To View Students on the Waitlist, along with their position on the Waitlist, for any class. Navigation: Home>Curriculum Management>Class Roster>Class Roster. This opens the Class Roster search page. Enter the appropriate information, such as term, subject area, catalog nbr, to select the desired class. On the Class Roster page, select an Enrollment Status of Waiting. The Class Roster page will refresh and those students on the waitlist, although with their position on the waitlist, will be displayed. To View Student s Biographical/Demographical Information. Navigation: Home>Self Service>Advisor Center>My Advisees. This opens the My Advisees page. Select a student displayed on this page using the View Student Details link corresponding to that student or click on the View Data For Other Students button which allows one to access all students in the system. [NOTE :If one clicks on the View Data For Other Students button, the Advisee s Student Center search page will open where one can search using last and first name]. Upon the selection of the student, that student s Advisee Student Center page will open. Click on the general info tabbed link on the top of the Advisee Student Center page and the Advisee General Info page will open. Information displayed on this page include: Service Indicators, Initiated Checklists, Student Groups, Personal Data [gender, and marital status], Name, Addresses, Phones, and Email Addresses. To View a Student s Advisor. Navigation: Home>Self Service>Advisor Center>My Advisees. This opens the My Advisees page. Select a student displayed on this page using the View Student Details link corresponding to that student or click on the View Data For Other Students button which allows one to access all students in the system. [NOTE :If one clicks on the View Data For Other Students button, the Advisee s Student Center search page will open where one can search using last and first name]. Upon the selection of the student, that student s Advisee Student Center page will open. The student s advisor is displayed on the Advisee Student Center page along with his/her campus phone number. To View a Student s Schedule [Enrolled, Withdrawn, and/or Waitlisted classes]. Navigation: Home>Self Service>Advisor Center>My Advisees. This opens the My Advisees page. Select a student displayed on this page using the View Student Details link corresponding to that student or click on the View Data For Other Students button which allows one to access all students in the system. [NOTE :If one clicks on the View Data For Other Students button, the Advisee s Student Center search page will open where one can search using last and first name]. Upon the selection of the student, that student s Advisee Student Center page will open. The schedule of the student in the current/upcoming term will be displayed under the Academics header. If one clicks on the My Class Schedule link, located under the Academics header, the Advisee Class Schedule page will open. This page lists the courses the student is enrolled in, enrolled in and withdrawn from [if the withdrawal occurred after the end of the add/drop period], on the waitlist list for [along with the position on the waitlist], and dropped. Once can use the Class Schedule Filter Options to select different display options [that is, enrolled, dropped. Waitlisted] as the default setting is to display all. To View the Student s Unofficial Transcript. Navigation: Home>Self Service>Advisor Center>My Advisees. This opens the My Advisees page. Select a student displayed on this page using the View Student Details link corresponding to that student or click on the View Data For Other Students button which allows one to access all students in the system. [NOTE :If one clicks on the View Data For Other Students button, the Advisee s Student Center search page will open where one can search using last and first name]. Upon the selection of the student, that student s Advisee Student Center page will open. Select Transcript: View Unofficial using the drop down arrow next to the other academic box [located under the Academics header] and then click on the double-arrow Go button. The Advisee Unofficial Transcript page will open. On this page, select a Report Type of Unofficial Transcript and click on the green Go button. The Report Results page will open and the unofficial transcript will be displayed. Page 3 of 8 01/11/10
To View a Student s Course History. Navigation: Home>Self Service>Advisor Center>My Advisees. This opens the My Advisees page. Select a student displayed on this page using the View Student Details link corresponding to that student or click on the View Data For Other Students button which allows one to access all students in the system. [NOTE :If one clicks on the View Data For Other Students button, the Advisee s Student Center search page will open where one can search using last and first name]. Upon the selection of the student, that student s Advisee Student Center page will open. Select Course History using the drop down arrow next to the other academic box [located under the Academics header] and then click on the double-arrow Go button. The Advisee Course History page will open and all coursework [taken, transferred, and in progress] will be displayed. This information can be sorted course [subject and catalog number], description [course title], grade, status [taken, transferred, or in progress], term, and unit the default is course. To View a Student s Transfer Credit Report. Navigation: Home>Self Service>Advisor Center>My Advisees. This opens the My Advisees page. Select a student displayed on this page using the View Student Details link corresponding to that student or click on the View Data For Other Students button which allows one to access all students in the system. [NOTE :If one clicks on the View Data For Other Students button, the Advisee s Student Center search page will open where one can search using last and first name]. Upon the selection of the student, that student s Advisee Student Center page will open. Select Transfer Credit: Report using the drop down arrow next to the other academic box [located under the Academics header] and then click on the double-arrow Go button. The Advisee Transfer Credit page opens and all transfer and test credit coursework [including the equivalent Benedictine University course] is displayed. To View a Student s Academic Career, Program, Plan[s] and Sub-plan[s]. Navigation: Home>Self Service>Advisor Center>My Advisees. This opens the My Advisees page. Select a student displayed on this page using the View Student Details link corresponding to that student or click on the View Data For Other Students button which allows one to access all students in the system. [NOTE :If one clicks on the View Data For Other Students button, the Advisee s Student Center search page will open where one can search using last and first name]. Upon the selection of the student, that student s Advisee Student Center page will open. Click on the academics tabbed link on the top of the Advisee Student Center page and the Advisee Academics page opens. The student s academic career, program, plan[s], and sub-plan[s] are displayed on the academic page. There are 5 academic careers : undergraduate semester [all undergraduate students]; graduate quarter [master s level quarter credit]; graduate semester [master s level semester credit]; doctorate [doctoral level quarter credit]; doctoral semester [doctoral level semester credit]. Within each career, there are a number of academic programs. At the University, academic program is primarily used to make distinctions for student billing and financial aid purposes. Within each program, there are a number of academic plans. The academic plan is primarily used to indicate the student s major, minor, program [for graduate students], and/or certificate area. Within each plan, there are a number of academic sub-plans. The academic sub-plan is used to indicate, when appropriate, a student s cohort number, concentration, track, and/or the student s academic requirement rule set. The Requirement Term informs the academic advisement report tool of the academic year catalog requirements that will be applied to that particular student. To View the Schedule of a Classroom. [NOTE: Only classroom space reserved through the Registrar s Office is displayed here.] Navigation: Home>Campus Community>Campus Event Planning>View Event Information> Campus Meeting Details. This opens the Campus Meeting Details selection page. On this page, select BENUV as the SetID [if it has not defaulted], use the magnifying glass to select the appropriate building code and click on the Search button. The Campus Meeting Details selection page will refresh displaying all of the classrooms in that building. Select the appropriate room link and the Campus Meeting Details page will open. Use the date icon, select the desired date and click on the search button. The Campus Meeting Details page refreshes and all classes/events scheduled through the Registrar s Office in that space are displayed. Page 5 of 8 01/11/10
To View a Student s Early Warning Notices: Navigation: Home>Self Service>Advisor Center>My Advisees. This opens the My Advisees page. Select a student displayed on this page using the View Student Details link corresponding to that student or click on the View Data For Other Students button which allows one to access all students in the system. [NOTE :If one clicks on the View Data For Other Students button, the Advisee s Student Center search page will open where one can search using last and first name]. Upon the selection of the student, that student s Advisee Student Center page will open. Click on the general info tabbed link on the top of the Advisee Student Center page and the Advisee General Info page will open. On this page, select the Early Warning Notice link. At this point, there a three different scenarios that may be displayed. If the student has received no early warning notices, the View Details page will open and the message No Early Warning Notices will be displayed. If the student has received early warning notices and all are in the same term, the View Details page will open and all early warning notices received by the student in that term are listed. If the student has received early warning notices over multiple terms, the Select Term page will open. Select the term of choice using the radial button and click on the green Continue button. The View Details page will open and all early warning notices received by the student in that term are listed. To View a Faculty Member s Teaching Schedule: Navigation: Home>Self Service>Search>Faculty Search. This opens the Faculty Search page. Click on the search by name button and the search dialog page will open. Select the appropriate faculty member and the Faculty Search Select Term page will open. On this page, use the radial button to select the appropriate term and click on the Continue button. This will open the Faculty search page for that particular term and all classes, along with events scheduled through the class event scheduler within the PeopleSoft system, will be displayed. To Add Advisor Comments: Navigation: Home> Campus Community> Comments> Person Comment Entry. This opens the Person Comment Entry Find Existing Value page. On this page, select the Add New value tab and the screen will refresh displaying an ID search dialog box. Enter the ID of the student, or use the magnifying glass to search via first and last name, and click on the yellow Add button. This will open the Person Comment Entry page. On this page, use the magnifying glass to select an *Administrative Function of SPRG, student program, and a *Comment Category of ADVR, advisor comments. Next, in the comments section, add the comments you wish to enter into regarding the student and click on the Save button. Please note: these comments may be seen by all faculty/staff having access to these panels and are discoverable to outside parties. To View Advisor Comments: Navigation: Home> Campus Community> Comments> Person Comment Entry. This opens the Person Comment Entry Existing Value page. On this page, enter the ID of the student, or use the magnifying glass to search via first and last name, and click on the yellow Search button. The page will refresh and all of the advisor comments records will be listed. [Note: if no comments exist on the student, the message no matching values were found will be displayed.] Select the record to be viewed and the Person Comment Entry page on that record will be displayed. To View a Student s Enrollment Appointment Time/Date [applicable for undergraduate students only]: Navigation: Home> Records and Enrollment> Term Processing> Student Enrollment Appointment. This will open the Student Enrollment Appointment dialog page. Using the appropriate search criteria, select the student and term of interest [be sure the Academic Institution is BENUV] and click on the yellow Search button. This will open the Student Enrollment Appointment page. On this page, the Start Date and Start Time under the Enrollment Appointments header will be shown and this is the earliest date/time at which the student may register for that particular term. To Grant a Student Approval to Register Electronically [to remove the AD1 service indicator]: Navigation: Home>Self Service>Advisor Center>My Advisees. This opens the My Advisees page. Select a student displayed on this page using the View Student Details link corresponding to that student or click on the View Data For Other Students button which allows one to access all students in the system. [NOTE :If one clicks on the View Data For Other Students button, the Advisee s Student Center search page will open where one can search using last and first name]. Upon the selection of the student, that student s Advisee Student Center page will open. Click on the general info tabbed link on the top of the Advisee Student Center page and the Advisee General Info page will open. Under the Service Indicators header, select the Advisor Approval Required link. The Edit Service Indicator page for the AD1 Service Indicator Code will open. To grant the student approval to register, click on the yellow Release button. The page will refresh and the question are you sure you want to release the service indicator will be displayed. Click on the yellow OK button to release the indicator and grant the student access to register. Page 8 of 8 01/11/10
