Introduction What is a LMS? LMS, acronym for Learning Management System, is an online software designed to guide users during their learning process. WBT LMS is an elearning platform that allows to: Refer educational contents and define rules of use Refer users that play a role in the system: learner, manager, tutor, administrator, etc. Assign courses to learners so they will be able to monitor their training at the appropriate time Control the access to educational resources Support and follow the progression of learners Manage learner communities Also, WBT LMS offers a set of connectors to interface with administrative management tools from the training. How is this guide structured? This guide allows you to quickly display the essential functions of WBT LSM. Of course, the description of the functions is quite brief. On the other hand, you will be able to easily develop your knowledge by applying all of the tool's available functions. You will be able to refer to the reference guide or to the online support to find the function details. This guide will show you how to: manage user accounts import and distribute an elearning course monitor results support learners This documents comprise several sections. To obtain optimal results, it is essential to review the following sections in order as each one of them is based on concepts studied in previous sections. 3 / 25

Quick start guide - WBT LMS 3.0 Log in WBT LMS is a web application that can be installed on an internal or external http server of your company. From the management of user accounts to the analysis of the results, all the operations are made online from your browser. To login to you WBT LMS server 1. Launch your Internet browser 2. Enter your WBT LMS server address, for example: http://company.mywbt.net 3. Enter your Username, password and click on Connection Make sure to select the checkbox (lower case only) while entering the username and password. Use an administrator account to realize the first approach exercises. During the installation process, the administrator account is the following: Domain: company Login: administrator Password: administrator The server's name and the domain's name are different for each company; please contact your IT department to know the server's exact address. Discovering the interface WBT LMS offers a unique interface regardless of the role and permissions of the connected user. The screen is divided as follow: 1. Main menu banner, available to all users 2. Contextual sub-menu area 3. Management tab, available for users with at least one permission 4

Quick start guide - WBT LMS 3.0 Managing users Creating a company Every company is divided into different hierarchical groups. WBT Manager allows users to represent such divisions. To create a company: 1. Click on the Management tab, from the right side of the main menu 2. Click on the Users link, on the sub-menu 3. Select Main Company on the tree list 4. Click on Add a level The Edit Properties box of a company is organized into many selectable screens through the vertical menu from the left side. 6

To complete the information of a company: Select the Information page; enter the name of the company "ACME Corp." Enter "ACME" in the External identifier box. Click on Save External identifier is a mandatory box. It allows you to import users and to update companies. The External identifier box has to be unique in order to unambiguously identify a company. To edit the information of a company: 1. From the tree list, select the company that you wish to edit 2. Click on Edit a level To move a company: 1. From the tree list, select the company that you wish to move 2. Click on Move a level To delete a company: 1. From the tree list, select the company that you wish to delete 2. Click on Delete a level You cannot delete a company containing elements (Company, User, Courses, etc.). Delete or remove the elements before deleting the company. 7 / 25

Quick start guide - WBT LMS 3.0 Finally, create the companies according to the following hierarchy: Name of the company Syldavie Bordurie Production Logistique External identifier syldavie bordurie production logistique WBT LMS allows you to create as many levels as you wish to represent the users hierarchy. Creating a user account Users, regardless of their roles and permissions, are placed in the companies. To create a user account: 1. Select the company Production 2. Click on Add a user The Edit Properties box of a user is organized into many selectable screens from the left side vertical menu. 8

To complete the information of a user: Select the Information page, enter the information o Last name "Manvussa" o Name "Gérard" o Identifier "german" o Password "campus" o Confirm password "campus" Click on Save To edit the information of a user: 1. Select the user's company 2. From the left-side list, select the user account you wish to edit 3. Click on Edit a user To move a user: 1. Select the user's company 2. From the left-side list, select the user account you wish to move 3. Click on Move a user To delete a user account: 1. Select the user's company 2. From the left-side list, select the user account you wish to delete 3. Click on Delete a user Importing users If the amount of users becomes critical, it is recommended to import a list of users to create and update the accounts. The operation must be realized in two steps: 9 / 25

