Curricula link to return to the summary page where another CRN for the student can be selected. From the summary page it is possible to access the marks of that student for a different academic year, or to select a different student, by clicking on Select Another Student.
