Logging on to EYLND 1. Please access the EYLND website by following the link below: http://eylnd.activeone.com.au 2. Users who log into the system presently have one of four roles: Teachers: are able to add and update student assessment results for all classes that they are assigned to. School Administrators: have the capabilities of teachers but can also add staff, add classes and allocate staff to classes. Additionally they are able to import students exported from Maze, allocate students to classes, and add or delete students manually. School Administrators are also able to view and change all historical data. School Consultants have the ability to do all of the above tasks for their assigned schools System Administrators: have the ability to do all of above tasks for any schools 3. Please click on the [Log In] button in the top right hand corner of the page and log in to the EYLND system using the School Administrator username (your email address) and the password provided to you. Importing Students Getting your student lists from MAZE The easiest way to get your student lists is to download the data from MAZE, and then import it into the EYLND software. To get your data from MAZE please follow these instructions: 1. Login into Maze 2. Click Worksheet (above the Supervisor tab) 3. Click the SQL button 4. Click SQL Text (next to Design) 5. Copy and paste the query (from the dashed blue box below) 6. Click Apply 7. Click once above the number 1 (Data should be highlighted) 8. Importing Students Saving your excel file in CSV format For a successful import of the student list, the file must be saved in CSV format. To save an excel file in CSV format select: 1. File 2. Save 3. Enter your file name 4. In the Save as type: dropdown menu select CSV (Comma delimited) 5. Press Save The CSV file that you import into EYLND must have columns with the following headings: Surname First Name DOB Gender ATSI LBOTE Year Class And should look similar to the picture below: Note Please ensure that your student s first names are in the First Name column and their surnames are in the Surname column. An error here can result in their data not linking with their data from previous years. Page 3
Importing Students To import students: 1. Click the School Administration tab. 2. Click the Import Students tab. 3. Click Browse and find the file containing your student lists. 4. Click the Submit button. Page 4
Importing Students If you file has been uploaded correctly, you should see the following screen: To check that your student list was imported correctly: 1. Click the School Administration tab. 2. Click the Students List tab. 3. Select the Calendar Year, Year Level and Class that you want to view. *Note - Students can be added to the list manually using the Add Student link at the bottom of the page. Page 5
Adding Classes and Staff Members To add/view classes: 1. Click the School Administration tab. 2. Click the Classes List tab. 3. Select the Year Level that you would like to view classes for or add a class to. 4. To add a class, click the Add Class link and enter the name of the class. To add/view staff members: 1. Click the School Administration tab. 2. Click the Staff List tab. 3. To add staff, click the Add Staff link. 4. Enter the Surname, First Name and Email of the staff member (whatever you add in the email field will be their username for logging in). Next assign them a password and check any classes that you want them to be able to have access to. If you want them to have School Administrator privileges, tick the School Administrator box, then press save. Page 6
Entering Students Data To begin entering student data: 1. Click the School Data Entry tab. 2. Select the Calendar Year, Year Level, Class and Student for whom you want to enter data. 3. Tick the Literacy box if you want to enter Literacy data. Tick the Numeracy box if you want to enter Numeracy data. 4. By clicking the Edit button you can enter the student s total score in each test. Once you have entered the scores, press Save to save them. 5. To enter more detailed results, click on the test that you want to enter results for. *Note* If a student does not sit the test you should leave the space for their score blank. Do NOT enter a zero. Entering Students Data - Literacy Entering literacy data: 1. Click the School Data Entry tab, select the Calendar Year, Year level and Student for whom you want to enter data and check the Literacy box. 2. Select the test for which you want to enter results. 3. Press Edit to enter scores. Letter Identification Tick the box to indicate the student s response: Tick Alphabet if the student says the name of the letter Tick Sound if the student makes the sound of the letter Tick Word if the student says a word beginning with the letter Tick Incorrect Response if the student cannot identify the name, sound or a word beginning with the letter Concepts About Print Put a tick in a box to indicate that a student has had success with that item Duncan Word Test Put a tick in a box to indicate that a student has had success with that item Writing Vocabulary Enter the student s Writing Vocabulary Score in the box provided Dictation Enter the student s Dictation Score in the box provided Burt Word Reading Test Tick the box to indicate the student s response: Tick Correct if the student reads the word correctly Tick Self Correct if the student faulters and then reads the word correctly Tick Incorrect Response if the student cannot read the word correctly Running Record Enter the student s Running Record Score in the box provided 4. Add your name in the Recorder box and any comments in the Comments box. 5. If you are entering data for Letter Identification, Concepts About Print, Duncan Word or Burt Word, click the calculate from items button near the top of the page. 6. Click Save to save the scores and Student Data Entry to return to the general data entry page. Page 8
Entering Students Data - Numeracy Entering numeracy data: 1. Select the School Data Entry tab and then click Student Data Entry. 2. Select the Year Level, Class and Student for whom you want to enter data. 3. Check the Numeracy Value box to enter numeracy data. 4. Press Edit to enter scores. 5. Record each score in its respective box. 6. Click Save to save the scores. Page 9
Viewing Students Data To view the raw data that has been entered: 1. Click the School Data Entry tab. 2. To view Literacy data select the Literacy Summary tab. 3. To view Numeracy data select the Numeracy Summary tab. 4. Select the Calendar Year, Year Level and Class that you want to view results for. 5. To change the raw scores for a student, click the Details link that corresponds with their name. Page 10
Signing Off Data Entry To indicate that your school s data entry has been completed: 1. Click the School Administration tab. 2. Select the School Enrolment tab. 3. Click the Edit button 4. Check Literacy Completed and/or Numeracy Completed and click Save. Page 11