Import the list of user accounts The lists of companies and users are CSV files that can be edited with a spreadsheet, just like Excel documents. 2 files are provided as an example with the import procedure document. To import a group of hierarchical companies: 1. Select the ACME company 2. Click on Import users 3. Select Import companies 4. Click on Browse to select the OrganisationList.csv file, provided with the Excercise file 5. Activate the check box "First row column header" to avoid importing the first row of the data file 6. Click on Next to continue to the next step 7. Step 2 provides a preview of the imported data. Click on Next 8. Activate the update options available in step 3. Click on Next 9. Check the result of the Import available in step 4, and then click on Close At the end of the import process, the list of companies must be as follows: To import a list of users: 1. Select the ACME company 2. Click on Import users 3. Select Import Users 4. Click on Browse to select the ManagerList.csv file, provided with the Exercise file 5. Activate the check box "First row column header" to avoid importing the first row of the data file 6. Click on Next 7. Step 2 provides a preview of the imported data. Click on Next 8. Activate the update option available in step 3. Click on Next 9. Check the result of the Import available in step 4, and then click on Close 10

Repeat the previous operation with the StundentList.csv file, provided with the Exercise file, to import all the user accounts. You can check some accounts by selecting the Production company. Defining the editorial page of a company To meet the users of the platform, you can enter an Editorial that will appear on the first page. The content of the Editorial is free. You can enter a text, set up its layout, edit the font's color and size, add images, etc. To enter an Editorial : 1. Select the ACME company 2. Click on Edit a level 3. Select the HTML page and then the HTML1 tab 11 / 25

Sample text In case of support, please check the FAQ first and then contact Ali Gator Distinguishing the concepts of Course and Lesson The elearning vocabulary to describe educational activities is very diverse: module, course, lesson, sequence, process, etc. WBT relies on the AICC/SCORM standards and uses some simple concepts: A course comprises one or several lessons (SCO) As for WBT, a lesson is the smallest unit. For each lesson of a course it is possible to monitor the progress of a learner (time, status, score, last placement, interaction...) It is possible to create pre-requisite rules for the lessons of a course In view of these rules, we can say that the course is the assignment unit while the lesson is the monitoring unit. In addition, WBT allows you to group courses in a process. This point will be described later in this document. 13 / 25

Quick start guide - WBT LMS 3.0 Organizing a course catalog Courses can be organized into categories and sub-categories. There are no boundaries to the depth of the sub-categories, so you are free to organize the catalog as you wish. Depending on the properties of a course, it is possible to hide it from a group of users. To create a category: 1. Click on the Management tab, on the right side of the main menu 2. Click on the Course link, in the sub-menu 3. Select Main Company from the tree list 4. Click on Add a course category 5. Enter "Management" in the Name field and click on Validate Understanding the role of AICC and SCORM standards The original purpose of the standardization movement of online education was to be able to reuse contents between platforms, with no need to rewrite the lessons depending on a specific platform. In other words, an elearning course that is compatible with SCORM or AICC will be usable on WBT LMS or any other platform under the same standards. WBT LSM is compatible with the market's elearning rules and standards: AICC version 3.5 SCORM 1.2 SCORM 2004 Regardless of the SCORM version, they all standardize two different points: the content's description (content packaging) and the data exchange between the course and the LMS (exchanging data at runtime). 1. The content description system determines a group of properties of the course: The establishment of the course name and lessons, list of objectives and pre-requisites, URL for launching lessons, establishment of passing grades, etc. In the heart of the SCORM description, a file called "imsmanifest" contains all the information required by WBT LMS to reference the course. The file "Manifest" is an XML file that describes the course's structure from both, the learner's point of view and the physical organization of the files. 14

