WEST VIRGINIA SCHOOL OF OSTEOPATHIC MEDICINE PROCEDURE FOR INSTITUTIONAL POLICY E-23: PROMOTION REQUIREMENT NATIONAL BOARD EXAMINATION - PASSAGE OF COMLEX 1. PURPOSE The purpose of this procedure is to administer Institutional Policy E-23: Promotion Requirement National Board Examination Passage of COMLEX. 2. APPLICABILITY 2.1 This procedure applies to all students. 2.2 For purposes of applying Institutional Policy E-23, Section 8.1 (COMLEX failures for same exam type), a COMLEX failure that triggers an academic dismissal for any one exam type must have occurred on or after May 16, 2014. 2.3 WVSOM reserves the right to amend this procedure at any time, as necessary or appropriate. 3. DEFINITIONS The capitalized terms in this procedure have the same meaning as assigned to them in Institutional Policy E-23: Promotion Requirement National Board Examination - Passage of COMLEX. 4. NOTIFICATION All failure notifications required by this procedure must be communicated to the student in writing by letter sent via certified mail to the student s mailing address on file with the WVSOM Registrar and e-mail to the student s WVSOM email address. Unless otherwise specified in this procedure, all other notifications required by this procedure may be made via e-mail using the student s WVSOM email address. 5. OFFICE OF NATIONAL BOARDS AND EXAM CENTER 5.1 All communication, including appointment requests, must be made through the Office of National Boards and Exam Center ( ONBEC ) at nationalboards@osteo.wvsom.edu or (304) 793-6840 or (304) 793-6875. 5.2 Any conferences between a student and the Director of ONBEC must occur in person or via video conference software. 6. DEADLINES 6.1 All students are, without exception, to be held to the deadlines specified in this procedure. In all cases, if a student fails to meet a deadline to take or retake a COMLEX exam, the following actions will occur: 6.1.1 The Director of ONBEC will notify the student, the student s Statewide Campus ( SWC ) Regional Assistant Dean, and the Associate Dean for Predoctoral Clinical Education of the student s failure to meet the deadline. 6.1.2 The Associate Dean for Predoctoral Clinical Education will: a. Instruct the student to schedule the COMLEX exam for the next available exam date within two days of the date of notification; b. Immediately remove the student from rotations, without allowing the student to complete any current rotations; and c. Place the student on Academically-At-Risk Category 1 status (unless the student is already on an Academically-At-Risk status). Procedure for Institutional Policy E-23: Passage of COMLEX Page 1 of 13

6.1.3 The student, after notification of the failure to meet the deadline and an opportunity for discussion, may be subject to disciplinary action. 6.2 Unless otherwise specified in this procedure, students may request an extension of any exam date deadline of up to 30 days or until the first available exam date after the extension by filing an exception request ( Exception Request ) at least two (2) weeks prior to the applicable exam date deadline, except in cases of emergency, with the Director of ONBEC, who may with the approval of the Vice President for Academic Affairs and Dean grant or deny the request depending upon the circumstances. 6.2.1 If an Exception Request is granted or if a Prep Track is affected, and the student does not have vacation time to cover it, then the time off rotations will be reflected on the student s rotation schedule as a Prep Track. 6.2.2 Any changes in a student rotation schedule necessitated by requirements in this procedure must be worked out by the student and the student s SWC Director, with the approval of the student s SWC Regional Assistant Dean. Any non-vacation time taken off will be indicated in the student s schedule as a Prep Track. 6.3 A student may request additional time for exam preparation greater than the 30-day deadline extension from the Vice President for Academic Affairs and Dean. If a student is granted additional time by the Vice President for Academic Affairs and Dean and the student does not have vacation time to cover it, then the additional time will be recorded as a Prep Track. 7. SCHEDULING COMLEX EXAMS 7.1 Common Scheduling Requirements 7.1.1 Students are responsible for scheduling COMLEX exam dates and locations. To schedule an exam, students must register with the NBOME, pay any applicable fees, and schedule a location and date with the COMLEX regional exam center. 