The opening screen becoming a Wordshark administrator Becoming a Wordshark administrator It is important that an adult (teacher, parent, technician) rather than a student becomes a Wordshark Administrator. It is easy to do, and will add Admin to the menu. Wordshark administrators (school and home) can add/change/delete other users and can change universal settings. More detail about this is found in this section in the PDF FOR SCHOOLS setting up user accounts for staff Please note your PASSWORD. If this screen does not appear, an administrator already exists and can be seen in Users\List of Administrators. Wordshark 1

FOR SCHOOLS setting up user accounts for staff The 4 types of user have different levels of control. Add/Delete students, teachers, administrators. Change/reset all passwords & details. Set universal settings. Set work & student settings. Change/ reset student passwords. View their records. Create your own word lists which are available to ALL. Create your own word lists which are available only to you. Save /change personal settings. View your own records. Administrator Teacher (networks only) Student Temporary student Deleted when you sign off Teachers v Administrator As seen in the table above, Administrators can perform all functions, but if they leave a computer unattended, there is always the risk of students having total access and making unwanted changes. Therefore, in larger schools it is helpful to be a Teacher user for everyday teaching when using the network. For small schools; the user category Teachers may not be necessary just use Administrators. When more than one Wordshark administrator is added to the system, all administrators have equal status. Temporary students Temporary students are deleted when they sign off. If temporary students are allowed, any user can sign on with any name (default). If however you want to stop people signing on as temporary students, go to Admin\ Universal Settings. Click on this icon. Untick the box allowing temporary students. From then on any new user will need to be added by the administrator before that person can use Wordshark. Wordshark 2

Adding students Adding students Now that you are a Wordshark Administrator, you can add your students to the program. They will then have personal files, and the program will remember which word list they are working on, their speeds and settings, and their records. 1. Go to Admin and click. 2. Go to Add and manage students and staff 3. Go to the Student icon and click 4. Type in the name you want your student to sign on as, and click OK. To add several students at once, click on the Multiple students icon. You will have a choice of method. The simplest method for adding several students is to select Type in a list of students. Do this, separating the names with commas. For bulk adding of students please see the PDF FOR SCHOOLS bulk import of student names in the section Bulk management of student names and files. 5. Go to EXIT to return to the main games screen. Wordshark 3

FOR SCHOOLS collecting students, creating groups, removing users, changing user details Other PDFs and videos will have dealt with adding students either in small groups or in bulk. Collecting students Once students have been added to the system, they can be shared by more than one Wordshark Administrator or Teacher in order to set work and/or to view progress. To collect students from the available list, sign on as yourself and go to Admin\Add and manage students and staff. Click on Collect more students. From the right hand panel select your chosen student(s) and drag them into the left hand column (anywhere in the column will do). More than one teacher can share any student. Wordshark 4

Moving students into groups You can, if you wish, set your students into groups. Select this button called Group. In the pop up window, enter a name for the group. The group will be created but will show empty. Tick this box (bottom left) to move students. You will now be able to click on the students and drag them into the group (or to move them around within the list). You can move groups around in the same way. In the examples below, Dragon group has now had students moved into it. Dragon group heading when closed: You cannot see who is in it because it is closed. Note that AdamR is part of the main list and not Dragon group. (Alternatively click on the group to highlight it and then add any new students to Wordshark straight into the group.) Dragon group heading when open: You can see two people are in Dragon group (but not Adam). Wordshark 5

Removing students from your list To remove students from your list when you no longer teach them, first click on them to highlight them. Then click on the cross and then on Remove from list but leave in Wordshark. They will however remain in Wordshark ready for others to collect. Removing users from Wordshark If you are a Wordshark administrator you have the authority to delete other users totally from the program. This can be done a few at a time or for students - in bulk. To remove small numbers at a time, go to Admin\Add and manage students and staff. Click on the name of any user or group that you want to delete. Click on the cross, and then select Totally erase. Where a user is collected by another administrator a message will be given. The student will be removed from the administrator list but left in the program. Changing user details To change the details of a user, sign on as an administrator and go to Admin\Add and manage students and staff. Click to highlight the name, and change the details in the right hand panel. Two useful examples follow. Example 1 Resetting an administrator s password: Select the relevant name (in this case Ms Sharma). Now you can now change her password in the panel on the right of the screen. Example 2 Adding an icon: (this will make signing on very easy for younger students). Select the relevant name, (in this case BellaS). Go to the right hand panel and find the buttons to Choose/Browse for an icon. Depending on whether you select Choose or Browse, you can either import a picture from the selection offered, or import an image or photo of your own. When BellaS signs on, and starts to type her name, she will see her icon and needs only to click on it. Wordshark 7

Signing on and off different users Signing on and off A quick way to sign on is to find and click on your name on the right. (You may need to start typing your name in order for it to appear on the right). You can also have others sign on to share the session with you. Administrators/teachers can sign on their students quickly by selecting names from the list provided. Go to Users in the menu and choose Quick sign-on. You sign off under File The Menu bar The screen shot shows the menu bar including Admin. Students and temporary users would not see Admin in their menu. The table (right) gives a quick guide to the menu items.
