FAIRFIELD COMMUNITY SCHOOLS BOARD MEETING MINUTES May 12, 2016 President Marilee Keim called the meeting to order with all board members present. Visitors were Monica Kegerreis, Amy Bertram, Nick Jones, Elizabeth Yoder, Michelle Yoder, Peter McFarland, Brodie Garber, Megan Davidhizar, Lisa Litwiller, Ben Kambs and Samantha Conrad. Fairfield Jr.-Sr. High Guidance Department, Elizabeth Yoder, Peter McFarland and Michelle Yoder presented the NAVIANCE Platform program to the board. Amy Bertram, Megan Davidhizar and Brodie Garber shared with the board the Indiana Principal Leadership Institute action research on professional learning at Fairfield Jr.-Sr. High. Greg Kitson gave a committee report on the Building Trades home. The Open House is scheduled for May 27, 2016 from 3-7 p.m. Trent Hostetler made and Greg Kitson supported the motion to approve the following: a. Minutes of the April 14, 2016 Regular Meeting b. In the absence of Business Manager Phil Menzie, Superintendent Steve Thalheimer recommended approval for a new non-certified wage scale for the position of Life Skills Paraprofessional. Greg Kitson made and Kevin Miller supported the motion and the motion passed unanimously. The Educational Assistant Life Skills wage schedule is attached. In the absence of Business Manager Phil Menzie, Superintendent Steve Thalheimer recommended approval for a purchase over $20,000.00 for a chiller replacement at Fairfield Jr.-Sr. High. Total cost of the chiller will be $36,917.00 purchased from Griffin Plumbing and Heating out of the Capital Projects Fund. Superintendent Steve Thalheimer shared with the board the recognition letter and certificate for a second Promising Practices from the IDOE. The nomination for this grew out of the office of the Title I monitoring visit for the various ways we have been reaching out to families and community. Superintendent Steve Thalheimer presented the first reading on NEOLA Policy updates. Wayne Miller made and Trent Hostetler supported the motion to award the Contracted Bus Bid to Jim Bitting at the rate of $225.00 per day for the 2016-2017 school year. The motion passed unanimously. A signed copy of the acceptance follows these minutes.

Superintendent Steve Thalheimer recommended board approval for the changes in the 2016-2017 Student Handbook for Fairfield Jr.-Sr. High. Kevin Miller made and Wayne Miller supported the motion and the motion passed unanimously. Superintendent Steve Thalheimer recommended board approval for the purchase of the Naviance Platform program in the amount of $17,900.00 for Fairfield Jr.-Sr. High Guidance Department to implement for the 2016-2017 school year. A total of $9,200 will be paid out of Capital Projects Technology Fund and the remaining $8,700 will be recuperated through fees. Greg Kitson made and Wayne Miller supported the motion and the motion passed unanimously. Superintendent Steve Thalheimer recommended board approval for the additional courses outlined by Principal Amy Bertram to be offered at Fairfield Jr. Sr. High for the 2016-2017 school year to promote our 12+ vision as follows: a. Honors English 10 b. Math 136/137 c. PLTW Civil Engineering d. Biology (8 th grade); and e. Biology 2. Wayne Miller made and Kevin Miller supported the motion and the motion passed unanimously. Superintendent Steve Thalheimer recommended the board approve the following textbook and workbook recommendation for AP German course: a. Student Textbook 1. Kaliedoskop 7 th Edition Student Text by Moeller, Adolph, Mabee, Berger; published by Houghton Mifflin Co. ISBN-10: 0618668829 and ISBN-13: 9780618668823; $266.95 b. Student Workbook 2. Deutsch Prufungstraining (AP German Language and Culture) Workbook by Langeheine, Volker; published by Connelsen 2013 ISBN-13: 9783060208722; $66.00 Greg Kitson made and Trent Hostetler supported the motion and the motion passed unanimously. Motion made by Kevin Miller supported by Greg Kitson to approve the recommendation for the districts Mathematics Textbook Adoption list for use over the next 6 years. The motion passed unanimously. The adoption list follows these minutes. Greg Kitson made and Wayne Miller supported the motion to approve the graduation date for the Class of 2017 to be on Sunday, June 4, 2017 at 2:00 p.m. The motion passed unanimously. Motion made by Wayne Miller supported by Kevin Miller to approve the FMLA and school year Leave Requests from Stephanie Miller, Grade 2 Teacher at New Paris Elementary beginning around May 16, 2016 and running through August, 2017 passed unanimously. Granted the leave position was approved, Superintendent Steve Thalheimer recommended the board approve Kelsy Cripe to fill the leave position at New Paris Second Grade through end of the 2015-2016 school year. Motion made by Trent Hostetler supported by Wayne Miller passed unanimously.

