The Salisbury University Greek Semester Assessment Program 201 5 The Salisbury University Greek Assessment Program (SUGAP) is an semester evaluation and awards program for the Greek Life community of Salisbury University. The purposes of this program are to: Encourage chapters to uphold the missions, values and standards of their respective organizations and promote the Greek Life community values of leadership, scholarship, citizenship, stewardship and friendship; Assess the organizational health of each chapter and the overall Greek community and provide feedback for chapters on strengths and growth areas; Demonstrate the value and relevance of Greek Life at SU and measure achievement of SU Student Affairs learning outcomes; Gather data for use in marketing Greek Life; and Reward chapters who demonstrate values-action congruence. The information in this manual serves to support each chapter in its compilation of materials for annual submission each spring semester. The examples provided are suggestions of documentation for each standard. Alternative documentation may be submitted that meets the criteria.

Academic Affairs This section serves to evaluate chapter values in comparison with community standards of scholarship. Note: Sections 1 3 may be included on one spreadsheet with three different columns, each with a total average as suggested. 1.) Chapter Term GPA => SU All-Male/Female GPA Chapter Roster with member GPA s clearly delineated 1 (1 per Semester) +1 for each semester.2 > SU All-Male/Female Term GPA 2.) Individual Member Term GPA 100% of initiated members & new members => 2.5 Term GPA Chapter Roster with member GPA s clearly delineated 1 (1 per Semester) +1 for each semester > 25% of Chapter is on Dean s List 3.) New Member Class Term GPA => previous Semester New Member Class Term GPA Chapter Roster with new member GPA s clearly delineated for each new member class +1 for each semester.2 > previous semester New Member Class term GPA

4.) Statement on Chapter Scholarship Chapter will have written statement communicating how it: supports the educational mission of Salisbury University contributes to the academic development of its membership Copy of statement on chapter scholarship 1 5.) Academic Recognition Plan 1 Chapter will have scholastic recognition plan that includes: an incentive program where individual academic achievement is celebrated and rewarded an intervention program where needy members are provided with academic support and resources Copy of scholastic recognition plan.5 for chapters who actively utilize and have document (ie. Signed letter of participation from CSA Director) confirmation of resources of Center for Student Achievement 6.) Scholastic & Career Success Programming Note: Chapter will host/attend 1 topical workshop/seminar/program per semester related to academic and/or career success. At least 75% of the Chapter must be attendance. Program Report Form (See Example) and sign-in sheet of attendees +1 for 1 additional workshop/seminar/program per semester Repeating or weekly programs (ie. Resume Building) are seen as (1) workshop and will not be counted for credit multiple times. 7.) Executive Board/Committee Chairperson Position Chapter will have a member specifically designated to oversee Academic Affairs.

National Order of Omega Chapter will have at least one (1) member apply for admission to Order of Omega Provide a list of member(s) who applied for admission with signed verification of application by a university official 1 9.) National Fraternity/Sorority Headquarters or Foundation Scholarship Chapter will have at least one (1) member apply for National Fraternity/Sorority Headquarters Foundation Scholarship Copy of member s completed application. Include confirmation of receipt letter or email from National Headquarters 1 Total Possible Score: 9 (with Extra Credit offered 13.5)

Campus and Community Involvement This section serves to evaluate chapter values in comparison with community standards of citizenship and leadership. 1.) Community Service Chapter will participate in two (2) community service projects per semester. 1 of the 2 projects must be performed on campus and/or directly benefit the Salisbury University community (ie. faculty/staff/ students) At least 75% of the Chapter must be in attendance at each project Community Service/Philanthropy Report Form (See Example) and summary from the chapter to indicate how your chapter made an impact or reflected on the service. +1 for 4 additional community service projects that have at least 10% of chapter membership participating. Letter from the service to share how your impact made a difference or summary from the chapter 2.) Philanthropy Chapter will participate in 1 Salisbury campus-wide fundraiser per year. Chapter will also participate in 1 fundraiser per year benefiting the chapter s designated/recognized national philanthropy. Community Service/Philanthropy Report Form (See Example) 1 (1 per philanthropic effort) +1 for 1 additional philanthropic effort per year (benefiting either campus-wide or National initiatives) 3.) IFC/Panhellenic/NPHC Council Community Service or Philanthropy Project Chapter will participate in a collaborative project as designated by the IFC/Panhellenic/NPHC Council involving the entire Greek community At least 75% (unless otherwise designated) of the Chapter must be in attendance at the project Community Service/Philanthropy Report Form (See Example) 1