7.1.2 Students may take a COMLEX exam only on a date that he or she is an active, full-time student at WVSOM. Students on a Leave of Absence are prohibited from taking a COMLEX exam. 7.1.3 Students may not schedule an exam on a date that conflicts with a mandatory activity set up by the Associate Dean for Predoctoral Clinical Education. 7.1.4 Students who select a date within the defined exam window may request time off from a Year 4 rotation for any COMLEX exam by submitting an Exception Request two weeks prior to the scheduled exam date to his or her SWC Regional Assistant Dean. 7.1.5 Students may change the date and location of a scheduled exam at any time, provided that those changes do not violate the scheduling rules described in this procedure. NBOME may charge a fee to reschedule or cancel an exam. The student must inform the Director of ONBEC prior to doing so. 7.1.6 Students who encounter any problems in scheduling, taking, or finding scores for a COMLEX exam should contact the NBOME directly. 7.2 Scheduling COMLEX Level 1 7.2.1 The NBOME will email registration materials to students near the end of the first semester of Year 2 classes. Students who do not receive the email must call the NBOME for assistance. Students must check the details in the email (their name spelling, address, etc.) for accuracy and contact the NBOME if changes need to be made. 7.2.2 The window for taking COMLEX Level 1 is May, June, or prior to SWC orientation in July. 7.2.3 Students may reserve a seat for the exam on any date within the defined exam window, if consistent with Section 7.1 above or unless an Exception Request is approved, but may not take the exam if he or she has not accomplished the following before the scheduled exam date: a. Passed all Year 1 and Year 2 courses and requirements; b. Passed Year 2 OSCE; and c. Passed a Level 1 COMSAE or completed the second Level 1 COMSAE Prep Track. 7.2.4 No student may enter Year 4 rotations until the student passes COMLEX Level 1 and the passing score is received by the WVSOM Registrar. 7.3 Scheduling COMLEX Level 2-CE 7.3.1 Students who have passed COMLEX Level 1 will be eligible to schedule the COMLEX Level 2-CE exam. 7.3.2 The window for taking COMLEX Level 2-CE is July, August, or September at the beginning of Year 4. Students should avoid a date as late as September unless absolutely necessary. 7.3.3 In special circumstances, students may be allowed to schedule a date in June for taking COMLEX Level 2-CE. Requests must be submitted to the Associate Dean for Predoctoral Clinical Education. However, students may not take the exam before completing the required Year 3 rotations. 7.3.4 If a student is off-cycle relative to his or her class of entry, a revised exam window for taking COMLEX Level 2-CE will be determined by the Director of ONBEC based upon the end of Year 3 rotations. a. The Director of ONBEC will notify the student of the new exam window. b. If the student wishes to take the exam outside of this exam window, the student must follow the same requirements for obtaining permission as are set for requesting an extension of the original exam window. 7.3.5 Students may reserve a seat for the exam on any date within the defined exam window, if consistent with Section 7.1 above or unless an Exception Request is approved, but may not take the exam if he or she has not accomplished the following before the scheduled exam date: a. Passed COMLEX Level 1 b. Passed all Year 3 courses and requirements; c. Passed Year 3 OSCE; and d. Passed a Level 2 COMSAE or completed the second Level 2 COMSAE Prep Track. 7.4 Scheduling COMLEX Level 2-PE 7.4.1 Students who have passed COMLEX Level 1 and Year 3 OSCE will be eligible to schedule the COMLEX Level 2-PE exam. 7.4.2 During the first semester of Year 3 the NBOME will email students notification that the COMLEX Level 2-PE calendar has been posted. Students must access the NBOME COMLEX Level 2-PE calendar on the password-protected part of the NBOME website to determine available dates for the exam. 7.4.3 The window for taking COMLEX Level 2-PE is June 1 through February 1 of Year 4. Students who are off-cycle relative to their class of entry must consult the Director of ONBEC to Procedure for Policy E-23: Passage of COMLEX Page 3 of 13

