Tutor Application Guidance Archery GB Instructor Award

Introduction We are recruiting tutors to inspire and energize future archery instructors through the delivery of the Archery GB Instructor Award. The delivery of accessible and enjoyable introductory archery sessions is crucial to the development and growth of the sport. Instructors are an important and valued part of Archery GB s coaching workforce, and the Instructor Award will provide modernised training to outdoor, leisure, volunteer and educational organizations. Tutors must be able to demonstrate good practice in archery instruction, facilitate learning effectively, create a positive and engaging environment for learners to develop their instructional skills, and fairly assess their performance. Tutors need to be approved by Archery GB to deliver the Instructor Award. This pack provides prospective tutors with information about what the role involves and how to apply. If successful in becoming an approved tutor, you will join an enthusiastic team and the role will allow you to get fully involved at what is a flourishing time for archery. You would work closely alongside other colleagues who will be a mixture of tutors and Archery GB staff. Associated Costs and Employment Status Applicants are responsible for funding themselves through the pathway to become an approved tutor. The employment status of approved tutors is self-employed. As a self-employed tutor, you will be responsible for the full delivery of the course and as such, must ensure that you have your own appropriate insurance cover. As a self-employed tutor, there are several conditions for you to consider: Business considerations (including registering your business and paying tax) Business planning Cash flow forecasting, bookkeeping, expenses Risk management and insurance Provision of equipment For advice about employment status and running your own business contact HM Revenue & Customs (www.hmrc.gov.uk) or attend one of the many business in sport courses that are available. Terms and Conditions Approval to become a tutor is conditional on an assessment process, and upon you agreeing to abide by the Terms and Conditions and the Code of Conduct set out at the end of this document.

Email: instructor.award@archerygb.org Post: Archery GB Instructor Award, Sport Structures, Concorde House, Trinity Park, Birmingham, B37 YE5 Phone: 0845 241 7195 (Becky McGrath or Sophie Darby) Web: www.archerygb.org/instructor Through the partnership, Sport Structures will lead the management of the award and provide the following services: Administrative support for learners and tutors Planning, organization, marketing and management of courses Distribution of course resources Renewal service Financial arrangements Workforce development Reporting and quality assurance Financial Models There are two financial models that are available, detailed below. Outsourced Management (Model A) Sport Structures drive the organisation and fulfillment of courses. Approved Tutors are approached to deliver a course and are paid a standard rate by Sport Structures. Tutors may also notify Sport Structures about where courses are needed and set them up. Freelance Tutors (Model B) Sport Structures provide administrative support. Tutors have the flexibility to organise and register their own courses, set their own price for clients and manage their own costs. They also have the responsibility to provide and pay an Approved Tutor to assess learners. Standard fees are levied. To become a freelance tutor you should deliver at least 15 courses per year. Tutor Profile The role of the tutor is to educate instructors and formally assess their performance against Archery GB s competencies. Title: Overall Aim: Management and Reporting: Archery GB Approved Tutor Instructor Award To deliver the Archery GB Instructor Award Archery GB Development Manager (Workforce) Sport Structures Project Manager and Coordinators Employment Status: Self-employed Principle Duties: To prepare, deliver and assess the Archery GB Instructor Award to the agreed standard, utilising the guidance and supporting resources provided by Archery GB Follow Archery GB s administrative processes, guidelines and policies for delivering courses Report to Sport Structures and Archery GB staff Ensure that venue criteria and correct participant ratios are met Complete assessment paperwork and provide an action plan for learners where appropriate Complete and return tutor feedback as appropriate Liaise with the verifiers for the purpose of course verification To act on verification and course feedback to improve course delivery To maintain high quality standards in course delivery To undertake appropriate training and development opportunities To co-operate on health and safety matters; take reasonable care of own and other s health and safety; and report all health and safety concerns to an appropriate person To actively promote the concepts of equality in archery Present a positive image on behalf of Archery GB in terms of appearance, punctuality and attitude Raise awareness of Archery GB and its services To complete all administration and paperwork appropriately and sending back to the Sport Structures office (within 5 days of completing the course) Submit hardcopy invoices and expenses (payment made within 30 days) Contact Sport Structures as soon as possible if any issues arise during the course

Application and Approval Process If you are interested in becoming an approved tutor carefully read the tutor profile and complete the application form (separate) making reference to the criteria in the tutor profile. All applications will follow the process outlined. Candidate completes application form and returns to Archery GB Candidate application assessed against specific criteria Application successful: Candidate invited to attend Archery GB tutor training and / or course familiarisation (including assessment) Unsuccessful: Candidate may apply again in the future Familiarisation successful: Approved to deliver Archery GB Instructor Award for 3 year term Use of apprioriate financial model agreed. Deliver courses, at least one will be verified.