4.) Executive Board/Committee Chairperson Position Chapter will have a member specifically designated to oversee Community Service/Public Relations Copy of a job description and responsibilities outlined in Chapter Constitution & By-Laws 1 5.) Alumni Relations Chapter will host 1 program/event per year specifically designed to connect with alumni Program Report Form (See Example) 1 +1 for 1 additional alumni relations program per year Note: The program s intended purpose must be to connect with alumni and purpose must be evident in the program report 6.) Family Relations Chapter will host 1 program/event per year specifically designed to connect with members family/families. Program Report Form (See Example) 1 +1 for 1 additional family relations program per year Note: The program s intended purpose must be to connect with alumni and purpose must be evident in the program report 7.) Family & Staff Relations Chapter will host 1 program/event per year to recognize Salisbury University Faculty & Staff for their contributions to Greek Life or the campus community. Program Report Form Examples include: Thank You Cards, Adopt-A-Faculty, Treats for your Teach! 1 Note: +1 for 1 additional faculty & staff relations program per year The program s intended purpose must be to connect with alumni and purpose must be evident in the program report

8.) Publicity Note: Chapters will utilize at least four (4) different forms of communication/media throughout the year to advertise events, share news, and promote accomplishments 4 different examples from the following: flyers, posters, banners, mailbox stuffers, table tents, brochures, emails, alumni newsletters, press releases to SU Public Relations Office, National Fraternity/ Sorority publications, Flyer article/advertisement, esunews, etc. 2 (must include 4 examples to receive full credit) Publicity must be chapter generated; national or university issued publications do not qualify. Also, example must be a hard copy or photo of the examples; a written list does not qualify 9.) Co-Sponsorship Chapter will co-sponsor 1 non-social program per semester with a non-greek RSO Program Report Form - signed by co-sponsoring RSO President A list of currently recognized RSOs can be found in the SGA Office Please include an attachment of the specific responsibilities of your chapter and the RSO in the implementation of the program 10.) Co-Curricular Involvement At least 75% of chapter members will be involved in 1 other extra-curricular activity, student organization, honor society, club/varsity sport, etc. Fraternity/Sorority intramurals are excluded. Roster of membership involvement with participation specifically delineated 11.) IFC/Panhellenic/NPHC Council Representation Chapter will have an/a IFC/Panhellenic/NPHC Delegate (or Delegates depending upon Council By-Laws) who attends all Council meetings

Leadership Development This section serves to evaluate chapter values in comparison with community standards of leadership. 1.) Chapter Involvement 100% of the Chapter will hold either an Executive Board position or serve on a committee. Chapter Roster with Executive Board and Committee membership positions clearly delineated 2.) Membership Development Note: Chapter will host 1 topical workshops/seminars/programs per semester related to personal development. At least 75% of the Chapter must be in attendance. Program Report Form with sign-in sheet attached (See Example) Examples: Personal Credit Management, Leadership Styles, etc. +1 for 1 additional workshop/seminar/program per semester At least 50% of the workshops must be facilitated by non-chapter members (ie. University staff) to receive full credit. 3.) IFC/Panhellenic/NPHC/OSAO&L Leadership Programming Chapter will participate in various leadership development opportunities as required throughout the year as designated by IFC/Panhellenic/NPHC/OSAO&L Listing of opportunities with attached list of participants for each opportunity

4.) National Fraternity/Sorority Conventions & Leadership Conferences Chapter will meet all attendance requirements set by the National Fraternity/Sorority Copy of Convention/Conference registration forms & Convention/ Conference program (if event has occurred prior to portfolio submission) 1 +1 for attendance above the % required at all National Fraternity/ Sorority Conventions and Conferences (as designated in National By-Laws) 5.) National Fraternity/Sorority Campus Visits 1 Chapter will host/meet all designated National Headquarters Staff, Consultants, & Advisors during scheduled campus visitations. Chapter will also include a meeting with the Director of Student Activities for all visiting National representatives. Chapter Operations This section serves to evaluate chapter values in comparison with community standards of leadership, stewardship, and friendship. 1.) Alumni Advising 2.) Faculty/Staff Advising Chapter will have an Alumni Advisor *Contact information will be submitted to OSAO&L at the beginning of each semester +1 if Chapter has either: a functioning Alumni Board (with contact info on file) additional Alumni advisors designed to support specific Chapter operations Chapter will have a Salisbury University Faculty/Staff Advisor (Individual must be a full-time faculty or staff member employed by Salisbury University) *Contact information will be submitted to OSAO&L at the beginning of each semester 3.) Salisbury University Administration Chapter leadership will meet as requested and communicate regularly with Salisbury University administrators. Chapter President meets monthly with Director of Student Activities Chapter Operations Report Form +1 per semester if Chapter President/Executive Board meets biweekly with the Coordinator of Student Life 4.) National Fraternity/Sorority Paperwork Chapter will be current on all reports, rosters, data submitted to the National Fraternity/Sorority Headquarters. *Paperwork will be submitted as requested. Salisbury University OSAO&L Paperwork Chapter will be current on all reports, rosters, data submitted to the Salisbury University OSAO&L *Paperwork will be submitted throughout the semester as requested. 1(1 per semester) 6.) Payables Chapter will be current on all payables (dues, insurance, initiation fees, etc.) to the National Fraternity/Sorority Headquarters, IFC/ Panhellenic/NPHC Councils, and Salisbury University at the end of each semester Letter of Confirmation from National Headquarters, Zero debts outstanding as reported by governing Council Treasurer 12.) Receivables full, Chapter will be current on the collection of all receivables (member dues & fines) at the end of the semester. Copy of membership roster indicating payment status (paid in payment plan, amount paid, amount owed, etc.) 13.) Financial Audit 1 Chapter will open all financial records and allow for an independent audit to verify appropriate accounting, money management, and spending policies are adhered to. Letter from independent auditor verifying the audit and documenting the results Note: The chapter can provide a senior business major to conduct the financial audit for their chapter. Total Possible Score: 13 (with 100% of Extra Credit offered - 17)