2. The operating environment specifies how the lessons communicate with WBT LSM during the viewing. There are 2 main steps in the communication process. First, the content must find WBT LMS, then, once the LMS has been identified, the content can communicate with a series of commands "Get" and "Set", completed with the adequate vocabulary. A "Get" command allows to recover WBT data and a "Set" command allows to update data on WBT. For example, with this set of commands it is possible to recover the learner's name (Get) or to record the score he got (Set) for a lesson. With the AICC standards, the principle is strictly identical, the results are similar, but the technical methods to manage it are different. Importing a SCORM course To import a course you need to have a pack of courses compliant with SCORM specifications. The pack is a single zip file with all the lessons of the course and a XML file describing the properties of the course and lessons. To be consistent with the XML file it has to: 1. be placed in the root of the ZIP file 2. be named imsmanifest.xml Note that WBT allows as well to import a course described with AICC standards. The import procedure automatically detects the AICC or SCORM format of the imported course. To import a course: 1. Click on the Management tab, on the right side of the main menu 2. Click on the Course s link, on the sub-menu 3. Select the "Management" file from the tree list 4. Click on Import a course to run the import wizard The procedure consists of 6 steps described in the following section. 15 / 25

Quick start guide - WBT LMS 3.0 Using the import wizard of a course The standardized courses have to be installed with the import wizard Step 1: Selecting the file To import a standardized course: Click on Browse to select the course file. The file consists of one ZIP compressed file containing all the media elements of the course. Click on Next to continue to start the loading operation Step 2: File validation of the course description At the end of the transfer process to the server, the course file is automatically unziped in the course's directory. The procedure reads the course description files. Depending on the format in which the file is imported, the description has: For SCORM, a file named imsmanifest.xml For AICC, several text files, of which the main file's extension is.crs If the description files cannot be found, the import procedure cannot continue. Before starting the import procedure, please verify that the description files are in the root of the course file. Click on Next 16

Step 3- Specification of import options If the description file does not contain any information about the provider, you can enter the provider's name or select a provider from the drop-down list. If components (course, block, lessons...) of a course already exist on the WBT server, they can be updated, and this way the information about the monitoring of learners can be kept or you can decide to create a copy of the course. Click on Next Step 4 - Validation of the structure of a course The preview allows you to validate the composition of a course. In the imported example the course consists of a single lesson with the same name. Click on Next 17 / 25

Quick start guide - WBT LMS 3.0 Step 5 - Specification of destination Select the destination of the imported course. 2 options are available: 1. If you select a directory, the import procedure creates a new course with the lessons imported consistent with the preview of the previous step. 2. If you select a course, the import procedure adds the imported lessons to the selected course without creating new courses. 18

Click on Next to finish the procedure. Assigning a course to a user WBT LMS offers several methods to assign a course to a learner. To quickly assign courses to learners, you can, for example: Edit the properties of a course and add learners Edit the properties of a learner and add courses There are other possible methods, such as self-registration, assignment data import, assignment by list, etc. but they are not described in this guide. As a part of this Quick start guide, we are going to select a learner and assign courses. To search a learner: 1. Click on the Management tab, on the right side of the main menu 2. Click on the Users link, on the sub-menu 3. From the list of companies, select the ACME company 4. On the toolbar, select Search to view 5. On the search window, click on Add filters 6. Enter "Manvussa" in the Name field and click on Validate While editing a user's properties, you can add or remove courses. 19 / 25