determine the beginning of their Year 4. The COMLEX Level 2-PE exam must be taken by March 1 of Year 4 if a qualified student is to have a diploma at graduation. 7.4.4 Students may reserve a seat for the exam on any date within the defined exam window, if consistent with Section 7.1 above or unless an Exception Request is approved, but may not take the exam if he or she has not accomplished the following before the scheduled exam date: a. Passed COMLEX Level 1; b. Passed all Year 3 core courses (not including Electives and Dean s Selectives); c. Passed Year 3 OSCE; and d. Completed all other Year 3 requirements. 8. ASSESSMENT EXAMS 8.1 Comprehensive Osteopathic Medical Self-Assessment Examination (COMSAE) 8.1.1 Requirement for COMLEX Level 1 and COMLEX Level 2-CE a. Each student must pass the Level 1 COMSAE administered by WVSOM or have completed the mandatory second Level 1 COMSAE Prep Track before he or she may take COMLEX Level 1. b. Each student must pass the Level 2 COMSAE administered by WVSOM or have completed the mandatory second Level 2 COMSAE Prep Track before he or she may take COMLEX Level 2-CE. 8.1.2 Level 1 COMSAE and Level 2 COMSAE Process a. The passing score for a qualifying COMSAE will be set by the Vice President for Academic Affairs and Dean in consultation with the Director of ONBEC prior to each qualifying COMSAE. b. A student who fails to obtain a passing score on the first attempt of a qualifying Level 1 COMSAE shall meet with the Director of ONBEC, and will be enrolled in a mandatory four (4) week on-campus COMSAE Prep Track. The student shall retake the qualifying COMSAE four (4) weeks after the student s first failure to obtain a passing score. c. A student who fails to obtain a passing score on the second attempt of a qualifying Level 1 COMSAE shall meet with the Director of ONBEC, who will, in consultation with the Associate Dean of Preclinical Education, develop a mandatory 60 to 90 day COMSAE Prep Track. The student shall take the COMLEX exam between 60 to 90 days after the student s second failure to obtain a passing score. d. A student who fails to obtain a passing score on the first attempt of a qualifying Level 2 COMSAE shall meet with the Director of ONBEC who will, in consultation with the Associate Dean of Predoctoral Clinical Education, develop a mandatory four (4) to six (6) week COMSAE Prep Track. The student shall retake the qualifying COMSAE between four (4) to six (6) weeks after the student s first failure to obtain a passing score. e. A student who fails to obtain a passing score on the second attempt of a qualifying Level 2 COMSAE shall meet with the Director of ONBEC, who will, in consultation with the Associate Dean of Predoctoral Clinical Education, develop a mandatory 60 to 90 day COMSAE Prep Track. The student shall take the COMLEX exam between 60 to 90 days after the student s second failure to obtain a passing score. 8.1.3 COMSAE Prep Track Participation and Failure a. Any failure of the student to participate in or successfully complete any scheduled and required activities will be recorded and will result in the following: Procedure for Policy E-23: Passage of COMLEX Page 4 of 13

i. An initial failure to meet the scheduled activities will result in an email warning to the student. If the student does not respond to the email and satisfactorily explain the reason for the failure to participate, a complaint of unprofessional behavior will be filed in accordance with Institutional Policy ST-13: Student Professionalism. A second failure to meet the scheduled activities will automatically trigger a complaint of unprofessional behavior. i A third failure to meet the scheduled activities will be considered a failure of the Prep Track. b. Failure of a COMSAE Prep Track will trigger a meeting with the Student Promotions Committee. i. The Student Promotions Committee will meet with the student to discuss the failure and subsequently make a recommendation for dismissal or retention. In the case of retention, the Student Promotions Committee must specify any corrective actions or conditions for retention. The Vice President for Academic Affairs and Dean will consider the recommendation and affirm, modify, or reject it. If retained, any corrective actions or conditions for retention must be clearly specified. i The Vice President for Academic Affairs and Dean will convey his or her decision to the student, along with any timeline requirement and a deadline for indicating acceptance. If the student fails to reply by the deadline or indicates non-acceptance, then the student is dismissed. 