Superintendent Steve Thalheimer recommended the board approve the following transfers and new hire staffing requests for the 2016-2017 school year and the three teaching positions due to the roll-up of grade levels: Transfers: a. Kim Amor from Art Teacher at Benton Elementary to Art Teacher at Fairfield Jr. Sr. High b. Elizabeth Wogoman from full time Art Teacher at New Paris and Millersburg Elementary s to.6 FTE Art Teacher at Benton Elementary c. Lesley Jones from Grade 3 Teacher to.5 FTE Physical Education Teacher at Benton Elementary d. Lois Mast from.20 FTE to.5 FTE Physical Education Teacher at New Paris Elementary New Hires: e. Melissa Carl.5 FTE Art Teacher at New Paris Elementary f. Jennifer Johnson Grade 6-8 Language Arts Teacher at Millersburg Academic g. Jennifer Metzler.5 FTE Music Teacher at New Paris Elementary Added Grade Sections Due to Three Section Roll-Ups: h. Grade 6 Teacher at Benton Elementary i. Grade 4 Teacher at Millersburg Elementary j. Grade 4 Teacher at New Paris Elementary Wayne Miller made a motion supported by Kevin Miller to approve the recommendation for 2016-2017 staffing requests. The motion passed unanimously. Superintendent Steve Thalheimer recommended the board approve for the use of Band Extra Curricular Funds to purchase a keyboard in the amount of $1500. Greg Kitson made and Trent Hostetler supported the motion and the motion passed unanimously. Steve Thalheimer recommended for approval the following donations: a. $2,010 Grant from Tractor Supply Company for FFA and agriculture education b. $1,200 from New Paris PTO for summer library c. $1,000 from IU Health Goshen Physicians for show choir d. $5,000 from an anonymous donor to purchase summer library cards for Fairfield Community students who want a card to use at the Syracuse Public Library. Kevin Miller made and Wayne Miller supported the motion. The motion passed unanimously. Superintendent Steve Thalheimer recommended that the board approve Tuition Caps for each grade level and set a deadline date of July 22, 2016 at 4:00 p.m. for accepting Student transfer tuition applications. The tuition caps are as follows: Grade KG cap of 49 Grade 1 cap of 18 Grade 2 cap of 15 Grade 3 cap of 15 Grade 4 cap of 37 Grade 5 cap of 15 Grade 6 cap of 20 Grade 7 cap of 24 Grade 8 cap of 23 Grade 9 cap of 10 Grade 10 cap of 8 Grade 11 cap of 8 Grade 12 cap of 5 If more applications are received than we have space for then the lottery drawing will be held on July 28, 2016. Steve also recommended we continue with the same procedure to waive transfer tuition for students who come from outside the district for the 2016-2017 school year. Motion made by Greg Kitson and supported by Trent Hostetler passed unanimously.

Coaching contracts were signed for Rick Everest, Jerry Garber, Stacey Garrett, Rand Schrock, Myron Schwartz, and John Skibbe. Upon proper motion and second the meeting adjourned at 8:29 p.m. An executive session was held immediately following the regular meeting in the central office to discuss the job performance evaluation of an individual employee [IC 5-14-1.5-6.1(b)(9)] The undersigned certify that no other business was discussed.