Quick start guide - WBT LMS 3.0 To add a course to a user: 1. Using the search tool, select the user "Gérard Manvussa" 2. Click on Edit 3. Click on the Course and Process link and then on the Course tab 4. On the toolbar, click on Add a course to the user to display the course selector Before continuing, it is necessary to explain the operating principle of the course selector. WBT LMS may contain hundreds of courses placed in different categories. The selector allows to add several courses in a list and to run the assignment procedure. The operation consists of 2 steps: 1. The selection of one or several courses from a list 2. The treatment of elements of a list To select a course: 1. Select the "Management" file from the tree list 2. Select the course "Management Level 1" 3. Click on "Add to cart" to add the course to the list. 4. Click on Next to display the list of selected elements 5. The options are discretional. Click on Validate to assign the course to the user About the dates: You can define a starting date so the learner will not be able to start the course before that date. You can define a goal date to mobilize the user. Communication tools can rely on that date to restart the learner. You can define a due date so the user will not be able to run the course beyond that date. By playing with the view options, it is possible to hide the courses that do not enter into the range of application defined by the due date. The user's agenda shows the starting dates, goal dates and due dates of his courses. Assigning a course to a group of users It is possible to directly assign a course to a company to: Add a course to all the learners of the company Automatically add a course to future learners of the company To assign a course to a company: 1. Click on the Management tab, on the right side of the main menu 2. Click on the Users link, on the sub-menu 3. From the list of companies, select the ACME company 20

4. On the toolbar, select Edit 5. Click on the Course and Process link and then on the Course tab 6. On the toolbar, click on Add a course to the company to display the course selector 7. Select a course The operating principle of the course selector is identical; it allows to add several courses in a list and to run the assignment procedure. The operation consists of 2 steps: 1. Selection of one or several courses into a list 2. Treatment of elements of a list To select a course: 1. Select the "Management" file on the tree list 2. Select the course "Management Level 1" 3. Click on "Add to cart" to add the course to the list. 4. Click on Next to display the list of selected elements 5. Activate the Disregard audiences", so the assignation will not be limited to users sharing the same audience as the course. 6. Click on Validate to assign the course to the company Launching a lesson and monitoring its results Launching a course is an easy operation that can be made with a few clicks. In order to view the platform's performance from the learner's side, you can login using a learner account. To login with a learner account: 1. Click on Logout, on the top right corner 2. Enter your WBT LMS server address for example: http://company.mywbt.net/ 3. Enter your Username, password and click on Connection Make sure to select the checkbox (lower case only) while entering the username and password. To launch a lesson: 1. Click on the Training tab, in the main menu 2. Click on the Course link, in the sub-menu 3. Click on the name of the course to display the lessons list 4. Click on the name of the lesson 21 / 25

Quick start guide - WBT LMS 3.0 Once the lesson has been launched, WBT registers in a session in the background all data sent for the lesson. When the user quits the lesson, session's data is registered in WBT statistics, which appears in the monitoring report. Normally, registered data is the data established by the AICC or SCORM protocols: Time spent in the lesson Obtained status Score Result obtained for each question (Interaction) Other data (last visited page, comments, etc.) is also registered but not directly available in WBT LMS reports. Using result reports WBT offers different types of reports available according to the user's role. My Reports, to display monitoring data of the user My Team's Reports, to display monitoring data of collaborators managed by the user Other Reports, to display reports that are specific to the user's role The list of reports linked to a role is defined by the role's manager, located in Management Tools. To display My Reports: 1. Click on the Reports tab, on the main menu 2. Click on the My Reports link, on the sub-menu, To display the details of the results: 1. Click on the name of the course to display the results per lesson 2. Click on the name of the lesson to display the list of the sessions 22

To display the details of the questions: 1. Click on the name of a session to display the results per question (Interaction) The results per question (Interaction) are not always available. This level of detail is registered when the level sends such data to the platform. In addition, a lesson's option allows to determine if it is necessary to keep the results of each test or the results of interactions. Using management reports Depending on the user's role and its permissions, other reports may be available. To display additional reports: 1. Log in using an account with management permissions 2. Click on the Reports tab, on the main menu 3. Click on the Other Reports link, on the sub-menu 4. Select a category and then a report 23 / 25

Select one or several filter criteria or no criteria at all not to filter any data 3. Click on Display to launch the report 4. You can as well export the report in the desired format 24