8.1.4 Administration of COMSAE a. Any required COMSAE will be administered by WVSOM in a proctored venue. b. Students who cannot attend the COMSAE at the time(s) scheduled must obtain an excused absence from: i. The Associate Dean for Preclinical Education for Level 1 COMSAE; and The student s SWC Regional Assistant Dean for Level 2 COMSAE. c. A makeup day and location for the COMSAE exam will be specified by the Director of ONBEC for those students who have been granted an excused absence from the originally scheduled exam date. d. Students must take the COMSAE by the deadline date established that year by the Vice President for Academic Affairs and Dean. Those who have not taken the COMSAE by the deadline date specified and do not have a valid excuse from the dean specified in subsection (b) or those who have a valid excuse from the Dean and do not take the COMSAE on the scheduled makeup day specified in subsection (c) above will automatically have their COMLEX exam date cancelled with the NBOME. 8.1.5 Status of Rotations 8.2 OSCE a. Any student who fails to obtain a passing score on the qualifying Level 1 COMSAE will not be permitted to begin rotations until the student has taken COMLEX Level 1. However, the student must attend the orientation for the SWC to which he or she has been assigned. b. Any student who fails to obtain a passing score after the second attempt on the qualifying Level 2 COMSAE shall leave rotations and shall remain off rotations until the student has taken COMLEX Level 2 CE. 8.2.1 Requirement for COMLEX Level 2-PE. Each student must pass both the Year 2 and Year 3 OSCE before he or she may take COMLEX Level 2-PE. Procedure for Policy E-23: Passage of COMLEX Page 5 of 13

8.2.2 Year 2 and Year 3 OSCE; Re-Education a. Students who do not successfully complete the OSCE on the first attempt will be required to undergo and pass OSCE re-education at the WVSOM Clinical Evaluation Center ( CEC ) on a date and time specified by the appropriate Associate Dean. b. Students who pass the OSCE, but are at a high risk of failure of COMLEX Level 2-PE will be required to undergo additional re-education at a time specified by the appropriate Associate Dean prior to being allowed to sit for COMLEX Level 2-PE. c. Students who do not successfully complete the OSCE re-education requirements will be deemed to have failed the OSCE. Students who fail the OSCE must meet with the Student Promotions Committee and will be classified as Academically-at-Risk Category 2, pursuant to Institutional Policy E-19: Academically-at-Risk, which said policy must also be followed at that time. d. Students who pass OSCE re-education will be given permission to take COMLEX 2-PE. 8.2.3 Administration of OSCE a. Students who cannot attend the originally scheduled Year 2 OSCE must obtain an excused absence from the Associate Dean for Preclinical Education. b. Students who cannot attend the originally scheduled Year 3 OSCE must obtain an excused absence from the students SWC Regional Assistant Dean. c. A makeup day for the OSCE exam will be specified by the appropriate Associate Dean for those students who have been granted an excused absence from the originally scheduled exam date. 9. FAILURE OF COMLEX EXAMS 9.1 Number of Overall COMLEX Failures 9.1.1 Students will be academically dismissed if they exceed two COMLEX failures on any one exam type (COMLEX Level 1, COMLEX Level 2-CE, or COMLEX Level 2-PE). 9.1.2 Students will be academically dismissed if they exceed five COMLEX failures overall (COMLEX Level 1, COMLEX Level 2-CE, and COMLEX Level 2-PE). 9.2 Failure of COMLEX Level 1 and COMLEX Level 2-CE 9.2.1 Notification a. The Director of ONBEC will notify the student soon after the posting of scores by NBOME and instruct the student to make an appointment for an initial conference ( Initial Conference ) with the Director of ONBEC within the date specified in the notice to the student. b. Official notification of a first failure and instructions will be sent to the student by certified mail and email from the Associate Dean for Predoctoral Clinical Education. c. Official notification of a second failure and instructions will be sent to the student by certified mail and email from the Vice President for Academic Affairs and Dean. d. Official notification of a third failure and dismissal from WVSOM will be sent to the student by certified mail and email from the Vice President for Academic Affairs and Dean. 9.2.2 First Failure a. If a student has a failing score of 375-399: i. Upon notification of the failure from NBOME, the student must contact the Office of Predoctoral Clinical Education about leaving any current rotations. be permitted to complete any current rotation as long as the remaining time of the rotation does not exceed four (4) weeks. The student will receive confirmation from the Associate Dean for Predoctoral Clinical Education via certified mail and email regarding the date on which the student must leave rotations and information about entering the Nominal COMLEX Prep Track. i Once the student leaves rotations, the