The postholder will provide efficient administrative support within the admissions team with particular reference to matters relating to foundation, undergraduate and postgraduate degree student admissions. Applicants should ideally have proven experience in the HE sector along with administrative experience, the ability to exercise initiative and excellent communication, organisational and IT skills (to include MS Office). The ability to work as part of a team is a critical aspect of the role, as is a professional and flexible approach to work and good organisational and time management skills. LEEDS TRINITY UNIVERSITY JOB DESCRIPTION JOB TITLE: DEPARTMENT: Administrator - Admissions (Fixed term) Marketing, Communications and Recruitment GRADE: Grade 5 (points 16 18) DURATION: Fixed term to 31 st March 2018 HOURS OF WORK: RESPONSIBLE TO: 35 hours per week Monday to Friday. The postholder will be expected to work flexibly as required to contribute to the overall efficient discharge of the department. This will involve some weekend and Bank Holiday working. Admissions Officer. PURPOSE OF THE POST: The postholder will provide administrative support to the team, with particular reference to undergraduate and postgraduate student admissions. The postholder will be expected to work closely with other staff in Marketing, Communications and Recruitment and contribute as necessary to all aspects of the department as directed by the Admissions Officer and/or the Head of Student Recruitment and Admissions. MAIN DUTIES AND RESPONSIBILITIES: 1. To process undergraduate and postgraduate applications from initial enquiries to confirmation of admission, in liaison with admissions tutors and departmental staff as required. 2. To produce reports from the student records system and produce standard correspondence for applicants, schools/colleges and UTT/UCAS. 3. To liaise with external agencies such as UCAS, UTT, NARIC, DBS and Occupational Health specialists to ascertain applicant clearance status. 4. To assist with the applicant confirmation, clearing process and late application exercise. 5. To update and maintain programme related information and application packs in collaboration with programme directors and department staff. 6. To process RPL requests in accordance with the institution s RPL procedures and in liaison with department RPL Coordinators. 7. To provide administrative support in respect of interview arrangements for applicants. 8. To participate in internal and external recruitment and post-application activity as required. 9. To receive and respond to emails submitted to the general admissions account, and refer on as appropriate.
GENERAL DUTIES: 10. To operate and maintain computerised and manual applicant/student records. 11. To provide an efficient and courteous enquiry service to assist applicants, students, staff and external bodies responding to queries in person, by telephone or by email as appropriate. 12. To undertake general administrative and clerical duties to include filing, photocopying, distributing documentation and preparing mail outs. 13. To provide support for key events to include, post application events, open days, clearing, induction, registration, examinations and awards ceremonies as appropriate. 14. To deal with data in accordance with the Data Protection Act 1998. 15. To comply with current health and safety requirements, work with relevant University policies including equal opportunities and participate fully in the annual staff review scheme. 16. To carry out other duties, commensurate with the grade of the post, as directed by the Admissions Officer and/or Head of Student Recruitment and Admissions following due consultation.
