PowerSchool Modifying Historical Grades Secondary (Report Cards) Revised 02/25/2015

Historical Grades In PowerSchool, grades are stored for each completed grading term (Q1,Q2,Q3,Q4,E1,E2,X1,X2,S1,S2, or Y1) in historical grades and printed on report cards. In order to print transcripts, final grades for courses earning credit are also stored in historical grades with a store code of F1. Use the Historical Grades page to: enter term grades for students whose grades did not transfer from current grades, and edit existing historical term grade records due to a teacher or administrator grade change. Changes to final grades for all courses earning a credit MUST be changed in historical grades in two places: Either the S1, S2, or Y1 store code (depending on the grading term for the course) for report cards AND the F1 store code for transcripts. THE STORE CODE OF F1 SHOULD BE THE ONLY STORE CODE THAT EARNED CREDIT HOURS AND POTENTIAL CREDIT HOURS ARE ADDED TO HISTORICAL GRADES!!!!!! 2

Entering a New Historical Grade: 1. Look up the student on the Start Page and click on their name. 2. Choose List View under the Scheduling heading on the left toolbar. 3. Make note of the following information for the course that is receiving the grade change. a. Course Number b. Section Number c. Course Name d. Teacher Name 4. Choose Historical Grades under the Academics heading on the left toolbar. 3

5. The Historical Grades page will appear. Choose Single New Entry. 6. School Name The school name should default to the current school. 7. School Year Enter the current school year 8. Store Code a. Enter the grading term for which the grade is being added: Q1, E1, Q2, X1, S1, Q3, E2, Q4, X2, S2 or Y1 b. Final Grade for a course earning credit MUST create two separate entries. 1) Enter F1 for the grade that is being added; 2) Enter either S1, S2,or Y1 for the grade that is being added (depending on the grading term of the course) 4

9. Historical Grade Level Enter the student s grade level for the current school year. (DO NOT add a leading zero to a single digit grade level.) 10. (a) Course Number Enter the course number and section from the student s schedule. 11. Course Name Enter the course name exactly as it appears on the student s schedule. 12. Teacher Name Enter the teacher name exactly as it appears on the student s schedule. 13. Grade Enter the letter grade that the student earned for the grading term. 14. GPA Points Enter the corresponding GPA points for that letter grade. See the attached list of acceptable letter grades and their respective GPA points. 5

15. Added value If the course is a weighted GPA course (DE and AP courses only), enter 1 in this field. Algebra I is not a weighted GPA course; therefore this field was left blank. 16. Percent Enter the percentage grade that the student earned for the grading term. 17. Citizenship Do not enter anything in this field. 18. Earned Credit Hours Enter the number of credits that this student earned for the course for the store code of F1 only (ex: a letter grade of F would receive 0 earned credits). Leave this field BLANK for all other store codes. 6

19. Potential Credit Hours Enter the number of credits that the student would have earned with a passing grade for the store code of F1 only. Leave this field BLANK for all other store codes. 20. Credit Type Do not enter anything in this field. 21. GPA Calculation Leave the radio button on Include. The system uses this field to calculate Honor Roll GPA for all store codes and to calculate Transcript GPA for the F1 store code only. 22. Class Rank Calculation Leave the radio button on Include. The system uses this field to calculate Transcript Class Rank for the F1 store code only. 23. Honor Roll Calculation Leave the radio button on Include. 24. Display on Transcripts Leave the radio button on Yes in order for the grade to print on the report card. The system will use this field to display the grade on the transcript for the F1 store code only. 7

25. Teacher Comment Enter any teacher comments for the grading term. 26. Click Submit 27. This course is now added to the student s historical grade record. 28. Repeat these steps to enter all grades for this student. Remember that a change to the F1 store code grade will automatically change GPA for the student. Please consult a counselor when changes are made to the F1 store code grade. 8

Edit existing Historical Grades: 1. Look up the student on the Start Page and click on their name. 2. Choose Historical Grades under the Academics heading on the left toolbar. 3. The Historical Grades page will appear. Click on the blue hyperlink of the letter grade corresponding to the course and grading term that needs to be edited. Remember: If this is a final grade for a course earning a credit, the grade MUST be changed in two store codes (either the S1, S2, or Y1 depending on the course grading term and the F1 store code) 4. On the Edit Stored Grade page, change the necessary data, such as: a. Letter Grade b. GPA Points if a letter grade is changed, GPA points must also be changed to reflect the new letter grade. (GPA points have to be manually changed because they won t change automatically.) 9

c. Percent d. Earned Credit Hours if a letter grade is changed for the F1 store code only, earned credit must also be changed to reflect the new letter grade. (Earned credits have to be manually changed because they won t change automatically.) Example: 1) A letter grade of F is changed to a letter grade of D: the earned credit hours will be changed from a 0 to a 1. 2) A letter grade of B is changed to a letter grade of B-L: the earned credit hours will be changed from a 1 to a 0. See the attached list of acceptable letter grades and their respective Earned Credit information. e. Potential Credit Hours Do not change the value in this field! 5. Click Submit Remember that a change to the F1 store code grade will automatically change GPA for the student. Please consult a counselor when changes are made to the F1 store code grade. 10
