Guidelines for the Accomodation at the Residence Aldo Capitini in Florence These guidelines define the criteria and the operating procedures that regulate the accommodation at the Florentine dormitory of the Scuola "Aldo Capitini" - henceforth called "residence" located in Viale Corsica, 100. The residence can accommodate up to 24 phd students in 24 mini-apartments, of which 3 are equipped for people with disabilities. The residence is also provided with common areas for leisure, breakfast and laundry. 1. Assignment of the rooms The assignment of the room in the residence is ensured primarily to the PhD students enrolled in the first year of Florentine PhD courses. After the first assignment the Scuola, in case of availability, will take into consideration the requests of the PhD students enrolled in the following years. Each year all the rooms are made available in order to ensure the respect of the above mentioned rules. To obtain the accommodation the students must submit their request by June 30 th for the candidates selected in the spring session and by October 20 th for the candidates selected in the fall session. If any room remains unassigned after these steps, they can be allocated to undergraduate students or to exchange PhD students. All the requests must be addressed to Servizio Eventi e gestione del Polo, Area Polo Fiorentino, by completing the form available at the following address of the website (https://www.sns.it/scuola/luoghi/collegi/residenza-universitaria-di-firenze) 1
2. Residence Calendar The effective period for the assignment of the accommodation is the academic year (starting from November 1 st ending in October 31 st of the following year). The extension of the accommodation from one academic year to the following is subordinated on the existence of rooms available and on the result of the annual exam. Normally the residence does not close unless the Scuola decides differently on the basis of the effective occupation. For scheduling academic holidays the Scuola requires to students to communicate their requests to Servizio Eventi e gestione del Polo, Area Polo Fiorentino within June 15 th for the summer period and within October 30 th for Christmas holidays. If a student leaves the room for a period longer than a week, out of the above mentioned holidays, the room will be put back into availability and may therefore be reassigned. At the end of the period of study, the student has no more right to stay at the residence for any reason. 3. Rooms allocation and college life They are reported to Articles 8, 9, 10, 11,12 and 23 of the Regulation for the college life and the collegial facilities of the Scuola Normale Superiore as established with decree D.D. n. 136 of 03.03.2010 Art. 8 Rooms allocation [...] The student who receives the assigned room is responsible for it personally. The room is personal and it cannot be transferred, even temporarily, to third parties for any reason. The student agrees to maintain and leave the room in the same condition it was received, except for normal wear and tear. For this purpose every student is required to check the conditions of the assigned room and to sign a record of delivery, which indicates the furniture and the general conditions of the room. 2
The student is required to promptly report faults or anomalies of the structures, facilities and furnishings to the porter of the college. At the end of the stay the student must notify to the porter of the college at least three days before he/she intends to leave the room, in order to allow the check of the room. In case of damage the provisions of Art. 23 of this Regulation shall be applied. Art. 9 Keys delivery The room key is personally delivered to the assignee, it is non-transferable and it may not be reproduced in any case. Loss or theft of the key must be promptly reported to the porter of the college. The porter has the original keys of all the rooms of the college. The assignee shall give notice to the porter and returns the key in the event s/he leaves the college for more than twenty-four hours and in any case s/he doesn t spend the night at the residence. Art. 10 - Use of rooms Each student agrees to use the room only for collegial purposes. The service management of the college provides all the linen for the rooms and related bathrooms. The cleaning of rooms is done under provisions of the School and the bed is reordered only when the linens are changed. Service staff may access the rooms whenever needed, for maintenance or to check its state of maintenance and ensure the normal conduct of collegial life. Except in cases of emergency, the interventions of the previous paragraph will be made after reasonable notice and always with respect for privacy. 3
The cleaning service has access to the rooms within the limits of the service itself. The assignee of the room can request the postponement of the cleaning intervention in cases of demonstrated need. Art. 11 - External guests and access to residence All students of the School are guaranteed free access to the collegial structures within the opening hours. Guests are allowed to access the residence from 7:00 am to 1:00 am. The student undertakes to comply with these regulations and assumes all responsibility for the behaviour of their own guests. Guests can have access to the college after identification by the porter, showing an identity document. All personal data will be treated in compliance with the privacy code. Guests can access all communal areas listed in the following article, except for the gyms, which can be access only by the students of the School. Art. 12 - Use of the communal areas Students can make use of communal areas located within collegial structures, as, for example, study areas, library, gyms, music rooms, recreation room with TV and board games, computer rooms, etc. The furniture and the equipment present in the common spaces must not be moved, except those related to a temporary use. Article 23 Liability Notwithstanding the different profiles of civil, penal and administrative responsibilities, the behaviours in violation of requirements or prohibitions provided for in this regulation have 4
