Qualifications: A minimum of two (2) years experience in an office environment demonstrating the ability to learn quickly, to respond to customer service issues, to relate will with students, staff, and the public and to maintain excellent records. Strong written and oral communication skills, organizational skills, Spanish speaking skills, and the ability to professional relationships. IV. Essential Functions: The Veteran s Affairs Specialist serves as a strong student advocate by maintaining appropriate documentation to certify veterans benefits and acts as the liaison for the College, the veteran, and appropriate agencies, including the Department of Veteran s Affairs, the Texas Workforce, and the Texas Higher Education Coordinating Board.
V. Job Responsibilities: Serve as an advocate for students. Connect veterans with resources on and off campus. Conduct service events (Veterans Fair). Provide veteran outreach services for all CBC locations. Assist with recruitment of veterans. Disseminate information on VA education benefits, programs and contact points. Apprise supervisor of any internal problems that may affect service to VA students. Participate in campus and off-site registration. Research and process scholarship opportunities for veteran students. Maintain familiarity with advising process including Texas Success Initiative regulations. Maintain the confidentiality of student records in compliance with the Family Educational Rights and Privacy Act. Assist veteran students in applying and certifying educational benefits by maintaining familiarity with Veteran administration laws concerning qualifying students for eligibility. Help veterans and their dependents fill out and send applications as requested. Assist in resolving payment problems through VA channels. Verify remaining hours for Hinson-Hazlewood veterans and their dependents.
Prepare a spreadsheet of veteran students and their dependents payment/exemption method for the Business Office. Monitor students grades to ensure satisfactory progress and report to appropriate agencies when student is terminated due to unsatisfactory progress. Keep up-to-date on current VA rules and benefits by providing e-mail address to VA Education Liaison Representative (ELR), reading VA Bulletins provided by ELR, and attending VA training opportunities including enrolling in VA on-line-training. Keep VA informed of enrollment status on veterans and other eligible person by using forms as described in the School Certifying Official Handbook and by using VA-ONCE, the VA s web based system for certifying the enrolled and changes in enrollment of VA students. Maintain/Create student files containing: copies of all VA paperwork, transcripts, grade reports, drop slips, registration slips (for those courses dropped during drop/add), tuition and fee charges, transcripts from previous schools with evaluations of same, student s school application, records of disciplinary action, program outline, a curriculum guide or graduation evaluation form, and any or other pertinent forms. Submit request of evaluation of military transcripts/dd214 for veteran students. Submit listing of students for college reimbursement to VA. Make all records available for inspection by VA for at least three (3) years following student s last date of attendance. Prepare for and serve as contact for annual audits from Texas Workforce Commission
and/or Veteran s Affairs representative. Assist the Financial Aid Director with implementation of FA initiatives and programs. Assist with Financial Aid nights, informal outreach programs, and other pertinent events. Assist and advise all students receiving financial aid regarding course of consequences to ensure that all students are meeting satisfactory each semester. Attend trainings and Department of Education workshops. Answer financial aid/veterans correspondence (PHP Live, emails, etc.) Distribute financial aid consumer information. Assist student services personnel in aggressively pursuing, obtaining, and developing alternate funding sources, i.e. federal, state, and foundation grants, for program development and enhancements as assigned. Perform other duties as requested by the Director of Financial Aid, the Executive Dean of Student Services, or the College President. VI. Other Responsibilities: Will participate in Quality Enhancement Plan (QEP) Will participate in College responsibilities such as Institutional Effectiveness Committee, Task Force, etc.
VII. Travel Requirements: Will require travel to all CBC sites once a month, and to conferences and workshops as needed. VIII. Environment: Work is generally performed in an office setting with frequent interruptions and changes in the workflow/volume. May require some outdoor work for CBC events.