student will immediately enter the Nominal COMLEX Prep Track as described in Section 10.3 below. iv. If the student receives a failing score for COMLEX Level 1 before beginning Year 3 rotations, the student will enter the Nominal COMLEX Prep Track, pause the Nominal COMLEX Prep Track to attend SWC orientation and then complete the Nominal COMLEX Prep Track. The student is not permitted to begin rotations before completing the Nominal COMLEX Prep Track. b. If the student has a failing score lower than 375: i. Upon notification of the failure, the student must contact the Office of Predoctoral Clinical Education about leaving any current rotations. The student may be permitted to complete any current rotation as long as the remaining time of the rotation does not exceed four (4) weeks. 9.2.3 Second Failure The student will receive confirmation from the Associate Dean for Predoctoral Clinical Education via certified mail and email regarding the date on which the student must leave rotations and information about entering the Full COMLEX Prep Track. i Once the student leaves rotations, the student will immediately enter the Full COMLEX Prep Track as described in Section 10.4 below. iv. If the student receives a failing score for COMLEX Level 1 before beginning Year 3 rotations, the student will enter the Full COMLEX Prep Track, pause the Full COMLEX Prep Track to attend SWC orientation, then complete the Full COMLEX Prep Track. The student is not permitted to begin rotations before completing the Full COMLEX Prep Track. a. If a student has a failing score of 375-399: i. Upon notification of the failure from NBOME, the student must contact the Office of Predoctoral Clinical Education about leaving any current rotations. The student may be permitted to complete any current rotation as long as the remaining time of the rotation does not exceed four (4) weeks. The student will receive confirmation from the Vice President for Academic Affairs and Dean via certified mail and email regarding the date on which the student must leave rotations and information about entering the Nominal COMLEX Prep Track. i Once the student leaves rotations, the student will immediately enter the Nominal COMLEX Prep Track as described in Section 10.3 below. b. If a student has a failing score lower than 375: i. Upon notification of the failure from NBOME, the student must contact the Office of Predoctoral Clinical Education about leaving any current rotations. The student may be permitted to complete any current rotation as long as the remaining time of the rotation does not exceed four (4) weeks. The student will receive confirmation from the Vice President for Academic Affairs and Dean via certified mail and email regarding the date on which the student must leave rotations and information about entering the Full COMLEX Prep Track. i Once the student leaves rotations, the student will immediately enter the Full COMLEX Prep Track as described in Section 10.4 below. 9.2.4 Third Failure. Regardless of the previous conditions of failure, all students who exceed two failures of either the COMLEX Level 1 or COMLEX Level 2-CE will be academically dismissed from WVSOM. 9.3 Failure of COMLEX Level 2-PE 9.3.1 Notification a. Official notification of a first failure and instructions to contact the CEC will be sent to the student by certified mail and email from the Associate Dean for Predoctoral Clinical Education. b. Official notification of a second failure and instructions to contact the CEC will be sent to the student by certified mail and email from the Vice President for Academic Affairs and Dean. c. Official notification of a third failure and dismissal from WVSOM will be sent to the student by certified mail and email from the Vice President for Academic Affairs and Dean. 9.3.2 First Failure. If a student fails COMLEX Level 2-PE for the first time, he or she must enter the COMLEX Level 2-PE Prep Track as described in Section 10.5 below. 9.3.3 Second Failure a. Upon notification of the failure from NBOME, the student must contact the Office of Predoctoral Clinical Education about leaving any current rotations. The student may be permitted to complete any current rotation as long as the remaining time of the rotation does not exceed four (4) weeks. b. The student will receive confirmation from the Vice President for Academic Affairs and Dean via certified mail and email regarding the date on which the student must leave rotations and information about the COMLEX Level 2-PE Prep Track. c. Once the student leaves rotations, the student will immediately enter the COMLEX Level 2-PE Prep Track as described in Section 10.5 below. 