Detailed Description of Serve as primary office receptionist; receive incoming calls, greeting customers, completing paperwork for soil sample testing, processing bulk mailings and equipment scheduling. Keep office and supply inventory and order office supplies as needed. Distribute mail on a daily basis, post notices, order postal supplies, prepare mass mailings, and make proper use of penalty mail. Track and maintain office inventory. Prepare data for yearly council elections. Maintain office administrative files. Enter travel in system as needed by specialist and forward to regional office, order university publications, forms, and other materials. Arrange and update publications rack. Schedule use of the conference room and audiovisual equipment. Schedule and proctor independent study tests. Edit and distribute extension council agenda and meeting minutes. Prepare and distribute council correspondence. Prepare council materials for monthly meeting. Maintain council updates for University database. Assist County Program Director(s) with annual dinner arrangements and other council events. Assist with other duties as assigned to facilitate operations at the University of Missouri Extension offices in St. Charles County. Accountability: The Receptionist/Administrative Secretary position is an employee of the St. Charles County Extension Council. The Receptionist/Administrative Secretary position serves as a support to the Extension Specialist and other staff members of the St. Charles County Extension Office. The general supervision of the Receptionist/Administrative Secretary is provided by the County Program Director(s).