Recruitment & New Member Education This section serves to evaluate chapter values in comparison with community standards of leadership, stewardship, and friendship. 1.) Substance-Free Recruitment Chapter will conduct substance-free Recruitment. Written statement from Chapter President and Recruitment Chair indicating the steps the Chapter took to implement a substance-free recruitment and verification by OSAO&L and the Office of Judicial Affairs. 2.) Executive Board/Committee Chairperson Position Chapter will have a member specifically designated to oversee Recruitment. Copy of job description and responsibilities outlined in Chapter Constitution & By-Laws 1 3.) Recruitment Plan Chapter will develop a detailed recruitment plan that includes: A values-based new member selection criteria (qualities, characteristics, experiences, etc.) A master calendar (times, dates, & locations) of all recruitment activities/events Copy of recruitment plan implementation (which is submitted to OSAO&L at the beginning of each semester) 4.) IFC/Panhellenic/NPHC Recruitment Compliance Chapter will comply with all IFC/Panhellenic/NPHC-mandated recruitment policies and procedures Written verification by VP of governing council (ie. Email)

5.) Recruitment Workshop Chapter will conduct an annual workshop/retreat specifically designed to build recruitment skills, practice recruitment techniques, and prepare members to market the Fraternity/Sorority to a variety of audiences. Agenda and participant list from recruitment workshop/retreat 1 +1 for 1 additional workshop/retreat per year 6.) Substance-free New Member Education Chapter will conduct substance-free New Member Education Copy of New Member Education Plan with designated areas highlighted; Written confirmation of status from OSAO&L 7.) Hazing-free New Member Education Chapter will conduct hazing-free New Member Education Copy of New Member Education Plan with designated areas highlighted; Written confirmation of status from OSAO&L 1 (1 per semester, if applicable) 8.) Executive Board/Committee Chairperson Position Chapter will have a member specifically designated to oversee New Member Education. Risk Management This section serves to evaluate chapter values in comparison with community standards of stewardship. 1.) Insurance Chapter will have an active Certificate of Liability Insurance policy through the National Fraternity/Sorority with at least $1,000,000.00 in liability coverage. *A copy of Insurance/Certificate of Liability coverage is submitted at the beginning of the academic year and must be current at time of portfolio submission 1 (1 per semester of coverage) 2.) To receive full point consideration, events submitted for documentation must not be repeating or featured in multiple areas of assessment. (Ie. Relay for Life will not receive credit if featured as an Alumni program, Philanthropy Program and Fundraising program). 2. All program report forms must have original signatures as listed to be recognized as documentation. 3. When hosting a speaker or guest for a workshop or program, it is strongly encouraged to have a non-chapter member as the facilitator of the program to receive full credit. 4. Please make sure that you have the appropriate documentations to support your scores. 5. Portfolios received after the deadline will receive a 20 point deduction in scoring.

1. A NEW binder to place all your worksheets in 2. Dividers are always nice to separate each section of the SUGAP requirements as well as your activities 3. Is everything whole punched and not falling out of your binder? 4. At the beginning of each section is there a checklist of all the items you have included for that portion of SUGAP? 5. Do you have any pictures? If your organization has documentation that the event took place it would be nice to see that in your binder. 6. Handwritten or typed? It s easier to read when the information is typed out instead of handwritten on a piece of notebook paper 7. Missing information for your binder? If you need help locating rosters or information for a section of SUGAP, email OSAOL and follow-up, but allow at least 3 weeks before the deadline to locate the information. 8. But I gave it to you in the beginning of the semester! Shouldn t you already have it? Even if you handed in information on your chapter you must reprint it for your SUGAP binder. If it s not there, then it will be counted as a non-submission therefore receiving no credit. 9. If you need help at any point, please make an appointment with OSAOL ASAP!