disciplinary relevance and are punishable in accordance with the Academic and Internal Regulations of the School. Anyone who causes damage is obliged to compensate its value on the basis of civil law. If the School is sentenced to a fine or a compensation for damage caused by a student to third parties, the student can be called to account for this damage by the Institution. The School may also seek compensation through reimbursement in specific forms. 4. Accomodation grant The accommodation grant is automatically deducted from the scholarship grant if a student stays at the residence. Students who have opted for the accommodation grant can ask to stay at the residence for short periods according to their educational needs. To this purpose, the student has to ask by e-mail for the availability of a room to the office Servizio Eventi e gestione del Polo, Area Polo Fiorentino, (eventiculturali.firenze@sns.it) at least 7 days in advance in order to allow the office to accomplish with the administrative requirements. In this case, the student is requested to pay the daily fee equal to 1/360 of the amount of the contribution due to annual holiday. If the request is not received by the deadline previously indicated, it cannot be guaranteed the opportunity to enjoy the accommodation for the requested period. For stays up to 60 consecutive days, the student will have to proceed with the bank transfer at the end of the stay for the total amount due. Once the money has been transferred, the student has to inform promptly the office Servizio Eventi e gestione del Polo, Area Polo Fiorentino, sending the payment receipt (by e-mail or by hand delivery) for the required procedures. For temporary stays longer than 60 days, the amount of the contribution will be deducted from the accommodation scholarship through Executive Decree. 5. Exchange Program Students Exchange program students can apply for accommodation if exchange programs are based on the principle of reciprocity. Those wishing to ask for accommodation at the residence have to refer to 5
the office Servizio Eventi e gestione del Polo, Area Polo Fiorentino (eventiculturali.firenze@sns.it) indicating the agreement they rely on. Permanence for a period less than 15 days is not admitted. 6. Complaints Any complaint must be addressed by e-mail to the office Servizio Eventi e gestione del Polo, Area Polo Fiorentino, (eventiculturali.firenze@sns.it) which, when necessary, will arrange for transmission to the relevant offices. 7. Guaranteed services 7.1 Catering The residence offers a breakfast service at the following times: from 7.30 am to 9.30 am from Monday to Friday; from 8:30 am to 10:30 am on Saturdays, Sundays and public holidays. Guests are not authorized to use the food court to cook. The only permitted activities are: Consuming of packaged foods. Consuming of processed foods limited to hot drinks, freeze-dried or pre-cooked and then heated by means of special equipment such as electric ovens, microwave ovens available at the residence; to make the above clear: it is absolutely forbidden to cook food such as meat, pasta, vegetables that need a transformation of semi-finished product to reach the finished food. Storage of beverages (water, tea, softdrink, etcetera..) is allowed in the refrigerator only if the beverage is labeled with the name of the owner who will take care to remove it before leaving the residence. It is forbidden to preserve food. All the students can access the canteens of DSU (the public company for the right to education in Florence) to have their lunch/dinner (http://www.dsu.toscana.it/servizi/ristorazione/dove-e-cosamangiare/firenze/). Students will have access to the canteen service by submitting a badge. Before their arrival in Florence, all new students will receive by e-mail the informations for the issuing and use of the 6
badge from the office Servizio Eventi e gestione del Polo, Area Polo Fiorentino. The badge is issued by the Company for the Right to Education in Florence, TUSCANY DSU, upon presentation of an identity card/passport and the letter of acceptance of the scholarship of the Scuola Normale Superiore. The badge is issued by the DSU office "Rilascio tessere located at the dormitory Casa dello Studente "Calamandrei", Viale Morgagni, 51, Florence, by presenting the id card or passport. 7.2 Laundry Laundry areas with washer machines and irons are available to the students as established by the Board Decree (link). The laundry can be hanged only inside those areas. 7.3 Internet Service Wi-fi network is available for students inside the residence. Students can access the network directly from their rooms or common areas by using a personal computer. In any case, access to the network is subject to accreditation in compliance with the current legislation and involves personal responsibility for its proper use. 7
