NON-Partner Faculty Orientation for Using the TCPS SM Academic Year 2010-2011 Please note there is a student version of this information that should be distributed to your students prior to using the TCPS SM Do NOT distribute this document to your students! Your school has assigned clinical placements with facilities who are members of the Tennessee Clinical Placement Partnership (TCPP). This organization was initiated by the Tennessee Center for Nursing in the fall of 2005. Fueled by the current nursing and healthcare shortage, this is just one strategy actively being pursued within the state to build educational capacity for healthcare education in Tennessee. To learn more about the TCPS SM visit http://tcps-tn.org. Your students will access online general and facility specific (in many cases) via the Clinical Passport component of the TCPS SM! Clinical Passport The Clinical Passport represents the work of many entities toward streamlining the orientation process for students and faculty. Using online technology, much of the orientation content is available for you and your students at any time of the day or night! This integration of technology into practice provides more flexibility for all individuals students, faculty, and clinical facility educators! The Clinical Passport consists of three elements: A. The Clinical Passport Document provides a paper tool that students and faculty can use to validate their clinical requirements such as immunizations, CPR status, and orientation activities each semester. It has been designed to serve as a viable document for up to four academic years as needed. Students will have the opportunity print their first Clinical Passport upon completion of their first online orientation and present it to faculty as documentation that they have completed the content. Schools have varying procedures for maintaining this document or related information some are requiring the student to maintain the document, others are filing the document in the School, others are asking the current

faculty member to hold the document for the semester and then pass it on to the next course faculty when appropriate, and still others have a separate process/database in place to deal with this information. Be sure and check with YOUR assigned Clinical Facility to determine IF/HOW this important document and related content will be used. (A copy of the Clinical Passport Form is attached to this document. B. General Orientation to partner healthcare facilities is achieved through online content. All partner clinical facilities have agreed to require students and faculty to complete a standardized general orientation program once per twelve (12) months. Students who complete general orientation in the fall semester for instance, are not required to repeat it during the spring semester. The design of these online modules offers students an opportunity for both reviewing content and practice. There are currently two versions available: Pre-licensure Nursing and Allied Health/Graduate Students. The differences are in the PRACTICE component of the program. Pre-licensure Nursing Students will be presented with a series of situations that require them to apply the content in order to make a decision or choose an appropriate action. These situations are in the form of branching decision tree scenarios that offer this level of student an opportunity to make decisions in a safe environment. In some cases, the student sees the outcome of their poor decision several steps later. Students taking a wrong turn within the scenario will have the opportunity to review appropriate content to strengthen their decision making and application of content. To ensure completion of this content, these students must collect letters for the quiz password as they progress through the scenarios (See Quiz information below!). The Healthcare/Graduate Student version does not have the practice component. This is under consideration for future enhancements of the solution. Content Modules include: Module 1: Emergency Preparedness covers content related to environmental and patient emergencies. Module 2: Confidentiality & Compliance addresses HIPAA, patient confidentiality, and compliance regulations that mandate ethical business practice in healthcare. Module 3: Infection Control & Blood-Borne Pathogens explains basic infection control practices and how to protect yourself and others from infections and blood-borne pathogens. Module 4: Safety in the healthcare setting is critical to patient care delivery. This module will address basic safety practices such as electrical & chemical safety, ergonomics & back safety, security and behavioral events. The National Patient Safety Goals are also presented. Module 5: Dealing with Diverse Populations will examine patient care delivery for patients with physical and mental disabilities as well as cultural and spiritual differences. Orientation content may be accessed by students and faculty at: http://www.tcps-tn.org/orient.htm Student User ID = practice Student Password = AY2010 Access information is case specific. The information is changed each August and will be used for the entire academic year. This link and access information should be distributed to your students as needed. There is an additional student handout available from the clinical facility with additional step-by-step instructions. Every effort is made to have the content up-to-date and accurate at the beginning of each academic semester. Students must complete this information PRIOR to the first day at the clinical facility.

