ROYAL THOMIAN CRICKET ENCOUNTERS 2011 INVITATION FOR SECURING PRODUCT SELLING, SPONSORSHIP & PROMOTIONS RIGHTS
1. INTRODUCTION The Royal Thomian is the second oldest uninterrupted Inter School Cricket Match being played in the world. This annual encounter is not only a prestigious game but also a major social event for both young and old in Sri Lanka s sporting calendar attracting local and overseas spectators. The 132nd Battle of the Blues for the D.S.Senanayake Challenge Shield will be played on 10th, 11th, & 12th March 2011 followed by the Limited Over encounter for the Mustangs Trophy on 26th March 2011 at the SSC Grounds. The two encounters in 2011 take on a special significance as the Old boy s Association of St. Thomas College celebrates their 125th Anniversary. 2. INVITATION FOR SPONSORSHIP The Royal Thomian Cricket match Organising Committee is pleased to invite offers from interested parties to submit their proposals for sponsorship of both Royal Thomian Cricket Encounters in 2011. Offers for long term sponsorship up to a maximum of three (3) years would also be considered based on incremental value and benefits year on year. Scope of Sponsorship and various benefits being offered are outlined in the following sections. Those interested in submitting their offers for sponsorship are requested to follow the general guidelines given herein. 3. SCOPE OF SPONSORSHIP This Invitation for Sponsorship excludes organisations in the Tobacco, Liquor, Gambling Industry or any other product or services not suitable to be associated with this event. Other Co-Sponsors not conflicting would have the right to conduct promotions, display products, and advertise at the match venue. Offers have to be submitted covering both encounters and would be subject to fulfilment of basic requirements No offer would be entertained of any product or service that would conflict with the Principal Sponsor. There would be no refund of sponsorship payment in the event of the match ending early for any reason or repayment for any loss/damage to equipment and/or material used/displayed at the venue. 4. SPONSORSHIP CATEGORIES Offers are invited from reputed organisations who market quality products and services and comply with local health/safety and other regulations/standards in the under mentioned categories. Services Bank Insurance Janitorial Offers are entertained for new products & services not specified above. Offers have to be made specifically for each item separately. Any organisation combining the products and services should specify them and value each separately. The Royal Thomian Cricket match Organising Committee shall reserve the right to negotiate offers with other interested sponsors for each category. 5. SPONSORSHIP BENEFITS 1. Grant of Co-sponsorship and Official status depending on value of sponsorship package. Eg; Official Insurer / Official Bank. 2. Exclusive rights to conduct sales and promotions in the categories awarded through specified number of booths and service personnel. 3. Use of official title in own advertising/promotions and branding on the booth, salesperson uniform and equipment. 4. To display branded A Boards / Ground Runners of size 20ft x 3ft based on sponsorship value. 5. Offer of complimentary items for use by the players, media, match officials etc 6. Display of promotional items/ material in pre agreed locations. 7. Complimentary tickets per match based on the sponsorship amount. 8. Any other reasonable request based on sponsorship fee offered. Note: 1) Cost of production, management, transportation, Installation etc. of signage/ advertising material at sponsors expense. 2) All advertising/ promotions is subject to prior approval from the Royal Thomian Cricket match Organising Committee 6. SUBMISSION OF BIDS/PROPOSAL/SPONSORSHIP: Offers shall only be submitted by the Organization / Company / Firm on their letterheads. Two officers of the Organization / Company / Firm who have the necessary authority as per the Memorandum and Articles of Association must sign the bid Offers submitted via fax, e-mail or by third parties will not be entertained Submission of Offers: All offers / bids / proposals shall be submitted / delivered in sealed envelopes marked BID FOR SPONSORSHIP OF ROYAL THOMIAN ENCOUNTER on the top left hand corner and addressed to: Chairman Sponsorship 132nd Royal Thomian Joint Organizing Committee C/O S. Thomas' OBA Secretariat De Saram Road Mount Lavinia Closing date of bids: 10th December 2010 at 3.00 P.M.
7. Sponsorship Package Bidders are requested to indicate clearly the cash value and all other benefits being offered as the total sponsorship package. 8. Currency All bids shall be made in Sri Lanka Rupees. 9. Terms of Payment The successful bidder will be required to make 50% payment of the full value of the sponsorship fee by cheque on date of signing contract. The balance 50% to be paid at the Press Conference prior to the three-day encounter. 10. Period of Validity All offers / bids / proposals shall be valid for a period of six weeks from the final date of acceptance of bids. 11. Statement of Compliance The bidder must comply with all clauses, sub-clauses and specifications adhering to the format of this Invitation of Offer for Sponsorship and include a Statement of Compliance in the proposal clearly indicating that the proposed sponsorship offer comply with all such requirements. 12. Alternative Offers The bidder may propose alternative offers / additional benefits to secure sponsorship without any conditions. However, any additional benefits would only be considered in the evaluation of bids subject to the bid complying with minimum requirement specified herein. The Royal Thomian Cricket match Organising Committee also reserves the right to accept or reject any alternative offers without adducing any reason whatsoever. 13. AWARD OF SPONSORSHIP CONTRACT (a) Upon evaluation of bids received, Royal Thomian Cricket match Organising Committee will award the sponsorship subject to their fulfilling all conditions stipulated herein. The final decision to award the Principal Sponsorship rights will be with the Organising Committee (b) The successful bidder is required to enter into a formal sponsorship contract with Royal Thomian Cricket match Organising Committee. The Organising Committee would provide the agreement and would be governed by the Laws of Sri Lanka. 14. CONFIDENTIALITY All information contained in this document is the property of The Royal Thomian Cricket match Organising Committee. Both parties are requested to maintain strict confidentiality and not disclosure contents of offer nor documents directly or indirectly to any other. Sgd.