9.3.4 Third Failure. Regardless of the previous conditions of failure, all students who exceed two failures of COMLEX Level 2-PE will be academically dismissed from WVSOM. 10. COMLEX PREP TRACKS 10.1 Any student who fails any COMLEX exam must enter a WVSOM COMLEX Prep Track. 10.1.1 The structure of the COMLEX Prep Track will vary, depending on the exam, the number of failures, and the score. 10.1.2 The COMLEX Prep Track must comply with the requirements of Institutional Policy E-19: Academically-at-Risk. 10.1.3 Students participating in a COMLEX Prep Track are considered full-time, active students. a. Students will be required to pay full-time tuition and fees during the entire COMLEX Prep Track. b. The COMLEX Prep Track may extend a student s medical school training beyond the student s four (4) year curriculum. Any medical school education required for graduation beyond the standard four (4) year period will be assessed using WVSOM standard tuition and fees. c. Students will continue to have access to WVSOM resources, including WVSOM email. Procedure for Policy E-23: Passage of COMLEX Page 8 of 13

10.1.4 The Director of ONBEC will supervise all aspects of the COMLEX Prep Track for COMLEX Level 1 and COMLEX Level 2-CE, provide students with specified resources, and monitor student progress through the COMLEX Prep Track. 10.1.5 The Associate Dean for Predoctoral Clinical Education will supervise all aspects of the COMLEX Level 2-PE Prep Track, provide students with specified resources, and monitor student progress through the COMLEX Level 2-PE Prep Track. 10.2 Prep Track Participation and Failure 10.2.1 Any failure of the student to participate in or successfully complete any scheduled and required activities will be recorded and will result in the following: a. An initial failure to meet the scheduled activities will result in an email warning to the student. If the student does not respond to the email and satisfactorily explain the reason for the failure to participate, a complaint of unprofessional behavior will be filed in accordance with Institutional Policy ST-13: Student Professionalism. b. A second failure to meet the scheduled activities will automatically trigger a complaint of unprofessional behavior. c. A third failure to meet the scheduled activities will be considered a failure of the Prep Track and will result in a meeting between the Student Promotions Committee and the student. 10.2.2 Any failure of the student to successfully complete the requirements of the Prep Track will result in a failure of the Prep Track. 10.2.3 Decisions Regarding Student Failure of Prep Track a. Any failure of a Prep Track will trigger a meeting with the Student Promotions Committee. b. The Student Promotions Committee will meet with the student to discuss the failure and subsequently make a recommendation for dismissal or retention. In the case of retention, the Student Promotions Committee must specify any corrective actions or conditions for retention. c. The Vice President for Academic Affairs and Dean will consider the recommendation and affirm, modify, or reject it. If retained, any corrective actions or conditions for retention must be clearly specified. d. The Vice President for Academic Affairs and Dean will convey his or her decision to the student, along with any timeline requirement and a deadline for indicating acceptance. If the student fails to reply by the deadline or indicates non-acceptance, then the student is dismissed. 10.3 Nominal COMLEX Prep Track 10.3.1 Students on the Nominal COMLEX Prep Track must complete the following: a. Arrange to take four (4) weeks off from clinical rotations for the Nominal COMLEX Prep Track. b. Meet with the Director of ONBEC for an Initial Conference to analyze the issues and devise a plan for review. Until the Initial Conference occurs, the student will not be approved for rescheduling of the COMLEX exam. c. Contact the Associate Dean for Predoctoral Clinical Education within one week of notification of placement on the Nominal COMLEX Prep Track to arrange a meeting. The Director of ONBEC and the Associate Dean for Predoctoral Clinical Education may meet together with the student. Procedure for Policy E-23: Passage of COMLEX Page 9 of 13