Course Familiarisation and Tutor Training Requirements Course Specific Familiarisation Successful applicants are required to attend course specific familiarisation. Free / 1 day An informal induction to the course, resources and administration arrangements Understand course style, purpose and requirement Understand associated administration and financial processes Tutor / Assessor Training Applicants with limited tutor / assessor / teacher qualifications, experience or training will be asked complete one or more of the following training courses before becoming an approved tutor. Tutor training will provide you with the basic skills required for the delivery of learning. Assessor training will provide you with a practical overview of assessment practice, developing your knowledge of how to plan, conduct and evaluate assessments in archery. There is an opportunity to gain accreditation if desired at a further cost. Terms and Conditions Archery GB Instructor Award, in partnership with Sport Structures Ltd - Terms and Conditions for applicants 1. Application of Terms and Conditions These Terms and Conditions apply to all applicants for approved tutor status ( approved tutor ) of the Archery GB Instructor Award (and Archery GB Teacher Award when it is available) from Archery GB. 2. Approved Tutor Status By applying to become an approved tutor, the applicant agrees: (a) To be responsible for his/her personal development; (b) To be bound by these Terms and Conditions which include the Code of Conduct; (c) That Archery GB has authority to investigate any complaints made against him/her and to impose sanctions in accordance with these Terms and Conditions and Archery GB policies, and remove the approved tutor status. 3. Approved Tutor Status Application In order for an applicant to obtain approved tutor status, he/she must: (a) Apply to the Development Manager (Workforce) ( DMW ) and be approved by the recruitment panel against the applicable criteria; (b) Have paid the applicable fees for tutor/assessor training and familiarisation; (c) Pass the tutor / assessor training course and receive the recommendation of the examiner to proceed 4. Register of Approved Tutors 4.1 Archery GB maintains a public register/database of all approved tutors and their contact details for enquiries. 4.2 Approved tutors must ensure that they inform Archery GB of any change in their details which would require an amendment to the register/database. 4.3 The status of approved tutor shall be granted for a maximum of 3 years, renewable thereafter. 4.4 A Licensed Trainer or Coach Educator may during the applicable Licence Period describe himself/herself as an Archery GB Instructor Award Tutor or Archery GB Teacher Award Tutor but may not: (a) Trade as Archery GB or make any misleading representations about the nature of his/her status as an approved tutor. 5. Refusal of Approved Tutor Status 5.1 Archery GB may refuse to grant an applicant with approved tutor status in the following circumstances: (a) Where the conditions specified in section 3 have not been fully met;

(b) Where the applicant concerned has been found to have committed a disciplinary offence by Archery GB or by any other sports governing body or international federation, which in Archery GB s opinion means that the applicant is unsuitable to act as a tutor. (c) Where the applicant concerned is being investigated by Archery GB, the police or another relevant authority in connection with child protection matters. (d) Where the applicant, in Archery GB s opinion, has unsuitable qualities, attributes or abilities to deliver coach education or Archery GB reasonably considers that the applicant s behaviour (past or present) suggests he/she is unsuitable to deliver coach education. (e) Where Archery GB otherwise reasonably considers that the grant of an approved tutor status is inappropriate. 5.2 In the event that Archery GB refuses to grant approved tutor status to an applicant, there will be no right of appeal of the decision. However, the applicant may re-apply at a later opportunity. 6. Suspension, Restriction or Withdrawal of Approved Tutor Status 6.1 Archery GB may suspend or restrict for a specified period or withdraw the approved tutor status forthwith in the event that the applicant: (a) Breaches these Terms and Conditions (including the Code of Conduct). 6.2 Without prejudice to paragraph 6.1, where (whether following a complaint to Archery GB or otherwise) Archery GB has carried out an investigation of the applicant s behaviour and found that any of the circumstances listed at paragraph 6.1 apply, Archery GB may impose any one or more of the following sanctions on the tutor: (a) Give the applicant an official warning; (b) Require the applicant to undergo additional training; (c) Suspend or withdraw the approved tutor status from the applicant 6.3 Where a matter referred to it under paragraph 6.1 is sufficiently serious, Archery GB may also refer the matter to the Archery GB Disciplinary Panel for consideration under its disciplinary regulations. Code of Conduct Approved tutors agree to: Act as a positive role model to instructors, coaches, teachers and colleagues Be responsible for sourcing and gaining professional insurance cover for course delivery Be willing to receive feedback and develop their own personal practice Ensure all courses are conducted in a safe environment and best practice is observed at all times Work with internal verifiers to ensure the quality control of courses are managed effectively Support professional staff in planning, facilitation and delivery of courses carry themselves in a way that does not bring Archery GB into disrepute Ensure that all monies are correctly accounted for, and where necessary any tax implications are dealt with, and ensure all returns and financial reconciliations are carried out in a timely manner Ensure that all administrative procedures are met to the standards laid out to tutors
