Nagoya University School of Letters & Graduate School of Letters Research Students Application Guidelines (for privately-financed international students living outside of Japan) February 1, 2016 International Relations Committee Individuals wishing to apply to the research students program (privately-financed international students) for October 2016 should submit the application documents as specified below. They should also previously get in contact with the professor with whom they would like to do research. Upon contacting him/her, they should provide all the answers to the questions in the form, Kenkyuu keikakusho Yooshiki (the list of professors with their contact address and the form are available on the Website of School of Letters and Graduate School of Letters: see below, 8(2)). 1. Qualifications (1) Individuals who graduated from a liberal arts department or an equivalent in an university and possess either a bachelor's or masters degree, or individuals who are judged to possess an equivalent academic ability by the faculty council of this department. (2) Individuals who are eligible for residence status in Japan as a foreign student. 2. Enrollment limit Few students 3. Period of stay The period of stay is one year (6 months for individuals enrolling in October). However, an extension may be granted after evaluation by the Faculty Council. 4. Application forms Submit two copies (an official copy of the original and its duplicate: the duplicate can be a photocopy of the original) of the documents listed below. Documents must be written in Japanese or English. Regarding certificate submission, if the original is neither in Japanese nor English, please attach the Japanese or English translation. 1
(1) CV (with your photo) Please download and use the designated format. Type to fill out the form and provide your signature. Make sure that your contact e-mail address is up to date. (2) Letter of Recommendation Letters of recommendation must be written by your school president, department dean or academic advisor on stationery with the school letterhead or official seal. (3) Diploma or Certificate of Completion (*) Submit all the diplomas and certificates of completion from all the undergraduate -level higher education. Individuals who have not graduated from their current undergraduate program, but are expecting to do so before October 2016 are required to submit a letter of expected graduation (with the expected graduation date). A certificate (letter) of expected completion is required also for individuals scheduled to complete their master s program by October 2016. For the applicants who graduated from a university in China, both a certificate of completion and certificate of diploma are required. (4) Academic Transcripts (*) Submit all the academic transcripts for education since your enrollment in a university. *Those who graduated from (are graduating from) a university in China must submit a credentials report of both diploma and academic transcripts sent directly from China Academic Degrees and Graduate Education Development Center (CDGCD) (Nagoya University code: C900810). Please make sure that the report arrives before the application deadline. (5) Summary of your previous academic research Summarize in approximately 1000 words the content of your bachelor s thesis, master s thesis, or some other paper representing your major field of study. (6) Study Plan Describe your study plan during your stay in Nagoya University in 1500 words or less. Include the title of your intended area of study. Students wishing to move on to the master s or doctoral program after completing this foreign study program should make their study plan focus on the writing of the master s thesis or doctoral dissertation. (7) Documents of financial proof Submit the necessary documents as applicable: A. If expenses are paid by the applicant Proof of applicant s employment Proof of applicant s income Statement of applicant s bank balance (the amount has to be equivalent to more 2
than 2 million yen) B. If expenses are paid by an individual other than the applicant (such as parents) Proof of sponsor s employment Proof of sponsor s income Statement of sponsors bank balance (the amount has to be equivalent to more than 2 million yen) Document specifying the relation of the applicant and the sponsor (such as a family registration) C. If expenses are shared by the applicant and other persons Documents listed in both A and B above. (For the statement of sponsor(s) and applicant s bank balances, the amount has to be equivalent to more than 2 million yen in total.) (8) Copy of your passport If you own a passport, submit a copy of the page(s) with the following information: Name Date of birth Photo Passport number Date of validity (9) Certificate proving your Japanese or English competence If you have a certificate for the Japanese Language Proficiency test (JLPT), TOEFL or TOEIC, submit its copy (don t send the original!). (10) Entry sheet Download the designated form from the website. Please provide the name of the major you wish to enroll in and the name of the professor you wish to work with. Please note that we may not be able to meet all of your preferences. Enter a check mark(ü)in the column to make sure you have all the required documents enclosed. Enter the same e-mail address you provided in your CV. (11) 2 pieces of your photo (in the same format as that of CV) Write your full name on the back of each photo. (12) Application for admission form Download the designated form from the website and fill it out. Applicants currently employed by a company who plan to continue their employment after being accepted as a research student will need to submit the additional documents listed below (applicants planning to leave their company after being accepted at the university should type "plan to resign" in the professional career column. the documents listed below are not required). Pledge by the applicant stating that s/he is applying to the university in order to receive the education for a personal purpose (in any format). Pledge from a managerial representative of the company stating that the applicant is not dispatched to the university for the business purposes of the company, and his/her written consent for the applicant to enroll as a research student while employed at the company (in any format). 5. Screening fee 9800 yen 6. Submission deadline and address (1) Application deadline All application forms, documents, and application fee must arrive at the office during the following period: May 9th, 2016 (Mon) - May 20th, 2016 (Fri) (2) Submit all the documents to: International Students Advisor s Office Nagoya University, School of Letters & Graduate School of Letters B4-5(700), Furo-cho, Chikusa-ku, Nagoya City, Aichi Pref. 464-8601 JAPAN (3) How to submit Application forms and documents: Send by postal service that allows confirmation of the status of delivery such as registered or EMS mail. Submission other means (such as submission via e-mail with PDF attached) will not be accepted. Application fee: The payment options vary depending on your country. Please contact us if you do not know how you can send money internationally (See 8 below). Note: Submitted documents and application fee will not be returned for any reason. Any documents included in your application that are not required will not be subject to screening and will not be returned to you. If there are any required documents that you are unable to obtain, please inform the contact office noted in number 8 below. 4
7. Screening process It will take several weeks to complete the screening after the application deadline. An official admission permit will be sent by mail to all applicants who passed the final screening. We will not accept inquiries from individual applicants concerning the progress of screening. 8. If you have any questions concerning application to the university, please first refer to the detailed information on the website. If you are unable to find the information you need, contact the e-mail address above. (3) Entrance fees for privately-financed international students are 84,600 yen and tuition is 178,200 yen for 6 months (356,400 yen for one year) (estimate). Enrollees are required to pay the entrance fee and 6-month tuition at the time of entry. Should there be a change in the tuition, the revised fees will be applicable from the time of change. 9. Handling of personal information Applicants personal information, such as name, address and date of birth, is used only 5
for the purpose of screening, admission processes, other related procedures, and for the management of the students after enrollment at the university. We exercise appropriate management of personal information and such information will not be used for any reason other than that noted above.