10.3.2 Retaking the COMLEX Exam a. Students on the Nominal COMLEX Prep Track must retake the COMLEX exam no later than the first available test date after completion of the Prep Track. b. The Director of ONBEC, with approval from the Vice President for Academic Affairs and Dean, may extend the deadline for retaking the COMLEX exam by up to 30 days or until the first available exam date after the extension, if an Exception Request is submitted at least two (2) weeks prior to the applicable exam date deadline, except in cases of emergency, to the Director of ONBEC. 10.3.3 Return to Rotations. Upon retaking the COMLEX exam, the student must contact his or her SWC Regional Assistant Dean to arrange a return to rotations. 10.4 Full COMLEX Prep Track 10.4.1 Initial Conference a. The Full COMLEX Prep Track begins with the student s Initial Conference with the Director of ONBEC and the Associate Dean for Predoctoral Clinical Education. The student must contact the Associate Dean for Predoctoral Clinical Education within one week of notification of placement on the Full COMLEX Prep Track to arrange for the meeting. b. The student will leave clinical rotations and spend no less than 60 days and no more than 90 days after the Initial Conference in the Full COMLEX Prep Track to prepare for the COMLEX exam. The clock on the Full COMLEX Prep Track period will not begin until the student has left rotations and the Initial Conference has taken place. c. A Learning Plan will be created for the student at the Initial Conference. d. The Director of ONBEC will indicate to the student the specific dates defining the COMLEX exam window at the Initial Conference. The exam date must fall within the defined exam window. 10.4.2 Learning Plan a. The Learning Plan will be conveyed to the student by the Director of ONBEC and the Associate Dean for Predoctoral Clinical Education. The student must read the Learning Plan carefully and discuss any issues that need to be addressed with the Director of ONBEC within two (2) business days if he or she does not agree with it. Otherwise, the student will be held to the Learning Plan. b. The Learning Plan will include the following: i. A diagnostic exam provided by WVSOM. Timing of the exam will be at the discretion of the Director of ONBEC. A weekly 50-item exam using the question bank provided by WVSOM and specified for the Learning Plan. i Weekly communications with the Director of ONBEC. iv. Regular meetings with one of the Learning Specialists. c. If problems with the Learning Plan arise, students must request permission from the Director of ONBEC and the Associate Dean for Predoctoral Clinical Education to make changes. 10.4.3 Communication Requirement a. No student may avoid communication with the Office of National Boards and Exam Center or fail to maintain regular interaction with the Director of ONBEC. Failure to maintain communication promptly and regularly constitutes unprofessional behavior, will be a factor considered in any decisions that might be made for a student, and may result in failure of Procedure for Policy E-23: Passage of COMLEX Page 10 of 13

the COMLEX Prep Track and possible disciplinary action up to and including dismissal from WVSOM. b. The student must: i. Contact the Director of ONBEC by email at least once per week during the COMLEX Prep Track; Contact the Associate Dean for Predoctoral Clinical Education at least once every two weeks during the COMLEX Prep Track; and i Respond to any applicable emails sent to the student s WVSOM email address. 10.4.4 Review Materials a. The Director of ONBEC will specify to the student the review materials or programs required for the COMLEX Prep Track. The student is responsible for providing those specified materials or programs. b. Any commercial review program must be approved by the Director of ONBEC prior to purchase. Students must inform the Director of ONBEC of the start and end dates on any commercial program. Any changes must be approved by the Director of ONBEC. i. If the commercial review program requires a student to be off campus for more than six (6) weeks in an off-campus review program, the program must be approved by the Director of ONBEC and the Associate Dean for Predoctoral Clinical Education. Regardless of any assessment offered by the commercial review program as to whether or not the student is ready to take the COMLEX exam, the Director of ONBEC and the Associate Dean for Predoctoral Clinical Education will make the final determination following the required COMSAE and any other testing deemed necessary. 