General Orientation Quiz To validate content completion, a 25-item quiz is provided for both students and faculty. All participants must pass with a score of 88%. The quiz is taken from a 120-item test bank that generates random quizzes with random answers. In other words, the likelihood of students having the same quiz is very low even if they have the same test question, their answers will not be in the same order (A, B, C, D). For Pre-Licensure Nursing Students: Located within the Practice section of each module you will note that there is a "key" graphic that when clicked with the mouse will reveal a key letter for the general orientation quiz password. Students MUST have a total of 5 letters in order to access the quiz. This feature of the program forces students to apply their knowledge before taking the quiz. The Key for the General Orientation Quiz for academic year 2010-2011 is SAFET. Please do not distribute this information to students! TCPS SM is using a new Learning Management System (LMS) for quiz taking this academic year. This move has improved quiz security and student tracking. All quiz results are stored in the LMS. Please refer to the separate handout for using the new LMS. FERPA Alert! In keeping with the mandates of the Federal Family Educational Rights and Privacy Act (FERPA), all students/faculty completing any online orientation quiz through the TCPS must agree to their name, school and quiz score being posted for all participating clinical facilities and schools. Should a student not agree, they are instructed to contact their faculty member to identify a mutually agreeable name alias to use when taking the online quizzes. The student should be instructed to use the appropriate school ID. All schools known to be using the TCPS SM with partner facilities have been added to the quiz learning management system (LMS). Please confirm with your clinical facility that your school has been added to the LMS or students will not be able to take their quiz. Once the student has passed the quiz with a score of 88% or greater, they will also have the opportunity to print a Certificate of Successful Completion. This document can also be used to validate program completion as needed. All quiz certificates have been changed for this academic year and will include the name of the orientation quiz completed (General or Facilityspecific), the academic year, student name, quiz score, & completion date such as the example shown here. C. Facility-Specific Orientation. In addition to the general content, individual facilities are in the process of placing their Clinical Orientation content online as well. This content is accessed via the link listed above in General Orientation as STEP #2. The goal of this component is to minimize the classroom time at the facility to get students to the bedside delivering patient care. Some facilities have also included information specific for faculty bringing students to their facility.

IF the facility has an online quiz, result information is stored in the LMS similar to the General Orientation Quiz. Certificates of completion are also available to students with successful quiz scores. Students may document their facility orientation on their Clinical Passport to provide an ongoing record of their clinical orientations or as directed by your school s orientation guidelines. Plan to work with the clinical facility educator to identify what on-site content will be needed as well as any specific orientation requirements for faculty. The last step in using TCPS SM Orientation is Evaluation. Students and faculty are directed in STEP #3 to complete an evaluation and then they may access their Clinical Passport Document. Again this document is used differently in each school, so be sure and tell students what your expectations are for this document. The evaluation component is critical to further product development and provides the foundation for ongoing sustainability and program effectiveness so it is important for students to complete the evaluation even if your school is not using the Clinical Passport document. Technical Information The site is best viewed using Internet Explorer or Mozilla Firefox and uses Adobe Acrobat Reader and FLASH which is available on most computers. MAC users should not use the Safari browser to ensure that all functionality will work correctly. The site also has popup windows and other javascripts to create interactivity. These are commonly used web technologies and should not create difficulty with standard browser configurations. Please remind students to ALLOW blocked content if their computer has these features blocked. Free Plugins available on the site include: Adobe Acrobat Reader & FLASH. ALERT: In some computer labs, firewall security may need to be adjusted to allow full functionality of the program. Often this is as simple as calling the local IT department to notify them that the URL of the program is a trusted site. ALL schools are strongly encouraged to test computer lab access prior to assigning students to complete the program. This saves lots of frustration the first few weeks of school! TCPS technical support for SYSTEM assistance may be reached at help@tcps-tn.org. A Contact Us link is provided on the portal and the General Orientation entry page to report any system issues. Please encourage your student to seek local assistance for computer-specific issues. Questions and for more information Contact your TCPP Clinical Facility.

Should your school join the TCPP? YES! Partners within the TCPP have access to all features of the TCPS SM which includes: A searchable online database of Clinical Placements where TCPP partners receive priority for all clinical placements! All orientation components Evaluation components Learn more about the benefits of joining at: http://tcpshome.org/ For information on joining the TCPP, contact Pam Taylor, TCPS SM Program Director at Pam.Taylor@cyberhealthcaresolutions.com
