System Overview (ITS) has acquired the Gradebook Photo Upload program. This Windows based system allows school staff to upload pictures of students by school for use in the District s Electronic Gradebook program through the M-DCPS Intranet. This is an optional feature. Getting Started The Gradebook Utilities Install/Upgrades system which contains the Gradebook Photo Upload program is available within the ITS Intranet Web Applications. Administrators must assign RACF permission to WGBI (WEB GRADEBK INSTAL) to their designated staff members. It is imperative that photos be uploaded only on Fridays so as not to interfere in any way with the normal operation of the Gradebook during the school week. NOTE: Only Gradebook Managers that log their computers into the DADESCHOOLS domain can upload photos. Administrative rights to the computer are required to install photo upload software. Logging in to the M-DCPS Intranet To access the Intranet, Log In to the M-DCPS home page at http://www.dadeschools.net the Employees tab The dadeschools.net Employees screen will be displayed. NOTE: The Intranet is also accessible from the my Dadeschools - Teacher Portal screen under Administrative Tools. On the dadeschools.net Employees page, under the Employee Toolbox, Intranet The ITS Intranet Web Applications Log In screen will be displayed. NOTE: To locate this link in the future, bookmark this page or create a desktop shortcut. This site is best viewed using the latest version of Microsoft Internet Explorer and Adobe Acrobat Reader which can be downloaded from the M-DCPS Intranet under the Software Updates and Utilities option.
On the ITS Intranet Web Applications Log In screen, in the user authentication box, Type the employee ID number, work location, and password (User s CICS password) Log In (or press Enter) The ITS Intranet Web Applications screen will be displayed. Installing Gradebook Utilities Install/Upgrades On the ITS Intranet Web Applications screen, Gradebook Utilities Install/Upgrades The File Download - Security Warning screen will be displayed. To run the file, Run The Internet Explorer - Security Warning screen will be displayed. If WARNING -.NET Framework Installation Error Message appears, please refer to.net Framework Installation (Appendix A, page 6).
On the Internet Explorer - Security Warning screen, Run The GB Student Photo Upload Setup screen will be displayed. OK The GB Student Photo Upload Set Up Wizard screen. Next The Installation Folder screen will be displayed. Accept the default location for the folder. Everyone Next The Confirm Installation screen will be displayed.
On the Confirm Installation screen, Next The installation process will begin. The Installation Complete screen will be displayed. Close to exit Uploading Photos After the Gradebook Utilities Install/Upgrades file has been installed, the student photos on the computer can be uploaded into the District s Electronic Gradebook program. Only Gradebook Managers that log their computers into the DADESCHOOLS domain can upload photos. From the desktop, on the GB Student Photo Upload Setup icon The GB Student Photo Upload screen will be displayed. NOTE: The GB Student Photo Upload program is also accessible from the desktop by clicking on Start and All Programs to locate the GB Student Photo Upload program.
From the Directory, on the folder containing the student photos The photos will be displayed in the Select Student Photos screen. NOTE: Picture file name format must be the 7 digit student ID number. Pictures will not be visible in any other format. On the Select Student Photos screen, on the box for each photo to be uploaded Or, at the top of the screen, Select All or Deselect All The photos to be uploaded will be displayed in the Select Student Photos screen. Upload Student Photos The total uploaded photos confirmation message will be displayed. OK to close the file NOTE: Pictures will be available for use on the following day. .NET Framework Installation Appendix A If WARNING -.NET Framework Installation Error Message appears while attempting to run the Gradebook Utilities file, the.net Framework must be installed. On the File Download screen, Open The Microsoft.NET Framework 1.1 Setup screen will be displayed. Yes The installation will begin. On the installation is complete message, OK Return to Installing Gradebook Utilities Install/ Upgrades on the ITS Intranet Web Applications Log In screen (see page 2). 7
FAQs Appendix B Q: Once the GBM has uploaded the photos, how do I get them into my gradebook? A: Once pictures are uploaded, they will be available to a teacher s gradebook the following day. Move the mouse over the student s name. Q: Will my pictures follow my class files if I work at a different computer? A: Yes. Q: Can I use the picture upload utility on a Macintosh? A: No, this is a PC-based software that requires Windows 2000 or greater. Q: Can I use these pictures in my seating chart? A: Yes. Follow the instructions on page 29 of the teachers quick reference document to learn how to create a seating chart.