10.4.5 Retaking the COMLEX Exam a. If the student wishes to retake the COMLEX exam before the 60-day requirement set out in Section 10.4.1 above, he or she must request permission to do so from the Vice President for Academic Affairs and Dean. Permission may not be granted until the student has taken a COMSAE diagnostic exam provided by the ONBEC under approved proctored conditions. The decision of the Vice President for Academic Affairs and Dean will be based upon the student s performance on the COMSAE diagnostic exam and other data. If necessary, another exam may be mandated. b. To retake the COMLEX exam, all students must complete the required COMSAE and any other testing deemed necessary and receive approval from the Director of ONBEC and the Associate Dean for Predoctoral Clinical Education. c. If the student proceeds past the 75th day of the Full COMLEX Prep Track without scheduling the COMLEX exam, the Director of ONBEC will notify the student of the last date available within the 90-day limit. d. Permission to extend the COMLEX exam date past the deadline may be granted by the Director of ONBEC, with approval from the Vice President for Academic Affairs and Dean. i. The student may petition to the Director of ONBEC to be allowed to schedule an exam date past the 90-day limit, but may not exceed 30 days past the 90-day limit or extend beyond the first available exam date after the extension. If permission is not granted, the student must take the exam by the date specified within the 90-day limit. e. If the student fails to retake the exam within the time specified, he or she will be deemed to have failed the COMLEX Prep Track and will be scheduled to meet with the Student Promotions Committee, who will recommend to the Vice President for Academic Affairs and Dean whether the student should be dismissed. Affairs and Dean will make the final decision on retention or dismissal, based upon the Student Promotion Committee s recommendation. 10.4.6 Return to Rotations a. First Failure. After entering a Full COMLEX Prep Track following a first failure, the student may not return to clinical rotations until the student has retaken the exam and the Director of ONBEC has provided verification of the exam retake to the Associate Dean for Predoctoral Clinical Education and the student s SWC Regional Assistant Dean.. b. Second Failure. After entering a Full COMLEX Prep Track following a second failure, the student may not return to clinical rotations until a passing score has been received by the WVSOM Registrar. When notification of the score arrives, the Associate Dean for Predoctoral Clinical Education and the student s SWC Regional Assistant Dean will immediately be notified by the WVSOM Registrar. 10.5 COMLEX Level 2-PE Prep Track 10.5.1 Any student who fails COMLEX Level 2-PE is required to undergo a COMLEX Level 2-PE Prep Track. The student will not be approved for rescheduling of the COMLEX Level 2-PE exam until he or she has successfully completed the COMLEX Level 2-PE Prep Track. 10.5.2 Upon failing COMLEX Level 2-PE, the student must contact the Associate Dean for Predoctoral Clinical Education and his or her SWC Regional Assistant Dean, as described in the student s failure notification letter. 10.5.3 The student will meet with the Associate Dean for Predoctoral Clinical Education to work out a specific written Learning Plan for review. 10.5.4 Following successful completion of the COMLEX Level 2-PE Prep Track, the student may be required to complete up to four (4) weeks of clinical rotations before retaking the COMLEX Level 2-PE exam. 10.5.5 The date of the student s retake of the COMLEX Level 2-PE will be arranged between the Associate Dean for Predoctoral Clinical Education and the student. 10.5.6 Return to Rotations. Upon retaking the COMLEX exam, the student must contact his or her SWC Regional Assistant Dean to arrange a return to rotations. 10.5.7 Any deviations from the requirements in this Section 10.5 must be approved in advance by the Vice President for Academic Affairs and Dean. 11. EXAM IRREGULARITIES 11.1 Students who are unable to sit for an exam on the date and at the location specified because of illness, accident, tragedy, or other unforeseen emergency or who must leave an already-begun exam before completion of the exam because of illness, accident, tragedy, or other unforeseen emergency must: 11.1.1 Contact the NBOME as soon as possible to inform the NBOME of the situation; 11.1.2 Contact the ONBEC as soon as possible and, if necessary, leave a message describing what happened; 11.1.3 Contact the student s SWC Regional Assistant Dean and inform him or her of the non-scored exam (if applicable); 11.1.4 Submit a request, including any documentation (physician letter or other evidence), to the NBOME that the exam fee paid be applied to a future rescheduled exam; and 11.1.5 Schedule and take the exam as soon as possible, in consultation with the Director of ONBEC.
